1 How to enter a Swimming WA (SWA) Meet online using personal and/or club username and password Go to the Swimming WA website click on the Meet Calendar Tab, then click on the event you wish to enter. For example: State Age Championships. Make sure you have a list of events you wish to swim in, and you have double checked these with your coach. Click Entry On-Line Click login and enter your SWA username and password. NB* if you do not know your username and/or password please contact your Club Registrar or Swimming WA (or refer to P13 of this Information booklet) Once logged in, the information regarding the meet will appear for you to review. Click on register You will be required to accept the terms and conditions of the event; then you will be able to update your personal details, if you wish. Click on enter event to select the first event you wish to nominate for. Please note: you can only select one event at a time. Once the event has been selected, click next. If an error message stating that a valid qualifying time was not found for the event appears and you have a qualifying time for that event, please contact SWA Office on On the next screen select the submit button. The screen provides the option to enter another event by clicking enter event. Continue to add the chosen events you wish to swim in (as you did the first). Once finished click on Entry and online payment to enter your credit card details. NB* There is no service fee for using your credit card. Once you have paid, a receipt will be ed to you. If you do not receive an confirmation please check the confirmed entrants list on the home page of the entry form to ensure the swimmer has been successfully entered. Swimmers that do not have access to either the internet or the ability to pay entries online via credit card should liaise with their club for alternative entry and payment options. 4 ABOUT OUR CLUB Founded in 2000, the Arena Swim Club (ASC) is affiliated with the Western Australian Swimming Association Inc. (Swimming WA) (SWA) and Swimming Australia Ltd (SAL). The highly committed nationally accredited coaching team designs and administers squad programs catering to the aspirations of the competitive and the recreational swimmer, formative to elite level. Arena Swim Club is an incorporated body, independent of VenuesWest and is operated exclusively by a committee of volunteers. A formal relationship exists between VenuesWest and the Arena Swim Club by way of a Memorandum of Understanding. Arena Swim Club is proud to have achieved success as three time winner of SWA Club Premierships A Division in 2010, 2011 and 2012, runner-up in Our aim is to provide opportunities for swimmers to reach their goals and maximise their potential within a safe, inclusive and enjoyable Club environment. A SWA official will generally approach a swimmer to explain the reason for disqualification but neither their time nor placing will count. FINA is the International Governing body of swimming, diving, water polo, synchronised swimming and Open Water Swimming Australian Junior Excellence Program - For 9-13 year olds. From 1st May 2013, the ASC will operate a Swim program independent of VenuesWest. Our aim is for our swimmers to develop personal goals and to achieve as much as possible, perhaps culminating in State, National and International representation. The coaches implement the swim program and adjust the program as required. It is a dynamic program. The ASC s role is to support the coaching program. This means that volunteer assistance is compulsory. All parents of swimmers will be requested to become involved at some time timekeeping, marshalling, assisting officials etc. There is a dedicated band of people who comprise the ASC committee. Please contact these people should you have any queries or concerns at any time. Welcome and please become involved. You and your children will benefit long term. Squad enquiries relating to; Payment of training fees and long term absence due to illness or injury should be directed to Arena Swim Club (swimming@arenaswimclub.com.au) THE COMPETITIVE SWIMMER Which squad? From the 2013 / 2014 membership year, Arena Swim Club will offer the following training squads; Juniors (Silver and Bronze) Intermediate Flippa Ball (modified Water Polo for children 8-12) is Surfit available from October For information please contact Coaching enquiries : the Squad Coach (from the Contact Us page on the Club website) in the first Development Tibor Seress - WPWAI Competition & Development Manager instance and make an appointment for a parent / coach interview. The coaches can be approached for a short time before or after training - but please don t interrupt a coach while they are coaching. State Age National on Club Enquiries: contact details for the most appropriate committee member are included towards the back page of this booklet. Placement in training squads and movement between squads is a coaching matter and is at the discretion of the coaching staff. Swimmers are placed according to criteria which may be a combination of some or all of those listed below; 1. Age and physiological development. 2. Number of sessions attended on a regular basis. 3. Skill level and stroke technique for all four strokes. 