SOUTH YORKSHIRE SCHOOL GAMES (PRIMARY) SPORTS HALL ATHLETICS FINALS (PART OF THE SOUTH YORKSHIRE WINTER FESTIVAL) FRIDAY 22 MARCH 2019 Congratulations on your successful qualification to the South Yorkshire School Games sports hall athletics finals! This letter contains detailed information regarding the event to allow it to run as smoothly as possible. Please ensure you have fully read and understood all the information contained within this pack. 1 SCHEDULE OF EVENTS Arrival: English Institute of Sport, Coleridge Road, Sheffield, S9 5DA Registration 09.00-10.00 Opening ceremony 10.00-10.45 Competition 11.00 13.00 (the secondary competition starts at 13.30 prompt) Spectators are more than welcome at the event. Each team will be given a pack of district coloured t-shirts during registration. We encourage all participants to wear their t-shirts during the opening ceremony and for medal presentations - all t-shirt sizes are approximate. 2 SCHOOL RESPONSIBILITY The named Team Manager is responsible for the welfare of their team members at all times during the event. Each individual team MUST have their own assigned team manager. It is a requirement that Team Managers have the following information for each team member with them on the day; 1

Medical information Emergency contact information including consent of attendance, and photo and video consent. If there are any objections regarding the taking of photographs, please ensure we are aware of this as soon as possible to allow provision for this to be put in place. The Team manager is responsible for the behaviour of their children on the day; please ensure they are respectful of official s decisions within the spirit of the games. 3 PARKING INFORMATION Main parking will be at the English Institute of Sport main car park (S9 5DA). There is free parking available here for teams and spectators. There will be an emergency overspill car park available across the road at Ice Sheffield (stewards in high Viz will be able to direct you). 4 CHANGING AND TOILETS Toilets, showers and changing areas are located within the facility, including accessible changing. N.B. Changing areas will not be secure. Personal possessions left in these areas are at participants own risk. Changing areas are also in use by other members of the public (we do not have restricted access), children should be accompanied at all times. 5 SPIRIT OF THE GAMES It is a fantastic achievement for the young people to reach the Level 3 School Games and we want to encourage fair play throughout all aspects of the finals. The event will be supported by young leaders and volunteers, without whose help and dedication, the Games wouldn t be possible! Please respect all decisions of the officials. By registering to attend, your school, staff and participants agree to abide by the values of the School Games. 2

6 WEATHER CONSIDERATIONS Adverse travel conditions may affect you on the day. If you are unsure the event may take place, please check our twitter page @YorkshireSport where we will post any live changes. 7 REFRESHMENTS Lunch will not be provided on the day for Team Managers or participants. We encourage all participants to bring a drink (in a container they can refill). Feel free to bring your own packed lunch if required. The following notes provide an overview of the competition and set out the team requirements. 11 TEAM INFORMATION School teams must consist of 10 girls and 10 boys. 4

12 GENERAL RULES 1. The Sports Hall Athletics Competition is aimed at Year 5/6 pupils. 2. Teams must consist of 10 girls and 10 boys. 3. Each child may compete in a maximum of 2 track (including relay races) and 1 field event. 4. All field events are for 2 boys and 2 girls per school. 5. In the event that teams do not have enough boys or girls to fulfil a team, athletes will not be permitted to take part in an extra field or track event. 6. Keeping in the line with the Spirit of the Games, if teams do not follow rule 3, a 10-point addition will be applied to the teams overall score. 7. In all track relays those competitors who are not running with the baton must remain seated on the team mat. 8. In all events competitors will be given full instructions and may be allowed to practice if time permits 9. Suitable clean footwear and clothing must be worn for every event. 10. Field events will be scored according to the combined total of the best performance of both athletes from your school. 11. Team points will be awarded as follows. (1 st place = 1pts, 2 nd place = 2pts and so on) In the event of equal performances the points will be awarded for the position with the next position being missed out. (E.g., 1 st, 2 nd =, 2 nd =, 4 th ) 5

13 TRACK EVENTS All track events start and finish in the middle of the sports hall and competitors must turn at each end of the sports hall by using one foot on the reversaboard. 1 Lap = Hitting 2 reversa-boards and back to the middle of the hall 2 Lap = Hitting 4 reversa-boards and back to the middle of the hall 1 Lap Individual Sprint One lap race for one competitor from each school 2 Lap Individual Sprint Two lap race for one competitor from each school 1 Lap Individual Hurdles One lap race for one competitor from each school over small hurdles 2 Lap Individual Hurdles Two lap race for one competitor from each school over small hurdles 2 x 3 Lap Distance Relay Race A six lap race with a team of two competitors from each school. The first competitor will complete 3 complete laps (6 boards) before passing to the second team member to complete another 3 complete laps. The purpose of this event is to challenge the endurance of the participants. Each participant must run their 3-laps continuously before the baton is changed to the next runner. 10

