1 Minutes of Board Meeting Held at The Otago Golf Club Balmacewen Road, Dunedin on Wednesday 14 th May 2014 at 1.00pm Golf Otago (Inc) P O Box 354 CROMWELL 9342 Phone (03) Fax (03) executiveofficer@golfotago.co.nz Election of President (Chair) and Vice president Being the first meeting since the 2014 AGM, the Executive Officer declared the meeting open and called for nominations for President/Chairperson. Alastair Hinsley nominated Judy Muir, Seconded by Warren Jamieson There being no further nominations, Judy was declared Golf Otago President for 2014/15 and assumed the position of Chair. Judy Muir nominated Alastair Hinsley for the position of Vice President, seconded by Warren Jamieson. There being no further nominations, Alastair was declared Golf Otago Vice President. She thanked members for their support and welcomed Sally Shaw, new Board representative for Metropolitan Women s Sub-Association. Apologies: Helen Robb, Rob Freer, Adrian Crawford Shaw/Jamison Present: Mrs J Muir (Chair), Mesdames S Shaw, M A Kane. Messrs W Jamieson, A Hinsley, W Hore, D Harradine. In attendance M Smith (GDM) CoachForce GDM / Junior Golf: Michael Smith briefed the meeting on his activities for the first 4 months of Eagles Intercollegiate at Roxburgh Results tabled Inia Logan, 15 years of age, with a 59 off the stick was an outstanding achievement that gained nationwide press coverage. Otago Age Group Championships at Queenstown Results tabled Greg Turner Tour Junior Order of Merit Finals Results tabled South Island Under 19 and Age Group SIIP at Cromwell Results tabled Partner Clubs Program Work with 2013 Partner Clubs to be on-going and Island Park, Lower Waitaki and Port Chalmers joining the program for Junior Membership & Participation Database Update Full membership and contact information for 97 junior players is now held on file. John McGlashan College Academy Run with the support of The Otago Golf Club, there are a strong group of young players now established and the school is likely to field strong teams and individuals at school fixtures in future.

2 Inclusion of Southland Juniors in Otago events Discussions are on-going with John Griffin and Robyn Boniface to provide more opportunities for Southland junior golfers. Southland will fund their players to boost numbers and competitiveness of some of our events. NZ U19 Girls Interprovincial (Bay of Plenty) Discussions are underway with a view to fielding a joint Otago, Southland Aorangi team at this fixture. Team is 5 girls under 19, preferably on single digit handicaps. Junior Tiger 2014 Numbers down considerably for 2014, mainly due to appalling weather and the need to postpone from original date. Wakatipu Junior Golf Club The golf clubs in the Wakatipu basin are looking to join together to form a juniors only club, run by a committee of reps from all clubs, but as a separate entity based at Frankton GC Minutes: Minutes of the meeting, held at the Cromwell GC, on the 19 th February 2014, having been circulated, were taken as read and a true and correct record of the meeting. Hinsley/Kane Matters arising Nil Correspondence Schedule, having been circulated was tabled for discussion and resolved that inwards received and outwards confirmed. Shaw/Kane Finance Accounts for Payment: February Number 1 Account $ 7, Junior Network Account $ - March Number 1 Account $ 11, Junior Network Account $ - April Number 1 Account $ 24, Junior Network Account $ - Bill Hore tabled the accounts for payment, as per circulated schedules and moved confirmation of payments. 3 3 Income / Expenditure v Budget to 30 th April 2014 tabled Revised Budget 2014 tabled It was noted that the budget still indicates a deficit of in excess of $20k, manageable for this year with current reserves, but some difficult decisions will have to be faced in NZG GDM Investment Schedule - tabled The E/O advised that the current document was somewhat flawed, in that several of the KPI s were simply unachievable. Several other Districts had similar concerns and a revised version will be forwarded to us in due course. Funding Applications There was a brief discussion re a proposal that Otago and Southland send a joint Under 19 girls team to the national interprovincial. Sally Shaw moved that an application be made to Pub Charity Inc, for funding to assist air travel and accommodation for the event. Seconded Mary-Anne Kane NZ Golf & Chairman s Report Judy Muir read her report to the meeting covering the six headings listed; NZ Open at The Hills A very successful event, despite poor weather throughout the week. Volunteers from Golf Otago and clubs fully involved in the tournament. NZ Golf AGM & Forum - Forum papers tabled Handicap System Review - NZG final report tabled National Tournament Review - Working Party report tabled Casual Golfer Registration - Report on proposal tabled The E/O advised District feedback was required to reach NZG by 23 may. There was a brief discussion with agreement that the proposal was a step in the right direction, but appeared to have little to offer for small clubs. (Most Otago clubs) NZ Golf Cluster Meeting in Christchurch The original meeting to involve just Otago/Southland now involves all South Island Districts in Christchurch and will include a districts only meeting the day after the meeting with NZ Golf. Match / Fixtures NZ Women s Autumn Foursomes at Cromwell Reported in Central Otago Women s report. Inter-Sub Association Matches at Lower Waitaki - Report tabled