4. Aerobic ability to cope with the required volume and intensity of the squad. 5. Attitude and ability to hold time cycles in the sets swum in the squad. Families new to the club or to competitive swimming can be allocated a Buddy to assist with the transition. If you are new to the club or even if you have been at the club a while, but would still like a buddy, please the secretary - we are happy to help. secretary@arenaswimclub.com.au The sport of swimming can at times present a steep learning curve for both you and your swimmer. Most ASC parents remember being in your position and are generally happy to help out where they can. 6. Individual swimming goals. 7. Personal Best Times are not part of the grading criteria. Selection for Club representative teams and Relays: ASC Relay teams will be selected, registered and entry fees paid for targeted SWA-sanctioned meets only. All decisions regarding selection and entry remain at the discretion of the Head Coach in consultation with the ASC Executive. REMEMBER: The only dumb question is the one you don t ask! State Relay selection will be in accordance with the ASC Relay Selection Policy which can be viewed on the ASC website. All selections will be based on the maximum benefit to the club. Reserves will be selected and need to attend the meet. Training Times: Can be subject to change with notice and are listed on the ASC website by selecting About the Club - Training Squads from the left margin on the homepage. 14 Training Fees: Monthly Training fees are payable monthly in advance, direct to Arena Swim Club by automatic Direct Debit. Membership Fees: (membership forms can be downloaded from the ASC homepage) 3

6 Fee structure is explained by the Head Coach when the swimmer is assessed for squad placement. Generally, a competitive member can expect to pay; ASC membership - payable annually in July SWA Capitation fee - payable direct to SWA in September annually Squad Training fees - paid monthly, in advance to Arena Swim Club Fees are subject to review and vary dependant upon training squad, period of registration and in circumstances where a swimmer transfers to ASC from another club. Membership discounts apply to families registering more than one swimmer. There are a number of options available for payment. Please discuss your swimmer s needs with the Venueswest reception staff in order to determine the option that best suits you. Follow this formula; First 3 letters of swimmer s surname, first 2 letters of swimmer s Christian name, followed by day, month and year of birth (DDMMYY) Eg. Ian Thorpe, born 13th October 1982 will be THOIA I can t remember my SWA login details. (SWA system currently undergoing change [as at Jan 14]) Retrieve your SWA Username and Password using the following method; On the left hand side of the ASC homepage, click on Members Portal (takes you to the SWA website). Choose login from the orange tabs. At Username add swimmer s SWA Competitive code. Leave Password blank. Click on Forgotten your password? at end Next page is titled Password Retrieval ; enter your address then hit SUBMIT Your SWA Username and Password will be ed to you at that address. Please store them safely. Where can I see a record of my child s personal best times? Head to the SWA website where you will be able to track your swimmer s times and even compare their ranking among swimmers of the same age. PBs are also updated on the ASC website at regular intervals. (vii) MISCELLANEOUS My child has missed so much training due to illness / injury, can I get a refund of training fees? Application can be made to Arena Swim Club to vary training fees due to an extended period of absence. A Team Fee Adjustment Form can be downloaded from the Documents & Forms area of the ASC website and must be signed off by your child s coach before lodging with Arena Swim Club. A medical certificate will be required to be submitted with the application. Is there any training given to new parents? From time to time, information sessions are run by committee members for new families on topics such as Time-keeping, Completing meet Entries, Q + A etc. These sessions are advertised on the homepage, but you are welcome to submit a session suggestion if you feel others may also benefit. 13

7 I am not on the committee - can I still attend ASC Committee meetings? Meeting dates are advertised on the ASC Calendar on the website homepage. Members are welcome to attend Committee meetings and should advise the Secretary of their attendance and any items they wish to have considered for inclusion on the meeting Agenda at least 7 days before the meeting date. Please secretary@arenaswimclub.com.au (iv) UNIFORM Is my child expected to wear a Club uniform? Yes, Club uniforms are encouraged; swimmers enjoy the sense of identity and unity that team uniform items bring. ** Board-shorts and rashies hamper stroke development and are NOT permitted ** Uniform items can be viewed on the website (Arena Merchandise) and items are available to try, buy and order at selected Top Gun and Club Race Sessions. Please check the website for times. PLEASE NOTE: wearing of the distinctive lime green Arena swim cap is expected when competing as a member of the Arena