Includes FAQs, Tips, Help Videos and Training Manuals Follow These Steps To Run USTA Sanctioned Tournaments Names of registered players names are not listed in Events in TDM until Step #2 is completed after the close of registration 1. Batch Entry optional step - Manually enter players who are not registering on TennisLink - Players must be batch entered before selecting players in step #2 - Batch entered players are listed with other "Applicants" on the tournament home page - Batch entered player are not charged the tournament fee by TennisLink when selected - The tournament director can batch enter any player before close of registration - The tournament director can batch enter a player after close of registration if it does not "bump" anyone who registered on time for the tournament. After the close of registration Select and process players on the Sanction Form Log into the Tournaments Administration web site - see instructions above "Open" this week's tournament by clicking on the title Click on Entrant Processing link [near top of the page This Tournament menu] Select Players for ALL events In the "Choose Event" menu, click on each event Move the players that will play in the tournament from left menu to right menu Players that remain on the left in each "Available Players" menu box will not

Click on the TDM Tips Area link above the tournament title near the top of the web page Need to limit the number of players in a draw? - Use the Auto Order Players function complete/edit the menu boxes. Players to Order: specify the number of players who registered (or specify more; not less) - Next review the Player Order Report scroll up if needed, on the left side of the page - Then return to the Choose a Player menu the link is on a menu at the top of the page and select players. The Player Order report does not include players with no ranking. Be sure to select the correct players in the Choose a Player menu. Adult and junior L6 tournaments: select the top ranked players first. Junior L7 tournaments: select the unranked and lower ranked players first. 3. Access TDM to seed players and make draws Click on the Sanction Form link menu line above the tournament title Click on the TDM link right side of menu line above the Submit/Approval button Need TDM training and tips see information at the top of this page. Need additional assistance email Linkteam@usta.com Many steps in TDM-web end with an OK. If button is not visible scroll down to locate it 4. Complete the following administrative steps Update Draw Settings (do once for each tournament)) Click on Draws menu Click on Draw Properties button Uncheck this box: Show Match Date (mm/dd) Check this box Show Schedule Information for Played Match Then click OK Temporarily hide seeds and competitors Click Publish Options link (top menu line on right) Check Hide Seeds and Hide Competitors boxes (if not checked) Save and Close Run Tournament Fee Report (to confirm that each player s card accepted charge) Click Reports link (top menu line on right) > Tournament Fees > update menu if you wish > Generate Report (scroll down if needed) Players identified as unpaid are highlighted in yellow. This includes players who registered online whose credit cards did not accept the charge, and players who have been manually entered by the tournament director. Lock Players (no longer needed; players are now locked automatically) 5. Continue to set up the tournament as follows (using the detailed click-by-click Q&A s steps referenced below as needed): a. 10 L7 tournament use 10 L7 Regs. and Round Robin Procedures - separate document on the Tournament Director Information page

Other tournaments continue to use steps below in this document Events menu Edit events as needed (step # 12) Example: Adult tournament 2 or 3 players are registered you must change draw type to round robin Events menu Add-withdraw-move players among events as needed (steps # 13-17) Events menu Match up and link doubles partners (step #18) Events menu Seed each event and set up round robins if needed Junior tournaments use most recent Standings lists (steps # 21-23) Adult tournaments Seed men s open and senior divisions with seeding chair list of seeding chairs is on the Tournament Director Info page. Seed other events using most recent Standings lists (steps # 21-23) Draws menu Make draw for each event (step #29) Draws menu Add start times to each event (step #35) Review all information Show seeds and competitors(they are probably hidden by default) Click Publish Options link (top menu line on right) > uncheck the boxes Save and Close Show draws (they are hidden by default) Draws menu > Display Options > Select All > OK Check the tournament home page on TennisLink to be sure all information is displayed properly Note: Once the draw