Dear EURACT 2018 participant, Next week you will join us in the heart of Flemish Brabant, Leuven, for the 2 nd edition of the EURACT Medical Education Conference. This year s theme will be Family medicine education in the real world: from theory into practice. The objective of this conference is to offer an opportunity for practicing family medicine teachers and researchers to meet and exchange research findings and new ideas in order to continue the development of Family Medicine in Europe. This conference seeks to emphasize an important stage in the development of the discipline of Family Medicine which is to ensure it has a secure academic base. We are particularly looking for more justification and clarification research in education to provide a strong evidence base that will underpin the enthusiastic educational efforts of so many teachers in Europe. The department of Family Medicine in Leuven is happy to host this conference on the occasion of its 50th anniversary. It is located at the entrance hall of Onderwijs & Navorsing 2 (Herestraat 49, 3000 Leuven). There will be signs at the venue to direct you towards the registration and information desk. Thanks to its central location at the venue, all auditoria are easily accessible from this point. At the registration desk you can pick up your badge (including proof of attendance and accreditation certificate) and find the conference s abstract book. If you have any problems or questions, please do not hesitate to ask help from our assistants wearing a EURACT-conference T-shirt or at the registration desk. Name badges All registered participants will be given a name badge upon registration at the registration desk. This badge is your official pass to the Conference Venue and any of the social activities. Therefore, we kindly request you to wear your badge on all conference occasions. On your badge you will find a login-code and a password for the Wi-Fi network. The Wi-Finetwork to connect with is campusroam. Eduroam is also available at the conference venue. On your badge, you might also find a few symbols. In accordance with your registration, the following symbols might appear on your badge: means that you registered for the Meet & Greet on September 20 th. means that you registered for the Conference Dinner on September 21 st. means that you registered for the City Walk on September 22 nd. 2

Food and beverages The conference fee covers for lunches and coffee breaks during the conference. The meet & Greet on Thursday evening at 7:00 pm is also included in the Conference fee, but please be aware that for organisational reasons, you can only attend this opening reception if you have registered for this event during your online registration. The Conference Dinner is not included in the Conference Fee. Please note that the number of places available for the dinner is limited. You can only attend if you have registered. In case of last-minute cancellations, there might be a number of places available last-minute. Please come and see us at the registration desk before the end of Lunch on Friday, to see if there are still places available. Internet There is free Wi-Fi available at the conference venue. Your login and password are printed on your name badge. The Wi-Fi-network is called Campusroam. Eduroam is also available. Belgian weather The Belgian weather in September can be unpredictable. We strongly advise you to check the weather forecast before coming to Belgium. At the moment we are expecting temperatures around 20 degrees Celsius. It could be cloudy or rainy. You can take a taxi at the entrance of the Leuven railway station or book a taxi by telephone via +32 16 22 20 00 (Taxi Cordons). If you are at the conference venue and need a taxi, please come and see us at the registration desk, and we will book one for you. Bus tickets in Leuven If you would like to take the bus (De Lijn), there are two options to buy a ticket 1. Buy them beforehand (at the train station or at the Rector de Somerplein, other advance sale points to be found here.) 3

2. Ask the bus driver. This can be slightly more expensive and make sure to bring change. Most of the time, bus drivers do not have enough change. Since many people will be using the bus from the conference venue to the city, please think about your bus ticket in advance, since this might result in long queues. City of Leuven Since its founding, KU Leuven has been based in the city that shares its name. Leuven is a pleasant, safe and bustling student town, where centuries-rich history meets cutting-edge science. The city of Leuven is located in the Dutch-speaking northern part of Belgium, approximately 25 kilometers east of Brussels. Leuven is the capital of the province of Flemish Brabant in Belgium and has nearly 100.000 inhabitants. There are several good reasons for visiting this vibrant city. This webpage gives you an overview of what Leuven has to offer the upcoming week. More information about the city and must see places when you visit, can be found on the official Tourism Leuven site. You will soon realize that this city has a way of getting under your skin. Below you can find a map of Leuven with the important places for the conference indicated by numbers. 4

