ECU 2018 Homecoming Events - Rules and Guidelines Pirate TV Sponsored by Student Government Association Registration Form due: Monday, September 17 Participation Forms due: on Monday, October 1 General Information To participate in Homecoming festivities and be eligible for prizes, you must be an officially registered university student organization, department, unit, or residence hall. There is an application fee of $20.00. These funds aid with the cost of activities and must be paid by either cash or check (SGA funding is NOT allowed). Make checks payable to ECU Homecoming 2018. All applications and fees are due by Monday, September 17 th at the 1 st MANDATORY Student Organization Homecoming Meeting in Mendenhall Student Center Room 244. No late applications or payments accepted. Student organizations are welcome to partner and collaborate with other student organizations in order to compete in Homecoming activities together. However, Presidents signatures acknowledging the fact that a mutual decision was made to become a team from each organization are REQUIRED on the application. Please make checks payable to ECU Homecoming 2018. SGA funding cannot be allocated towards Homecoming activities. Student Organization Meetings (MANDATORY) All student organizations that wish to participate in the Homecoming festivities and competitions must attend TWO MANDATORY organization meetings held on: o Monday, September 17th, 2018 at 8:00pm in Mendenhall Great Room 244 o Monday, October 1st, 2018 at 8:00pm in Mendenhall Great Room 244 If your organization s official Homecoming representative is unable to attend, you must send a delegate to gain information discussed. Make certain to sign-in to be counted. The representative of your organization must be a current member. Prospective members are not permitted. If you do not send a legitimate representative of your organization, you will not be allowed to participate in any Spirit Cup activities. If your organization has selected a point person for Food Drive (delegating responsibilities of canned food contributions) this individual must attend the meeting on Monday, October 1st. All Homecoming Court candidates, both King and Queen, are required to attend the MANDATORY meeting with student organization representatives on Monday, September 17th, 2018 at 8:00pm in Mendenhall Student Center Room 244. King and Queen Candidates need to stay after the meeting for specific information and additional paperwork to include taking their pictures for the campus newspaper, The East Carolinian. 1

2018 SPIRIT CUP COMPETITIONS! Judging Members of student organization must create all original work and designs submitted into the competitions. Organizations will be disqualified from competitions if they are found to be using commercial or political advertising in any of the material submitted for judging. Failure to meet the guidelines for each competition will result in the disqualification from that competition. Vulgarity, nudity, references to drug use or other illegal activity will result in an automatic disqualification. Material that has been submitted for judging will be awarded 1-10 points based on the following categories: o Creativity (Imaginative, Artistic, Resourceful) o Originality (Unique, Inventive) o Design (Engaging, Appealing, Entertaining) o Workmanship (Quality, Effort) o Use of Theme and School Spirit (Incorporation, Representation, Interpretation) The judges decisions are final. Upon request, a copy of each competition s score sheet can be requested within 2 weeks of the conclusion of Homecoming. Paperwork for prizes earned during Homecoming will be distributed via email by October 29th and will be due by November 12. If a student organization does not have a current Federal Tax ID # on file with the university, or does not complete all required prize paperwork by November 12, it will result in a forfeiture. Cannonball Kick-Off: Monday, October 15 th Cannonball will be held on Monday, October 15th from 4-7pm at The Mall area center of campus. This event includes inflatable activities, live entertainment, free food, and freebies! 40% of the members in your student organization must attend and swipe-in with their ECU 1Card to qualify for points. If 40% attend, you will automatically receive 200 points toward the Spirit Cup. The top 10 King and Queen candidates from Pirate Port Voting by the student body will be announced for the first time at this event. You don t want to miss it! IMPORTANT UPDATE: *Points for attendance will ONLY be awarded if your members are on the organization roster in your OrgSync portal. It is your responsibility to UPDATE THIS INFORMATION! For more information on how to invite members to your People tab, please visit the OrgSync Help Desk and select People Walkthrough or contact the Student Organization Center at studentorganizations@ecu.edu. Banner Competition: Tuesday, October 16 th Banners must be designed HORIZONTALLY with the theme: Pirate TV. Banners must include 5 small holes along the top to aid in hanging on a railing. Banners must be the size of a STANDARD FULL BED SHEET (NO LARGER; NO SMALLER). Banners must include the student organization s name, Homecoming theme and ECU mascot (PeeDee or Skull & Crossbones design) as well as incorporate the opponent (UCF). A description of each organization s banner will be due at the mandatory meeting on October 1st (pg. 13). Banners must be dropped off to Student Recreation Center (SRC) on Sunday, October 14 th from 6-9pm. Plan to assist the Committee in hanging the banner on railings of the SRC as directed by their staff. Banners must not include GLITTER, FEATHERS, or any items that may fall off when hanging. The competition will be held in the Student Recreation Center. Judging will take place on Tuesday. Winners will be announced, in no particular order, by the conclusion of Tuesday and shared on social media. Banners will continue to be displayed in the SRC to promote Pirate Pride and school spirit. YOU MAY NOT RECEIVE YOUR BANNER BACK UNTIL THE FOLLOWING WEEK. Therefore, you will not be able to use it for your skit or float; plan accordingly. 2

