1 MINUTES OF THE STATE OF FRANKLIN TRACK CLUB BOARD MEETING APRIL 5, 2016 Eastman Employee Center, Kingsport, TN Board members present: President Jason Tipton, Mark Skelton, LeGrande Boyer, Dean Greer, Richard Tyner, Ruth Ketron, and Bob Townsend. (7 in attendance) *There being at least five members present; there is a quorum of board members present. SFTC members: Jerry Robinson, Donna Bays, Lisa Hazlett, Moe Brown, Frank Kibler, Lee Williams Guests: Carter Wade, Steve Sharer (?), Thomas Shafer The meeting was called to order at 6:39 pm Introductions: The members and guests introduced themselves. Minutes of the March 2016 Meeting: Dean Greer read the minutes from the March meeting. The report that the Chasing Snakes race was late on its payment is incorrect, it is the Turkey Chase 5k that is late. Also, the place of each one of the summer track meets was noted, the track meet schedule is: Tuesday 6/14/16 at DBHS Tuesday 6/21/16 at SHHS Tuesday 6/28/16 at DBHS Thursday 7/7/16 at SHHS The March minutes were corrected. A motion made to adopt the March meeting minutes; it was seconded, and approved unanimously. 1

2 Financial Report: Treasurer LeGrande Boyer gave the financial report. The Club has the following funds as of March 1, 2016: Regions Checking $4, Regions Savings $5, Regions CD $4, Total: $14, There are three past due accounts: To Infinity & Beyond kids 5k 9/20/15 $ NHC HeartOne Cardiac Rehab 5k $ Chase the Turkey 5k $1, Total: $2, A motion made to adopt the March financial report, it was seconded, and approved unanimously. GUESTS: 1. Carter Manning Wade appeared to seek the Club s assistance for the ETSU College of Nursing 5k to be held on the campus of ETSU on Saturday August 20, The proceeds of the race are used to provide indigent medical care. This is a new course. Oscar Wagner has measured it. The race will use chip timing. The event conflicts with the YMCA 5k in Greeneville but it was felt that both races could be accommodated. Jason Tipton is the liaison, Donna Bays is timing captain. 2. Tom Shafer & Steve Sharer (?) appeared to seek the Club s assistance with a new race, MOAA 5K (Military Officers Association of America). After discussion the 2015 race was set for October 22, 2016; but in 2017 they want the race to held in May. Matthew Studholme will be liaison or Jason Tipton if Matthew can t. 2

3 REPORT OF LAST MONTH S EVENTS 1. Pi Day Fun Run on 3/14/16 at King University, Bristol, TN. Richard Tyner reported that the event was well run. This race will always be on March 14 th of each year. 2. Chasing Snakes 10k 3/19/16 Johnson City, TN. Matthew Studholme times the race. Pull tags were used. About 150 runners participated. 3. Run for St. Anne School 5k 3/19/16 Bristol, TN. Richard Tyner helped with this race. He reports about 50 runners participated. The weather was bad th Annual Virginia Creeper Marathon 3/20/16 Abingdon, VA. Frank Kibler, race director, reported that the race was good. It was cool weather. 86 started and 83 finished the race. Runners came from 14 different states. He expects to clear about $ for this Club owned race. UPCOMING EVENTS 1. SFTC Fitness Walk 4/9/16 at The Town Center (Kingsport Mall) Kingsport, TN. Ruth Ketron reports that the Mall is very helpful with this program. She wants to make this a series. The initial Walk will be 6 laps around the perimeter of the upper floor of the Mall. The first event will be low key. She would like to get dogtags for the participants. Donna Bays is helping. 2. Spring Race 5k at BMS, 4/15/16 Bristol, TN. This is a Phil Horner sponsored race. Matthew Studholme will be timing the race. 3. Autism Awareness 5k 4/23/16 Abingdon, VA. Gene Chumley is the liaison/timing captain. 4. Run the Tunnell 5k, 4/30/16 Natural Tunnell State Park, Duffield, VA. Frank Kibler is the race director of this club owned event. Matthew Studholme is timing with the card system. 5. Run for Your Mom 5k 4/30/16 Johnson City, TN. Karen Hubbs is the race director. Bob Townsend is the liaison, Gene Chumley will chip time the race. 3