Swim Club. (These can also be purchased at ASC Race Sessions and a small supply is held in the Club office.) If receiving a medal on the podium, it is a requirement that an Arena shirt be worn, with shorts or trackpants (no towels wrapped around waist) (v) RECORDS AND RESULTS Where can I view Club Records? ASC records are updated regularly and can be viewed on the website via the PBs & Records tab. Club records can be achieved at any Club or SWA meet. Certificates are awarded via SWA to swimmers who break State records. Where are meet results posted? Results from ASC-hosted and Interclub meets are posted to the ASC website. All external meet results are posted to the SWA website under the Results tab, along with information on a swimmer s record of personal best times and ranking among swimmers of the same age. (vi) SWIMMING WA (SWA) Beatty Park Leisure Centre, Vincent Street, North Perth PO Box 205, Leederville WA 6903 Ph: (08) Fax: (08) office@wa.swimming.org.au Web: 12 Assistance with Club Registration Fees The State Government, through the Department of Sport and Recreation is currently offering financial assistance grants of up to $200- per child, per year to eligible families under the KidSport initiative in an effort to encourage more children to join local sporting and recreation clubs. Grant funds can be used to pay Club registration fees and towards uniforms and equipment. To be eligible; Application must be for children aged between 5 and 18 years of age Family must hold a Health Care or Pension Concession card It is preferred that applicants register with a club that is in their local government area Arena Swim Club is registered as a recognised KidSport Club with COJ, COW and Shire of Gin Gin Application forms can be downloaded at Further information: or club.development@joondalup.wa.gov.au TOP GUN Once a month, we offer all of the swimmers in the Junior Team an opportunity to show off their skills with a Top Gun casual race session that is conducted during their normal training time. Swimmers times are recorded for future comparison and awards given to most improved. ASC RACE SESSIONS Race Sessions are scheduled at regular intervals throughout the season and aim to offer competitive members of ASC opportunities to gain racing experience in a familiar environment and at the same time striving to achieve target and personal best times. Race Sessions are part of the coaching program and attendance is expected. With SWA Officials in attendance, ASC Race sessions are a further step on from Top Gun, offering members new to competition an opportunity to try racing at their own club before attending external meets. The format of Club Race sessions means that; Entry is via the Swim Meets page on the ASC website, where you will also find a list of events - please follow guidelines on the printed entry form carefully and consult your child s coach if unsure which events to enter; There are no official placings and no medals awarded - the object is to achieve times, gaining confidence and racing experience; Swimmers are grouped with others of like times regardless of gender or age - this allows for a shorter meet with fewer event heats; Times achieved are submitted for recognition by SWA; All coaches will be in attendance - your swimmer should check in with their coach before and after their races for feedback; Numerous opportunities exist for techniques such as starts, turns and pacing to be 5

8 practised and perfected without the pressure of major meets; If your child is entering a Club Race Session, you should be prepared to be rostered for timekeeping or other volunteer responsibilities. Please Note: Requests for inclusion of specific events in the Race Session Program can be made to the Head Coach for consideration prior to the entry form being published to the website. On Race night, please direct any enquiries to the rostered Meet Director Please DO NOT approach the Registrar on Race night. NEW TO COMPETITIVE SWIMMING Identifying the meet Entering the meet Enjoying Meet Day IDENTIFYING SUITABLE MEETS - It helps to organise yourself well in advance (some entry deadlines can be more than a month before the actual meet!) SWA lists details of all meets in their seasonal Almanac publication. Hardcopy orders will be called for from members via the ASC website prior to the beginning of each swimming season. The Almanac can also be downloaded from the Swimming WA website ( Particular meets during the season will have been identified by the coaches as targeted meets and these will be listed on the ASC Swim Meets page. An ASC Coach will always be in attendance at a targeted meet so when starting to attend race meets, it is advisable to begin with targeted meets where more support is available for you and your swimmer if required. Swimmers are also able to compete at non-targeted meets, but should be aware that coaches will generally not be in attendance. To identify suitable meets for your swimmer; Check the SWA Almanac to view all meets and any special conditions (age restrictions, qualifying times etc.) Check the ASC Swim Meets page for meets being specifically targeted by which ASC teams. Speak to your squad coach for guidance with event selection if you are