2 U.S. Figure Skating Headquarters 20 First Street Colorado Springs, CO Phone Fax usfigureskating.org Chair Program Development Committee National Solo Dance Final Bid Package Thank you for requesting a bid package for the 2017 National Solo Dance Final to be held in early to mid September Following an increased interest by multiple figure skating clubs desiring to host the exciting National Solo Dance Final competition, this letter and bid package was developed in an effort to help streamline the application process. The attached Bid Packet and Application is to be used in the bidding process for the 2017 National Solo Dance Final. It is imperative that each club submitting a bid familiarize itself with the current rules and guidelines for the Solo Dance Series that serve as a basis for understanding the series and the final competition. It is also helpful to plan the bid according to anticipated entries for the event to be approximately 230+ skaters. These guidelines are available in document form on the U.S. Figure Skating website. The deadline for submission of bids is October 15, delivery is preferred. 3 OVERVIEW: The National Solo Dance Final has been in existence since 2009 (as the National Solo Dance Championship) with the Series qualification starting in the season. The mission of the program is to provide a fun series of events to both encourage skaters of all levels to try ice dancing and to give skaters who love ice dancing a chance to compete on a regular basis even though they may not have a partner. From , this competition was held in Colorado Springs, Colorado. In 2015 the competition was held in Lansing, Michigan and the 2016 event will be held in Newark, Delaware. U.S. FIGURE SKATING PROGRAM DEVELOPMENT COMMITTEE: The bid process and site selection for the 2016 National Solo Dance Final will be managed by the U.S. Figure Skating Program Development Committee, Chair of the Program Development Committee, National Vice Chair for the Solo Dance Series and the U.S. Figure Skating Programs Manager. Competition Dates: The 2017 National Solo Dance Final will ideally be conducted in early to mid September BID INSTRUCTIONS The Chair of the Program Development Committee, in conjunction with the National Vice Chair for the Solo Dance Series and the U.S. Figure Skating Programs Manager, will oversee the bid process and, upon request, provide detailed background information and experienced assistance in all aspects of the bid process. The LOC is defined as a U.S. Figure Skating member club, convention and visitor s bureau, sports commission or any combination of these organizations. The LOC will serve as the local hosts of the 2017 National Solo Dance Final under the direction of U.S. Figure Skating. The deadline for submission of bids is October 15, delivery is required. All interested clubs should be prepared to make this competition a success without assistance. The Program Development Committee will make every effort to give clubs ideas on how to maximize profit.

4 POINTS TO CONSIDER IN YOUR BID PRESENTATION 1) Have you or your club hosted non-qualifying competitions with solo dance events before? 2) All competition applications will go through the LOC s preferred online entry system. 3) Entry fees do not include practice ice. Practice ice will be the responsibility of the host club and it will retain all monies collected from the practice ice. 4) All competitors, one chaperone and one designated U.S. Figure Skating member registered coach or other ISU National Governing Board member registered coach shall receive free credentials. All others should buy tickets (including any additional coaches in attendance). 5) Budget for a minimum of 18 Judges, 2 Accountants, 2 Special Guests. Expenses include rooms, meals and transportation. Officials dinners and gifts are optional, and should only be given if they are donated. Also, budget for site inspection by Chief Referee or designee (air, hotel, food - 1 night) or in lieu of a site inspection supply a recommendation from at least one competition official who is a National Dance Judge or Referee. The inspection from the competition official would be previously authorized by the National Vice Chair of Solo Dance. There may be a budget adjustment based on actual entry numbers. 6) Officials will be selected by the LOC in consultation with the Chair of Program Development and National Vice Chair for the Solo Dance Series. Final approval will be given to the Chair or Program Development and the National Vice Chair for the Solo Dance Series. 7) Expect judges from all three sections. The LOC will be responsible for Music and Announcers. 8) Two rink surfaces must be available for at least three full days of the competition and at least one full day of practice. 9) An emergency medical plan is required. That includes having an EMT, nurse, etc., who can manage an emergency medical situation until 911 can arrive at the scene. This doesn t need to be a physician and often rinks have staff that are trained in first aid and qualified to manage such situations. 10) An event program is not required, but should you decide to produce one, U.S. Figure Skating requires complimentary ad space. 10) Photos: As the LOC, you will be responsible for providing action, group and awards photos of the skaters for purchase.in addition, action photos, group photos, awards photos must be supplied to U.S. Figure Skating at no charge for archival purposes and use on icenetwork.com. The images must be digital and high resolution and be delivered immediately following the day s events and conclusion of the competition. 11)Video: Details of videography sales and production for the 2017 National Solo Dance Final will be agreed upon jointly by the LOC and U.S. Figure Skating upon the awarding of the bid for this event. The LOC is responsible to provide at the LOC s expense all reasonable video production needs (including by way of illustration, but in no way limited to clean electric power, sufficient television

5 quality lighting, camera platforms in preferred locations, camera sight lines clear of any obstructions, access to clean audio feed from the house system, and cabling access), as outlined by U.S. Figure Skating, throughout the duration of the competition. No recorded media in any format now known or unknown may be broadcast, copied, streamed, or distributed without prior written approval and subject to the terms and conditions set forth by U.S. Figure Skating. U.S. Figure Skating, is the owner of all media rights for the 2017 National Solo Dance Final. As the LOC, you will be responsible for all shipping costs of any necessary judging equipment, signage, video equipment, awards, awards podium, etc. THE FOLLOWING ITEMS MUST BE INCLUDED IN YOUR BID PROPOSAL: 1) Completed application and proposed budget 2) Letter/ from your Regional Vice Chair for Competitions guaranteeing the competition dates will be reserved for the competition. 3) Letters of intent from the arena(s) and hotel(s) 4) Description of the ice rinks including proposed location of officials. 5) Must the judges line of sight extend through the hockey net or Plexiglas? 6) Can the hockey net or Plexiglas on the Judges side of the rink be removed? 7) Can music/announcer be seated near the judges/referee? 8) Will officials be seated in a traffic-controlled area? 9) What is the square footage of space available for vendors? 10) Where will awards/photos be presented/taken? 11) Keeping in mind that this is a National Final, detail how your club would make the event special and memorable for the skaters. 12) Will the official host hotel allow signage to welcome participants to the hotel as the official hotel for participants? 13) Details verifying the reasonable videography needs/requirements will be supported and met.
