Please keep the following things in mind when compiling your club s information: Enrollment Deadline is March 31st (always the last Friday in March) by 4pm! A project that does not appear on the member s record will not be valid for fair judging or for completing the 4-H year. Again for 2017: If a member is taking the same project(s) as last year, they must check the box on their reenrollment form to sign up for that project. If the box is not checked, we will assume they are not taking that project. The deadline for adding/deleting a project is MAY 15th. (NEW for 2017!) Please remember to turn in your Charter Checklist with your enrollment forms. Organizational Advisors received project book order forms. (If purchasing project books, make checks payable to O.S.U. Extension, Miami County.) 2017 4-H assessment fees will be $10.00 per person, per each club they are enrolled in. If paying by check, please make checks payable to: Miami County 4-H Advisory Committee. (Assessment fees cannot be paid by credit card.) Please remember to submit the 4-H Assessment Fee Form with your payment. Just a reminder - the Extension Office can no longer accept and receipt 4-H member assessment fees. The staff will give you a stamped, self-addressed envelope for you to mail the assessments directly to the 4-H Advisory Committee Treasurer. Fees must be postmarked by March 29th or there is a $25 late fee. *If you have any questions about the enrollment process, please contact your Organizational Advisor or call the Extension Office.
Page 2 2017 Quality Assurance Information GENERAL INFORMATION 2017 Quality Assurance Schedule All market and lactating animal exhibitors must attend a Quality Assurance Session within the State of Ohio in order to exhibit an animal at the Miami County Fair. Exhibitors of swine must also receive PQA certification with the required Quality Assurance. The session must be conducted by a qualified instructor. Exhibitors ages 12-18 have the option to take a test given by a qualified instructor to test out of Quality Assurance. QUALITY ASSURANCE SESSIONS There is no pre-registration required for the regular Quality Assurance sessions, which will be held in the Duke Lundgard Building on: Monday, April 24, 6:30 pm Saturday, May 6, 10:00 am & 2:00 pm Sunday, May 7, 3:00 pm Monday, May 8, 6:30 pm Saturday, May 13, 10:00 am & 2:00 pm Exhibitor is responsible for signing in and out at these sessions. This is your only way to show attendance. Parents of exhibitors are NOT required to attend Quality Assurance Sessions. To insure that participants are instructed in all required materials, youth must arrive on time for the sessions. Doors will be locked 5 minutes after the sessions begin. Thank you for your assistance with this matter. We will be offering Quality Assurance to certain clubs on certain dates to try to minimize overcrowding at any one session. If you cannot attend on your club s scheduled date, then please feel free to attend any of the other regular sessions. However, you must pre-register to attend another session. This pre-registration must be done prior to your club s scheduled date. Please call the Extension Office at 440-3945 to pre-register. You have the option of attending a Quality Assurance session outside of Miami County. Those who choose to attend QA & PQA sessions given by other instructors must provide a certificate form from the instructor. The form must state the instructor s name, location, date of session and instructor s phone number. This form is to be submitted to the Fairgrounds with your entry form no later than June 1. It is your responsibility to provide the form at the time of your entries. Cattle exhibitor entry forms were due January 1st, but those exhibitors must still turn in their QA certificates by the June 1 deadline. Exhibitors not providing Quality Assurance certificates will not be able to exhibit their animals at the Miami County Fair. Please plan ahead. A make up session will be held on Thursday, June 8th at 6:30 p.m. in the Secretary s Office for a fee of $30.00 (per family). Page 3 March/April 2017 Skillathons Youth enrolled in animal projects must complete a skillathon for each animal project in which they are enrolled. Exceptions would be dogs and rabbits as pets, small animals, llamas, and cat projects which will be evaluated at Project Pride Day in July. Skillathon Kits are available to be checked out, but only if they are reserved first. Reservation dates are strictly on a first come/first serve basis. Due to club demand, kits must be returned to the Extension Office within 3 days. Organizational Advisors are encouraged to submit a reservation form listing the date, time, and specie area(s) needed. Kits may also be reserved via email or telephone. Please include a contact person and phone number, the club name, and whether it is okay to advertise to 4-H members from other clubs who need to attend a skillathon session. The Extension Office will use the dates listed to reserve your kits. If the date is already taken, the Office will call the number provided to request an alternative reserve date. If members are unable to attend their club s skillathon night, they are asked to attend a county skillathon or contact another club to participate in their event. The kits are divided into four stations. Most of the information used in the kits may be found in 4-H project and resource books. Skillathon kit station sheets may be copied