Granby Rovers Soccer Club Meeting Minutes September 2, 2010 Opening: A regular meeting of the Granby Rovers Soccer Club was held at 8:00 PM on September 2, 2010 in the Granby Board of Education building. Minutes David welcomed everyone back for the fall season. He began the meeting by asking if anyone have any general things or questions before we get started with meeting. A question was asked to define the rules for uniforms. David indicated that the term itself ( uniforms ) implies that all players will have the same kit, so there is no specific Rovers policy. CJSA requires teams have the same uniform, and it s possible that a referee could not allow a non-conforming player to participate in the game. It s understood that occasional deviations from uniform do occur, such as when uniform Page 1 of 5
shorts or socks were misplaced. In such cases a substitute in the same color will likely suffice subject to acceptance by the referee. David extended a special thanks to Kelly Dimeo for taking care of the new uniform order for this year. David asked for a motion to approve August meeting minutes however Becky had one change under section five, the Board did not approve new coaches as mentioned in the meeting however deferred the approvals for another meeting. This change to the minutes has been made. A question was raised that if a Coach is going to be absent, can any parent fill in? David advised that every player and every Coach require a players pass according to CJSA. If a players pass is not presented to the referees, that individual is not authorized to Coach or play and must sit with the spectators and not on the sidelines with the team. It was suggested that all Board Members should get passes and submitted on some rosters as a Coach to backfill in the event that a Coach or Assistant Coach isn t available. Shelly Lockwood also mentioned that there is a need for additional training on what to expect as a new Coach and Team Manager. She suggested holding a Team Manager s Meeting. A checklist and / or timeline should be prepared for Team Managers as suggested by U9 Team Manager. New Managers, Coaches and Assistant Coaches are urged to send Kelly Rome any new questions, concerns so she can include the answers in the Team Managers handbook. II. Treasurer s Report (Linda Holden) Two weeks ago all Treasurer s were sent a request for annual report which is due in a week. Linda sent all current treasurers assessments for fall today, including current referee which can now be passed on to the parents. These fees are due no later than Oct 15 th. Linda advised that she has patches and if anyone requires them for upcoming tournaments especially Columbus day, please email Linda. III. Registrar s Report (Terri Ziemnicki) Absent. David spoke in her absence and advised that Terry thanked all for their cooperation in getting the teams registered. Player passes are ready for all teams except U9 and U13 girls. David reminded all that passes are required to be laminated and signed and can be laminated at Staples. David also advised that a copy of the signed roster must accompany the Coaches or Team Manager at every Cup game. Rosters will be distributed by Terri. Page 2 of 5
For those playing in the CT cup, a special roster requires signing. Patrick showed an example. Terri will email a password to everyone soon so game scores can be entered into the website. It was brought to everyone s attention that by Sunday evening following the weekend games, the scores must be published for both weekend games. This includes both friendly and league games. BYSA is where you enter the game scores. Go to the Rovers website and simply click on the Links tab and then the BYSA tab. The district advised that there is an increase in teams not reporting results. At the end of the playing season, if league games are not reported by midnight of the last weekend of play, the offending teams will be issued a monetary fine. IV. Coaching Director s Report (Dave Emery) Absent. David had nothing new to report. V. Boys Coaching Director (Becky Sielman) Becky advised that the organization has finished drop in soccer for the summer. She advised that there was a wonderful turn out with U9 boys and U13 boys and the program was very successful. Becky thanked all for the success. Shawn also thanked everyone for the success of the high school and adult drop in soccer that took place on Thursday evenings. Shelly Lockwood asked if there were pick up games for Coaches. Shawn asked that she email him with some dates and times that the U13 Coach may be interested in. Becky finished with the announcement that all of the boy s teams are all set and doing well. VI. Girls Coaching Director (Mary Hunt) Absent. Mary has resigned her post as Girls Director. David thanked her for her many years of service. He also announced that the organization would like to have someone in a younger age division volunteer so they will be with us for a length of time similar to Mary s tenure. He stressed that this organization relies on volunteers and is only as successful as people that are in it. VII. Website (Kelly Rome) Kelly had a couple sessions on how to navigate through the website and how to schedule games. She asked that if anyone wants something posted on the website, to contact her and she ll get it posted. Page 3 of 5
VII. Field Maintenance (Shawn Bendig) Field 2 sprinkler heads were broken. Eric reported to DPW. Field lines have been sporadic due to water being out, timing issues, valve issues with one of the heads. Shawn advised that the CO2 tanks were empty and require refills and asked Karrie to refill them. Shawn advised that we will be needing volunteers to help with setting up goal anchors. They need to be set in concrete first and then put in goals. This needs to be accomplished on a Friday night. Needs to replace the lock on our storage shed and will send out emails with the combination number to get into the locked shed. Shawn asked that he be contacted if anyone is aware of any issue going on with any of the fields. David mentioned that if using the back parking lot off route 20, Coaches/Managers have to be with kids at all times if you are parking in that lot. Parents must pick up their son or daughter before the Coaches and or Managers go home. Kids will not be allowed to go through the woods alone. Please police it and advise parents to park in the Salmon Brook park and not use that lot on Route 20 unless parents are willing to come to the field to pick up their children. No kids will be allowed to leave in that area. Please pick up plastic bottles, trash, etc. that is left behind. David asked that everyone do their part and clean up the park and dispose of trash in the receptacles available at the park. Shawn has tried to coordinate with the Town to get recycling bins however to no avail but will continue to try. IX. Referees Report (Pam Hansen) Absent. X. All consent forms and waiver forms need to be turned in before 1 st weekend of play. Topic: Reporting Results It is the Team Responsibility to report results and must be done according to CJSA Topic: Blow Out Games It is a CJSA unwritten rule that if one team is blowing away the opposing team, common sportsmanship should apply and the team should be asked to cease and desist from scoring. XI.
