BYLAWS Nettles Island Tennis Club Revised 2018 I. NAME The name of this organization shall be the Nettles Island Tennis Club. II. MISSION STATEMENT The purpose of the Nettles Island Tennis Club is to promote the advancement of fellowship on Nettles Island by organizing and promoting various tennis functions. III. MEMBERSHIP A. Membership shall be open to all residents of Nettles Island and exclusively to residents of Nettles Island. A resident shall be defined as a lot owner, renter or guest who is currently residing on Nettles Island. B. The membership year shall be November 1-October 31. C. Dues shall be payable on or after November 1. IV. GOVERNING BODY A. The governing body of this organization shall consist of President, Vice President, Secretary, and Treasurer who shall form the Executive Committee. B. Election of these officers shall take place annually at the March meeting and installation take place at the April meeting. C. Powers of the governing body are limited by the rights of the general membership to vote on items of interest to the tennis club and by responsibilities delegated to committees. DUTIES 1. President a. Shall call and preside over all regular meetings and may call special meetings if required. b. Shall appoint chairpersons for all committees as required for any tennis club functions. c. Shall make no motion or amendment nor shall vote on any questions or amendment unless the organization is equally divided; in which event he or she shall cast the deciding vote. d. Shall share check writing privileges and check writing responsibilities with the treasurer. 2. Vice President a. Shall perform the duties of the President in the absence of the President. b. Shall chair the Social Committee.
V. COMMITTEES c. Shall represent the tennis club on all Nettles Island condo function committee meetings (Spring festival and Christmas program). 3. Secretary a. Shall be the custodian of all permanent governing records of this organization including bylaws, standing rules and minutes. b. Shall keep the minutes of all meetings. c. Shall post the minutes two weeks prior to the next monthly meeting. d. Shall read the minutes aloud unless dispensed with by a majority vote of the general membership. e. Shall permanently file the minutes upon approval by the general membership. f. Shall post an agenda one week prior to the general membership meeting. 4. Treasurer a. Shall receive for deposit all funds belonging to the organization and shall keep an account of all dues, receipts and expenditures. b. Shall give a complete treasurer s report at each monthly meeting. c. Shall make payment of all authorized bills upon receiving invoice or store receipt. d. Shall relinquish check book and records to the president when treasurer is unavailable. A. Standing committees consist of Membership, Tournaments, Social Events, History, Nominating, Tennis Court Maintenance and Hospitality. B. The chairpersons of these committees shall be appointed by the president each year. C. DUTIES OF COMMITTEE CHAIRPERSONS 1. The chairperson of each committee shall recruit and or appoint committee members. 2. The chairperson of each committee shall be responsible for the duties of the committee and shall answer to the executive board. D. Membership Chairperson 1. Shall collect membership dues and maintain a complete and up-to-date membership list. 2. Shall turn over collected monies to the club treasurer. 3. Shall provide copies of membership list to club members annually. E. Tournament Chairperson 1. Shall schedule and organize all club tournaments. 2. Shall establish rules for each tournament. 3. Shall establish teams, partners or opponents for each tournament. 4. Shall maintain scores for each tournament and turn over records of tournament results to the club Historian. 5. Shall collect all tournament fees (if applicable) and turn monies over to club treasurer. F. Social Event Person Chairperson (club Vice President) Shall appoint and oversee chairpersons and their committees for all parties and events. G. Historian Chairperson Shall maintain a history of tennis club events and membership, including tournament scores, parties, publicity and photos.
H. Hospitality Chairperson 1. Welcome and greet tennis club guests. 2. Send out get well and sympathy cards when necessary. 3. Send out thank-you notes when appropriate. I. Nominating Chairperson 1. Recruits candidates for governing body 2. Conducts elections at the annual meeting J. Tennis Court Maintenance 1. Repair and maintain the courts 2. Investigate new concepts and equipment 3. Serve as liaison between the condo and tennis club VI. MEETINGS A. Regular general membership meetings shall be held on the second Monday of each month from November through April. The executive committee may change the date of a particular meeting or call a special meeting by posting an announcement on the bulletin board and making an oral announcement at the weekly tennis draw. B. An agenda shall be posted one week prior to any regular or special meetings. C. Meetings shall be conducted using standard parliamentary procedure. D. Annual meeting shall be in March. VII. EXPENDITURES AND DONATIONS A. General expenditures of tennis club monies exceeding $200.00 (except in an emergency) shall be voted on by the membership body. Any request for expenditures or donations should be submitted in writing to the executive board at least ten days prior to the executive meeting. B. Reimbursement for expenses related to regular club business (such as tournaments, parties or clinics) shall require invoicing via appropriate forms and store receipts. C. In an emergency situation between April and November the executive board may make a financial decision by a majority (3/4) vote. VII. AMENDMENTS A. The By-Laws of the organization must be amended by a two-third (2/3) vote of the qualified members present at the annual meeting. B. The amendments to the By-Laws must be presented to the general membership at a prior general membership meeting. C. Changes to Standing Rules may be amended by a fifty-one percent (51%) vote of the qualified members present at any general membership meeting. VIII. DISSOLUTION In the event of dissolution of the Nettles Island Tennis Club the executive board shall, after payment of all liabilities, distribute any remaining assets to a charity designated by a majority of members present at a meeting called for the purpose of dissolution.
