1 2018 McLeod County 4-H Fair Survival Guide The McLeod County Fair is Coming! HELLO FROM DARCY! The final countdown has begun! Everyone in the Extension Office is working hard to prepare for the 2018 McLeod County Fair. Whether you are a seasoned 4-H family or brand new to this entire 4-H at the Fair event, you will need to read this Survival Guide! It includes lots of important information. This publication might be the only time you see this information. I can t wait to see you at the fair! PRE-SALE CAFÉ ENTRY DAY TICKETS Due to sales tax implications, our 4-H Café will not be open for sales (this means all food, beverages, etc.) on County Fair entry day. You can purchase pre-sale meal tickets ahead of time that can be used on entry day, Tuesday, August 14 th. Tickets will be on sale through August 7 th. An informational flyer is available at COUNTY FAIR REGISTRATION REMINDER DUE JULY 16 TH All 4-H members planning to exhibit at the McLeod County Fair need to complete a 4-H Fair Registration Form. This is in addition to enrollment and any animal ID forms you may already have completed. Registrations are due July 16 th. Visit for registration materials. STATIC ENTRY DAY TUESDAY, AUGUST 14 TH FROM 3:00-7:00 P.M. Static/general project entry day is when you bring your static/general building projects to the fair and go through conference judging. 4-H ers sit down with a judge in their project area and discuss the project. Conference judging is scheduled from 3:00 7:00 p.m. on Tuesday, August 14 th in the 4-H Building. If you re still in line at 7:00 p.m., your project will be judged, but we ask that you plan ample time for your project judging. Please don t wait until 6:45 p.m. to come and register. **4-H Families - If you see any new members from your club in the 4-H building, please ask them how it is going and if you can help answer any questions for them. Please help mentor them and make their first County Fair a success! 1. The first step is to go to the 4-H Fair Office (located on the East end of the 4-H Building) to pick up your family s County Fair packet. Items found in your packet: FairEntry Exhibit Cards Café Schedule and Passes for 4-H Café Adult Workers (If Needed) Pre-Sale 4-H Café Tickets (If Applicable) Green 4-H wristband (must be worn throughout the fair to receive free admission)

When you pick up your packet, you will be asked if there are any projects that you registered for, but did not bring to judging. The 4-H office staff will then keep the cards for any projects you did not bring. Please know what projects you re actually bringing. You will be asked to return any un-used FairEntry cards to the staff in the 4-H Fair Office. 3. Next, it s off to judging Take your FairEntry card(s), along with your project(s) and stand in the appropriate line for your conference judging. All the tables have signs to indicate what project areas are being judged at that table. When you sit down with the judge, you will start by giving them the exhibit card(s) for each specific project area. When you complete judging, the judge will give you the ribbon you earned, attach a sticker to your exhibit card indicating the color of ribbon you earned, attach the exhibit card to your project, and arrange for display at the fair. 4. Once you complete judging for all of your projects, you have successfully completed static exhibit entry day and may leave! Congratulations! 5. Projects can be picked up at 8:00 p.m. on Sunday of the County Fair. At 7:00 p.m., the building will be closed to 4-H families that are not waiting to be judged and to the general public until 9:00 a.m. Wednesday morning to allow the judges to finish up the judging process. This is being done as a courtesy to our judges. If you have any questions or are missing anything in your packet, come to the 4-H Fair Office in the 4-H building and the Extension staff will be able to help you. ANIMAL SCIENCE INTERVIEWS ENTRY DAY All animal science interviews will be conducted on Tuesday, August 14 th from 3:00 7:00 p.m. Youth are highly encouraged to complete an animal science interview for each species that they exhibit. Cloverbuds are not eligible to participate in Animal Science Interviews. Each youth completing an interview will receive a participation premium of $5.00. Judges will pick a Senior, Intermediate, and Beginner Champion interview in each species depending on the number of youth enrolled in that project. They can also award honorable mentions, if they deem a youth worthy. Champions will receive an additional Blue Ribbon Premium of $3.00 in addition to their participation premium and be awarded a medal. Top interview winners will be posted Wednesday morning with all of the other Static State Fair Line-Ups. LIVESTOCK EARLY ARRIVAL, TUESDAY, AUGUST 14 TH All livestock are welcome to come to the fairgrounds after 3:00 p.m. on Tuesday, August 14 th. You may bed your pens or stalls down NO SOONER THAN 3:00 p.m. on Tuesday. The stalling assignments will not be posted before then. All livestock MUST be in place by 1:00 p.m. on Wednesday, August 15 th.