4 Full result sheets for all grades, including the Women s Sub-Association Challenge, are published on the website. 4 District Final of National Teams Championships at Alexandra - Results tabled Judy Muir reported that the fixture was well run and Alexandra provided an excellent course and high quality meal for the players. Brasch Cup - Provisional results tabled Selectors and Teams Women s Masters - Report and scores tabled 2014 Women s Selectors & Trials Program There were three nominations received for the Selectors positions, being Lisa Joyce, Alan Rose and Susan Greig. Following a brief discussion, it was agreed that Lisa and Alan be invited to join the incumbent convener, Liz McRae. The matter of Convener for 2014 to be resolved by the Selectors themselves. Srixon Sponsorship The E/O reported that Srixon have restructured their NZ business and were now basing all operations in Melbourne. There has been no response to our enquiry on possible renewal of the package that expired at the end of Course Rating Revised Course rating schedule tabled NZ Golf District Training Phil Aiken from NZ Golf has indicated a training session for Otago & Southland will be held at Chisholm Park on 3 June. Details to be confirmed with Sub-Associations. EDP Computer Replacement The E/O reported our current computer is more than 5 years old and the operating system is Windows XP, support for which is no longer available. Options for replacement to be researched. Website Upgrade Weka Web team are looking to upgrade the Golf Otago website in the near future, including interface for Facebook and twitter. Executive Officer NZ Golf Seminar Series The Love Golf campaign and GSB group purchasing schemes are the focus of the latest seminar series and Roadshows. Both initiatives will have target figures in the final 2014 GDM investment schedule. NZ Golf/Districts/Clubs Communication and Contacts The change of system for distribution of 2014 Women s Home Links papers has exposed some problems with communication within clubs. At least a third of the women s Club Captains have requested copies as the originals failed to arrive in the correct hands. Membership Figures for Otago Clubs tabled

5 Distance Measuring Devices - R&A rules and flowchart tabled 5 Sub-Associations Reports. - Refer Minutes Appendix Attached General Business Schedule of meeting dates for 2014 tabled. There being no further business, Judy Muir thanked Directors for their attendance and declared the meeting closed at 4.00pm. Appendix to Golf Otago Board Meeting Minutes 14 May 2014 Sub-Associations reports. North Otago. Warren Jamieson reported on the AGM and Inter Sub-Association fixture at Lower Waitaki. The club had put a lot of effort into the weekend, particularly Alan Plunkett in preparing the course on Sunday morning in atrocious weather. The 2014 Pennant series are at the half-way stage. Central Otago Women. Judy Muir reported the A.G.M was held at Omakau on March 17, Annette Heckler is the President and Val Braidwood Secretary. Monday the 3 rd of March the annual fixture between Central Otago and South Otago was held at Roxburgh. The Silver Division was won by Central with a tie in the Bronze. A small celebration took place to celebrate 50 years of this fixture, with players and invited guests attending. The host club supplied a meal fitting for the occasion and Jo Hicks Beach baked 2 superb cakes for it. Thank you all for making this day one to remember. Cromwell hosted the N.Z. Autumn Foursomes March This was a well run tournament with the course, food and organisation top class. Congratulations on such a high standard. Alexandra hosted the Teams Event with good entries. The winners were Tapanui. Thank you Alexandra for the effort put into this event resulting in a great day for all. The zone pennants have been held with the C.O. final later this month. Otago Country versus Southland Country was held at Gore with the result being a win to Otago Country by 7 1/2 to 4 ½ Arrowtown is hosting the C.O. Foursomes. This event being our Annual fundraiser for the district. Central Otago Men. The E/O tabled Rob Freer s report; The five course challenge was held in April and once again was very successful. Numbers this year were around 470 players. Inter-club now goes into winter recess with Millbrook leading from Cromwell. Our Pennant finals were played on Sunday 11 th May at Kelvin heights, the winners being; Senior A Queenstown: Senior B Arrowtown: Intermediate Arrowtown: Junior A Alexandra: Junior B Wanaka: Presidents Cromwell. A formation meeting has been held to consider the establishment of The wakatipu Junior Golf Club. The concept is to create a golf club, open to players under 19 years of age only and to gather all junior players in the Wakatipu basin area into a single club

