1 TEAM MANAGER HANDBOOK This packet contains important information about becoming a DJCT Team Manager. Please take the time to read thoroughly as most of your questions should be answered.

Texas is divided into two associations North Texas and South Texas. STYSA is further broken into two districts Eastern and Western. CAYSA falls into Western District of STYSA.

3 DIVISIONS: Region III Premier League - The US Youth Soccer Region III Premier League provides an opportunity for the most competitive teams in Region III to play each other on a scheduled basis. The league is comprised of boys and girls teams in the Under-14 through Under-18 age groups with each participating state association determining the criteria for identifying the teams to be included in the Premier League. State Classic Elite - This level of play is designed to provide play between the top teams in each District during the regular season. The league is comprised of boys and girls teams in the Under-14 through Under-18 age groups. There is no play time requirement at this level. Division One/DI/Div1 - Recognized as the highest level of play within the state, players may be selected from across the state based on their ability, skill and commitment to the sport including a more demanding practice and game schedule. The league is comprised of boys and girls teams in the Under-11 through Under-19 age groups. There is no play time requirement at this level. Super Two/SII/Super2 - Selection of players based on talent and ability is permitted and generally includes a pool of players from a broader spectrum. Teams participate in the Super II league within the District which requires more commitment with regard to travel and expense. The league is comprised of boys and girls teams Under 11 through Under 19 age groups. There is a requirement that coaches make every effort to play each player at least 50% of each game. Division Two/DII/Div2 - This introductory level of competitive play is designed for those who enjoy the social aspect of the game and want to continue to develop their skills through better competition. The league is comprised of boys and girls teams in the Under-11 through Under-19 age groups. There is a requirement that coaches make every effort to play each player at least 50% of each game. Academy / Recreational Plus Under-8 through Under-10 players The Recreational Academy Program is designed to allow trainers to teach individual skills to under-8, under-9 and under-10 players in a team training format. Clubs must be pre-approved through an application process to offer this level of play. SPRING CUPS: STYSA National Cup Entry for this level of competition is by pre-qualification and geared toward U13 U19 Premier League, State Classic League and Upper Div I Teams. STYSA President s Cup Prequalified U11 through U19 Division I and Super II teams are eligible to enter a spring competition designed to identify the top two teams in each District to advance to the State Tournament in late May. First place winners in the U13 through U17 age groups then qualify to advance to the US Youth Soccer Region III President s Cup to be hosted by one of the Region III state associations. STYSA Director s Cup - Director s Cup is an open entry competition for all Division 2 & Division 3

4 teams along with Super 2 teams that do not qualify for President s Cup (please see the qualification list on the Pres. Cup page prior to regsitering). This competition is open to Under-11 (U11) through Under-19 (U19) boys and girls teams. WDDOA Texas Cup geared toward U11 and U12 WDDOA Div I teams who do not wish to participate in the Western District/STYSA Cup competition(s). CAYSA South TX Cup This is a restricted entry competition open to Division II or Division III teams from the previous fall season and recommended for lower Division II and upper Division III teams. CAYSA (Academy) Rec+ Spring cup play for the U9 & U10 Academy/Rec+ age groups. Play will be in 6v6 format. TEAM REGISTRATION: Upon notification from DOC regarding level of play for your team the team will be registered by club registrar and you will be provided with the team username and password for your team so you can manage the roster and print game cards throughout the season. This will all be done through Got Soccer ( ). Please DO NOT change the username or password for your team as we need to be able to access team accounts if necessary. Please DO NOT change anything to the rosters, coaches, team managers, etc. All of South Texas is using Got Soccer and everything needs to correspond appropriately through DJCT, your respective division/league, and South Texas. If you have any questions or doubts, please consult before doing anything at dundeej uniors@gmail.co m This team username and password will be used by you throughout the season to print game cards and enter scores as necessary. This will all be available through your team s Got Soccer account. As the season approaches and schedules are finalized you will be able to see this. PRE-SEASON: Team Manager Got Soccer Account: Once you volunteer to be team manager, the office will create your team manager account from the club account. You will receive an from Got Soccer with your team official username and password. Please log in, fill in the correct contact information, upload a head shot, and submit a background check. To log in as a team manager you go to: -> User Log in -> Teams & Team Official -> Individual Manager To Submit Your Background Check Once you log into your team manager account, please click on the tab