3 CAFÉ & EXHIBIT BUILDING SETUP On Thursday, August 9 th at 5:00 p.m., the Café Committee and club members, parents, and volunteers will be setting up the 4-H Café and 4-H Exhibit Building. The more individuals we have, the faster the work goes! Pizza supper provided. We hope to see you there! LIVESTOCK FAIRENTRY ID CHECK-IN AND WEIGH-INS Please note the following times for Animal ID check-in and weigh-in. Beef Wednesday, August 15 th, 11:00 a.m. Beef Barn Dairy Wednesday, August 15 th, 1:45 p.m. Dairy Barn Goats Wednesday, August 15 th, 10:30 a.m. Goat Barn Horse TBA Poultry Wednesday, August 15 th, 1:00 p.m. Poultry Barn Rabbits Wednesday, August 15 th, 11:00 a.m. Small Animal Show Arena Sheep Wednesday, August 15 th, 2:00 p.m. Sheep Barn Swine Thursday, August 16 th, 8:00 a.m. Swine Barn For each animal science entry you sign up for, you will have a FairEntry card. These cards will be in your family fair packets for you to pick up on Entry Day at the 4-H Fair Office from 3:00 7:00 p.m. You must bring your FairEntry Card along with your animal to check-in! Sorry, we cannot check your animal in without both your animal and FairEntry card. LIVESTOCK MARKET STREET GATE INFORMATION Market Street Gate will be open for your convenience to enter and exit the fair. This is a pass only gate. In order to get through the gate, you must have purchased a season pass, an exhibitor pass or have your 4-H wristband ahead of time and have a livestock exhibitor vehicle pass for your vehicle. Each person in the vehicle must have a gate pass. If you have not yet purchased a pass, you will be re-directed to the main entrance gate. The Market Street gate will be open during the following times Wednesday, August 15 th Official Opening of the Fair is at 1:00 p.m. Gate will be closed at Noon Open at 4:00 p.m. Relocked at 8:00 p.m. Thursday, August 16 th Gate Open at 9:00 a.m. and relocked at Noon Open at 4:00 p.m. and relocked at 8:00 p.m. Friday, August 17 th Gate Open at 9:00 a.m. and relocked at Noon Open at 4:00 p.m. and relocked at 8:00 p.m. Saturday, August 18 th Gate Open at 9:00 a.m. and relocked at Noon Open at 4:00 p.m. and relocked at 8:00 p.m. Sunday, August 19 th Gate Open at 9:00 a.m. and relocked at Noon Open at 4:00 p.m. and remain open for use during load-out.

4 VOLUNTEERING AT THE FAIR We have many events happening at the fair and we are always looking for volunteers to help out. Many of the volunteer jobs are a small time commitment and you may be here on the fairgrounds anyway. Your time in helping make every person s 4-H fair experience successful and promoting 4-H in a positive way is greatly appreciated. Thank you for your gift of time in advance! Visit to sign up to help on entry day. 4-H WRISTBANDS, COUNTY FAIR GATE TICKETS, AND LIVESTOCK PASSES Every McLeod County 4-H member exhibiting at the McLeod County Fair receives a green 4-H wristband in their County Fair packet. This wristband gets them into the fair and qualifies them for the 4-H wristband special at the 4-H Café. Admission for the McLeod County Fair is $7.00 per day. Pre- Fair Discount Gate Passes are available for purchase from the McLeod County Fair Office. Two parking passes are issued per livestock family for vehicles. This is not a gate pass; this is a parking pass that allows you to park your vehicle down by the barns. Non-4-H youth and adults need to purchase a gate ticket for admittance. 4-H PREMIUM CHECKS We will have 4-H premium checks ready for pickup on Sunday, August 19 th, starting at 1:00 p.m. at the 4-H Building Office. Premium checks are the money 4-H exhibitors receive from the McLeod County Agricultural Association for the projects they exhibit in the fair. Carefully look at your premium check when you receive it before you cash it, because once your check is cashed, no changes will be made. If you find an error in your check, please call Beth, Extension Support Staff, at or schmi998@umn.edu. Lost checks may not be reissued if notification comes more than two weeks after county fair. CLOVERBUDS When Cloverbuds present their static/general projects to the judge, they will be asked what they learned, their favorite 4-H experience, and how they made their project. This will be a show and tell where the members