INTERNATIONAL SCHOOL SPORT FEDERATION 5 th ISF WORLD EDUCATIONAL GAMES From 18 to 24 April 2018 Athens / Olympia Greece BULLETIN 1 The Executive Committee (EC) of the International School Sport Federation (ISF) has decided to entrust its aegis to the organisation of the 5 th ISF World Educational Games. The 5 th ISF World Educational Games are organised by the ISF, the Municipality of Athens, the Municipality of Ancient Olympia, and the Panhellenic Union of the Graduates of Physical Education - PEPFA, according to the International School Sport Federation rules. The duration of the 5 th ISF World Educational Games has been extended by one day. The extra day will be held in Ancient Olympia where a special Sport / Educational Event will take place, in cooperation with International Olympic Academy, the Panhellenic Union of the Graduates of Physical Education - PEPFA and Municipality of Ancient Olympia. Further details on this event will be published in the next bulletin. 1. INVITATION Invitations to participate in these ISF World Educational Games are being sent to all school sport organisations which are full or associate members of the ISF, to the members of the ISF Executive Committee for information and to Special Olympics International and Special Olympics EurAsia, implementing the MoU signed by both organisations. 2. COMPOSITION OF TEAMS AND RULES FOR PARTICIPATION 2.1. Each country may enter one or more delegations composed of 4 boys and 4 girls, one teacher and one Head of Delegation (maximum 10 persons). Students may be from the same school or from different schools. As the event focuses on education and culture, students can be selected from any kind of sport, but they should have special merits in school sport in the country concerned. Each country can additionally enter one or more delegations composed of students with intellectual disability (Special Olympics Teams see point 2.7 below). 2.2. All participating students must have been born in 2000/2001/2002/2003. Neither older nor younger student will be accepted, unless for the Special Olympics Teams where exceptions can be requested. 2.3. Each delegation shall nominate a Head of Delegation who shall be responsible for his/her delegation. He/she shall be the sole intermediary between his/her delegation and the Organising Committee and the ISF Delegate.
2.4. Each participating country has the right to add 4 extra adults whose function must be specified: doctor, physiotherapist, interpreter, security personnel, ministerial representative, journalist, Any other additional persons will not be considered part of the official delegation, and will not be accredited by the OC. 2.5. Students must be enrolled as full-time students at the school they represent. They must be attending schools which provide a general education. The following are not eligible to participate: a. pupils of vocational schools who only attend that school as a complement to their vocational training b. students enrolled at schools which provide sports training without any general education c. part-time (e.g. afternoon) sports schools which take students from a variety of schools for training in one or more sports d. teams formed as part of clubs, companies, universities or other institutions 2.6. Implementing the MoU signed by the ISF and Special Olympics International, delegations from Special Olympics Teams, from all over the world can also participate in the 5 th ISF World Educational Games. 2.7. All disciplines will be unified (participation of athletes of ISF delegations together with athletes of Special Olympics). 2.8. All the delegations will be hosted in hotels in the areas of Attica and Ancient Olympia. Details regarding the accommodation will be released in due time. 3. TRAVEL 4.1. Travel as far as Eleftherios Venizelos International Airport of Athens is to be arranged and financed by each participating country. 4.2. The organisers will finance and be responsible for transfer of delegations between Eleftherios Venizelos International Airport and their accommodation on arrival and departure and similarly all transport in connection with the official programme (sports and cultural programmes). 5. FINANCES AND INSURANCE 5.1. In return for the entry fees which are fixed by the ISF Executive Committee, the Organising Committee will be responsible for board and lodging for participants for the duration of the event, for the sports and the cultural programme activities and for all transport in connection with the official programme (arrival, departure, sports and cultural programmes). 5.2. In accordance with the rules laid down by ISF, the payment to be made to the organisers of the 5 th World Educational Games amounts to 50 EUR per person and per night for a maximum of 10 persons. 4
5.3. An additional ISF levy of 40 EUR per delegation member will be collected at the time of accreditation. 5.4. The total sum per person is therefore 300 EUR + 40 EUR = 340 EUR. 5.5. When the distance between Athens and the capital of a participating country on another continent exceeds 5000 kilometres the delegation may extend its stay by arriving one day earlier (50 EUR per person). 5.6. For the maximum 4 additional adults the following regulation applies: - for a single room 100 EUR per night, - for a double/twin room (HOD + 1 additional person) 50 EUR per night each, - for a double/twin room (teacher + 1 additional person) 50 EUR per night each, - for a double/twin room (2 additional persons) 50 EUR per night each. Requests are to be made by the country concerned. 5.7. The organisation of an extended stay for the delegation (before or after the event) is a matter for the country concerned. It shall not be the responsibility of the Organising Committee. 5.8. Each country is required to provide insurance for each member of its delegation. At a minimum, the insurance is to cover civil liability, material damage and medical costs. 6. DEPOSITS Along with the entry, each country must pay a deposit of 100 per person as confirmation of the entry. The deposit must be sent as a single payment for the whole delegation by the organisation responsible for school sport (federation, trust, ministry, ). Payments by individual schools will not be accepted. The sum of the deposit will be deducted from the total cost of participation. The deposit is non-refundable in the event of non-participation unless the registered country has informed the organisers at least one month before the start of event or in the case of unusual or unforeseen circumstances (force majeure). The latter instance will require the approval of the ISF Management Committee. The balance is to be paid on arrival. The details will be specified in the next bulletin. All bank charges are to be met by the participating countries! 7. COMMITMENTS TO BE HONOURED BY DELEGATIONS 7.1. Each participant is required to be present throughout the duration of the event. 7.2. Each participant is obliged to take part in all sports and non-sport activities. 7.3. Each participant undertakes to respect all other participants and to take part in the Unified Games. 8. PRIZE-GIVING Each participant will receive a commemorative certificate. As it is an Education through Sport event, no medals will be presented. 9. REGISTRATION First registration on ERAS 10 th October 2017 Second registration on ERAS & payment of deposit 30 th November 2017 Recently it was decided to change the IT developer and to go for a new more user-friendly Electronic Registration and Accreditation System (ERAS 2017), as this was a common remark about last year s ERAS 2016. Your former username and password are therefore no longer valid, as is the URL http://www.isf-eras.be/en/login#/login. The new URL and login procedure has been sent to the ISF member countries by e-mail on 22 nd September 2017.