has been posted the tournament director MUST communicate all draw changes and start time changes that affect if or when a player is scheduled to play (start time has changed, an alternate has been placed into the draw, a match is not being played due to withdrawal of opponent, etc.) 6. Print the draws for display at the tournament and to record a hard copy of winners/scores Draws menu > Print Options > follow prompts 7. When matches are played - add scores to the draws. Draws menu > Score Entry > add winners/scores > Save (step #39) TDM Q&A s a click-by-click guide General Information 8. How do I add or update messages and notes to tournament home page? Click Go to Sanction Form link (top menu line on right) Click on General tab at top of sanction form Update Notes, Message, and Reusable Messages as needed Tournament notes can also be added/updated on the Home-General page of TDM Review edited information on tournament home page on TennisLink to be sure it displays correctly 9. How can I locate a player s contact information using Player Explorer? Player is included in the tournament - this is done from the Events menu In the Events menu, click on the correct event and the player s name Then check the Player Explorer on the right side menu This Tournament - email address and phone numbers entered by the player during online registration Master Info contact information from Member Service

Tournament Set Up Guidelines: Follow These Steps and TDM Q&A s Page 4 Player is not included in the tournament Note: player phone #s and email addresses are listed only for players in your tournament database; i.e., have played in this or one of your previous tournaments In the Events menu, click on the event to which you may add the player In Player Explorer menu on the right > Master Info menu > Search for a Player Type player s name and state (or USTA #) into search boxes > Search Typically a few letters of most last names and perhaps the state are sufficient.this is a fuzzy search function - do not fill in more information than you need, as one wrong letter will eliminate a name. A long list of players can be sorted by menu titles. Sorting by zip code brings New England names to the top Locate and select the correct player > OK 10. How can I update the Fee Report by adding player payments? In the Events menu, click on the event and player s name who made a payment In Player Explorer menu on the right > select This Tournament Scroll down player s information and update Fee Paid field Events Button Menu 11. How can I change the draw type in an Event? Example: from single elimination (SE) to round robin (RR) In the Events menu, click on the event title Click on Edit Event [menu above the event titles] Use drop-down menu to change Draw Type If new draw type is Round Robin, check the Round Limit box to be sure it shows the correct number of rounds (1 round for 2 adult players/teams; 3 rounds for 3-4 players; 5 rounds for 5-6 players) Click OK An event can be changed from single elimination to FMLC or FRLC with the draw made. All scores that have been entered will be retained. If a draw has been made the draw type cannot be changed from single elimination to round robin (or from RR to SE). First unmake the draw in the Draws menu 12. How can I add players to an event from phone and mail entries by using a USTA number? Click on second line button menu Events Click on Event Name (highlighted in blue) Click on Add Player [bottom center of screen] Type player membership # into top left box Click on Search Click on player identified by that number > Click on OK The player is now entered into the event If a non-member player is improperly entered, a red mark will show. See instruction below on Reconciling Invalid/ Non-member Players For additional information, see the Help menu tutorials 13. How can I add players to an event from phone and mail entries using a name search? Click on second line button menu Events Click on Event Name (highlighted in blue) Click on Add Player [bottom center of screen] Type player s name and address info into search boxes This is a fuzzy search function; do not type more letters of a name or address than you need, as one wrong letter will eliminate a name. How can I move and copy players from one event to another? Click on second line button menu Events Click on Event Name (highlighted in blue) Transfer a player to another event before draw is made (i.e.; from B14 singles to B16 singles) Click on the player s name Drag-and-drop the player onto the title line of the event he/she is being transferred to Copy a player to another event before or after draw is made (i.e.; a player in singles should also be in doubles) Click on the player s name and hold the mouse button down Hold down the keyboard s shift key Drag-and-drop