Skit Competition: Wednesday, October 17 th Skits must be choreographed with the theme, Pirate TV, in mind. o Your music must be submitted at Skit Practice in 2 formats: on a CD and on a thumbdrive. o If your organization has a speaking role it is encouraged to have it pre-recorded. No microphone will be ability for use. o All props must be supplied by the organization. Lighting requests WILL NOT be an option; plan accordingly. There is to be NO profanity, discriminating language, obscene gestures, obscene themes or ideas in the performance. If these rules are not complied, disqualifications will occur. Reference to, or use of alcohol, drugs, or tobacco products is strictly prohibited at the Skit Competition. If ANY member from your organization appears to be under the influence, or currently using, a mind-altering substance, it will result in immediate disqualification for the ENTIRE organization at the discretion of the Homecoming Chair and Homecoming Advisor. As in any major campus event, ECU Police will be on-site and available to assist with any disruption within the audience or the performance area. The dress of the performers must correspond with the skit in a non-provocative way. Nudity is not permitted. Disqualifications will occur if these rules are not complied. There is a time limit of FIVE (5) minutes on all skits. A description of each organization s skit is due at the organization meeting on October 1st (pg. 14). There will be a MANDATORY skit practice on Sunday, October 14th, 2018 from 1:00 pm until 6:00 pm in Mendenhall Hendrix Theater. Organizations will sign-up for their designated time at the mandatory student organization meeting on October 1st, 2018. Skit Night will take place on Wednesday, October 17th, 2018 at 6:30pm in Minges Coliseum. All participating groups must have a representative present for the entire Skit Night. Groups must sign-in and report at 5:30pm. Doors for the event will not open to your organization until 6:00pm! The TOP 3 skits will be performed at the Freeboot Friday Pep Rally on Friday, October 19th, 2018 at the corner of 5 th and Evans St. in Five Points Plaza. More details to follow to the top 3 winners. Mark this date and time on your calendars should your organization be selected moving forward in the competition. Due to problems in the past, points will be deducted for any unsportsmanlike conduct or rudeness during Skit Night at the discretion of the Homecoming Chair and Homecoming Advisor. Think Fast Game Show: Thursday, October 18th Attend this interactive trivia event centered around pop culture, television, ECU related history and facts at 7:00 pm in Hendrix Theatre in Mendenhall Student Center) open to all ECU students with valid ECU 1Card ID. While this is not a spirit cup competition, it should not stop anyone from attending and having a ball with your friends! You can play as a group up to 6 people, or by yourself to really test your trivia knowledge! Come out and play for a chance to win a cash prize, courtesy of TJohnE. Non-Perishable Food Drive: Friday, October 19 th The Food Drive will be held on Friday, October 19th, 2018 from 11:00-5:00pm at the Food Bank of Central & Eastern North Carolina located on 1712 Union St. (off Frog Level Road), Greenville, NC 27834. This event is co-sponsored by Campus Kitchen at ECU and Pirate Pantry. At the first organization meeting on September 17th, each organization is required to select a time slot for drop off. On the day of the food drive (October 19th), your organization must be present during your scheduled time as students from the Homecoming Committee will be available to track each organization s deposit based on weight. Items must arrive at the drop-off stations and start at their designated time. A 100-point penalty will be deducted from your overall total if you fail to arrive by your scheduled time. 3