share the project work with the judge. The exhibits will not be evaluated with blue, red or white ribbons. The goal is participation only experience is to give members a County Fair experience without competition. Each project needs to be different (example-not two needlework items). The Cloverbud program is a noncompetitive program, which means Cloverbuds will receive a Cloverbud Ribbon at the County Fair. They are ineligible to sell livestock at 4-H livestock auction. Cloverbuds will wear appropriate safety helmets when riding horses or bicycles. When animals and Cloverbuds are together at 4-H activities, such as fairs and shows, a parent/responsible person will be in control of the animal (control means to handle and lead the animal) and Cloverbuds will not be in the show ring while 4-H members (in grades 3-12+) are exhibiting. This includes feeding, watering, and changing bedding for the animal, etc. The full Cloverbud policy is available at Regents of the University of Minnesota. All rights reserved. 5 SPECIAL NEEDS If your family has any special needs that need accommodating during County Fair or that judges should be made aware of, please be sure to let Darcy know ahead of time. If you have special needs, it would be much appreciated if you could write up a short paragraph that can be shared with all appropriate County 4-H Staff and judges. This will allow us to be able to better serve your family! Please know that we will do our very best to accommodate all requests! VOLUNTEER IN THE 4-H CAFÉ It is important for all of our 4-H families to support their club by working in the 4-H Café. The 4-H Café is our main source of funding for McLeod County 4-H. Without this money, we would have to charge more for day camps, 4-H Family Fun Night and reduce or end scholarships for 4-H events and activities. Your child s 4-H program depends on the success of the Café. Please find a way to volunteer for at least one of your club shifts or one of the shifts that have open spots. Visit or call the Extension office to volunteer. IMPORTANT 4-H CAFÉ INFORMATION MANAGER: The manager of the 4-H Café will be Dede Hard. Her role is to provide leadership to and oversee our 4-H Café. PURPOSE: The purpose of the Café is to provide good food and service while earning funds for the McLeod County 4-H Program. CHECK-IN POLICY: When you arrive for your shift, check-in with the adult leader in charge from your club. They will give you a name tag and an orientation to your workstation. They are responsible for instructing the workers during their club s shift(s). Please DO NOT leave your work station until the person taking over for you from the next club is trained in. ADMISSION TICKETS: One-day admission tickets will be in family packets available on entry day only for adult volunteers who requested one when signing up for their shift. If you lose your ticket, you will not be given another one. Unused tickets should be returned to the Extension Office. The Fairboard doesn t start charging gate admission until 1:00 p.m. on Wednesday and at 9:00 a.m. Thursday Sunday of the Fair. Those coming in to work shifts prior to those times will not be provided with tickets. THE 4-H SPECIAL: This special is offered only to McLeod County 4-H members showing their 4-H wristband. EVENING SHIFT: The evening shift will need to assist in cleaning up the Café after closing each evening. The Sunday evening shift will be responsible for final clean-up of the Café. New in 2018, Sunday evening each club is asked to have an adult help with final clean up. ALL WORKERS: The Health Department requires all workers to wear shoes. NO Sandals Allowed. Hair must be pulled back, use a hairnet/paper cap or wear a CLEAN baseball style cap while working in the Café. It is also recommended that you wear a 4-H T-shirt during your shift to promote 4-H. FOOD PREPARATION AND SERVING: Instructions as to how to prepare food items will be posted at each work station to help cut down on any inconsistencies that may occur. FOOD FOR SALE ON SUNDAY NIGHT: If you are interested in purchasing any of the extra food that may be left over from the 4-H Café, please stop by the Café at 7:30 p.m. on Sunday night to see what extra products are available to purchase.

