ABSENTEE BALLOT INCLUDED IN THIS NEWSLETTER! We have included in this newsletter an Absentee Ballot along with instructions for mailing, the deadline for doing so and the procedures that will be followed by the Election Committee. This is a historic first for our organization so if you choose to use the Absentee Ballot, follow the instructions carefully! Pull the ballot out of this package, vote for the candidates of your choice and enter your name and membership ID on the envelope, not on the ballot and mail to address listed on ballot. It must be postmarked no later than Thurs. Oct. 28, 2010. Don t forget the stamp! The primary purpose of the absentee ballot is to encourage more participation in the voting process! It is optional; you can vote at the meeting if you prefer. Either way you choose to vote, your attendance at the Closing Banquet is encouraged, especially now that it is a daytime event! ************************************************************************** ABSENTEE BALLOT INSTRUCTIONS The Election Committee is responsible for distributing ballots, submitting ballots, recording ballots, handling ballots and tallying ballots. DISTRIBUTING BALLOTS: Ballots will be distributed to all members of the Association through the SGAA monthly newsletter. The Ballot will be included in the newsletter the month preceding the Elections. SUBMITTING BALLOTS: The Ballot will include instructions on to who the Ballot is to be mailed, the post mark dead line for valid ballots and the placing of your SGAA membership number and name on the envelope. RECORDING BALLOTS: A master list of current SGAA members will be maintained to reflect those SGAA members who have returned an Absentee Ballot. The membership number and name on the envelope will be used to identify who has submitted an Absentee Ballot. The Absentee Ballot list will be available at the Annual Banquet to prevent a member from receiving an additional ballot at the banquet if he had submitted an Absentee Ballot. HANDLING BALLOTS: After recording to the Master List the envelopes will be opened and ballots placed in the ballot box. Election Members will then unfold ballots from the ballot box and tally the votes. The envelopes and ballots will be kept until the election is finalized and official. TALLYING BALLOTS: Prior to the Annual Election, the Election Committee will tally all valid Absentee Ballots. The Tally will then be included with the final casting of votes at the Annual Meeting.

CORRECTION; I erred in reporting last month that Board candidate Gene Bryant had served ten years as Chairman and Vice Chairman of out of Town Scheduling Committee; he actually served one year in each of those positions. Sorry about that Gene; thanks for bringing it to my attention. IMPORTANT NOTICE RE 2011 DUES; SGAA does not send out individual statements of dues for the upcoming year. It is the responsibility of each member to send his check in. Please don t wait till the last minute to send in your check. We have a long list of applicants waiting for admission. If you have decided not to renew your membership, let us know early so we can determine how many applicants can be admitted for next year and notify them accordingly.