the player onto the title line of the event he/she is being copied to > OK or Click on the player s name Click on the title of the event into which you wish to copy the player Click on Add [lower right of screen at bottom of Player Explorer] > OK (note: do not use Add Player at the bottom of Events) 15. How can I move an Alternate into an event as a Player? Locate the Alternate s name in the Alternates box Use the handle at left side of name to drag the alternate to the Players box 16. How can I withdraw a player from an event, or move a Player to the Alternates box? If draw is not made same procedure as step above If draw is made see instructions in DRAWS below 17. How can I match up and link doubles partners before making the draw? The partners must both be linked in the Events menu as follows: Player A (Partner B) Player B (Partner A) Events menu > Click on Event title Click on a player s name Click on Edit Event > select partner > OK Then complete seedings per step #21 (adults) or step #22 (juniors) below 18. How can I unlink doubles partners? If the draw is not made follow procedure above If the draw is made see instructions in DRAWS below 19. How can I set up round robin flights? 10 L7 and 12, 14 L7 Round Robin Tournaments See separate procedures on the Tournament Director Information page www.ustanewengland.com > ADULT or JUNIOR tournaments > tournament director info Other round robin events Use the 12, 14 L7 procedures referenced above as a guideline Adult tournament round robins may be unseeded at the discretion of the tournament director. If seeded, players are typically placed in flights with one seed per flight 20. How do I seed singles players? Events menu > Event title

Tournament Set Up Guidelines: Follow These Steps and TDM Q&A s Page 6 Auto Seed Players click on Auto Seed box at bottom center of screen Modify menus to read Players [current year] New England *All List Types Click Search Click on the most recent New England Standing List (Combined) > OK Specify the number of players to seed > OK > OK (if needed) Auto Seed the Alternates Follow procedure above, except on the first menu specify Alternates (if needed) Manually adjust seeds (example: per instruction of adult seeding chair) Click Manual Seed button and adjust seeding numbers as needed Only one member of a doubles team is shown Seed the correct number of players: www.ustanewengland.com > ADULTS or JUNIORS tournaments > tournament director info 3 11 players or teams > seed 2 24 47 players or teams > seed 8 12 23 players or teams > seed 4 48 64 players or teams > seed 16 Be sure you are searching for and using the correct lists: New England lists NOT New England-Connecticut, New England-Eastern Mass., etc. Use the most recent Standings lists NOT Endorsement lists, Final Rankings, etc. 21. How do I seed adult doubles teams? (for adults doubles teams are ranked) All players names must be linked with their doubles partner Follow singles seeding Auto Seed instructions above; except Specify the number of teams to seed 22. How do I seed junior doubles teams? (for juniors individual players are ranked) Events menu > Event title Be sure that all players names are linked with their doubles partner step #17 Auto Seed click on Auto Seed box at bottom center of screen Modify menus to read Players [current year] New England *All List Types Click Search Select the most recent New England Standing List (click on title to highlight in blue) > OK Specify the total number of players in the event (NOT # of teams, NOT the # of seeds) > OK Read the automatic seed completed message > OK Click on top line menu Reports > Seeding Reports Review the seeding report, and print if needed Players identified as unpaid are highlighted in yellow. This includes players whose credit cards did not accept the charge when they were selected, and players who the tournament director manually entered. Report has more than one page? - use the arrows above top of report Report error message? - www.usta.com/tdm > click on the Problems link > scroll down to item #3 > download/install Crystal Reports Setup file Calculate the sum of (i.e., add together) the ranking of both players of the teams. The team with the lowest sum of ranks is seeded #1; second lowest #2, etc. A team with two ranked players is seeded ahead of a team with one ranked player and one unranked player (ranking = NA). Example of calculating sums to determine seeding order: 13/27 = 30; 15/16 = 31; 11/NA = NA; NA/NA = NA. Double click on a player s name; manually enter seeding number (both players on the team will be seeded)

