Bison Blueline BYHA Newsletter - April 2014 GAMBLING REPORT Julie Prince provided the gambling report from April 2014. A full report is on file for review. Julie made a request for $82,450 to cover the June expenses. These expenses include the regular gambling expenses plus funds to repair the pull tab booth at Buffalo Bar and Grill, a new laptop for the gambling program, and $30,000 back to BYHA for fall training or expenses for needed equipment for the 2014-2015 season. The motion to approve this request was made by Matt Frolik and seconded by Heidi Sohler. Motion approved 6/0. Julie reports that the audit with the state gambling board went very well. We also have our annual year end audit with Larson Allen that will occur soon since June is the end of our fiscal year for gambling. Meeting was called to order by President Stephanie Kohnen at 7:04p.m. President s Report: We will need a new D5 representative to replace Steve Pearson. They meet in Kimball once a month on Wednesdays. Brandon Ruiter has agreed to try this position. Treasurer Report: Our current balance is $137,476 with $7500 in outstanding checks. Kris is trying to reconcile accounts with Delano. The budget meetings for the 2014-2015 season have started. Secretary Report: A motion to approve the minutes was made by Blake Palmer and Matt Frolik. Approved 6:0. Tournament Report/Volunteer: Dates are posted for all tournaments for 2014-2015. Manager Report: No Report. GOAL Report: We did not have a GOAL event last year because there was not a coordinator for the event. We will post the position for this year. Fundraising Report: The golf tournament will be held the weekend of September 21st at Wild Marsh. There was a recommendation that we consider combining this event with the ICE out party that is normally held in March. A committee was formed to assist chair Blake Palmer. Equipment Report: Jerseys and socks have been ordered. One pair of ANNOUNCEMENTS OPEN VOLUNTEER POSITIONS: Traveling Team Manager, GOAL, One Goal Registration Dates: August 16th 8:00 a.m. to 12 and August 21st 6-9 p.m. Bauer socks in gray, was ordered to coordinate with the new jerseys. We will only need to reorder a few mite and mini mite jerseys, since there are many left from the previous years. The equipment room needs to be cleaned Brandon and Blake will help on June 29th at 5:00 p.m. It was suggested that we consider ordering garment bags to be supplied with a all of the new jerseys. The bags will have the Buffalo logo and the jersey number on the outside. An email vote was taken to approve the purchase of 100 Bauer garment bags at $19,00 Motion approved. Volunteer Report: It has been recommended that we require a portion of the hours to be completed at a tournament next year. We will also consider raising the number of hours required, as well as the amount of the volunteer check collected. The volunteer coordinator and the board feel that this is necessary based on the amount of people that did no complete any volunteer hours last year and the difficulty the tournament coordinators had filling critical volunteer positions. (Continued from page 3) Registration Report: Registration dates for the 2014-2015 season will be August 21st from 6-9:00 p.m. and Saturday August 16th from 8:00 a.m. to 12:00 p.m. We will offer one additional sign-up for mites, mini mites and ONE Goal participants at the end of October. Hockey Operations Report: The new HOC Vice President, Bob Driver presented information from their last meeting. Both HOC and BYHA Board will move forward to work together to make the best decisions for the entire association and all of the kids involved in our youth program. Coaching Coordinator: HOC is still trying to fill this position. There may be a current HOC member who will take on this role. HOC will also continue to look for qualified paid coaches. Player Development: HOC will try to put together a full year plan for development. They will attempt to bring in as many of the best programs to Buffalo. They are trying to coordinator another skating clinic with ProEdge Preseason clinics will run September 27th-October 18th. Tryouts: Tryouts will begin after MEA this year. The squirt tryouts will be run from October 27th-30th with an evaluation system similar to what is used with all traveling teams. Girl s Program: We need to vote tonight on continuing our co-op with Delano at the U14 level. Delano has voted to continue the coop. The projected numbers are in the upper 20 s. We would have a 14A1 team that would play D3 and the 14A2 team that would play in D5. There is currently only one goalie at this age level. HOC feels that this is the best choice considering that we coop with Delano at the high school level and there is no plan to change this. A motion was made to continue the Buffalo /Delano coop at the U14 level. A motion was made by Brandon Riuiter and seconded by Matt Frolik. Motion Approved. Marketing: We will need volunteers for both the Hanover and Buffalo parades. We will have try to a designated area in the park Saturday morning during the kid s day from 10 to 1. Blake will make flyers and we will have a large banner with brief highlights for our U10 program. We will also have a face painter at our area. Sponsor Report: We have still not received a check from the city of Buffalo for the sponsors we solicited. Kris will discuss this with Lee Ryan. Old Business: The bathroom project in the old rink has been approved, but still remains incomplete. One BYHA Scholarship in the amount of $500 was awarded to Hunter Thompson this year. We will move forward for next year by adding at least one more scholarship and providing funding so that the scholarship can be self-sustaining and managed through the #877 Foundation.
(Continued from page 3) Rink Writer: The high school will purchase the system so that BYHA can receive a $100 discount. A motion was made that we would purchase rink writer and all necessary equipment. Reimbursement for the software will be made to Buffalo High School. Motion was made by Brandon Ruiter and seconded by Blake Palmer. We still have openings in the following volunteer positions: Picture Coordinator, Traveling Team Manager, ONE goal, GOAL New Business: Budget: The budget committee, consisting of Brian Stephanie and Kris. They have met once. The committee has some preliminary proposals. New skaters will be provided with warm-up outfits ($85). All other skaters will be given a $50 allowance to be used to purchase new warm-up pieces or other Buffalo Bison gear that has our logo on it. The budget for ice hours will remain t he same and BYHA will continue to pay gait fees for tournaments. Presentations from photo companies: Sunshine Photography and SportStar presented their price list, options and donations that they would give back to BYHA. Written information from both companies is on file for review and comparison. A motion was made by Blake Palmer and seconded by Brandon Ruiter to continue our partnership with Sport Star for three years. Motion approved. We have set dates for pictures: November 10 th for all traveling teams and December 10th for mites and mini mites. We also received a check from SportStar from last year s picture profits for $709. Code of Conduct: We have a template that will be modified for hockey use. The code of conduct and consent to treat will be converted into an electronic document for an electronic signature. As we move into the 2014-2015 season we will try to educate BYHA parents and try to inform them to prevent misconceptions. Information from the parent surveys will be used. Jim DiOrio will be resigning from the board. He will no longer have child playing in BYHA. A motion was made by Brandon Ruiter and seconded by Blake Palmer to offer the position to Bill McNamara. He was the next highest vote receiver at the election in April. If he declines the position we will continue next season with the current board group. A handbook and bylaw review will be scheduled before our next meeting. D5 Report: No Report.. Adjournment: The motion to adjourn the meeting at 9:20 p.m. was made by Blake Palmer and Matt Frolik.