5 labeled background check. From there input the necessary information and then submit your background check. As soon as the background check goes through and you are approved then the office will assign you as team manager to your respective team from the club account. If you log onto your Team Got Soccer Account and do not see your information it is because you have not completed the background check from your Team Manager Got Soccer account. If you try to manually input your team manager information through the Team Got Soccer account, it will not save your information. You have to be assigned as team manager from the club account for the information to stay. Note: Team managers do not have to input coaches information either. The office will assign coaches to their respective team(s) from the club account. STYSA is utilizing Got Soccer and wants every coach, team manager, and player to have one account in order to track everything about that specific person. Any manual inputs will result in creating a new account for that specific person. Team Got Soccer Account: Team rosters are available in your Team s Got Soccer account. You can access contact information for your team through the Team s Got Soccer account. To login to your Team Got Soccer account you go to: -> User Log in -> Teams & Team Official -> Team Account The official league rosters will be based on your Team s Got Soccer account so please make sure they are correct. If you notice something incorrect or that needs to be changed please the registrar (dundeejuniors@gamil.com) so the appropriate change(s) can be made. This Team Got Soccer account will be used by you throughout the season to print game cards and enter scores as necessary. As the season approaches and schedules are finalized you will be able to see the schedule and be able to print out game cards. As a team manager you are accepting responsibility to be discreet with personal information available on these rosters so please do not use the information on team rosters for anything other than team responsibilities. Note: Team managers do not have to input anything for the rosters. The office will assign players to their respective teams from the club account. STYSA is utilizing Got Soccer and wants every coach, team manager, and player to have one account in order to track everything about that specific person. Any manual inputs will result in creating a new account for that specific person. Please make sure the correct jersey numbers are listed for each player on your team. You can edit this through your Team Got Soccer Account. Parents are also able to update this information through their individual player or family Got Soccer accounts. Please DO NOT change the username or password for your Team Got Soccer account as

6 we need to be able to access team accounts if necessary. This account will carry on with future team managers as well. Team Gmail Account ( Address): It is strongly encouraged that every team manager have their own Gmail account in order to maintain consistency among the club and so team managers do not have to inundate their own personal/work accounts. Additionally, the club utilizes other Google services therefore the Gmail account will enable you to access these services such as Google Docs and Google Sites. Receive official roster from League or club registrar DI rosters are mailed directly from WDDOA. SII, DII and Academy rosters are produced by the DJCT club registrar and will be picked up, along with player cards, in the DJCT office. Upon receipt Verify that all players, coaches, and team managers are listed on official roster Ensure roster has appropriate signatures (no blank signature lines). Assemble player cards Upload pictures in Got Soccer for each individual player either through the team s Got Soccer account or have each individual family upload a picture of their player(s) through their own Player Got Soccer accounts Have each player sign their player card Laminate player cards Recommend hole-punching corner of all player cards and utilize a ring for safety and easy access Keep player cards and kid safe badges with you at all games, tournaments, etc. Kid Safe Badges Every coach and team manager will need a kid safe badge. Once background checks are submitted and approved then the league or office will be able to print out kid safe badges. Be sure to upload a headshot through your team manager account so that the kid safe badge can be printed out. These will need to be signed and laminated just like the player cards. Obtain birth certificates if necessary for a tournament (only if player cards are not accepted) Send/receive STYSA medical release form for all players. The form is available from the South Texas website ( ). You can go to Publications then Forms then Medical Release Form ( ). Keep Medical Release form with you at all games, tournaments, etc. It should be acceptable at all tournaments within STYSA. In the case of out of STYSA tournament, verify requirement with tournament director. STYSA Transfer/Release Forms:

7 Any player transferring to DJCT from another club mid season (in between the fall and spring) needs to fill out the following form: Any player transferring from DJCT to another club mid season (in between the fall and spring) needs to fill out the same form. Any players transferring from one DJCT team to another DJCT team needs to fill out the same form. All forms must be submitted to the office by ( dundeejuniors@gmail.com ). The transfer/release forms only apply to Select players. UNIFORMS: Select and Academy uniform ordering will be through the website only with direct link received from DJCT via . Please make sure that numbers are assigned to all players and are correct on the team s Got Soccer account. Uniform colors HOME - Blus jersey/shorts/socks AWAY Red jersey/socks Blue shorts Have both colors at all games in case of conflict TOURNAMENTS: At the select level DJCT pays for 1 tournament each season (1 Fall & 1 Spring). For this club paid tournament please register your team as directed by registrar or DOC. If allowed, request placement in bracket as appropriate. If it is a club paid tournament please forward tournament registration information to registrar so fees can be paid prior to tournament deadline. In Academy (or if a select team wishes to play an additional tournament) it is the responsibility of the team to share in the cost of non-playoff tournaments. Please register and pay for the team and money can be collected from team members prior to registration or post registration, at your discretion. Confirm placement once brackets are assigned Contact DOC if assignment does not appear to be accurate Communicate with DOC and tournament director as required to resolve any issues Attend tournament check-in as required by tournament Distribute game schedule, arrival time, special instructions from coach, field number/location/map, uniform colors for each game. Print and provide game card prior to games and collect card from referees after game (AS REQUIRED BY TOURNAMENT) Procedures should be provided by tournament staff, if not, ask at check in or contact the

8 tournament director Provide results to DOC at the end of the tournament Including any Yellow/Red cards, issues, or concerns Helpful Hint: Print out a complete copy of the tournament rules, bracket and schedule. Keep it with you at all times during tournament. FIELD LAYOUT: Games will use the following fields based on age group/number of players per side. 7v7 Academy (CAYSA): West- FOD 2A, 2B; ST.Griel Softball field 9v9 U11-U12 Select: League fields 11v11 U13 - U18 Select: League fields SCHEDULING: Team Manager is the scheduling point of contact for the league and other teams in the bracket Premier/SCL/DI - Scheduling (put on scheduling guide) WDDOA releases a tentative schedule with all game dates, times, location (Neutral site) assigned. When received, provide DOC with any conflicts prior to WDDOA scheduling meeting. DOC will attend scheduling meeting and present conflicts. Conflicts are not family vacations, but major events that affect majority of the team. Once DOC has provided you with your schedule from WDDOA please enter your games into the scheduling guide spreadsheet so that other managers can make sure there are no coaching conflicts. If your coach has multiple teams please skip lines in between your games for the other games that weekend. Once your schedule is set please enter your games into the scheduling guide so other managers can make sure there are no coaching conflicts. Once the schedules are set and finalized there will be absolutely NO changes unless it is due to poor weather conditions. WDDOA will charge a fine for any scheduling changes. The club is NOT responsible for these fees. SII Scheduling (put on scheduling guide) CAYSA releases a tentative schedule with all game dates, times, location (home or away) assigned. When received, provide DOC with any conflicts prior to CAYSA scheduling meeting. DOC will attend scheduling meeting and present conflicts. Conflicts are not family vacations, but major events that affect majority of the team. Once DOC has provided you with your schedule from CAYSA please enter your games into the scheduling guide so that other managers can make sure there are no coaching conflicts.