6 4-H LIVESTOCK AUCTION The Livestock Auction will take place in the Large Animal Show Arena at 6:00 p.m. on Friday, August 17 th. Breeding animals are now eligible, check the premium book for more details. Potential Bidder Forms are due Monday, July 16 th. Auction sign up forms with a picture are due Friday, August 17 th at 11:00 a.m. Auction checks will be mailed to 4-H ers after all the buyers checks have cleared with the bank that is clerking the auction. ROUND ROBIN SHOWMANSHIP CONTEST Come to the Livestock Show Arena on Saturday, August 18 th at 4:00 p.m. The supreme livestock showperson will be selected at this annual event. Selected participants from each livestock species will be eligible to compete in this prestigious event. In this contest, each contestant will rotate from station to station, while being judged on their showmanship skills with each species of animal. The judges will evaluate each individual at each station with the winner determined by the highest total score. EXHIBIT RELEASE TIME All 4-H and open class exhibits will be released at 8:00 p.m. on Sunday, August 19 th. This is a Fairboard decision, please respect their policy! The exhibit buildings will be monitored by staff and volunteers. WHAT IS THE STATE FAIR LINE-UP? 4-H members in 3 rd grade through their first year of college are judged and awarded a white, red or blue ribbon for their project. Judges in the livestock and static project areas are asked to place youth and their projects into a State Fair Line-Up. The youth placed on this list typically are a Grand or Reserve Champion and/or they have projects that the judge feels is worthy of competition at the MN State Fair. These line-ups are completed at the end of judging time for each project area. The static line-ups are posted for the public to view them on Wednesday of the County Fair on the information board by the 4-H Fair Office. Livestock line-ups will be posted as soon as possible after each show. These sheets will say how many State Fair Trips are available in each project area. You must have completed 6 th grade to be eligible for a state fair trip. 4-H ers 3 rd - 5 th grade may receive a Too Young for State Fair tag on their project. Example: Needle Arts has two trips. The line-up is as follows: 1. Rachel Clover, 2. Jack Green, 3. Fred White, 4. Larisa Clover. If Rachel Clover tells the staff that she is taking her trip, she will pick up a packet of information to fill out and turn back in by 2:00 p.m. on Thursday of the County Fair and attend the State Fair Exhibitor meeting at 2:00 p.m. on Sunday. If Jack Green decides that he does not want to take his trip, Fred White now has the opportunity to go. If Fred has decided that he cannot take the trip also, then the person fourth in line now has the opportunity. Extension Staff, individual 4-H ers or their parents are the only ones that can mark their names on the wall. All paperwork must be completed and returned by 4:00 p.m. on Friday of the fair. STATE FAIR ENCAMPMENT SCHEDULE McLeod County 4-H Livestock members and their animals will be departing for the Minnesota State Fair on Wednesday, August 22 nd. The livestock encampment ends on Sunday, August 26 th. McLeod County s Static/General Encampment is Tuesday, August 28 th through Thursday, August 30 th. More details will be in the State Fair packets.

7 DECLARING A STATE FAIR TRIP If you are scheduled to work in the Café, have a livestock show or any other commitment during that time, you need to declare your trip prior to that commitment so you can meet the deadline. Missing this deadline, may result in loss of scholarship and the potential loss of the trip. McLeod County 4-H will pay $75 towards your State Fair trip. If you do not fulfill your state fair trip/scheduled judging time, you will be billed for the McLeod County Scholarship portion. Exceptions to this are sickness with medical note or family death. STATIC/GENERAL PROJECT STATE FAIR TRIPS need to be accepted or declined by Thursday, August 16 th at 2:00 p.m. ANIMAL STATE FAIR TRIPS (INCLUDING HORSE AND DOG SHOWS) need to be accepted or declined by Friday, August 17 th at 2:00 p.m. ALL EXHIBITORS: Your State Fair registration paperwork must be completed by Friday, August 17 th at 4:00 p.m. Your State Fair gate passes, meal tickets, button, etc. will be handed out at your state fair exhibitor meeting. During this meeting, you will be asked to count and double check your tickets and sign that everything is correct. STATIC/GENERAL PROJECT STATE FAIR MEETING is Sunday, August 19 th at 2:00 p.m. Immediately following this meeting, 4-H ers will pull their state fair exhibits from display in the 4-H Building and turn them in with 4-H Building Staff. LIVESTOCK STATE FAIR MEETING is on Sunday, August 19 th at 2:45 p.m. STATE FAIR REGISTRATION MAY BE COMPLETED ONLINE New this year, McLeod County is one of many counties across the state that will be offering State Fair registration online. This allows families to directly enter their own registrations. To assist in the process, 4-H ers accepting trips will receive a "MN 4-H State Fair Guide" with important information, along with a form that will serve as a worksheet to gather the necessary information for quick online data entry. Families may also complete paper registration forms, if they prefer this registration method. HOW DOES MY PROJECT GET TO THE STATE FAIR??? The McLeod County Extension Office takes static/general project exhibits to state fair that will fit into Darcy s vehicle. Transportation of oversized exhibits are the exhibitor s responsibility. Fashion Revue, perishable foods, live plants, fresh fruit and vegetables, and demonstration props are brought to the MN State Fair with the 4-H Exhibitor. All oversized exhibits need to be brought down by the exhibitor during McLeod s scheduled time at the MN State Fair (Tuesday, August 21 st, between 7:30-11:30 a.m.). The Extension Office will bring all of the static/general projects back to the McLeod County Extension Office after the MN State Fair. They may be picked up starting Thursday, September 6 th and must be picked up by 4:30 p.m. on Friday, September 14 th or they will be donated or discarded. McLeod County does not provide transportation to and from the MN State Fair for 4-H youth in the Livestock Encampment or the Static/General Encampment. All livestock transportation to the MN State Fair is arranged by the 4-H family.