6 The club would be a Type 2 NZ Golf club with the members having equal playing rights at all clubs in the area. The foundation meeting involved Board members and staff from Queenstown, Arrowtown, Millbrook and Frankton. Also attending were Greg Turner, Michael Smith (GDM), Pro s from Wakatipu clubs and Trustees from The First Tee. An establishment committee has been elected and will move the idea forward with input from NZ Golf and Lakes District Council. Metro Women. Sally Shaw reported the Metro AGM was held on 11 March. The following are the Executive: President: Rowan Greaves Secretary/Treasurer Jackie Mitchell Fixtures: Sandra Newton Course rating: Eleanor Newton Junior and media convenor: Susan Greig Metro rep for Golf Otago: Sally Shaw The Pennant Flag was presented to Belleknowes for the 2013 season. It has been very frustrating trying to organise the date for Metro v Central. Central suggested 2 dates both of which clashed with existing fixtures. Metro then offered 10 August. This was declined as it fell between two other Central commitments. We would like to make sure that this fixture is included in the District calendar for Pennants: We note the four options outlined by Glenys Rowley in her last Golf Otago report. These were: i. Stay as is ii. Revert to how it was iii. Go to one team per sub association using the split draw system as use in the South Island Interprovincials iv. Five teams using the split draw but would mean four rounds We had asked for a ruling from Golf Otago. Metro is in favour of #iii or #iv. We appreciate greater numbers in Central but we also reiterate that Metro has two separate competitions and thus 2 winners who should be able to represent Metro. Results of 2014 Pennants: Taieri 1 won the midweek Pennants. St Clair are leading the weekend Pennants with one round to play (25 May). Junior women: We would like clarification of the development pathway for Junior Women. This includes Melanie Harper s coaching and pathways outlined by Golf Otago. We would like clarification of funding available for Junior Women from Golf Otago. A plan of tournaments and whether funding is available would be very helpful for clubs trying to support their players and for parents. Metro Men. Alastair Hinsley reported Brent McEwan had sent a report regarding his trip to the USA and other golfing matters. Ken Jones agreed to be the Metro convenor for Course Rating. Delegates are to check with their clubs to see if there is anyone interested in being part of a course rating team. Greg Johnson has selected the Senior and Masters teams to compete at the Inter Sub Association tournament. The Executive team has also been selected. Senior s & Masters won & the Executive team also competitive Challenge Trophy Taieri lost to Gladfield 4.5 to 3.5 / Chisholm Park was the next challenge & lost 5-1 6

7 Had a query regarding the extra shots given to women players when competing with Males - Advised this is not a rules issue but is covered in the New Zealand Golf Club Manual I made special mention in my report at the AGM - Thanks to the work done by Metro members in their various roles with the committee. Thanks to the Eagles Society for their continued support of golf in the region. Thanks to all club volunteers who give their time to run tournaments. Thanks to clubs for the high standard of courses presented during the various competitions. Congratulations to all the winning Metro pennant teams at the finals in Noted that Gladfield continue to be successful in defending the Challenge Trophy. Commented on the importance of gaining and retaining members of golf clubs, noting the contribution made by social golf, mercantile competitions, night golf etc. Everything is now in place for the 2014 pennant competition. Queries or complaints by individuals around the pennant competition should be directed to the players club so the issue can be brought to Metro by that clubs delegate. Dave McLay is still awaiting a meeting to be arranged by Michael Smith of Sport Otago for junior convenors at clubs. Election of Officers: Chairman: Alastair Hinsley elected Chairman for Secretary/Treasurer: Lawrie Warwood is elected Secretary/Treasurer for Management Committee: All club delegates are appointed as the management committee for Junior Convenor: Dave McLay was re-elected unopposed once again. Golf Otago Alastair Hinsley is elected Metro Representative on Golf Otago for General Business: Pennant fees are to be kept the same as previous years. Course rating only two clubs are overdue for course rating according to the latest information from Golf Otago, these being St Clair done on the 5 th May and Island Park to be done soon South Otago. Mary-Anne Kane reported tournaments have come to an end as autumn sets in. They have been well supported and very much enjoyed by all those participating. Pennants have begun for the year, in two zones and with seven teams. Congratulations to the three South Otago teams doing so well in the club teams championship finals; Tapanui winning and Lawrence and Owaka two and 3 on countback. Thanks to Alexandra for hosting this and the girls for running it so well. Congratulations also to the South Otago women who played and won the Inter Sub- Association trophy. Whilst I was unable to attend, due to other commitments, I hear that this event is now quite popular and hope this continues. 7