Presentations Timing The exact timing of your oral presentation can be found in the program schedule. Contributed talks can present for 10 minutes + 5 minutes for questions and discussion (with a maximum of 15 slides). Contributed workshops can present as long as indicated in the program schedule. Please keep to this timing! In each conference room there will be a session chair and a volunteer helping out with the preparation of the presentation. We must ask authors to be present in the conference room 10 minutes prior to the session in which they will present. Upload your presentation (with Box) In each conference room a laptop is provided where your presentation will be opened through Box. To avoid any delays or technical issues, we kindly ask you not to bring your own laptop to present, but to upload your presentation in advance on the website. or bring the presentation to the venue on a USB-key and upload it in the upload-area (close to the registration desk) Format - Please prepare your presentation in PowerPoint - If your presentation is ready, please upload it in the correct file on our upload link. Please label your presentation with o Oral or Workshop o followed by your last name. o e.g. Workshop_Peters, Oral_Davidson As there are many presentations during the conference, please make sure to label your presentation correctly, as it might be very hard to find your presentation without the correct name. For the same reason we ask to upload your presentation in the correct time slot. Please check the program schedule to see in which session you will be presenting. - Laptops to upload your files onto Box will be provided near the registration desk. If your graphics or videos are not embedded in the presentation, be sure to upload them as well. 6

- Please make sure to upload your presentation on time. You are responsible for this. - You are kindly requested to attend the whole session in which you give a presentation. Poster presentations As mentioned in the acceptance letters, the poster format is A0 (841 * 1189) in portrait orientation, not landscape. Authors should bring the poster themselves. Material to attach the posters to the panels will be provided. At the venue, you can find a list with poster numbers. Each author can look up his/her poster and attach it to the panel with the corresponding number. Authors have the opportunity to present their posters during all coffee breaks and lunch breaks, since the posters will be in the same room as the breaks. Authors can attach their posters as from 8:00 am in the morning on Friday September 21 st, at the corresponding panel. Posters need to be removed by Saturday, September 22 nd afternoon (2:00 pm) How to get to Leuven Practical information Brussels Airport is located 28 kilometers from the center of Leuven. When arriving at Brussels Airport, the most convenient way to travel to Leuven is by train. The airport has its own railway station and a direct train ride to Leuven takes about 20 minutes. There are two trains from Brussels Airport (Zaventem) to Leuven every hour. A one-way ticket costs 8,90 euro and can be bought at the ticketing machines at the airport, or online on the NMBS-website: www.belgianrail.be. More information on the train connections can also be found on the same website. Alternatively, there are bus services between the airport and Leuven s railway station. The bus station at the Airport is located on level 0 and can be easily reached by using the escalators or elevators. Busses with number 616, 651 & 652 go to Leuven. More information on the bus services can be found here: www.delijn.be. Taxis are also available outside of Brussels Airport. A taxi ride to Leuven will cost you about 50 euro. Depending on traffic, it will take you about half an hour to get to Leuven by taxi. 7

How to get to the Conference Venue The conference venue (Onderwijs & Navorsing 2, Herestraat 49, 3000 Leuven) is slightly outside the city center. We therefore highly recommend you to take the bus to reach the venue. There are different options to get to Onderwijs & Navorsing 2, depending on your starting position. Onderwijs & Navorsing (O&N) a) From the Leuven railway station 1/ From bus platform 4 at the railway station, take bus 3 "Leuven Gasthuisberg". This is the easiest option. The bus leaves approximately every 15 minutes. Get off the bus at the terminus "Gasthuisberg Campus", the terminus of the bus (please don t get off at the stop in front of the hospital Gasthuisberg Kliniek ; when in doubt, ask the bus driver), before it heads back to the city center. The ride takes about 17 minutes, depending on traffic. The bus stops at the entrance of Onderwijs & Navorsing. Due to road works many stops in between are not served. 2/ From bus platform 12 at the railway station, you can take bus 600 "Buitenringbus". The bus is leaving there every 10 minutes. Call at "Leuven Gasthuisberg Kliniek Perron 4". Now you are at the front of the University Hospital. From there, it is a 5 minute walk to the backside of the Campus. Please find the bus route, as well as the walk from the bus stop to the entrance of Onderwijs & Navorsing below. 8