STANDING RULES (Policies and Procedures) Nettles Island Tennis Club Revised 2018 1. Tennis court usage is open to all residents of Nettles Island, subject to scheduling by the Nettles Island Tennis Club. 2. Courts are closed from 10:00 pm to 7 am (per condo rules). 3. Open court time for all players is reserved from 7 am to 9 am except as preempted by tournaments or other special events. 4. During high season scheduling is determined by a weekly Nettles Island Tennis Club draw on Mondays at 7:30 am. a. Each CONDOMINUM LOT is allotted one tennis tag with last name and lot number. b. The CONDOMINUM LOT RESIDENT (person living on a specific lot) must be present to deposit own tag (provided by membership chair) in the tennis draw. c. Tags will be drawn randomly. d. The RESIDENT (in the order tags are drawn) may select one playing time. e. The RESIDENT must write his/her full name and lot number on the tennis schedule. 5. The tennis schedule will be posted by the recreation department for the current day and the following day. a. In the event of an open court time on the posted schedule, any Nettles Island resident may sign to use that court time. b. Any single individual may sign for only one court time per day. c. In event that a player is unable to play at scheduled court time, it is his/her responsibility to erase the name as soon as possible. d. Fifteen minutes after the hour a court is considered open if the scheduled players are not present. 6. Tennis shoes must be worn when playing on the courts. 7. Proper tennis attire shall be worn by members playing in a tournament. 8. No one under the age of 16 may be admitted on the courts without adult guardian supervision. 9. Tennis property must be respected and it is the responsibility of all players to remind others of the rules. Misbehavior should be reported to security. 10. Tickets to tennis club special events will be made available to members prior to ticket sale to nonmembers. a. Tennis Events requiring tickets: First day of ticket sales to members only. 2 tickets with membership card with a maximum of 2 cards per member. b. If any tickets remain, they may be sold to the public. c. Tournaments for tournaments current membership cards must be presented and there will be a lottery draw for spots in the tournament. Members need not be present to gain a spot but your card must be in the draw. 11. Special events will be planned with regard to other previously scheduled Nettles Island events, avoiding conflict when possible. 12. Nettles Island Tennis Club equipment may be borrowed by tennis club members by contacting an executive board member. 13. An Executive Board member and one other designated person only may operate the Ball Machine. Players must be over 18 and members of the tennis club. Play is always at our own risk. 13. No smoking will be permitted on the tennis courts. 14. Annual dues are $5.00 per person.
15. Tournaments will be reserved for members only unless vacancies are available. 16. No fee will be paid by members who play in the tournaments. All others will pay $5.00. 17. Tennis balls will be purchased by the tennis club for open morning tennis. 18. If a tournament participant behaves inappropriately according to Nettles Island Tennis Club s Rules of Court Etiquette, a member of the tournament committee will issue an oral warning. If the behavior continues, the player will be immediately disqualified from the tournament. An alternate player will replace the removed player. RULES OF COURT ETIQUETTE PLAYER, SPECTATOR AND TEAM ETIQUETTE Besides the rules of tennis there are also some important unwritten laws which come under the title of tennis etiquette. Tennis is a social game, a game involving simple politeness and consideration. Everyone will enjoy the game so much more if those standards are maintained. Here are some of the rules which are most important: Talk quietly when standing near tennis courts that are in use. Never walk behind a court when a point is still in play. Wait until the point is over and then cross as fast as possible. Always come prepared with balls and proper tennis attire, including tennis shoes. When you're ready to play, put racket covers, ball cans, jackets etc., out of everyone's way. To see who serves first, spin your racket or toss a coin. If you win the toss, the choice is yours. You may serve first, or you may choose to receive first or to pick which end of the court you want to start playing on. As a third choice you may make your opponent choose first. When sending balls back to a neighboring court, roll them on to the back of the court; never send them back while play is in progress. Retrieve balls for your partner and your opponent. Don't criticize your partner, offer encouragement. Call your own lines and let your opponent hear the call. If the ball is good say nothing and play on. Always respect the line calls of your opponent. Tennis courts are for tennis use only.
The painted scene wall inside the tennis court is not to be used for hitting balls. This may be done on the OUTSIDE of the tennis courts against the wall there. If there is a disagreement, offer a let. In other words, replay the point, even if it was a second service. IF YOU CAN SEE THAT A BALL WAS CLEARLY OUT AND YOUR OPPONENTS DID NOT CALL IT, YOU NEED TO CALL IT AGAINST YOURSELF AND YOUR PARTNER AS PART OF GOOD TENNIS ETIQUETTE AND FAIRNESS.
