The Roundup May/June/July 2012 Newsletter of the Iowa Paint Horse Club President s Message Well it s been a long, hot, dry summer so far! Hope everyone is surviving the heat and humidity of the Iowa summer! People are fitting those babies up for the fall futurities and getting those yearling and 2 s ready to go. It will be here before we know it! Our Memorial Day Show was a HUGE success! All of the barns were full at the Iowa Equestrian Center and our classes had some big numbers!! Thanks for everyone who came and spent the weekend with us! We sure had a great time and again had many new faces showing. That is one thing I love when I go to the shows -- meeting all the new people becoming involved in our club. Our July show at Iowa Falls was a little smaller but it was one of the hottest weekends with the temperatures soaring to almost 100 (or above in some places) I know several open shows cancelled their shows because the heat was just to much for the horses and exhibitors alike. Luckily we were inside the beautiful facility at Iowa Falls. Our State Show and Futurity is coming up really quick. There has been one change. We will not be having any classes on Friday. We are trying to cut some costs and with the rental rate of the Jacobsen Building we decided to cut that expense down a little bit so please note that change in the show bill which is online. Again hope everyone is staying cool and keeping those 4 legged friends cool and hydrated as well. EXCITING CHANGES FOR 3 YEAR OLD BREEDERS CLASSIC! ADDED MONEY -- $500 added money to EACH of the 3 Year Old Breeders Classic classes (Western Pleasure and Hunter Under Saddle)!! IPHC BOARD MINUTES January 28, 2012 West Des Moines Marriott West Des Moines, IA Board Members Present: Michelle Kelber, Lonnie McLain, Jeannie Stolee, Kimberly Borcherding, Carrie Gulling, Kim Kass, Jerry Cable, Gary Creasman, Terri Bohnsack, Earl Vold, Clint Roth, Kaitlin Westphal Michelle Kelber called the meeting to order. MINUTES Minutes from the previous meeting were read. Terri Bohnsack moved to approve the minutes. 2nd by Jerry Cable MC TREASURER S REPORT Jeannie Stolee presented the treasurers report. Carrie Gulling made a motion to approve the treasurer s report. Clint Roth 2nd MC BILLS TO PAY CLUB : Breeders Futurity - Logo Stickers - $83.58 This bill was paid with the Club debit card, but is a Breeders Futurity expense. Breeders Futurity will reimburse the Club account. Kim Kass made a motion to approve the bills to be paid. 2nd by Lonnie McLain MC Lonnie McLain brought up the issue with the damaged golf cart at the 2011 Futurity Show. Jeannie Stolee reported that the club did pay for the damage as insurance refused to cover the damage. YOUTH CLUB REPORT Taylor Kokemiller provided a youth club report. The Youth reported having a great year with many fundraiser activities. YOUTH CLUB DISCUSSION Jeannie led the discussion, explaining the invitation to youth members and their parents to attend the board meeting. Rumors had apparently circulated that the Board was planning to disband the Youth club. Jeannie explained that this was never the intention of the Board, and that this invitation was extended only to help guide the future of the Youth Club Laura Pfab has expressed an interest in being the youth advisor or co-advisor. Jeff Sommers and Edie Hatcher have also expressed interest in helping out with the Youth Club as advisors. Michelle Kelber mentioned that the Board may have more input in the direction of how the Youth Club operates. The Board may need to develop some additional guidelines and expectations for the Youth Club to follow. The Board will work with this year s advisor(s) to develop these expectations. 2012 SHOWS Cedar Rapids July Show Jeannie Stolee talked about the show. Cedar Rapids is not available for that weekend as we had previously been told. The July show will be moved back at Iowa Falls on July 7-8th. The show approval application will go out this week for the March show at Cedar Rapids.

