CAERPHILLY COUNTY BOROUGH SWIMMING CLUB (Affiliated to W.A.S.A.) INFORMATION AND CONDITIONS 1. All swimmers must be members of an affiliated club, and must be amateurs, as defined by W.A.S.A/A.S.A laws. 2. Ages are as on the first day of the competition. 3. The Organisers reserve the right to refuse admission to any spectator or competitor. The Organisers decision is Final in all matters concerning the event. 4. The Organisers reserve the right to limit the number of entries if necessary, the order of any events may be changed at the discretion of the organisers. Events will be swum on the heats and finals basis unless otherwise indicated, however the Organisers reserve the right to amend this if necessary. Heats will be seeded according to entry time. 5. The Organisers reserve the right to reject entries, in which case entry fees will be refunded. 6. No entries will be accepted after the closing date and initial entry times will not be amended. If the entry is not accepted the fee will be refunded. No refunds will be made for withdrawals after the closing date. 7. Entry cards (If used) must be posted no later than 30 minutes prior to the advertised starting time for each session. Swimmers posting late cards will only be allowed to compete, at the discretion of the Organisers, if there is an empty lane in a heat. Heats will not be split to accommodate late comers. 8. Over the top starts may be used in all events, except Backstroke. 9. When electronic timing is used, all swimmers recording equal times will be awarded equal placing. 10. When manual timing is used, in HDW events and in the heats of events with finals, all swimmers recording equal times will be awarded equal places, except where those times have all been set in the same heat, then placing will be decided by the Order of Finish. All final places will be determined by the Order of Finish. 11. Coaches are responsible for the supervision of their swimmers during warm up sessions and at all times whilst the swimmers are on poolside. 12. All competitors must report to the marshalling area when requested to do so. Competitors failing to do so may be excluded from the event. 13. Medals will be presented to all finalists plus fifth place, unless disqualified. 14. Poolside Managers/Coaches will be admitted on production of a pass, which can be obtained from the Organisers beforehand. This will include a programme and results sheet. 15. All clothing/valuables etc. left in the changing rooms or any other areas will be entirely at the owner s risk. 16. The Organisers reserve the right to alter these conditions as may be deemed necessary.
HEALTH & SAFETY 1. The health, safety and wellbeing of all swimmers, officials, volunteers, spectators and visitors is paramount all Health and Safety rules / regulations/ requirements must be complied with at all times. 2. A full risk assessment must be carried out in accordance with the Swim Wales Meet License Report Pack. 3. A copy of the Pool Operating Procedures and / or the Normal Operating Procedures & Emergency Action Plan for the facility being hired for a meet must be obtained in advance, and must be available throughout the duration of meet All swimmers, officials, volunteers, spectators, and visitors are required, at all times, to abide by the rules set out in the Pool Operating Procedures and / or the Normal Operating Procedures & Emergency Action Plan for the facility hired for the meet. 4. Unacceptable Behaviour Behaviour becomes unacceptable when it is considered Offensive to others; this includes, but is not limited to, the following: Theft, wilful damage to property and / or equipment, acts of vandalism, abuse of alcohol and / or drugs, bullying, offensive language, aggressive / violent acts, threatening behaviour, all breaches of safety practices, failure to comply with instructions / directions, actions that bring the sport of swimming into disrepute. 5. Competitive Start Award 6. Jewellery Swimmers must have attained the standard of the Competitive Start Award in order to start from the blocks; (this is the responsibility of the club coach). Swimmers who have not attained the standard of the Competitive Start Award must lower themselves into the side into the water, on the long whistle of the Referee before starting at an appropriate place. For safety and security reasons, the wearing of jewellery is not permitted while in the water during warm-ups / swim-downs and / or competition. This includes watches, necklaces, chains, bangles, wrist bands, ear-rings (except studs), and rings (except wedding bands). Swim Wales will not be responsible for any jewellery brought to events and will not be liable if such jewellery is lost or damaged. 7. Video and Photography. When a competition involves children under the age of 18 years of age it is a mandatory meet license requirement that all persons (including competitors / officials / volunteers / spectators), wishing to engage in any kind of photographic activity including video, zoom, close range photography, irrespective of the nature of the device / equipment used for taking / recording such images must register their details with the event management in advance of taking any images. This includes; but is not limited to: Still cameras Cine Cameras Video cameras Camera / video enabled mobile phones Camera enabled PDA s Proof of identity is required to register any photographic / video equipment.