4 x 1 Lap Relay 1. The first runner starts as in a normal race on the start line in the middle of the sports hall 2. They run to and turn on the reversaboard and runs to the opposite end of the hall and turn on the reversaboard 3. As the first runner turns on the second reversaboard the second runner gets up from the team mat ready to receive the baton 4. Moving changeovers are allowed however the baton must be exchanged no further than half way (where the hurdles are set out) between the start line and first reversaboard. Any changeovers made beyond this point will result in the team being dropped to last place. 5. The first runner then immediately sits down on the team mat to avoid obstructing the running member 6. This procedure is followed by the third and fourth running member - but the last runner must make sure that she/he crosses the finishing line 4 x 1 Lap Hurdles Relay Race 1. The first runner starts as in a normal race on the start line in the middle of the sports hall 2. The first runner runs over the hurdles on the way to the reversaboard and turns on the reversaboard and runs to the opposite end of the hall crossing the hurdles towards the reversaboard 3. As the first runner turns on the second reversaboard the second runner gets up from the team mat ready to receive the baton 4. The first runner passes the baton to the second runner and immediately sits down on the team mat to avoid obstructing the running member 11

5. Moving changeovers are allowed however the baton must be exchanged no further than half way (where the hurdles are set out) between the start line and first reversaboard. Any changeovers made beyond this point will result in the team being dropped to last place. 6. This procedure is followed by the third and fourth running member - but the last runner must make sure that she/he crosses the finishing line. Obstacle Relay 1. The first runner starts as in a normal race on the start line in the middle of the sports hall 2. The first runner runs over the hurdle to the reversaboard and turns on the reversaboard 3. Runs back over the hurdle, passes the start and then around an obstacle 4. Turn on the reversaboard and back to the next team member 5. The first runner passes the baton to the second runner and immediately sits down on the team mat to avoid obstructing the running member 6. Moving changeovers are allowed however the baton must be exchanged no further than half way (where the hurdles are set out) between the start line and first reversaboard. Any changeovers made beyond this point will result in the team being dropped to last place. 7. This procedure is followed by the third and fourth running member - but the last runner must make sure that she/he crosses the finishing line. 8. Mixed relay is the same as the 4 x 1 lap sprint relay. 12

4 x 1 Mixed Relay 1. The first runner starts as in a normal race on the start line in the middle of the sports hall boys and girls can run in any order 2. They run to and turn on the reversaboard and runs to the opposite end of the hall and turn on the reversaboard 3. As the first runner turns on the second reversaboard the second runner gets up from the team mat ready to receive the baton 4. Moving changeovers are allowed however the baton must be exchanged no further than half way (where the hurdles are set out) between the start line and first reversaboard. Any changeovers made beyond this point will result in the team being dropped to last place. 5. The first runner then immediately sits down on the team mat to avoid obstructing the running member 6. This procedure is followed by the third and fourth running member - but the last runner must make sure that she/he crosses the finishing line *** Relay Races - Moving changeovers are allowed however the baton must be exchanged no further than half way (where the hurdles are set out) between the start line and first reversaboard. Any changeovers made beyond this point will result in the team being dropped to last place. *** Hurdles Races In any hurdles races, all competitors must jump over the hurdle and not go around the hurdle. If a competitor is spotted by any track judges, that team will be dropped to last place in that particular race. If a hurdle gets knocked over and cannot be stood back up in a safe way before the runner reaches it again, allowances will be made. 13

14 FIELD EVENTS The Sitting Throw The competitor sits on a standard gym bench with both feet flat against the floor. The ball is thrown using both hands from behind the head (as in a soccer throw in). The thrower must remain in contact with the bench and with both feet flat on the floor during the throw. A basketball is used. The throwing area will be marked at 25cm intervals (parallel to the bench- not a quadrant). The judges will record the distance at the point where the ball lands to the nearest 25cm (taking the lower figure where it lands between lines). Each competitor is allowed 3 throws. Standing Long Jump A special calibrated long jump mat is used for recording the jumps. The athlete starts with both feet against the starting block, as on jump is recorded if either foot is over the block before a jump is made. Techniques involving a crouch or rock leading up to the jump are permitted, providing both feet are alongside each other and retain contact from the start of action to the actual start of the jump - a one footed take - off is not allowed. Landing must be on the pre-measured section of the calibrated mat. An athlete can step forward after the jump, but any step back or touching the mat behind the feet by any part of the body will be measured from that point. Each competitor is allowed 3 attempts. 14

Speed Bounce A foam based speed bounce mat with a 200mm high foam wedge dividing it into 2 equal halves will be used. The competitor must use suitable footwear and bounce with two feet together from side to side over the centre of the wedge with both feet touching the ground to record the count. The count will start and finish by a whistle under the control of the timekeeper, 20 seconds per participant. Each competitor is allowed 1 attempt. 15