Show and Stall Managers Volunteers were taken for this year s show and stall managers. Kim Kass made a motion to add the following Amateur Walk Trot Amateur classes: Showmanship, Hunter Under Saddle, Equitation, Trail. 2nd by Earl Vold MC Lonnie McLain suggested changing the show schedule. The current schedule mixes the western pleasure classes with the horsemanship classes. This tends to cause delays, with cones being set up or taken down several times per day. Lonnie McLain made motion to increase all class fees by one dollar, and all-day fees by five dollars. Carrie Gulling 2nd MC. Joel Hergengreter and Stacie Webster are interested in sponsoring a versatility class at the Memorial Day Sunday show. The Board agreed that this would be a fun addition to the show. Jeannie Stolee mentioned that she and Kathy Goecke will hold a free-will donation soup supper at the March show to support the Furness family. BIDS Several bids have been sent in for office and show staff for 2012. Since the bid information had not been updated on the IPHC website, we will leave the bid submission period open until Feb. 15th. Earl Vold will be in charge of accepting bid proposals. Gregg Reisinger was present and gave a report from the APHA Executive Committee. The APHA has hired a new executive secretary, Billy Smith. The Executive Committee believes that Mr. Smith will be a great addition to the APHA. Michelle Kelber advised that she has received the APHA national director nomination form. She encouraged all interested individuals to submit their names for the ballot. The next Board meeting will be held at El Portal restaurant in Marshalltown on Wednesday, February 22nd at 6:30pm. MEMORIAL DAY SHOW Flat Fee At the previous meeting, suggestions were requested regarding implementing a flat fee at the Memorial Day show. Kimberly Borcherding and Lindsay and Lonnie McLain presented proposed pricing options. Discussion was held. Jeannie Stolee made a motion to adopt Lindsay and Lonnie s option five as the flat fee for Memorial Day weekend. Kimberly Borcherding 2nd MC. Exhibitors Meal Kim Kass and Kaitlin Westphal are each working on finding sponsors for the Memorial Day exhibitors meal Sponsors Kaitlin Westphal is working on a sponsor/donor letter to send out Stall Form Carrie Gulling will get the form from last year to Kimberly Borcherding so it can be edited and put up on the website soon. AUGUST SHOW Nebraska has declined to give us a variance for the conflicting weekend. We can therefore either have a one day show on our usual August weekend, or have a two day show on one of the State Fair weekends. We will look into the 11-12th weekend. BREEDERS FUTURITY COMMITTEE REPORT The supplement sheet that was used this year was difficult and will be re-examined for next year. The Breeders Committee also suggests cutting phone bids off on noon Friday preceding the auction. YOUTH CLUB/ADVISORS Jodi Breedlow, Heidi McGuire and Edie Hatcher have all agreed to help with the Youth club, but do not want to be the actual advisor. Kaitlin Westphal has spoken with a few youth and asked what they would like to do with the Youth club. They have some ideas about what they would like to do this year, including having a Youth World team. Kaitlin Westphal, Chloe Westphal and Emily Fuller will be the co-youth advisors for the year. BIDS Earl Vold has not received any additional bids since the previous meeting. We will accept the bids as they were presented at the January meeting, with one exception. Cindy Westphal has determined that the only shows where she needs extra help will be Memorial Day and the October show. The Board will send a counter proposal to Leigh Roudabush for her to assist Cindy Westphal at only the July and State Shows. We will be accepting bids for production of the directory later this summer. SHOW VOLUNTEERS In order to encourage more members to assist with at the show, we will implement a volunteer drawing for a free stall each show weekend. Jerry Cable will recruit volunteers for the Horse Fair and Carrie Gulling will head up the volunteer giveaway at the shows. 18 & UNDER YOUTH Lonnie McLain made a motion to combine all youth classes to 18 & Under. Kimberly Borcherding 2nd MC. REISINGER CELEBRATION Jerry Cable suggested that the club do something special for Gregg Reisinger becoming APHA President. Plans will be developed at a later date and Jerry will be in charge.

OLD BUSINESS There was no old business. NEW BUSINESS Jeannie Stolee would like the Board to consider splitting the duties of the Treasurer between Club and Breeders accounts. Jeannie would like to stay on as just the Breeders treasurer if the Board decided to split the duties. More discussion to be held at a later time. Jeannie Stolee presented a new copy of the IPHC Club Rules to reflect the addition of several classes to the showbill. Carrie Gulling made a motion to approve the new rules as written, Kimberly Borcherding 2nd MC. MEMORIAL DAY SHOW Kimberly Borcherding gave an update on the current stall reservations. Kim Kass and Kaitlin Westphal are each working on sponsorships for classes and the exhibitor meal. At this time, without a sponsor, we will forgo the exhibitor meal this year. Kim Kass advised the board that she is planning to schedule the dog races again this year for Sunday afternoon. Jeannie Stolee will check with Joel Hergengreter and Stacie Webster regarding their earlier offer to sponsor a versatility class sometime during Memorial Day weekend. APHA SPONSORSHIP APHA is offering a sponsorship program for regional clubs. Thirty regional clubs will receive a $1,000.00 sponsorship, as chosen by APHA. Kaitlin Westphal has been working on the sponsorship documents. Michelle Kelber presented the letter that Kaitlin had written in support of the IPHC s submission. Michelle also mentioned that she and Kaitlin are working together with Dale Chavez for some awards for the futurity show. HORSE FAIR Jerry Cable presented a recap of the Horse Fair. He also suggested that it may not be worthwhile for the club to continue to attend the Iowa Horse Fair, as the expenses are currently outweighing the benefits. Discussion was held regarding attending other Midwest horse fairs or other options for promoting the club. The board will discuss this more at a later date. OLD BUSINESS Jeannie Stolee asked if the board wanted to continue the flat fees at the rest of this year s shows, or to use the normal rates. It was decided to use