TOURNAMENT DIRECTOR S LETTER Dear Players, Coaches, and Families, We at ASA would like to congratulate you on qualifying for the ASA/USA 18-U Gold National Championship! Participating in this prestigious tournament is something you and your team should be very proud to have accomplished. As you know, your athletes will be stepping onto the same dirt that the college athletes have just played on during the Women s College World Series. I hope you watched on ESPN the excitement of the collegiate competition. We look forward to welcoming teams from all over the country to Oklahoma City, July 17 23, 2016. We anticipate an exciting week for the players, coaches and families to enjoy the best fast pitch softball in the country as well as enjoy some local attractions. Being that for a lot of families this is also a vacation, we have done our best to provide you with as much info on local attractions for you, your family and friends to enjoy throughout your stay. All of your games will be played at two complexes. The ASA Hall of Fame Complex in Oklahoma City where the Women s College World Series is held (http://www.teamusa.org/usa-softball/asa-hall-of-fame-complex ) and the Edmond 66 Park in Edmond, OK (http://visitedmondok.com/loc/301/edmond-66-park.htm ). The parks are located approximately 15 minutes from each other. Dowtown Oklahoma City and the historic Bricktown areas are located within 20 minutes of each complex. Within this packet are valuable team information, scheduling, deadlines, hotel information and maps of the city and parks. I ask that you read over the information completely and understand the tournament procedures especially the deadlines. This will certainly help the tournament run more smoothly and efficiently. DATES / DEADLINES CONTINUED Bat Testing: During your team check-in, all bats that will be used during the tournament will be checked on the barrel compression machine. The bats that pass the compression machine test will have a hologram placed on them. All bats will also be subject to bat inspection by the umpires prior to all games. Only the bats with holograms and that pass umpire inspection prior to each game will be allowed. Sunday, July 17 Coaches / Managers Mtg. TEAM INFORMATION Format: Uniforms: Team Practices: Warm-Up Areas: Run Ahead Rule: Line-Up Forms: Game Times: Pool play then double-elimination bracket per ASA Code. All players must comply in accordance with Rule 3 Section 6 of the 2016 ASA Official Rules of Softball. Team practice times will be available prior to the start of the tournament. Putnam City Optimist Sports Complex 8601 N.W. 50 th Bethany, OK 73008 Since we will be using all fields, all pre-game warm ups will be conducted by both teams behind the temporary fence on the field where you are scheduled to play. You may take grounders on the infield dirt once our field crew has COMPLETELY cleared! Outfield drills must be taken beyond the 200ft fence. ABSOLUTLEY no swinging or pitching on grass ANYWHERE! Please utilize our cages on each field. DO NOT allow pitchers to warm up in front of the dugouts. Pitchers may warm up in the batting cages or beyond the 200ft fence off the grass. Refer to Rule 5, Section 9 Run Ahead Rule of the 2016 ASA Official Rules of Softball. Tournament officials will provide line-up forms for each game. The team packet will have 5 line-up forms. Beginning with your 6 th game, each team will pick-up your line-up form from the scorekeeper on your scheduled field. The line-up form should be returned to the scorekeeper no less than 20 minutes prior to game time. The coin toss will be done at this time also in both pool and bracket play. Please follow the times listed on the official tournament bracket. Game time is forfeit time. Teams should be ready to start a game immediately after the preceding game is completed. 6
TEAM INFORMATION CONTINUED Dugouts: Playing Rules: Team listed first or on the tops side of the bracket will be in the 3 rd base dugout, unless already occupied from a previous game. Home team and visiting team will be determined by a coin toss 30 during the umpires meeting at home plate. All playing rules and regulations will be in accordance with the 2016 ASA Official Rules of Softball. Pool Play Time Limit: Throughout pool play only. No new inning shall start after a 1 hour and 40 minutes time limit. If the game is still tied after the time limit has expired, the tie breaker shall be in effect at the start of the next inning. Bracket Play Time Limit: There shall be NO time limit in bracket play. Conduct: Inclement Weather: Souvenirs: Medical: Managers and coaches are asked to have complete control of their players both on and off the field in accordance with Article 310 Section N of the ASA Code. In the event of inclement weather, the game must be resumed at the exact point where it was suspended. It is the manager s responsibility to contact the Tournament Director for rainout information. The rainout number is 405-425- 3446. Please make sure and sign up for text messaging on TournamentASA for updates or changes throughout the event. Souvenirs will be sold at both sites. Pre-order t-shirts sales will be available to pick up at check-in or at the ASA Hall of Fame Complex only. There will be a certified trainer on duty for all games at the Hall of Fame Complex and Edmond 66 Park. We do ask you to bring parental permission slips in the event that one of your athletes is injured and requires medical attention. 7
TEAM INFORMATION CONTINUED Accomodations: Parking: Admission / Gate Passes: Concessions: The hotels listed in this packet are members of the ASA s Hotel Partners program. These are affordable hotels located near the ASA Hall of Fame Complex and the National Softball Hall of Fame. Ask for the ASA Rate! There is no charge for parking. There will be no gate fee. Spectators are free to come and go as they please at no cost. Concessions will be operating from the start of the tournament until the end of the last game. No outside food or drinks will be allowed. Each team will receive one ASA/USA sticker for their team cooler. This is the only cooler that will be allowed into both complexes. Alcoholic beverages are NOT PERMITTED!!! Water jugs with cups will be available for players in each dugout. They will be changed after each game. Note that this destination can reach temperatures well over 90 degrees this time of year. Please plan accordingly and make sure everyone stays properly hydrated. 8
PARK RULES & REGULATIONS ASA Hall of Fame Complex Event Policies (Updated April 2016) All guests may be subject to search, at ASA Hall of Fame Complex discretion, of their personal and/ or possessions (including handbags of normal size that may be allowed entry after such a search). Patrons with prohibited articles will be turned away at the entrances and no storage or check area will be provided for such items. Enforcement will be without exceptions. IF YOU SEE SOMETHING, SAY SOMETHING! PROHIBITED ITEMS AT ASA HALL OF FAME COMPLEX Cooler, ice chests, travel mugs, travel bottles Alcohol, drugs, illegal substances or any paraphernalia associated with drug use Any outside cans, bottles, snacks, food, and drinks Pets Hover-boards, skateboards, bikes, and scooters Drones Tobacco and vape/e-cigs Fireworks Flags/ Signs with poles, umbrellas Laser pens/pointer of any type Noisemakers such as air-horns Oversized bags, backpacks, duffel bags Pepper spray/ Mace Weapons of any type, chains, knives, firearms, spiked jewelry Any other item deemed unacceptable by event/building management If an item is revealed during a search, patrons may dispose of the item or they may return the item to the vehicle.