unsure Direct specific questions to the Registrar or any other committee member. What s involved in other voluntary roles on meet day? If you re not sure what to do, please ask. Another parent or the meet coordinator will be happy to explain CHIEF TIMEKEEPER - Stands close to the race start, (but away from timekeepers) and is responsible for acting as back up by operating additional stopwatches to capture the start of all races. A timekeeper in any of the lanes may indicate that they have missed the beginning of the race by raising their hand, at which point the chief-timekeeper will exchange one of their stop watches with the lane timekeeping volunteer. RESULTS - assists the Registrar with progressive validation of meet results RUNNER - Runners are responsible for distributing meet results to various locations. At Arena, the Runner reports to the ASC Office. At Challenge Stadium, Runners report to the SWA Officials Office underneath the grandstands on pool-deck level and will be asked to take photocopies of the results and distribute these to various locations in the venue. The role needs to be performed quickly and runners should be physically capable. MARSHALL / Asst Marshall - checks off swimmers names, assembles swimmers into their heat starting positions, accompanies swimmers to the blocks. CHECK-START - ensures swimmers remain in their marshalled position, checking them off for a final time as they approach the blocks to race. REFRESHMENTS - offers drinks and food items to SWA officials and volunteers at regular intervals. At Arena, report to ASC Office, at Challenge report to the room to the right of the Officials Office under the grandstand. Other venues, report to meet director. ANNOUNCER - Makes general announcements, calls race participants and placings - located on pool deck ENTERING THE MEET - It can be tricky at first, so if in doubt, please ask. Always check the Club website Swim Meets page first - it will generally have information on club closing dates and easy links to entry procedures for meets being targeted by the Club STEP 1 - Identify the meet you are interested in from either; Arena Swim Club Website ( under the Swim Meets tab SWA Website ( under the Events Calendar tab 6 ARES + MEET MANAGER - trained positions, generally filled from within the committee, located inside Ares Office at Arena, inside Official s office at Challenge STARTER, JUDGE OF STROKE + TURNS - accredited volunteer positions generally filled by SWA Officials. 9 Special arrangements for alternative payment methods or card transactions must be made with the Registrar or Treasurer and may incur an administrative fee. NB these methods are NOT to be used for monthly training fees, unless specific arrangements have been negotiated with the Treasurer. Monthly training fees are deducted automatically, monthly (around the 25th of the month) in advance via direct debit arrangement from a debit or credit card. WHICH ENTRY PROCEDURE? METHOD 1: (i) Is the Meet listed on the ASC website under Swim Meets? YES - then it is a targeted meet or ASC Race Session - follow instructions and links given (method 1 below) a link with full event selection and closing date will be placed on the ASC Swim Meets page (ii) proof of EFT payment or other payment method must accompany online entry. Does ASC assist swimmers competing at National level? Active Club members may be eligible for subsidised travel and / or accommodation expenses to assist with attending National or International competitions. Information on eligibility criteria and the conditions under which funding may be extended is available by contacting the ASC President. Are there any specific dates on the ASC calendar I should keep an eye out for? First half of the year - ASC Club Championships MONTHLY ASC Race Sessions and Top Gun (consult the website) (iii) (iv) (v) electronic entry and payment via the website links is preferred. Please consult the Registrar if you are unable to access online facilities Regrettably, late entries are unable to be processed. NO From the Almanac, check ENTRY PROCEDURE for the meet you are entering (usually, if the HOST is SWA, it will be an online entry) Tell me a bit about the ASC Club Championships Age is at 1st January in that year. Age categories are 8yrs to Open Program is determined closer to meet day A swimmer disqualified for one event is not disqualified from the overall championships. Points are awarded; 1st place =12pts, 2nd = 10pts, 3rd = 8pts, 4th = 6pts, 5th = 4pts, 6th = 3pts, 7th =2pts, 8th =1pt. A ticketed awards evening is held on a different date following the Club Championships to present trophies and other awards. All Club members and families are welcome to attend. (iii) VOLUNTEERING Am I expected to volunteer at the Club? YES, the sport of swimming is reliant on volunteers. A signed Volunteer Agreement is required prior to your child s ASC membership being accepted. Generally, timekeeping will be your main responsibility, but offers of assistance on the committee are always appreciated. Prior to meets, as far as possible, a volunteer roster will be posted to the website and / or ed to families who have registered an address with the club. You should expect to be rostered at every meet your child enters. I m rostered for volunteer duties but my child is sick and won t attend the meet. Should I let someone know? Early close allows the Registrar sufficient time prior to the host-club s closing date for processing of entries and selection of relay teams by coaching staff if required. OR It says ENTRY ONLINE VIA SWA WEBSITE or ONLINE ENTRIES ONLY closing dates and times are exactly as published in the Almanac. 