Outrigger Santa Cruz BOD Meeting October 28, 2018 Call to Order 5pm Attendance: Dena Levey, Tai Boutell, Pam Myers, Gayle Bensusan, Kay Miyamoto, Leslie Eurs, Kim Chamlin, Kyle Wade, Theresa Muldar, Phil Crowley, Matt Love, Duane Strong, Guy Dickson, Ana Vargas, Dan Holchen Approve September Minutes: Gayle motions to approve the September minutes, Kim 2nds the motion, motion approved. 1. Kudos: Duane - Theresa for bungee replacement on all the boat covers. Dena Pam for the success of the Learn to Paddle Class. Kay Volunteers helping with the mountains to the sea program. (Side Note IRS requirement - all events now require the event be logged and volunteer hours be accounted for and recorded). Leslie The Loustalot s for the MBX crossing. Phil Tai for putting together the Charitable Trust. Kyle Dave Loustalot for his work and involvement with the MBX. Matt L. all the volunteers who helped with the Learn to Paddle Class. Kim Pam for organizing the Learn to Paddle Class. Pam Yoko for hosting the Women s racers end of season party and to Kim for help with the awards. Rita for bringing the store to the harbor all the time to sell inventory. Gayle Pam for organizing the Learn to paddle class and to Guy and others for clear instruction on paddling technique and safety. Theresa the people who donated for the raffle for the end of season party. Mary Kay donated her hand made purses and Matt Krey and Matt Muirhead donated a Garmin, Eddie donated one hour of flight time with him. Tai Coach Dave for providing us with Kaimalma Keiki the Jacobs Heart and new canoe in our fleet. Guy Tai for having a grounded and centered nature. Good teacher, approachable. Guy is proud of Tai. Ana to the BOD for an awesome season. Dan to Pam for the Learn to paddle Class. 2. Treasurers Report: 501 3C On hold with the state Corporation status currently on suspension. Reviver in place. We are in good status with the Federal Government. Memberships Currently 185 paid members 60 rec, 104 racers, 21 Jr s. Net Income $26,534, budgeted $26,000 for 2018. Rec drop in fees for 2018 $600. $440 raised from 1 st time drop in fee initiated in September. MBX - $1,100 raised, still waiting for the expense report to be completed. Dave L. projects a net profit of $300-$400. The Learn to Paddle Class raised $2,700. $385 in so far for the end of season party = 20 paid. $20 in advance $25 at the door. Race Income - net profit of $239 yet still awaiting the Rigg Run insurance bill form the NCOCA. Currently $19,000 in checking, $10,000 in savings. We are still carrying a $1,000 loan for the Tahitian canoe. Theresa recommends we pay in full. The BOD agrees to a motion. Theresa makes a motion to repay the paddler who generously loaned OSC $1,000 to purchase the Tahitian. Pam 2nds the motion, motion passes. Gayle motions to approve the Treasures report, Kim 2nds, Treasurers report approved.
3. Equipment Update: Duane sent out a ticket list of equipment in need of repair (open) and equipment repaired (closed). Duane is requesting assistance with equipment repair. Patrick the paddler has volunteered to help Duane. 4. Sprints 2019 May 11th OSC to Host. Tai has pulled a permit for Monterey for May 11. Other dates conflicted with the race calendar. A team of people is required for the many jobs involved. Tai has a list of the jobs. a. Race Committee - Tai, Pam, Leslie, Ana, Duane, Matt L., Phil C. and Gayle have volunteered to help. $500 permit fee and proof of insurance required. Club wide event all club members encouraged to participate. 5. Membership Dues: Gayle did research - Market approach and Income approach. The BOD voted unanimously during the September meeting to keep 2019 membership dues the same. Tai suggest beginning 2020 and increase the dues $5 a year for 5 years. Gayle suggest increasing the dues by $10 ever other year starting 2020. (race and Rec only) Jr s, seniors and students are excluded. Dena motions to increase the race and rec dues by $10 starting 2020 and every other year thereafter. Jr s, students & seniors are excluded. Kyle 2nds the motion. Approved. 6. BOD Nominations 2019: Tai, Phil, Pam, Theresa, Kay, Jeanie, Phil Lewis and Gayle. Jeanie and Phil Lewis are new nominees and have accepted. Remaining BOD members Dave W. Kim, Kyle Leslie, Bob C. and Matt L. Officer positions- President, Vice President, Treasurer and secretary will be voted at our annual end of year meeting. 14 BOD members in total. 7. Code of Conduct Revision Proposal: The last sentence Last minute dropouts will be given less priority for future races. Gayle proposes to delete the last sentence and keep #12 Any violation of the code of conduct are grounds for disciplinary action including suspension and expulsion from the club at the sole discretion of the President and the Board of Directors. Duane motions to delete the last sentence #5 in the Code of Conduct Kyle 2 nd s Motion approved. 8. Safety Officer Leslie proposals a. Steering Program 101 and 201 Great success last year. For 2018, Matt Muirhead has volunteered to perpetuate a growth of new steerspersons within our club (all levels) albeit his retirement from coaching. Added a 201 section for experienced steers people and people who attended the class last year. Matt will lead. For the 101 class, 3 volunteers Guy, Sal & Robert have stepped up to teach under Matt s supervision for consistency. A great program available to everybody in the club. 1 st class orientation lectures begin Friday Nov. 30 th in the Harbor Meeting room and Dec. 1 st Water practice. Safety Committee recommends re-certification for experience paddlers. Tai commented that at the Coaches discretion including REC should observe and recommend re-certification. b. PFD s for New Paddlers: - For OC6 -Safety Committee HIGHLY RECCOMENDS new paddlers to wear PFD s. Request BOD to reconsider the value of new paddlers wearing PFD s. Leslie commented other sport activities like river rafting, sailing
classes, kayaking and dragon boating it is required to wear a PFD. And the Harbor Patrol when they go on calls wear PFD s. Guest at Shared Adventures. Gayle commented that the OSC waiver new paddlers sign states that you can tread water for 30 minutes. Phil commented that it should be a personal decision. Guy commented he regularly goes over the huli drill during rec paddle when new people are participating including putting on a PFD. If the huli last longer than 2 minutes paddlers should be putting on their PFD s. Guy states it s the steers persons job to educate and take charge if a huli was to occur. The more education the more practice the better. c. Huli Recovery Drills: Per Duane, education and repetition works. It worked for the Junior program. Tai recommends coaches implement huli drills, education and report to board. Leslie proposes quarterly huli practices. Tai suggest BOD to make it a directive for coaches to implement huli drills for the upcoming 2019 season Club Wide. Kim motions for BOD to direct the head coach to incorporate and educate paddlers on a huli drill recovery into every single program. Kay 2 nd s. Motion passes. 9. Coaches Corner: No update from Dave Waynar at this time. He is putting together a program for 2019. Women s end of season party was a great get together, pot luck. About half of the women s racers attended. This party was scheduled early due to Yoko and Kim not being available for the end of season party. 10. Ohana Award: a. Club Wide or Traditional: Contributions to the club members beyond the BOD and Coaches. Club member who goes above and beyond for the club. Excluding BOD members. Pam makes a motion the Ohana award open up to coaches. Phi C. 2 nd s Motion passes. Coaches can now be considered for the Ohana award. b. Recipients: Nominations Robert B, Matt Muirhead, and Yoko.