Organizations are required to have at least 5 volunteers to unload & sort items from their vehicles during dropoff, removing items from plastic bags, and cleaning up the space prior to leaving. All trash must be discarded. Regulations have been formatted to help clarify what will be accepted as a donation: 1. Large cans will NOT be accepted. 2. Food in glass jars will NOT be accepted. 3. Items that may melt if exposed to hot weather or heat will NOT be accepted. 4. Items such as boxed Pop-Tarts or Easy Mac must come in their original as purchased box. 5. Lose items such as cocoa mix packages or cider mix packages will NOT be accepted. 6. Baby foods will be accepted if long as they are not in glass jars. 7. Pet foods or other types of non-human edible goods will NOT be accepted. IMPORTANT UPDATE: Cases of water will be accepted. LIMIT of 20 (qty) 24 (packs) 16.9oz bottles ONLY. All other sized cases of water will be donated to Food Bank, but will not count towards your total weight. {5pts = per case of water with a maximum of 100 possible points to be earned} BONUS POINTS: MOST NEEDED ITEMS Again, this year, we will be focusing on the most needed items to include the Backpack for Kids program. To receive the extra bonus points, student organizations must have ALL items listed below to be counted. Please note: Student organizations are not required to purchase and fill backpacks. Come prepared for these items to be separate from your other donations to be counted and verified by a Homecoming Committee member during your assigned drop-off time. (24) Cans of Vienna Sausages, Tuna, or Chicken Salad in can (2) 12-count of Granola Bars (4) 6-pack of Microwave Popcorn (3) 8-count of Variety Snack Crackers (3) 8-pack of Juice Boxes (24) Chef Boyardee microwaveable bowls or Mac and Cheese microwavable bowls (2) Plastic jars of Peanut Butter One completed backpack includes ALL items above and is worth 200 BONUS POINTS with a maximum of 5 completed backpacks equaling 1,000 total bonus points. Overall, points will be based upon the number of pounds of food that you donate plus bonus points. All teams who participate will receive points based on the point system: 4 POUNDS = 1 POINT First, Second, and Third place will be determined based on the highest total weight of food donated and will receive the allotted additional points (500 pts/ 375 pts/ 250 pts) to their overall total. Pep Rally & Freeboot: Friday, October 19 th This year s Pep Rally will be held Friday, October 19th, 2018 during Freeboot Friday located in Uptown Greenville at the intersection of 5 th Street and Evans Street in Five Points Plaza from 5-8pm. Your Homecoming Court Top 5 Kings and Top 5 Queens will be featured as well as the Top 3 Skit Night finalists will perform, in no particular order. Join in the event to support your fellow Pirates and show your Pirate Pride along with the Greenville community! You could receive some Homecoming SWAG! The ECU Marching Pirates, ECU Dance Team, ECU Cheerleaders, and a local band will provide entertainment to a spirited crowd of students, faculty/staff, alumni and members within the community. 4

Float Competition/Parade: Saturday, October 20th Floats must be designed with the theme Pirate TV in mind. Floats must have the organization s name, the Homecoming theme and ECU or the Mascot (PeeDee or Skull & Crossbones) and incorporate the opponent (UCF) on the float to be judged. A banner will be provided by Office of Student Activities and Organizations (SAO) for your organization s members to walk in front of your float to help clarify which organization is next in the parade. Floats may not be taller than twelve feet from the pavement. Floats must be able to stand on their own without assistance from student members who are competing for Spirit Cup. Floats and/or trailers must be able to maneuver a street corner. Organizations must provide their own source of transportation for their float. Floats must either consist of a flatbed truck, a trailer pulled by a vehicle, or a walking float. A decorated vehicle is not appropriate for those competing in Spirit Cup. Alcohol or other mind-altering substances are strictly prohibited on any float and should not be referenced in any way. This also applies to student participants on the day of the Parade. If ANY member from your organization appears to be under the influence of a mind-altering substance, it will result in immediate disqualification for the ENTIRE organization in the Float Competition at the discretion of the Homecoming Chair and Homecoming Advisor. Check-in will start at 7AM and will end at 8AM on Saturday, October 20th, 2018 at the Wahl-Coats Elementary School parking lot. Judging will take place prior to the Parade as well as in front of the Chancellor s House. If you have not checked in by 8AM, you will not be eligible to participate in the Parade or have your float judged. Your organization will be disqualified if found to be using commercial or political advertising on your float. Due to past issues, points will be deducted for unsportsmanlike conduct of any kind involving other organization s float at the discretion of the Homecoming Chair and Homecoming Advisor. A description and sketch of each organization s float will be due at the mandatory organization meeting on October 2nd (pg. 15). Floats are to be held at the highest standard for each organization. Any that are seen as unacceptable by the Homecoming Chair and Homecoming Advisor will be disqualified from the competition and removed from participating in the Parade. Spectators are encouraged to watch the Parade along 5th Street. Parking is not permitted within any of the staging areas; not allowed at Wilkerson s Funeral Home and not allowed at Wahl-Coates Elementary School. 5

