PROMOTER'S CONDITIONS AND GENERAL INFORMATION Entry procedure This competition is open to all swimmers who have registered Bracknell & Wokingham Swimming Club as their ranking club with the ASA. Swimmers who are dual registered to Bracknell & Wokingham Swimming Club may enter this competition, but will be entered only on a time trial basis (see below). Entries must input to swim Manager and follow these conditions. Entries for Sessions 1, 2 and 3 must be input by 20 th May 2017. Entries for Sessions 3 & 4 must be input by 26 th August 2017. However swimmers are encouraged to enter all five sessions with one on-line entry. All times submitted on the entry system must be short course times (either actual or converted long course times). All submitted times must have been achieved since 1 September 2016; or if no time is available must be estimated by the swimmer s coach. Entries submitted without times will not be processed. If in doubt please consult the swimmer s coach. The entry system also asks for the swimmer s ASA number. This is now an absolute requirement to facilitate processing of results onto the Amateur Swimming Association s Rankings Database. If the ASA number is unknown, it can be determined at the following website address: http://www.swimmingresults.org/customerservices/membershipcheck/index.php For all swimming squads, including Masters, there are no entry fees applicable to this Meet; entry fees having been covered in the annual subscriptions to the Club. All entries must be input by the swimmer, or their parent / guardian if they are under 18 years of age, who, by their inputting, confirms that: the entrant is an ASA Registered swimmer, with their ASA number as recorded on the entry form, as a Category 2 swimmer, the swimmer has read and understood the Promoter's Conditions and accepts them, the entrant is a Club member, the date of birth declared and entry times have been checked and found to be correct, the entrant s details, i.e. Name, Date of Birth and Club are the same as is recorded on their ASA Registration. Entries for this Meet will be held on a computer and consent, as required by the Data Protection Act, to the holding of personal information on computer will be deemed to have been given by the submission of the entry. Personal data will be available for inspection during the Meet on advance application to the Promoter. Entries will be confirmed as soon as possible after the closing dates. If it becomes necessary to restrict entries any unaccepted entries will be advised as soon as practicable after the closing dates. Time Trials We will be offering time trials where there would otherwise be empty lanes. Time trials will be swum in the appropriate seeding order (but not in the final heat) based on submitted times which must fall within the qualifying times criteria. Time trials will be initially offered to rejected and then dual registered swimmers on a first come first served basis. Any competitors wishing to swim time trials should call the entries secretary prior to the meet or go to the Competitors Helpdesk upon arrival at the event. There will be a charge of 2.50 per time trial swim for all late entries and dual registered swimmers; though any time trials offered to rejected swimmers will be offered on a no charge basis.

Full details will be sent with confirmation of entries. All events are Heat Declared Winner (HDW). Heats will be seeded from submitted entry times with slowest swimmers first. The final heat will be spearheaded. Please note that whilst for the most part we will be swimming Boys and Girls in separate events, the Promoter reserves the right to combine events into mixed heats if considered necessary. All age groups will be swum together.
All events are available for all age groups except that in accordance with the ASA rules, nine year old swimmers may not swim in individual stroke 100m events, though they may swim in the 100 IM. Nine and ten year old swimmers may enter, but are advised against entering the 400m IM. Ages are at 31 December 2017. The Promoter reserves the right to amend the Programme of Events to ensure the smooth running of the Championships. Qualifying and Upper Limit Times There are no Qualifying Times for any of the events. Similarly, there are no Upper Limit Times. Meet officials Please indicate on the entry form in the space provided if you are or have a parent or guardian who would be willing to provide assistance for these Championships as an Official, including timekeeper, or other gala assistant / volunteer. ASA law The Championships will be held under ASA Laws & ASA Technical Rules of Racing. No jury of appeal will be appointed. Over the top starts will be used when possible. Swimmers must remain in their lane after finishing their race until the next race has started, or instructed to leave the pool by the referee. Swimmers should leave the pool promptly by the sides, so as not to interfere with the timing equipment as applicable. Swimmers are reminded that the times displayed on the scoreboard at the end of race are only final when confirmed by the event referee. Consequently, scoreboard times are subject to change. Awards Awards will be made in each of the age/gender categories as well as an overall winner for each gender category. The presentation of all medals, rosettes and trophies will be made at the club's annual presentation evening in January. There will be no awards made for individual events. The age groups for awards are: Girls and Boys: 10 and under 11/12 years 13/14 years 15/16 years 17 years & over 2007 and later 2005/2006 2003/2004 2001/2002 2000 and before The scoring mechanism for this Meet will be such that a swimmer can only accumulate points from their best eight events that they enter for. The awards will be based on FINA points. Swims entered as time trials will not count toward any of the awards. Recognition of times These Championships have been licensed by the ASA as a Level 4 Meet. Times recorded at the Meet will therefore be accepted for entry into County Competitions and Championships, and will be sent to the ASA for inclusion on the Rankings Database. (Note that for the 2018 Berkshire and South Buckinghamshire County Championships a condition of entry is that submitted times for all events must have been achieved at an ASA licensed meet.)
Warm-up facilities The Pool will be available for warm-up before the start of each session; see the summary programme for warm up timings. Other conditions Competitors in the first event of each session must report to the Stewards 10 minutes before the scheduled start time. Competitors in other events must report to the Stewards one clear event before the event in which they are swimming. This event will be run without entry cards. Registration for competitors will be situated in the entrance foyer and will be closed at the times stated. Only competitors intending to swim should register. If a competitor does register and notice of withdrawal is not given to the Competitors Helpdesk, that competitor will not be allowed to swim in the events they have not registered for. If a competitor does not register before the published deadline, they will not be eligible to swim in that session. In line with ASA guidance on the taking of photos, the promoters of this event will require that any person wishing to engage in any video or still photograph (including mobile phones and tablet computers) register their details at the spectator entrance desk before carrying out any such photography.. They will be issued with a white wrist band which must be worn and visible at all times. Once registered we are happy for them to take photos and videos where their swimmer is the main subject of the photo. Any such photos and videos may only be for their own personal use and cannot be broadcast or published without the prior written consent of the Promoter. Bracknell & Wokingham SC will also have an official photographer to record the competition and images may be used for Club publications and on the Club s website (within the relevant ASA guidance). By entering, swimmers accept that their image may be captured and used as described above, Swimmers and parents who do not wish their images to be used should contact the promoters prior to entering the event. Any dispute related to a matter not covered in these conditions shall be determined by the Promoter. The Promoter can amend the programme of events to ensure the sooth running of the meet.