To get back to the railway station, please walk back to the entrance of the hospital, where you will find the bus stop "Gasthuisberg Kliniek Perron 5". To get back to the station, please take bus 601 "Binnenringbus". The second stop is the railway station of Leuven. b) From Leuven city centre If the weather is fine and you are in good shape, we suggest you to walk from the city center to the conference premises (2 km = 35 minutes) However, if you would like to take the bus: From the city center, it is recommended to take one of the following busses. - Bus 317 (direction Kraainem) - Bus 395 (direction Hoeilaart) - Bus 335 (direction Leuven Gasthuisberg) - Bus 333 (direction Leuven Gasthuisberg) - Bus 380 (direction Leuven/Gasthuisberg) - Bus 371 (direction Leuven/Gasthuisberg) - Bus 370 (direction Leuven/Gasthuisberg) The best stop in the city center is "Rector de Somerplein zone B" or Leuven Sint- Pieterskliniek (close to Hotel Ibis Leuven Centrum). "Gasthuisberg Kliniek" is reached after approx. 8 stops (from Rector de Somer), from that point you will have to walk 5 minutes to Onderwijs en Navorsing (as described above ) A picture of the entrance of Onderwijs & Navorsing is shown above. To get back to city centre, please take one of the following busses at Gasthuisberg Kliniek (in front of the hospital) - Bus 317 (direction Leuven), leaving from platform 5 - Bus 395 (direction Leuven), leaving from platform 5 - Bus 335 (direction Aarschot), leaving from platform 3 - Bus 333 (direction Tremelo), leaving from platform 3 - Bus 380 (direction Tienen), leaving from platform 2 - Bus 371 (direction Linden), leaving from platform 1 - Bus 370 (direction Diest) leaving from platform 1 c) By car If you will be going to the venue by car, please enter the address Onderwijs & Navorsing 2, Herestraat 49, 3000 Leuven in your GPS (or Parking Villa in google maps). Social activities & other locations Meet & Greet Thursday 20/09/ 18 7:00 pm On Thursday September 20 th at 7:00 pm the Meet & Greet with other conference attenders and the EURACT delegates will take place at the Mgr. O. Romerozaal (room 02.10). Address: Sint-Michielsstraat 2-4 3000 Leuven How to get there? This room is located at Collegium Veteranorum in the city center and is easily reachable by foot or by bus. From the railway station, you can take bus 2 direction Kessel-Lo, which has a bus stop close to the venue (bus stop Leuven Sint Michielskerk ). Alternatively, you can take any bus that stops at bus stop Leuven Rector De Somerplein zone B (bus lines 4, 5, 6, 7, 8, 9, 284, 285, 315, 317, 333, 334, 351, 358, 370, 371, 380). In the latter case, rides take around 4 minutes, walking from the bus stop to the venue takes another 4 minutes. Conference dinner Friday evening 21/09/ 18 7:00 pm The Conference Dinner will take place at Faculty Club Leuven on Friday evening September. How to get there? By car Faculty Club is situated along the ring road of Leuven, just off the E40/E314 and has ample parking facilities and is therefore easily reachable by car (GPS: Tervuursevest 70). The code to access the parking is: 8442. By bus Nearby bus stops are: - St. Quentin s Church ( Sint-Kwintenskerk ) at Naamsestraat walking distance to Faculty Club: 350m - Sports center on the Leuven ring road ( Leuven Sportcentrum ) walking distance to Faculty Club: 250m Most convenient bus routes: - Line 1 Leuven-Heverlee: 1 bus per hour 2 busses during peak hours Last bus to railway station at 11.47 pm - Line 2 Kessel-Lo-Heverlee: 8 busses per hour Last bus to railway station at 11.04 pm - Line 337 Brussels-Waver: 1 bus per hour 2 busses during peak hours Last bus to railway station at 9.57 pm - Line 600 (Leuven ring road bus service): 6 busses per hour Last bus at 8.02 pm This bus line is the most convenient one if you are going directly from the Conference Venue to the Conference Dinner. Leuven City Walk Wednesday 22/09/ 18 4:30 pm On Wednesday September 22 at 4:30 pm, we will explore the beautiful historic city center of Leuven. The starting point of this city walk will be the Sint-Jacob s square, next to friterie De Frittoerist (Sint Jacobsplein 13, 3000 Leuven). From the conference venue (Onderwijs & Navorsing 2, Herestraat 49, 3000 Leuven), it is a 14 minute walk to the City Walk starting point. You will have the opportunity to leave the conference venue together with a guided group at 4:00 pm and 4:15 pm, starting point will be near the registration desk. Alternatively, you can follow the following directions: - Head east (450 m) - At the roundabout, take the 1st exit onto Mgr. van Waeyenberghlaan (750m) - Continue onto Sint-Hubertusstraat (65 m) - Continue straight onto Sint-Jacobsplein - Destination will be on the left 14