Chest Push The Chest Push is a standing throw where a basketball is pushed from the chest as far as possible. The chest push is very similar to a basketball chest pass with the only main difference being that the action must be done from standing and also the ball is thrown for distance. The throwing area will be marked at 25cm intervals (parallel to the participant- not a quadrant). The judges will record the distance at the point where the ball lands to the nearest 25cm (taking the lower figure where it lands between lines). Each competitor is allowed 3 throws. Key coaching points: Usual 45degree throwing angle Use the legs to help generate power knee bend Target Throw The competitor stands behind the start line. There are four coloured baskets placed at 3, 5, 7, and 9m distances. Each competitor has 20 coloured beanbags and has to throw the beanbags into the corresponding coloured baskets. There are 5 beanbags for each basket. One point will be scored for each beanbag in the correct basket. There are no points for the wrong beanbag in the wrong basket, Each competitor will be allowed one attempt. Participants will be given an even number of each coloured beanbag (normally 5 of each). The same coloured beanbag must be thrown at the same coloured basket (e.g. red beanbags into the red basket). One point will be awarded per successful throw. 16

Withdrawal of Photography Consent Dear Parents/Guardians, Throughout the School Games we would like to take photographs and videos during the event to display in a variety of different places including newspapers, websites, social media, newsletters, and sponsorship/promotional brochures. In order to do this we need your permission to allow your child s image to be recorded. If you withdraw consent for images to be recorded and published it will not affect their participation in School Games, however may affect participation in certain elements such as the opening ceremony or medal presentations. Any published images will not include the children s names in accordance with Yorkshire Sport Foundations safeguarding policy. Yorkshire Sport Foundation will be taking their own photographs at the event but local newspapers and television may also attend. If you wish to discuss any of the above with me, please do not hesitate to contact me. If you wish to withdraw your consent for your child s photography to be used for the School Games 2019 please complete the attached pro-forma. If you do not withdraw consent we will assume consent is granted. You should not return the pro-forma if you are happy to allow your child to take part in the items above. WELFARE & SAFEGUARDING SUMMARY SCHOOL TEAMS Each school team competing in the level 3 School Games is required to have a nominated Team Manager. Team Managers and additional school staff are responsible for their team members at all times during School Games events including supervision, health and safety, welfare, behaviour and conduct. This includes ensuring that the young people are appropriately trained and prepared for the event in which they are competing. Team manager selection is at the discretion of the school. This will usually be a member of the teaching staff and they will have FULL responsibility for the young people in attendance at the Games. Yorkshire Sport Foundation will hold details of each of the team managers in attendance for emergency situations. Therefore, please ensure you have provided your mobile phone contacts prior to the event and during registration. School Team Managers are required to collect ALL relevant personal information for ALL their participants, including additional staff members. Team Managers MUST have the following information with them on the day of the event: Individual emergency contact details for parents including mobile phone contacts Information about the specific care needs of any disabled participant. Consent will be obtained from the participants parent of any required intimate care needs to be met by staff/volunteers acting in loco parentis at the Games. Information about any medical condition/allergies their child may have where relevant they must supply sufficient medication for the duration of the event that is to be met by the staff acting in loco parentis. Consent has also been requested for any treatment to be administered (such as anaesthetics) to the participant in the event of any illness/accident. Photographic and video consent for their team members. Please return the withdrawal of consent form as soon as possible and if relevant make it known to event staff on the day any young people who do not have consent. 18

Information about transport arrangements for the event. Information about any specific religious/cultural needs e.g. time/space to pray. Please share this information with the school s Senior Leadership Team. SPORT ORGANISERS The delivery of the sports competitions is integral to the School Games and the welfare of all participants. Sport Organisers will: Be responsible for the organisation and delivery of their respective competition. They will be the first point of contact on all aspects of their event. Ensure they are familiar with the sports facilities and facility guidance. Complete a pre-activity checklist before the arrival and start of their competition. Read and understand the School Games Event Manual and Welfare Plan (provided by Yorkshire Sport Foundation). If details are unclear then advice must be sought from event staff. All reporting procedures should be clear. Ensure they maintain regular contact and communication with their assigned zone coordinator from the event staff team. ROLES & RESPONSIBILITIES The event managers, in partnership with the Local Organising Committee Group: Will produce the welfare plan and manage implementation of the plan in collaboration with the LOC, Competition Group and delivery partners. Nominate a Welfare Officer (and deputy) for the duration of the School Games events. 19

Will aim for best practice in terms of recruitment, selection and training of event staff, ensuring minimum training requirements are adhered to. This includes specific welfare training for all event staff prior to the date of the Games to ensure the staff team is confident in their welfare duties. All Yorkshire Sport Foundation staff will be trained in dealing with welfare issues and incidents. Will NOT hold individual participant information. Will put disciplinary procedures in place for staff/volunteers working at events. Will ensure staff are clearly identifiable, via the event uniforms and ID badges. Event staff identified by GREEN ID badge and polo shirt. Will ensure there s a clear reporting procedure for staff so they know what to do regarding any incident related to child welfare. There will also be a system for them to record any concerns/incidents.