9 Once the schedules are set and finalized there will be absolutely NO changes unless it is due to poor weather conditions. CAYSA will charge a fine for any scheduling changes. The club is not responsible for these fees. DII, & Academy Scheduling (put on scheduling guide) Team manager will receive schedule grids from league. Open the scheduling guide and click on your coach s schedule to see when your coach already has DI/SII games scheduled (if applicable) so that you do not conflict with them. Premier/SCL/DI/SII games cannot be changed. Be sure to allow travel time for your coach between games. Enter your game dates and location from the scheduling grid into the scheduling guide. As you receive game times from the opposing team for AWAY games please verify that your coach is available using the scheduling guide (be sure to allow travel time) and then, if it works, enter it on the scheduling guide. If the time offered by the opposing team does not work for your coach please figure out some options that would work better (using the scheduling guide to avoid causing conflicts) and send a request back to the opposing team manager. Please note: we can only request different times with opposing teams we cannot force them to change their time, hence the reason to try to work with them and respect their request as much as possible when scheduling our home games. Submit completed schedules as required by LEAGUE Some may only want home games submitted; others will want full schedules submitted so they can verify both teams are in agreement. The info they want should be in the you received with the schedule grids. Communicate game schedule to team. Be sure to include any standing orders from coach on procedures such as arrival time, warm-up routine, pre-game meals, etc. Field Schedulers West Location: South Location: GAME DAY PROCEDURES, LEAGUE RULES & CLUB PASS: Club Pass Procedures and STYSA/WDDOA/CAYSA Rules - there will be team manager meeting in January and August prior to the Fall and Spring seasons. At these meetings, the DJCT Admin./DOC will go over the different club pass rules for each playing level and go over the league rules for each playing level. All club pass situations will be handled by the team manager/team coach/doc and DJCT Admin. The DJCT Admin will track all club pass players

10 week-to-week & league rules will be distributed. Game Days - confirm games with opposing team manager during the week prior to game This prevents any issues with cancelled games, unnecessary travel, uniform colors, etc. Especially important during rainy and flu season Helpful Hint - Have a mechanism for sending out weekly reminders before games with Time, Field location and Team color to wear Visit opposing teams website to obtain maps/directions, field rules (no pets), etc Prior to game, print game card from the appropriate league s website Home team required to provide game card Visiting team always a good idea to have an extra game card in case home team fails to provide. During pre-game check-in on the field, present officials with game card (if home team), player cards, and roster (if requested). Post game - Premier/SCL/DI Games All game scores should be noted by each team manager and then the official game card (report) will be turned in to the site coordinator by the referee. If you are playing at an alternate location such as WCRP, Slaughter Creek or a weeknight game then there will not be a site coordinator on duty. In this instance, the winning team and/or home team in case of a tie is responsible for returning the game card to the WDDOA office no later than Wednesday of the week following the game. Helpful Hint - Make a copy of the official game card, just in case. By Wednesday/Thursday of following week, verify game was recorded properly by league by checking standings on league website SII/DII/Academy Non-tie game winning team, regardless of location, retrieves game card from referee Tie game home team retrieves game card from referee Mail game card to appropriate league official (info should be in s you receive from league) Log into the team s page on Got Soccer and record score (Academy does NOT record score) Helpful Hint - Make a copy of the official game card, just in case. By Wednesday/Thursday of following week, verify game was recorded properly by league by checking standings on league website (will say Game Card Received)

11 PENALTY POINT TRACKING: Penalty Point tracking we hope not to have this situation, but in case we do, we are required to track penalty points per player. These are given when a player is given a yellow or red card. Verify with the referee after each game if any penalty points were awarded, record for tracking. See details below: PENALTY POINTS AWARDED: Penalty points shall be awarded to all individual players and coaches only as follows: 1. Cautions (Yellow Card): 3 points per caution to the individual. 2. Caution shall mean: a. For a player when a center referee shows a yellow card to a player during a game. b. For a coach, assistant coach, trainer or other individual when a referee issues a verbal warning during a game. All cautions should be recorded on the official match report (game card). 1. Ejections (Red Card): 9 points per ejection to the individual. 2. Ejection shall mean: a. For a player when a center referee shows a red card to a player during a game. b. For a coach, assistant coach, trainer or other individual when the center referee asks that individual to leave the game area. All ejections should be recorded on the official match report (game card). If you have a coach/player that needs to sit out due to an accumulation of penalty points, please remember to mark through the name on the game card and write: "sitting out red card" or "sitting out due to pp accumulation". Once we receive the official game report (game card), a log is made of all the yellow/red cards recorded in each game. Disciplinary Action for Penalty Point Accumulation. An accumulation of penalty points shall result in the following disciplinary actions: Individual Penalty Points: An individual player, coach, assistant coach or trainer shall be suspended as follows: Nine (9) Penalty Points Player - Suspension for the next regularly scheduled game actually played by the team to which the person is currently rostered; suspension shall not be served in forfeited matches or invitational games. Coach, Assistant Coach or Trainer Not Ejected - If a coach, assistant coach or trainer is not ejected or asked to leave a game by the referee, but reaches nine (9) penalty points, then suspension is for the next game actually played by the team which played the game in which the