4 6. Girls on the Run 5k 5/7/16 Johnson City, TN. Director wants computer timing. Gene Chumley will time the race. 7. Valley Health Care 5k Glow Run 5/7/16 Chilhowie, VA. Director wants chip timing. Matt Studholme will provide timing services. 8. Chik-Fil-A Race for WinShape Camps 5k 5/14/16 Bristol, TN. Matt Studholme will provide chip timing services. 9. Creeper 10 Miler 5/14/16 Abingdon, VA. This is the first year the club has owned the race. Race Director Lisa Hazlett has it organized and volunteers. Either the card system or pull tab system will be used. There is a race packet pick up and social at Wolf Hills Brewery on Friday 5/13/ :16 Soul to Sole 5k 5/21/16 Gate City, VA. Jason will check to see if either Gene Chumley and Matthew Studholme are timing this event. 11. Justin Foundation 5k 5/21/16 Damascus, VA. Gene Chumley is the current liaison but may work with 3:16 Sole to Soul race instead. Jason Tipton and Neal Whitten will do the timing. 12. Wolf Hills Race 5/28/16 Abingdon, VA. The director has not decided whether to rent equipment or ask the club to provide timing services. Gene Chumley or Matthew Studholme will provide timing services. 13. Hope 4 5k Greeneville, TN. 5/30/16. Jason is the liaison. Matthew Studholme will probably do the timing. 14. Duck Island Spring Mile Tuesday 5/10/16 Warriors Path State Park, Kingsport, TN. Bob Townsend is the director. The kids race is 6:30, the adult race is 7:00. OTHER BUSINESS 1. Question from the floor. Richard Tyner asks if when the club has done a race in the past does the director need to submit an application every year. If the event was on the same day as the previously year, then no new application is needed. If 4

5 the race has moved its date or missed a year then a new application should be made. 2. SFTC College Scholarship. Jason Tipton reported that Taylor Tupps, a student at Chucky Doak HS in Afton, TN had applied. To qualify he needs to have been a member as of 2/1/16. At the time of the meeting it was not clear if he was a member. Bob Townsend will check with Karen Seiferth and send an out; and report at the May meeting. 3. The Eastman 10k was changed from 9/10/16 to 9/3/16 to avoid the Hokie- Smokie football game that day in Bristol. 4. The Crooked River ½ Marathon 10/1/16 Hiltons, VA is the newest addition to the Skelton Race Series. It is one of the Long Distance Series competition races for The race will take place at The Lodge at Crooked River and followed by a dinner at the Lodge. 5. Janette Erchinger received an form Ashley Davies from North East Region Health Office who wants to schedule a 5k race with no conflicts. The best times were August or November. 6. Jason Tipton received an forwarded from Matt Studholme about a race directed by Hank Brown to be run from Daniel Boone HS to Davy Crockett HS in November Hank asked the race to be included in the 2016 King & Queen race series. The race did not meet the qualifications to be included due to lack of all age categories. The race will be reviewed at the May meeting. 7. Social Events. Donna Bays reports that the Instagram photo contest received 17 submissions. Richard Tyner s photo was judged best. She suggested submitters be given a volunteer point and that Richard be given a volunteer point for each vote. Discussion followed and everyone agreed that a volunteer point for each vote was too many. Bob communicated that the number of points given needed to be one of the values that is in the volunteer website spreadsheet. Agreement that each submitter would receive one volunteer point and that Richard would receive five volunteer points. 5

6 8. Prediction Run Thursday 4/21/16 at 6:30 Steeles Creek Park. The winner is the one who arrives closes to the time they predicted for themselves. This is also a course preview for the Chik-Fil-A 5k race. 9. Bob Townsend announced that the Greeneville Band Boosters 5k on 10/29/16 was scheduled. Richard Tyner will be liaison and in charge of timing. There being no other business the meeting was adjourned at 8:26 p.m. /s/ Dean Greer, Secretary. 6