How do I find which players are not in the draw? Click on second line button menu Events Click on Event Name (highlighted in blue) In the Players menu: click on the handle at left side of name of the first players in the event Shift-click on the handle of the last player in the event all players names are highlighted Drag the Players to the Alternates menu Only players not in the draw will move to Alternates A Player not in the draw or Alternate may be removed from the event if desired Note: Players and Alternates who are not in the draw may be withdrawn from the tournament by clicking on the player s name and clicking the Withdraw Player(s) box at the bottom of the Events panel 25. How do I create and locate a 3 rd /4 th place playoff match in TDM? Click on Events menu Click on Event Name Click on Edit Event (menu line above the events) Click on Draw Information (left side) Locate "Playoffs" menu. Change from "None" to "Top 4" > OK Click on Draws menu Select the correct event, and click on the drop-down menu showing Main Draw and select the 3 rd /4 th PL draw. Enter start times for the match. Often the match is scheduled at the same time as the Finals, so that SF players can plan to play whether they win or lose When the Main Draw semi-finals scores are entered, the names of the 3rd/4th playoff players are transferred to the 3 rd 4 th PL draw. 26. How do I create a new event in TDM, and populate it with players? (example: so that round robin winners can have a playoff round) Click on second line button menu Events Click on Create Event (menu line above the existing events) Specify the Division (example: NTRP Women's 4.0 Singles) Update the Event Name at top (example: NTRP Women's 4.0 Singles - Playoff) Specify the Draw Type (usually Single Elimination or Round Robin) > OK Add players to the event - see "copy players" step #16 above Make a draw and enter scores as usual Groups Button Menu 27. How can the Groups function be used? The Groups function may be used to separate players in the draw. The tournament director may set up Groups only as allowed by regulations. Friend at Court USTA Reg. II.B.4.g outlines the procedure for manually separating players from a draw. The TDM program is not always able to separate all players, and the referee/tournament director must confirm separation on the draw. Junior tournament regulation 5.A.v - siblings may be separated Adult tournament regulation I.B.4 - same family-school-club-town may be separated; at the request of a player BEFORE THE DRAW IS DONE In TDM: Groups menu > create new group > name the group (ex> "Bouchard") > specify group type > OK

How do I make a draw? Draws menu > Make Make/Unmake Options > follow prompts to make one or more draws Do not remake draws the first draw made is the one to use 29. What if TDM won t make a draw? The most likely reason is that no Draw Type is listed for the Event Click on second line button menu Events to return to Events This instruction applies if the Draw Type column to the right of an Event Name and Players is blank Click on Event Name (highlighted in blue) Click on Edit Event (box above listing of event names) Click on Draw Type drop-down menu triangle Move vertical slider bar > click on name of desired type of draw For Round Robin draw type, also change Round Limit box to correct number of rounds: 3 rounds for three or four players; 4 rounds for five players OK 30. What if TDM won t make a draw and the Draw Type is listed? Too many seeds may be listed Review correct number of seeds per step #24 above and Friend at Court Click on second line button menu Events to return to Events Click on Event Name (highlighted in blue) Double click on a player s name who should not be seeded; adjust seeding number to zero ( 0 )... or Click on Manual Seed box at bottom center of screen to adjust multiple seeding numbers to zero ( 0 ) 31. How do I move players around on the draw lines? Players can be moved only per Friend at Court and as discussed with USTA Otherwise it is manipulating the draw Click on second line button menu Draws Select the draw you wish from the drop-down menu Starting at the top of the draw: Right-click on a player name or Bye you wish to move Left-click on Change player on draw line Left-click on the drop-down menu Specify new player o Typically replace with another player s name or replace with a Bye [first item on list] to match a manually made draw or replace with To Be Determined [second item on list] to take an existing player out of the draw. Then replace the TBD with a bye if there is no replacement player 32. How do I remove or change a singles player in the draw? Click on second line button menu Events If player to be added to the draw is an Alternate, the player must be moved to the Players box. See the Events instructions above as needed Can t see the Alternates names? see instruction #5 above Click on second line button menu Draws Select the draw you wish from the drop-down menu Right-click on the player name you wish to remove
