INTRODUCTION QUICK GUIDE IPC SPORT ENTRY AND BIPARTITE SYSTEM (EBS) LONDON 2012 BIPARTITE PROCESS The IPC Sport Entry & Bipartite System (EBS) allows to enter athletes to events offered at those competitions which are recognised by the IPC and the IPC has control on entries and/or the bipartite process. For entries, the requirements, rules, and regulations are implemented into this application. Entry performances as well as person and classification related information are directly extracted from the IPC Sport Data Management (SDMS) and the online rankings, respectively. Only athletes meeting all criteria can be selected. If there is a bipartite process available, bipartites can be applied for athletes registered/licensed in SDMS, as well as reviewed, confirmed or rejected by the IPC. The focus of this document is set to the bipartite process for London 2012. The full manual including the entry section of EBS can be found online (see Access ). ACCESS The application is located under http://www.paralympic.org/entries/ The SDMS user account allows access to EBS if the user has the specific rights. If the password has been forgotten or not provided, please contact sdmsadmin@paralympic.org. You can now enter the different bipartite application section for London 2012 Paralympic Games through the menu bar at the top. PROCESS LONDON 2012 BIPARTITES During the London 2012 Bipartite process you have following options: 1. Apply for a new bipartite. 2. Review (and change) an already submitted application. 3. Download an overview of your applications. Option 1 is not possible when the deadline for the respective sport has passed. Changing applications is also possible only before the deadline and before the responsible federation has finally accepted the application. Be aware that after final application acceptance or the deadline you are not able to change your applications! 1. APPLY FOR A NEW BIPARTITE Select from the menu bar above: Bipartite Management > London 2012 PG > New Application. Alternatively, you can also go to Application Overview and click the button New Bipartite Application. On the next screen, you are requested to select the sport of the new application. Only sports whose deadlines have not passed, yet, are selectable. After you have confirmed your selection, a blank form appears. The layout depends on the selection of sport.
1.1. CORE DATA FOR IPC SPORTS The following is the layout for a sport governed by the IPC (here Athletics, Swimming, Powerlifting, Shooting): Yellow fields are obligatory, gray fields automatically filled upon submission. The section of core data consists of following fields. NPC Code Zone SDMS ID Name Date of Birth Gender Sport Class(es) National Paralympic Committee the athlete participates for. NPC Code Region, the NPC belongs to ID of the athlete in the IPC Sport Data Management System (SDMS). The athlete must exist in SDMS otherwise an application is not possible and an error is thrown upon attempt of submission. Family & Given Name of the athlete in the format yyyy-mm-dd Male/Female Class of the athlete she/he is currently classified in Personal and classification related information are extracted from SDMS if the SDMS ID was correct. Otherwise you will get following error: Please make sure that you enter the correct SDMS ID. In case of incorrect personal or classification related data, please amend them in SDMS or ask the responsible IPC Sport Department for support.
1.2. CORE DATA FOR NON-IPC SPORTS The following is the layout for a sport not governed by the IPC (here Archery, Equestrian, Judo, Wheelchair Tennis): Yellow fields are obligatory, gray fields automatically filled upon submission. The section of core data consists of following fields. NPC Code Zone IPSF ID Name Date of Birth Gender Sport Class Classification Status Motivation National Paralympic Committee the athlete participates for. NPC Code Region, the NPC belongs to Registration ID of the athlete in the responsible International Paralympic Sport Federation (IPSF). For Archery, the FITA ID is obligatory. Family & Given Name of the athlete in the format yyyy-mm-dd; when field is selected, a small calendar tool supports you in the date selection Male/Female Class of the athlete she/he is currently classified in; if the athlete is not classified, yet, select that class that seems to match at best Archery only: type in the current class status (New, Review, Confirmed) Equestrian only: type in the motiviation of this athlete for application Please make sure that the information you enter are correct. Incomplete or wrong data nullifies the application.
1.3. EVENTS Finally, you have to fill out following fields for at least one event the athlete would like to compete in. Event Best Performance Competition Date Location Highest 70m Round Result Highest FITA Round Result MQS Achieved The event (e.g., Discus, 50m Freestyle, Individual Recurve, Dressage Freestyle, R5 10m Air Rifle Prone SH2) or weight category (e.g. - 48kg) the athlete would like to compete in Best performance the athlete achieved in that event category format is arbitrary but should fit to the result format of the sport and event (times, widths, points, final ranking position etc). Some sports allow the application of bipartite for participation in several events. Following buttons can be used to define the number of events. Click on Add another Event to apply for the potential participation of more events. That increases the number of events you can fill out according to the table above by one. The maximum is set to 9. Of course, for some sports one event is the maximum (e.g. Powerlifting). Make sure that you do not exceed the maximum allowed by the respective sport, otherwise the application could be ignored from the beginning. Click on Remove last Event to delete that event with the highest number. That decreases the number of events by one. 1.4. FINAL SUBMISSION Any new application as well as updates on already existing applications are only submitted when you click the button Submit Application or Update Application, respectively. If you get this message your application is accepted!
2. REVIEW AND UPDATE AN APPLICATION All submitted applications can be reviewed and updated. Select from the menu bar above: Bipartite Management > London 2012 PG > Application Overview. A search form and results matrix is shown similar to those known from SDMS. Please consult the SDMS manual, chapter 2.2., for information on their handling. Every application can be reviewed by clicking on the specific row that opens the application details as described above. Following buttons are offered at the bottom: Click on Update Application to save the changes of data you just did. Changes include both personal and event specific information. Whatever you submitted before is overwritten when you receive the notice about successful update of core and event data. Click on Refresh to reload latest data. Useful if you made changes but don t want to save them. Click on Delete to completely remove the application. Senseful if athlete can t compete anymore or you prefer to apply for other athletes with higher chances for acceptance. Click on New Application to apply for another bipartite. That will bring you to the application start screen (see chapter 1.). Be aware that after final application acceptance or the deadline you are not able to change or even remove your applications! 3. OVERVIEW DOWNLOAD The third option under Bipartite Management > London 2012 PG > Reports allows to download a simple Excel file with all your applications. Select the sport and click Overview of Bipartite Applications. Depending on your browser and settings, an Excel file is immediately opened or you may select between opening or downloading the Excel file. The sport drop down box specifies the overview if needed.