12 coach reached ninth (9th) penalty point. Ejected Coach, Assistant Coach or Trainer - If a coach, assistant coach or trainer reaches nine (9) penalty points during a match in which he/she is ejected or asked to leave a game by the referee, then suspension: For the remainder of that day; and for the next regularly scheduled match day; and for the next game actually played by the team, which played the game from which he/she was ejected. Eighteen (18) Penalty Points Player - Suspension for the next two (2) regularly scheduled additional games actually played by the team to which the person is currently rostered; suspension shall not be served in forfeited matches or invitational games. Coach, Assistant Coach or Trainer Not Ejected - If a coach, assistant coach or trainer is not ejected or asked to leave a game by the referee, but reaches eighteen (18) penalty points, then suspension for the next two (2) games actually played by the team which played the game in which the coach reached eighteenth (18th) penalty point. Ejected Coach, Assistant Coach or Trainer - If a coach, assistant coach or trainer reaches eighteen (18) penalty points during a match in which he/she is ejected or asked to leave a game by the referee, then suspension: For the remainder of that day; and for the next two (2) regularly scheduled game days; and for the next two (2) games actually played by the team, which played the game from which he/she was ejected. Twenty-four (24) Penalty Points Player - Suspension for the next three (3) regularly scheduled additional games actually played by the team to which the person is currently rostered; suspension shall not be served in forfeited matches or invitational games. Coach, Assistant Coach or Trainer Not Ejected - If a coach, assistant coach or trainer is not ejected or asked to leave a game by the referee, but reaches twenty-fourth (24) penalty points, then suspension for the next three (3) games actually played by the team, which played the game in which the coach reached twenty-fourth (24th) penalty point. Ejected Coach, Assistant Coach or Trainer - If a coach, assistant coach or trainer reaches twenty-four (24) penalty points during a match in which

13 MISCELLANEOUS: he/she is ejected or asked to leave a game by the referee, then suspension: For the remainder of that day; and for the next three (3) regularly scheduled game days; and for the next three games actually played by the team, which played the game for which he/she was ejected. Thirty (30) Penalty Points Player - Suspension for the next four (4) regularly scheduled additional games actually played by the team to which the person is currently rostered; suspension shall not be served in forfeited matches or invitational games. Coach, Assistant Coach or Trainer Not Ejected - If a coach, assistant coach or trainer is not ejected or asked to leave a game by the referee, but reaches thirtieth (30th) penalty points, then suspension for the next four (4) games actually played by the team, which played the game in which the coach reached thirtieth (30th) penalty point. Coach, Assistant Coach or Trainer - If a coach, assistant coach or trainer reaches thirty (30) penalty points during a match in which he/she is ejected or asked to leave a game by the referee, then suspension: For the remainder of that day; and for the next four (4) regularly scheduled game days; and for the next four (4) games actually played by the team, which played the game from which he/she was ejected. Maximum accumulation of penalty points in one game by a coach or player shall be nine (9) points The Penalty Point Tracking Form can be found at You click on Publications then Forms then Penalty Tracking Form ( df ). Team parties are ways for players to get to know each other, especially if a team is new or new players are joining a team. Additionally, these events can build team cohesiveness among the players and parents. These events are solely at the manager s discretion and can be pre-season, during season or postseason. Please make sure you distribute any information from the league or club as received. If something needs to be distributed it will be noted in the you receive. Some examples of things to communicate would be:

14 Club events. ODP (Olympic Development Program) player opportunity events (POE) dates as provided by DOC. College information sessions (if applicable) as provided by DOCEP. Tournament dates and details. Helpful hints Have a presence before, during or after practices. Several questions get asked/answered during these times. Ask to be notified by parents if player is going to miss practice, game, etc. and notify coach. Coordinate end of season gift for coach(es) if desired.