King & Queen Competition All candidates must: o have a minimum of a 2.5 GPA o be a current student of East Carolina University o be currently enrolled in their fourth consecutive semester or longer at ECU o be an active /current member of the nominating student organization Organizations that are single sex may nominate a non-active member of the opposite sex to represent their organization (for example, a fraternity may nominate a sorority woman, whom would represent the fraternity and not her sorority). Each organization (or pair of organizations if jointly working together) may only nominate one King candidate and one Queen candidate. CANDIDATE RESPONSIBILITIES Candidates are required to fill out the OrgSync Candidate Form by on September 17 th Sample forms with areas to address are found in the packet (pg. 11 and pg. 12). This information WILL be used during the court interviews and judging process. FILL IT OUT ACCURATELY AND COMPLETELY! Candidates MUST attend the MANDATORY Homecoming Meeting on September 17th, 2018 at 8:00 PM in the Mendenhall Student Center Great Room 244. Pictures for the school newspaper and website WILL BE TAKEN AT THE INFORMATIONAL MEETING ONLY. PLEASE COME PREPARED TO TAKE YOUR PICTURE ON MONDAY, SEPTEMBER 17th! HOMECOMING VOTING Voting will take place online via Pirate Port starting Wednesday, October 3rd at 12:01pm and will end Wednesday, October 10th, 2018 at 11:59pm. HOMECOMING COURT The Homecoming Court will then continue their quest towards becoming Homecoming King and Queen by completing a panel interview on Tuesday, October 16th, 2018. Only the top 5 females and top 5 males, based on the online voting, will participate in the interview process. The individuals who qualify will be announced at the Cannonball event on Monday, October 15 th, 2018. Candidates will be asked about and compared on: - Community and University service - Leadership - GPA - Student Vote (Oct. 3 - Oct. 10) The Homecoming Court will be REQUIRED to be present during the Homecoming week s activities (Cannonball Kickoff, Skit Night, Pep Rally/Free Boot Friday, Parade, and the Football game). If a candidate cannot attend any of these events for any reason, other than class, they will be ineligible to win the title of Homecoming King or Queen. The male and female that receive the highest overall points will be crowned King and Queen during the Halftime Show of the home football game on Saturday, October 20th, 2018. Attend to support your fellow Pirates and see who has won the title and crown! 6

CANDIDATE DISQUALIFICATION Candidates and/or Candidate Supporters (organizations, departments, or friends) are absolutely prohibited from campaigning. Campaigning tactics, which are forbidden, include: o Television o Radio o Internet (This includes but is not limited to: Facebook, Twitter, Instagram, Snapchat, Google+, e-mails, PiratePort) o Printed material (This includes but is not limited to: flyers, postcards, stickers, newspaper ads, signs, t-shirts, etc.) Only the official Homecoming website, OrgSync, Facebook, Twitter and Instagram page may be used to display candidate pictures and information. Use of the Internet and/or e-mail may be used to inform students to go to the PiratePort and vote for the Homecoming Court, but specific candidates may not be mentioned in such forms. If a candidate, or candidate representative, is found campaigning and/or breaking rules set by the Homecoming Committee, the candidate will be disqualified. Candidates will be held responsible for any campaigning their nominating organization does on their behalf. Defamation of Character: If a candidate or candidate representative is found defaming another candidate publicly in any way listed above, the candidate who is found responsible of the defaming will be disqualified. All candidates MUST attend the information meeting on September17 th, 2018 at 8:00pm. Candidate pictures WILL be taken at that meeting. When filling out the required forms, please keep in mind the judges take into account everything that is listed and not listed. Be accurate and detailed. HOMECOMING SPIRIT POINTS The Student Homecoming Committee awards the Spirit Cup plus $1,000.00 to the student organization that accumulates the most points during competitions. To participate in the Spirit Cup Competition, you must be a registered student organization with the university and participate in a minimum of 3 Homecoming Activities, one of which MUST be the Float competition. The points below represent the minimum amount that will be given to each student organization that places in the top three for each competition. Points will also be given to EACH organization that participates in a competition based on the judges score sheets from the float, skit, and banner competitions. For participating in the King and Queen competition, organizations will automatically receive 100 points for having an elected representative who completes all requirements. Each organization can gain up to 200 points for this competition. Below are the points possible in the competitions. All competitions will be added together to decide who wins the Homecoming Spirit Cup. 1 st Place 2 nd Place 3 rd Place FLOAT 1000 pts 750 pts 500 pts SKIT 500 pts 375 pts 250 pts BANNER 300 pts 225 pts 150 pts CANNED FOOD DRIVE 500 pts 375 pts 250 pts First, Second and Third place will be determined based on the highest total weight of food donated in addition to receiving the point value listed under the competition. CANNONBALL If 40% of the organization attends, the organization will receive 200 points towards the Spirit Cup Points will be deducted for unsportsmanlike conduct at the discretion of the Homecoming Chair and Homecoming Advisor. 8

A reminder: Banners must be the size of a standard FULL bed sheet (NO Larger and No Smaller) and must be designed HORIZONTALLY. Banners must include the student organization s name, homecoming theme, and mascot (PeeDee or Skull & Crossbones) as well as incorporate the opponent (UCF).
