BYHA Golf Classic The BYHA Golf Classis is scheduled for Sunday, September 30 th at the Wild Marsh Golf Course in Buffalo. The Classic will have a 1:30 pm shotgun start. August Board Meeting Gambling Report: June looks quite good. We made approximately $9,000 during June. A 2 nd gambling booth (Jaycee s) opened mid- July at Buffalo Bar & Grill and we are impacted by this. Thona is gathering information for the upcoming audit. Next we will need to negotiate a new lease agreement with Buffalo Bar & Grill. We are going to have to spend ~$2,500 to empty out the storage shed, so it can be reorganized. Thona estimated expenses for next month is $21,000. Brenda motioned; Scott seconded; motion carried unanimously. Thona requested $10,000 from the gambling fund be deposited into the Buffalo Youth Hockey General Fund. Brenda motioned; Leslie seconded; motion carried unanimously. The meeting was called to order at 7:11 PM. President s Report: Tom urges all volunteers or organizers to get things ready for registration. Secretary s Report: The meeting minutes from the July meeting were lost in transit when being transferred from the person taking meeting minutes to the Secretary. Treasurer s Report: Pam shared financial spreadsheets with the Board that will be used to establish the 2007-2008 season registration/season fees. There was much discussion about allocations of anticipated expenses for next year. Pam is going to recalculate the estimates to finalize the registration and season fees for this next year. BYHA needs to audit the City of Buffalo bills and reports. Pam is going to contact Cindy Trousdale to see if she is willing to do this for us. The audit for the 2006-2007 year is ready to go to our accountant. Of the outstanding $44,000 fees, approximately $35,000 remains unpaid. Registration Report: Ann Russett and Angie Lithgow are in charge of registration for the 2007-2008 season. Online registration will begin soon and will continue through the end of the in-person registration. See forthcoming email announcement. Once our information is entered into the PuckSystems software, the board members will be notified to test the on-line registration process. Once fine-tuned, the association members will be notified. In-person registration scheduled as follows: Thursday, September 13, 2007; 6:00-9:00 pm Saturday, September 15, 2007; 12:00-3:00 pm Monday, September 17, 2007; 6:00-9:00 pm Initiation level registration only Oct date TBD Squirts and above on-ice skating tentatively begins September 22 nd. Squirt and above parent meetings will be scheduled for the September 22 nd weekend, as well as registration/ financial housekeeping, volunteer shift sign-up, etc. Initiation level on-ice begins mid-october. This is also when parent meetings, etc. will occur for the initiation level. There is a MANDATORY meeting for all head coaches and head managers for all squirt and above teams scheduled for October 27 th at the Dassell-Cokato high school auditorium. Meeting time is posted on the D5 website. BYHA will be fined for every person that is not there. The Board discussed this and decided to have the deposit amount remain at $100. Our tournament ad was listed in the July 12 th issue of Let s Play Hockey. So far, we have 13 teams registered and 5 of them are paid. Missy requested purchasing some type of permanent tournament bracket boards. The Board discussed this and decided that all of our tournaments vary so much that we will not pursue this purchase right now. Bob Jernberg has scheduled the Bantam VFW tournament. Manager Report: Jen Morningstar will return as the Squirt and above Manager Coordinator. Equipment Report: Gary Ramsey is setting up a site on the internet for people to order apparel. There will be a link on the BYHA website directing people to this new webpage, once it is ready. BYHA will receive a certain percent of profits from orders placed on this webpage. Eric Lindvall is currently working on jerseys for the younger kids for next season. District 5 Report: This was the first meeting of the year after the summer recess The usual officer s reports were made without incident. Coaching clinics will be posted on website by Sept. 1 st. August Board Meeting Level 4 clinic is scheduled for Oct. 10-12 in Duluth There is a mandatory meeting of all D-5 coaches, managers, and association presidents on October 27 th at the Dassel Cokato High School. Time TBA. Tim Sweezo resigned as the Minnesota Hockey representative from D-5. He has been replaced by Doug Kephart from Dassel. Each association is asked to come back to the next meeting with an idea or suggestion as to what to buy or give Sweezo as a retirement gift for his 20 years of service. It was not clear whether or not there would be any fines for any association that chooses not to give to this cause. There is a registration coordinator meeting at 9:30 A.M. on August 11 th at Daniels Restaurant in Cokato. Be there or pay the fines. Players who are on teams sponsored by Minnesota Made Hockey may not play against any of our teams. This is because Minnesota Made Hockey does not affiliate with USA Hockey. Doug Kephart announced that D-5 would not re-roster any squirts after they had already been rostered for the Buffalo squirt tournament in November. In other words, if a squirt team is rostered for that tournament, they are rostered for good. We select our squirt A team after that tournament and then re-roster all of the squirt teams. Kephart said that such re-rostering will not be allowed. He offered two reasons for this. First, we allow some A players to play in the B tournament. Second, it is too much work and running around for the D-5 folks to reroster. Some arguments were made outlining the fact that we have until the end of December to submit final rosters, therefore this rule is out of order. That argument was met with a response consistent with, we ll talk about it later. We could play the tournament as a festival but teams outside of D-5 could not play. Buffalo announced that we would not play our A teams in the D-5 schedule. We examined the history of how we came to this step and the consensus was that Buffalo will play where they are told to play by D-5. We also heard, we ll talk about this later. We suggested that we take the issue to MN Hockey and seek a ruling. D-5 President Tim Hanson said that if MN Hockey allows us to remove our A teams from district play, it would violate D-5 by-laws. If that is allowed to happen, then we have become a lawless society and Hanson will quit in protest. Jerberg had a brief private meeting with the D-5 board after the meeting. I am not aware of the outcome of that meeting. Needless to say, the majority of the D-5 representatives were not sympathetic to the Buffalo position. There will be a motion and discussion at the next D-5 meeting to levy fines against any association who does not follow the by-laws. Metro Report: N/A Hockey Operations Report: Mac will find out about the Stout vs. St. Olaf game, very soon. Both teams want to do this; approval contingent on Stout Athletic Director. This game is scheduled November 9 th (Friday). Proceeds will be applied to the Initiation programs. We will know shortly about another FSN Fox game. Level 4 coaching clinics in Duluth October 12-14, 2007. There will be a coaches meeting scheduled. Someone will also be at registration at a table regarding individuals interested in coaching this next season. There will also be someone at registration to sell Bison season tickets. Sponsor Report: Scott need to get the plaques for last years sponsors. Fundraising Report: The golf tournament is scheduled for Sunday, September 30, 2007 with a 1:30 pm shotgun start. Mandatory Fundraising obligations: (1) Wreath/Candle Fundraiser obligation per level: Mini-mite: $ 30 (Last year = $ 25) Mites: $ 55 (Last year = $ 50) Squirt & up: $105 (Last year = $100) (2) Kwik Trip Package obligation per level (to replace raffle ticket obligation): Mini-mite: $ 30 Mites: $ 30 Squirt & up: $ 30 (3) OVERALL Total Mandatory Fundraising obligation: Mini-mite: $ 60 Mites: $ 85 Squirt & up: $135 Player s mandatory fundraising obligations will be satisfied with these sales. Any amount sold above and beyond obligation amount will be credited to ice bills. Marketing Report: Bob has the mailing list coming to him to get the information mailing out. Signs are coming September 7 th for 10 days; there will be 3 sign (1 in Montrose, 1 in Hanover and 1 in Buffalo).