the normal, per-class rates for the rest of the shows and use the flat fee rates at Memorial Day only. Jeannie also advised that our August show dates must be altered as the Wisconsin club will not give us a variance for our intended dates. Our only option is the one-day show on August 25th. NEW BUSINESS Lesa Vold has regretfully resigned from the Breeders Committee. Kaitlin Westphal has been appointed to take her place. The State Show and Futurity showbill was discussed and set. This year we will not hold any classes on Friday, so the performance futurities first-goes will be held throughout the day on Saturday. It was also decided that for the first year at least, the new 3 Yr Old Breeders Classic classes will be a one-go event only. This will be reevaluated after this year s show and interest and participation has been assessed. The newsletter was briefly discussed. Meeting minutes will be included in the newsletter and the website. Kimberly Borcherding will send the minutes of this year s board meetings to Kim and Jeannie for publication. Stall fees were discussed for Iowa Falls and the Futurity. Stall rates will remain the same as last year. The Memorial Day circuit awards will be 8x10 photos from the backdrop at the show. She made the suggestion that next year stalls should be sold at $80 each, and include 2 bags of shaving, regardless of whether stall is horse or tack stall. Any additional shavings beyond the 2 included bags would be ordered separately. Jeannie also suggested that any trainer or multiple owner/exhibitor group wishing to be stalled together select one person to be responsible for all stall and shavings charges. Many exhibitors have been asking the show secretary to split out bills (i.e. individuals wanting to split tack stalls, etc) at the show, which is time consuming and can lead to problems during reconciliation. The board agreed with both of these proposals and will implement them next year. Kimberly Borcherding also suggested placing a limit on the number of tack stalls ordered per person/trainer. MARCH SHOW CONTRACT Patrick with Kirkwood has advised us that our March and May dates for the 2013 and 2014 shows are ok. The March dates will be March 16-17 2013 and March 15-16 2014. Jeannie Stolee made a motion to sign a contract with Kirkwood securing these dates through 2014. Jerry Cable 2nd MC. Jeannie advised that we already have a signed contract with Kirkwood for the Memorial Day show that secures our dates through 2014. 2013 & 2014 SHOW DATES Due to the APHA and many facilities running on different yearly calendars, there are a number of potential conflicts with our current show dates. Jeannie Stolee stated that there is a conflict with our October 2013 show and suggested moving the show up one weekend. Carrie Gulling advised that it may be a moot point as the APHA is considering moving the Open and Amateur World Show to an earlier date that could directly conflict with our futurity show. This would mean we may need to move the futurity show into October to avoid the World Show dates. Discussion was held and it was agreed that we would ask Patrick to hold the October 12-13 2013 and October 11-12

2014 dates for us until the World Show dates are finalized. Michelle Kelber will contact the State Fairgrounds this week to determine what dates are available in October 2013 in case the futurity show needs to be moved. She also suggested Kaitlin Westphal write a letter to the APHA in support of leaving the World Show dates in November to avoid the impact with regional and state club shows. Jeannie Stolee advised she is checking with Iowa Falls on our 2013 dates, but is fairly certain we will have a conflict for the August show. APHA WORKSHOP REPORT Jerry Cable provided a Workshop report. He is on the Recreational Riding committee. They are attempting to put together a national trail ride at the Natural Gate. There will be an email blast out to members with show and ride dates. Jerry also explained a few of the proposed rule changes that have been advanced to the Convention for vote. A new crop-out rule was passed. This rule is somewhat controversial and Jerry would like feedback from the membership on how they would like him to vote. He asked that the rule be put up on the club website and encourage feedback from members. Other items of note were the rule change proposal to adjust the points system to include half points and the proposal to have all future Workshops and Conventions in Ft. Worth to save costs to the APHA and directors. Jeannie Stolee made a motion to pay Jerry Cable $300.00 reimbursement for attending Workshop. Carrie Gulling 2nd MC. STATE SHOW AND FUTURITY Jeannie Stolee advised the IPHC has been awarded one of the APHA s $1000.00 sponsorships. She suggested using it at the futurity for an exhibitor s meal on Friday or Saturday night. Carrie Gulling will contact Turkey Time to check on costs of catering the meal. Michelle Kelber is going to double check on the costs of renting the Jacobsen building for Thursday night or Friday morning to allow exhibitors access to the arena. She also mentioned that it will cost $2500 per day to rent the facility next year. OLD BUSINESS Stall and Shavings Rates The website needs to be updated with the stall and shavings prices for the remaining shows. The Iowa Falls stalls will be set at $50 for July and $45 for August. Jeannie will check on shavings prices. The Futurity show stalls are set at $70 on or before September 1st and $90 after Sept. 1st. Carrie Gulling will check on shavings prices. October Show Lonnie McLain suggested offering another flat fee at the October show and presented some pricing options. Option 3 was favored by the board, which included stalls, entry and fees. The pricing breakdown was as follows: 1 Class = $60, 2-3 Classes = $85, 4 or more Classes = $110. It was suggested that we also include 2 bags of shavings per stall to simplify that process. Jerry Cable made a motion to use Option 3, but add $10 per division and include 2 bags of shavings. This will make the pricing 1 Class = $70, 2-3 Classes = $95, and 4 or more Classes = $120. Carrie Gulling 2nd MC. NEW BUSINESS There has been one complaint against the combining of the 13 & Under and 14-18 classes. Doug Pouren s daughter Mallory is in 13 & Under. Doug has contacted a few board members to express his feelings regarding the combining of the divisions. Overall, though, the response has been favorable to the change.
