Ideally, local competitions should take place by June. Local competitions scheduled after June may be accepted on a case-by-case basis, subject to the availability of Regional competitions, or may ask their winning band to participate in next year s regional. If the site is outdoors, be sure to secure an indoor location or set a rain date of no later than mid-june in case of inclement weather. Fill out the Illinois Battle of the Bands Host Site Contact Form and send it to the State Coordinator. The State Coordinator will confirm details with you (including regional site) and will post your event on the Illinois Battle of the Bands website. Have all entering bands fill out the Illinois Battle of the Bands Entry Form. Local host sites are allowed to add additional rules or requirements to those listed. For example, local competitions are allowed to add residency requirements, shrink the age range (high school only), etc. Please contact the State Coordinator with any questions. Be sure to set up a method to verify ages. Use Illinois Battle of the Bands Score Sheet to judge your competition. If you have any questions regarding interpretation of the score sheets, contact the State Coordinator. Remember to give yourself plenty of time to find quality judges. who will be able to accurately score the bands. If you have any excellent judges lined up who might be willing to judge at the regional or state level, please let us know! Give your winning band the Local Winner Information Sheet. Once regional sites are set, this will be sent out to all local competition contacts. If your local competition is early in the year and held before regional sites are set, this information will be sent to the band at a later date. If you do not have this sheet two weeks before your local competition contact the State Coordinator. Send your event results to the State Coordinator. As soon as possible after your event, please send the winning band s name to the State Coordinator. Assuming that you have followed earlier instructions, the State Coordinator will already have all of the necessary paperwork. If you decide to cancel your event due to low interest from bands or other reasons, notify the state coordinator immediately! If you have photos or video from your event that you would like included on our web pages, please them to the State Coordinator. OPTIONAL- Send a volunteer to assist the Regional Competition that your band will be participating in. This volunteer does not have to be you or another full-time staff person. You may send an intern, a part-time staff member, or even a parent who would be willing to spend the day volunteering. Please send this person s contact information to your Regional Site Host. Regional Host Site Requirements Secure a contest site, event date, and sound system. Ideally, regional competitions should take place in July or the first weekend in August. Regional competitions scheduled in June may be accepted on a case-by-case basis, subject to the availability of completed local competitions. If the site is outdoors, be sure to secure an indoor location or set a rain date of no later than the last weekend in July in case of inclement weather. Regional sites must provide sound for the bands. Fill out the Illinois Battle of the Bands Host Site Contact Form and send it to the State Coordinator. The State Coordinator will confirm details with you (including locals who will be participating in your event) and will post your event on the Illinois Battle of the Bands website. Once all of the entry forms are collected from your participating locals winning bands, the State Coordinator will forward these to you. Regional sites are not allowed to add any rules or requirements of their own without specific permission from the State Coordinator. If your agency requires a specific waiver to be filled out by band members in addition to the original entry form, that is fine. Touch base with your participating local competitions. Find out who if anyone is coming to the Regional to assist you with your event. Touch base with the bands and make sure they know where to go and have all of the event details. This should be done no less than two weeks before your event date. Use Illinois Battle of the Bands Score Sheet to judge your competition. If you have any questions regarding interpretation of the score sheets, contact the State Coordinator. Any violation of these rules by any member of the band may result in the immediate disqualification of the entire band. Band Member Signatures: Instrument/Vocals: Age: Date of Birth: Event Rules: For the purpose of this competition, a band is defined as having a minimum of 2 members with at least 1 member playing an instrument through the majority of each song. Bands must be unsigned and be based in Illinois. All persons performing on stage must be listed on the entry form. Each band member must sign the entry form acknowledging that they have read and understand the rules for this event. Band members under the age of 18 must also have a guardian s signature. All band members must be between the ages of (and 1/2 of the band must be no older than 19 years of age as of August 15, 2015.) Band members should be prepared to show proof of age at each level of the competition. The performance must be suitable for a family audience. Band names, lyrics, appearance, and performance must be free from obscenities and references to drugs, sex, or alcohol. Band members (regardless of age) may not use or possess drugs, alcohol, and tobacco during the event. In order to keep everyone safe, bands who encourage moshing or any other potentially dangerous acts may be disqualified. (If your band has more than six members, please list additional information and signatures on the back of this form.) Parent/Guardian Signatures (for members under the age of 18): (If your band has more than six members under 18, please put additional guardian signatures on the back of this form.) Bands must supply their instruments and any other equipment not provided by the host site. A sound system may be provided at the local level and will be provided at the regional and state levels. Bands are responsible for the security of their equipment and the event organizers cannot be held liable for any lost, damaged, or stolen equipment or for any injuries that band members or their associates incur in conjunction with the competition. Fires, pyrotechnics, fog machines, etc. are not allowed. Event organizers reserve the right to make any necessary changes to contest rules and have the final word in any disputes that should arise. Your host site may have additional rules and requirements not listed on this form. Contact the Event Supervisor directly for more information or clarification.
4 An Illinois Park & Recreation Association Event TEEN BATTLE OF THE BANDS SCORE SHEET Band name: (Give each category a score of 1 to 10 one being poor and ten being outstanding.) STAGE PRESENTATION (Are they confident, enthusiastic, energetic, etc.? How is their appearance? Is their performance appropriate to their musical style?) STAGE MANAGEMENT (Do they transition smoothly from one song to the next? Do they say things on stage to advance the band or instead do they make excuses ( We suck today because. ) or say irrelevant things? How do they react when something goes wrong? Are they within their time limit? Do they follow rules set for them and/or cooperate with event staff?) SOUND QUALITY/CLARITY/MUSICIANSHIP (Do they sing/harmonize well? Can you understand the words? Are they on key? Are the instruments played well? Do they demonstrate an awareness of dynamics, pitch, phrasing, etc.?) SONG QUALITY and ORIGINALITY (Does chord and rhythm structure go beyond basics? Is the desired musical style achieved? Was there a good blend/ balance of instruments? If there are lyrics, what do you think of them? Are they playing original music or covers (or do they put their own spin on the covers)?) AUDIENCE RESPONSE (Does the band engage the audience? Does the audience respond to the band/music?) TOTAL
5 BAND BIO An Illinois Park & Recreation Association Event Band name: In the space below, please write a short bio for your band (limit to 50 words) and bring it to the competition with you. This bio will be used by the MC at the competition to introduce your band. Feel free to be creative and/or humorous you might even want to list some of the events where your band has performed in the past just keep it appropriate for a family audience.
6 BAND STAGE SET-UP SKETCH An Illinois Park & Recreation Association Event Band name: In the space below, provide a sketch of the placement of each instrument and piece of equipment (i.e. bass guitar, keyboard, drums, microphones, etc.) on stage when your band performs. Please be as detailed as possible. [BACK OF STAGE] [FRONT OF STAGE (AUDIENCE)] Each band is responsible for bringing its own instruments, amplifiers, cables, and other accessories.
