Finance Financial report for February 2015 circulated prior to the meeting and a copy tabled at the meeting. Discussed the funding support criteria for the Takapuna Camp, 14-15 February 2015. Elizabeth Stannard eligible for financial support for this event because she had participated or volunteered for 2 club events in the 12 months prior to the 27 th of March 2015. Agreed that in future the club makes it clear to potential candidates what the criteria is to be eligible for funding support. Dave Scott raised the concept of a generic funding methodology. This would include Selecting specific competitions through the year that the club agrees to support members to attend. Deciding on the minimum criteria to be met by members for each selected competition Deciding an amount per person for those who meet the criteria and complete their event. Discussion centred on how the competitions would be chosen, the particular criteria for each competition and how the amount for each would be decided. There were differences in opinion about whether committee members who themselves or their family may benefit from the funding, should be able to participate in discussion or vote on the 3 areas above. No entrants for this event so far. Dave propose that this be a free event if enter online prior to the event, $30 if enrol on the day, cap at 50 teams. Dave and Barrie to be joint Race Directors. Same course layout / method as last Team Relay event. Dave Scott / Jenness Fulton 2 SGM 12 April SGM info has not been sent in time for the 12 th April event. Decision to move SGM to 3 May. Jenness Fulton to send SGM information to members. MOVED that the SGM be moved to 3 May 2015 Dave Scott / Jenness Fulton 3 Reports on Previous Events Barrie, Splash and Dash. 4 events, between 40 and 70 entrants over the 4 events. Lido helpful. Higgins contributed sweets. Andy, Kids Tri. Successful, good numbers, similar to last year. 50 volunteers. Secondary Schools Champs Taupo. General comment, poor attendance. Intermediate / Primary School event. Good attendance, 280 competitors. Whanau Triathlon. 650 entries. Sport Manawatu contracted to run the event on behalf of MidCentral DHB. MTC received $3,000 to assist with STMS expertise and use of club equipment. Murray Matthews under extreme stress before and during event and will not be responsible for STMS for this event in future. 1 Dave Scott to provide feedback to 1 Amended from original minutes as per proposed amendment in next minutes 3

Sport Manawatu and discuss future options with them and report back to the committee. 4 Saturday Training Dave Scott proposed training at the Lido every week rather than every second week. Will cost an extra $800. Dave to talk with trainers to organise dates and availability. The information will be posted to Facebook and trainers will be given access to Google Calendar to update sessions. Jenness Fulton to organise. MOVED that the Saturday morning coaching sessions at the Lido be every week rather than every second week at an extra cost of $800. 5 Barrie s Ideas AGM date same day as duathlon prize giving. Propose 4 Winter Duathlon series events, the 4 th event being Club Champs. The best 3 events of the 4 count for points. The 5 th event becomes Dads Day Duathlon, (Sunday 6 September 2015), AGM and prize giving. 6 Transponders Better system for allocating transponders required. Handing out on the day takes a lot of time before the event; need to be rinsed after the event. Time consuming. Ideally issue a transponder to each member at the start of the season which becomes their number for the whole season. Saves time on the day. Will get people losing / forgetting the transponders. The Transponders cost $AUD10 each and the straps cost $NZD7 each. People to think about a solution and bring back to the next meeting. 7 Inflatable Arch ($5,000) NZCT have confirmed funding $2k towards the arch. Waiting for ECCT application outcome ($3k). Will hear this week. Malcolm Brown asking whether we should order the arch now, knowing we have $2k already. Risk that the price will change from the quote if wait too long. MOVED that the order to purchase the inflatable arch for $5,000 be placed now. Malcolm Brown / John Brenkley 8 Winter Duathlon Series Advertising to go out now. Jenness Fulton will forward the poster to Campbell McNeill at Sport Manawatu. Malcolm Brown to be the Race Director for all events in the series. No sponsors for the series apart from Club Sponsors Dates for the series to be forwarded to Simon Brownie at Linton Camp by Jenness Fulton. Given military security issues at present, need to consider alternative venues if access to Linton Camp not possible. Manfield an option? Dave Scott to provide feedback to Sport Manawatu on the Whanau Tri and discuss future options with them and report back to the committee. Jenness Fulton to organise posting new information re Saturday Coaching sessions to Facebook and trainers will be given access to Google Calendar to update sessions. Jenness Fulton will forward the Winter Series Duathlon poster to Campbell McNeill at Sport Manawatu. Jenness Fulton will forward the dates for the Winter Duathlon Series to Simon Brownie at Linton Camp. 5