10 IMPORTANT TO NOTE: Please DO NOT put your entry into the box - it may get overlooked, particularly during holiday periods ** NO COMBINED MEET PAYMENTS PLEASE ** MEET DAY - Some tips to help make it a great experience Before you go: Chat to other families who are also going to the meet (you ll know from the meet entry list). Make sure you know where the meet is being held, how to get there and how long it will take to get there. Pack what you can the night before, it may be an early start! Make sure you have checked the roster for your volunteer timekeeping slot/s. If the roster was not published to the ASC website, it will be available when you get to the meet. Check the SWA website for any last minute changes to start times or to the program. HINT:- For SWA-hosted meets, sometimes the Program is available to download and print FREE from the SWA website the day before. On meet day: keep the stress levels down... Arrive with time to spare before warm-up. Seating is generally at a premium for the more popular meets and those held at outdoor venues. Arena families try to sit together when possible. Look for the banners and Arena T-Shirts! Expect to pay a pool admission fee and swim meet program fee. Often there will be raffles on sale. It is likely to be a long day. If the meet is outside, you ll probably need a chair, rug, hat, sunscreen, extra towels, goggles, change of clothes, book or ipod etc for relaxation between events Take along enough food and drinks to get you and your swimmer through the day. It pays to monitor what your swimmer eats and drinks during the day. For guidance with race day nutrition, speak to your swimmer s coach. * Double check the timekeeping roster and tick your name off when you arrive. A highlighter and pen come in handy to identify your swimmer s events and other team members in the same event. Writing your swimmer s event numbers on their hand can ease pre-race nerves. You may wish to take a stop-watch for personal use to meets not held at Challenge Stadium. Identify the location of the marshalling board early and point this out to your swimmer. Try to buddy your swimmer up with a team mate in the same event so they can marshall together - otherwise, accompany your swimmer to the marshalling area for the first few races until confidence grows. Encourage all your child s efforts. If a coach is present, encourage your swimmer to approach them prior to and after each event for advice and feedback. GOOD TO KNOW When entry is lodged through the Registrar, it is YOUR responsibility to check the preliminary entry lists published to the website and immediately advise any omissions or corrections directly to the Registrar It is a VenuesWest directive that swimmers under the age of 10 years old must not be left at VenuesWest pools unaccompanied. Club members are expected to comply with the ASC Behaviour / Welfare Policy and Code of Conduct which are available to view on the ASC website under the Member Behaviour and Welfare tab. 8 Whilst a patron of VenuesWest, you are bound by the Policies of the venue (these are available to view by contacting reception at VenuesWest). Coaches are not necessarily remunerated for the additional coaching duties they perform away from Arena Joondalup. An ASC Committee member is available most days in the stands at the pool to answer any questions you may have. If they don t know the answer to your question, they will find out. SWA Officials (dressed in white at swim meets) undertake their duties in a voluntary capacity. Club registrations run from 1st July - 30th June annually. SWA capitation fee (refer P6) expires 30th September annually. Reduced SWA capitation fee may apply to newly competitive members joining clubs after 1st March. Entries lodged after the closing date will be returned by the Registrar. Repeated failure to honour your volunteer timekeeping and related responsibilities may result in refusal to process your swimmer s meet entries. FREQUENTLY ASKED QUESTIONS (i) COACHING MATTERS Should my child join as a recreational or competitive swimmer? Does your child want to compete? Discuss this with your child s coach on joining the Club or at the squad assessment. An annual SWA affiliation fee is payable by members who wish to compete. ASC Race sessions are for competitive members only. How often should my child train? This is a coaching matter. The number of training sessions will vary from swimmer to swimmer and may also consider outside of swimming training or other sports the swimmer may be involved in. Recovery from injury or illness may also need to be factored in. Why is my child swimming against much older, bigger children? The older swimmer will generally not have a time recorded for the event, or the Junior swimmer s time is close to the older swimmer s time for that event.