8 REMINDERS FOR PREPARING YOUR STATIC/GENERAL EXHIBITS FOR COUNTY FAIR 1. ALL poster displays may not exceed 22 wide x 28 high; they may be smaller. 2. Education Exhibits/Tri-Fold Exhibits for all project areas may not exceed 12 deep x 24 wide x 36 high (Center back 24 wide x 36 high, right and left wings each 12 wide x 36 high) 3. Over-sized exhibits (i.e. large exhibit such as machinery, etc.) will need prior approval from the Extension Office. Over-sized exhibits MUST BE IN PLACE BY 1:30 P.M. ON ENTRY DAY! 4. All exhibits must be labeled with name and club. Other appropriate information for the project (i.e., vegetable varieties) should be included. If the exhibit has multiple pieces, each part needs to be labeled and should indicate 1 of 4, 2 of 4, etc. 5. All exhibits will be evaluated by a conference with the judge. Blue, red, and white ribbons will be awarded. Project judging criteria: Exhibit quality 25% Educational value - 25% Knowledge and ability to explain - 50% 6. Cloverbud exhibitors will be awarded participation ribbons for all projects. 7. Exhibits are accessible to all fairgoers. Please do not leave anything valuable or irreplaceable on display. 8. Decision of the judge is final and may not be grieved. WHAT DOES MY RIBBON COLOR MEAN? Please remember that when static/general exhibits are judged that the interview is as important as the exhibit itself: an equal weight is given on the actual exhibit and on the conference 50/50. This fosters positive youth development and helps makes 4-H exhibition unique. Purple/Grand and Reserve Champions: The exhibit meets all standards. The exhibitor has shown complete understanding of what, how, and why the exhibit was done, and has a thorough knowledge of the subject. The exhibit and workmanship are extraordinary and need no improvement. Two types of grand champion and reserve champion ribbons are given. These include class grand champions and reserve champions, which are respectively the best and second best projects in each age division (Gr. 3-5, Gr. 6-8, Gr. 9+) of a project area and overall grand champions and reserve champions, which are respectively the best and second best projects over all ages for a project area. Blue: The exhibit meets most standards. The exhibitor can explain what, how, and why the exhibit was done and has good knowledge of the subject. The exhibit is well organized and well done. Little or no improvements may be needed on the exhibit. Red: The exhibit meets some standards. The exhibitor can somewhat explain what, how, and why the exhibit was done and has a fair knowledge of the subject. Some improvements may be needed on the exhibit. White: The exhibit meets few standards and lacks the quality of other exhibits. The exhibitor cannot adequately explain the what, how, and why of the exhibit. Possibly they have overlooked a safety flaw. Improvement is needed in the exhibit, the knowledge of the subject or both. Participation: This is awarded for exhibiting in a class. Awarded in the following projects: Fashion Revue, Performing Arts, Demonstrations, Favorite Food Show, etc. Cloverbud Ribbon: This participation ribbon is given to all Cloverbuds.

9 HOW IS LIVESTOCK JUDGED? Livestock and other animal projects are designed to allow youth to learn management practices such as nutrition, shelter, water, environment, breeding, care, etc. of their animal. The assessment of this knowledge, as it is applied to the project, can occur in one or all of the ways listed below. 1. Evaluation of the animal considering its physical characteristics and/or performance. 2. Showmanship and knowledge of the exhibitor as displayed in the show ring, including, but not limited to how the animal is prepared, groomed, and is presented at its optimal level. 3. Animal Science Interviews reveal the exhibitor s knowledge in the project area and ability to communicate in an interview setting. HORSE STALLING 4-H will not be requiring 4-H horses to stall the entire County Fair. 4-H ers only need to stall Wednesday Friday. Horses will be released at 8:00 p.m. on Friday. We highly recommend that you stall the whole time, but it will be optional. We do ask that even those who take their horses home early, come back on Sunday night to help clean the barn since everyone contributed to the mess.