and given to the members to use at each station. At the stations, members will be presented with a task to complete. The helper or facilitator at each station must initial that they have taken part in the activity. Points may be recorded on the station sheets but are not required. This is not a pass/fail program. It is a learning opportunity. At the conclusion of the skillathon, station sheets should be turned in to the Organizational Advisor. They are not to be submitted to the Extension Office. However, a Skillathon Attendance Sheet must be signed by each participant and submitted by the Organizational Advisor to the Extension Office. (Attendance sheets can be found at miami.osu.edu) Clubs have until June 1 to complete skillathon requirements and submit attendance sheets. County Livestock Skillathons will be held on May 6th and May 7th immediately following QA sessions, also immediately following the May 13th 10am QA session, and April 24th and May 8th at 5 pm prior to the QA sessions. There will be no Skillathon following the May 13th 2pm QA session First year members should be accompanied by a project helper to aid in facilitation. All activities will be held at the Duke Lundgard Bldg. Volunteer Orientations New 4-H Volunteer Orientation is one of the most important parts of the volunteer application process. Potential volunteers will receive an overview of the organization, review our philosophy, policies, and procedures, have an opportunity to ask questions, meet their peers, and gain knowledge about the 4-H Youth Development program. Policy 1.50 Training and New 4-H Volunteer Orientation: 6:30 p.m., Monday, March 13 Mandatory 4-H Advisor Trainings & Updates All Ohio 4-H volunteers are required to participate annually in Policy 1.50 Training: Activities and Programs with Minor Participants. The training will be held at the beginning of each 4-H Advisor Update and New 4-H Volunteer Orientation. All sessions will be conducted at the Extension Office. Below is the remaining meeting date. Policy 1.50 Training and Advisor Updates: 6:30 p.m., Tuesday, March 21 New 4-H Family Orientation We would like to welcome our new families to 4-H with a New 4-H Family Orientation on Monday, March 20, at 6:30 p.m. in the Extension Meeting Room. We will discuss the 4-H basics, local and state 4-H opportunities, deadlines, completion requirements, project guidelines, completing a 4-H project book, and more. Page 4 Important News! 7th Annual Horse Camp The Miami County Horse Camp organization will be hosting its 7th annual horse camp June 21st 25th at the Miami County Fairgrounds. This camp is only open to 4-H and FFA members. Registration is open to both Miami county members and out-of-county members. However, outof-county registrations will not be accepted until after April 1st unless you have attended camp in a prior year. The final registration deadline for all campers is May 15th. The registration letter and form, health history form, and Jr. Counselor application will be posted by March 6 to miami.osu.edu. Miami County 4-H Jr. Camp Announcement Jr. Camp Registration forms will be posted on our website, miami.osu.edu, as soon as they are available. If you would like to sign up for camp this year, be sure to keep an eye out for the registration forms. We apologize for any inconvenience this may cause. State Fair Livestock Entry Forms You will need An Educator s Signature! Special note for those of you planning on entering your livestock projects in the State Fair. State Fair entry forms require a County Extension Educator signature. In order to obtain this signature, you must have your entry form completely filled out (including all other signatures) before you bring it to the Extension Office. Be aware that Demetria will be out of the office June 9 for Cloverbud Day Camp and June 12-16 for Jr. Camp. Please plan accordingly. 4-H Mall Kickoff The Miami Valley Centre Mall has partnered with the Miami County 4-H Program to provide great promotional opportunities and Jr. Camp fund raising events. On Saturday, March 4, 10:00 a.m. 2:00 p.m., we will have a 4-H Kickoff at the Miami Valley Centre Mall. Last year we had tremendous club support with displays, animals, advisors, and members. Thank you again to all who participated! Horse Lease Agreements Please note: Deadline to submit Horse Lease Agreements is May 1st by 4 p.m. to the Extension Office. The Horse Lease Agreement form can be picked up at the Extension Office or online at http://miami.osu.edu/program-areas/4-h-youthdevelopment under Helpful Documents. Please remember to download the Horse Leasing Guidelines AND the Horse Identification Form. Miami County PAS Show The 2017 Miami County State Fair Qualifying Show will be held Saturday, June 10th. There will be one judge at the show. Once again, any 4-H member enrolled in a horse project is eligible to participate in the Qualifying Show. The every other year rule no longer applies. Entries are due in the Extension Office by 4:00 p.m. on Friday, May 19th. There are no entry fees. Absolutely no late entries will be accepted. No exceptions. Head Advisors will be receiving a letter outlining PAS Show guidelines and an original entry form around April 1st. Additional copies will be available online at miami.osu.edu or for pick up in the Extension Office. If you have any questions regarding the 2017 Qualifying Show or the entry procedure, please contact the Extension Office at 440-3945.
