Aalborg XX October 2008 European Men Championships 2009: The Bulletin It is a pleasure for Denmark s Bowling Federation and Lovvang Bowling Centre to present The Bulletin of The European Men Championships 2009 (EMC 2009) for all federations affiliated to the European Tenpin Bowling Federation. All related activities, which is the ETBF Presidium meeting on 2 June 2009, the ETBF Congress on 3 June 2009 and the EMC 2009 on 4-14 June 2009, will be held in Lovvang Bowling Centre. The meeting, the congress and the championships will be hosted in a co-operation between 4 main partners; the European Tenpin Bowling Federation, Denmark s Bowling Federation, Lovvang Bowling Centre and the City of Aalborg. Other important partners are Hotel Hvide Hus, VBS Bowling AB and Brunswick - the main sponsor of the EMC 2009. This bulletin will be the only bulletin circulated before the EMC 2009. The content of the bulletin, all future amendments and all confirmations etc. will be reflected at the official championship website - www.emc2009.dk - which is open already. Please pay attention to the deadlines presented in this bulletin, chapter 16. It will not be possible for any federation to enter the championships not meeting the entry deadline (Form A). 1. Schedule for meetings and competition 1.1 About the schedule The highest number of male players in previous European Championships was the 207 players taking part in the European Men Championships 2007 in Vienna, Austria. The presented schedule is based on 240 players or less. 1.2 About the official practise In the official practise there will be 10 shifts of 9 minutes, in total 1.5 hour per team. In the official practise, each second pair of lanes will be dressed with short oil and each second pair of lanes will be dressed with long oil. 1.3 Practise before the official practise The centre will be closed for preparations, cleaning and technical adjustments as of Sunday 31 May 2009 until Tuesday 2 June 2009. The centre is open for unofficial practise by payment as follows: On Wednesday 3 June 2009 between 15.00 and 21.00 On Thursday 4 June 2009 between 10.00 and 21.00 The prise for one lane/hour is DKK 100, which is about 13. Lanes for practise before the official practise can be booked at the centre by contacting Kim Thorsgaard Jensen at the email address ktj@lovvang.dk We expect the lanes to be dressed with test issues of the two patterns, which might be slightly changed by the technical officials of the championships before the managers meeting on 5 June. 3. The City of Aalborg In a North Jutland, which has developed into Denmark's most attractive tourist area, Aalborg is the natural centre. The third largest city in Denmark (200.000 inhabitants), a transport centre and a lively meeting place for travellers from many countries. In addition, Aalborg is the largest conference centre in the Danish provinces and Aalborg Congress & Culture Centre is the site of a large number of congresses, meetings, exhibitions and cultural events. It was the Vikings who founded a settlement at the point where the Lim Fjord is narrowest, and through the years, the city developed into one of the busiest trading centres in the country. Trade and wealth set their mark on the city and many of the old buildings from that time have been preserved as natural elements in the city scene. A special mention must be made of Jens Bang's House, a Renaissance structure dating from 1624, Jorgen Olufsen's Gaard from 1616, and the lovely Aalborghus mansion from 1539. The 15th century cathedral, dedicated to the English St. Botolph and known as "Budolfi Church" as well as Denmark's oldest social service institution, the Monastery of the Holy Ghost, dating from 1431, also bear witness to the history of a busy city. Taking a gentle stroll is also a great way to experience Aalborg. The network of pedestrian streets, with its busy shops, binds the city centre together and if you feel the need of refreshment, Aalborg has about 300 restaurants to serve you - many of them in the famous street known as "Jomfru Ane Gade". The Aalborg tradition of trade and industry is centuries old. In the middle ages Aalborg's role as a port trading with Norway and Sweden made it one of the busiest and liveliest of all Scandinavian cities. The constant stream of visitors from abroad has given the business life of the city its own special international character. There is a whole series of specialist shops, side by side with the large department stores and supermarkets. Downtown Aalborg offers a relaxed atmosphere, a nice shopping area, walking streets, cafés, a lot of domestic and international restaurants, all inside a short walking distance from Hotel Hvide Hus. The weather in Aalborg might be a bit unstable in June, but with a little luck we will get temperatures around 20 degrees Celsius or even higher. Whether it will rain a lot or not, is not foreseeable, but over a two weeks period in June in Denmark it will indeed rain now and then. 4. Lovvang Bowling Centre 4.1 History The history of tenpin bowling in Aalborg goes back to 1964, where the first 12 lane centre was founded at another location than the present location north of the Fjord. The first organized bowling games were played late 1964. In 1976 the 12 lanes from the old centre was moved to the new Lovvang Bowling Centre and another 8 lanes was installed. In 1982 another 4 lanes was installed and again in 1996 yet another 6 lanes were added, bringing the total number of lanes in Lovvang up to 30. In 2000 the old wood installation were exchanged with synthetic Brunswick Anvilane Pro approaches, lanes and pin decks together with new ball returns and furniture's in the players area, and finally in 2004 30 brand new Brunswick GS-X pin setters were installed instead of the old pinsetters, among them 12 from the original installation in 1964. 4.2 Facilities The centre is divided in two floors, with lanes, reception, dressing rooms and café in the basement and restaurant, pro-shop, administration, and meeting rooms at the first floor The three meeting rooms at the first floor will be turned into various function rooms during the EMC 2009, such as press area, VIP lounge and secretariat. 4.3 Food and drink possibilities The restaurant at the first floor as well as the café in the basement will offer various meals as well as sandwiches, snack food, drinks and coffee during the championships. Both the café and the restaurant will be open in the morning and until a suitable moment after the last squad each day. Since it is our experience that many teams are carrying a lot of water, fruit and chocolate from various stores to the competition venue, such articles will be added to the daily offers in the centre for reasonable prices, to save the team officials from such tasks and to avoid the need for individual small storages around in the centre. 5. Events 5.1 International meetings The programme of the meetings and congresses is as follows: ETBF Presidium meeting on Tuesday 2 June 2009 ETBF Congress on Wednesday 3 June 2009 We expect each congress to begin at 09.00 with registration at 08.00, but it will later on be announced formally by ETBF closer to the dates. Both meetings will be held in Lovvang Bowling Centre. Bus transportation will be arranged to and from the hotel to the centre in due time. Coffee, tea, other refreshments and lunches will be served in Lovvang Bowling Centre. 5.2. Team managers meeting The team managers meeting will be held in Lovvang Bowling Centre on Friday 5 June at 09.00. 5.3 Opening ceremony The opening ceremony will be held in Lovvang Bowling Centre at and around the lanes on Friday 5 June at 20.00. We intend to keep the ceremony short with a few ceremonies and a few speeches. 5.4. Medal ceremonies The 5 medal ceremonies - for Doubles, Trios, Teams, All Events and Masters - will be conducted just after the conclusion of each event. 5.5 Closing ceremony The Closing Ceremony will be held in the centre, Saturday 13 June just after the conclusion of the Masters Final, expected about 16.30. 5.6 Farewell dinner The farewell dinner will be held on Saturday 13 June at 20.00 at Hotel Hvide Hus. Since this is a one gender championships and since we expect that many participants wants to join the night life in Aalborg at their very last night in town, we have chosen to arrange a very nice, but not very long, dinner at the hotel like the EMC organizer in Vienna did in 2007. 6. Fees and payments All fees are expressed in DKK (1 is approximately 7.58 DKK). 6.1 Entry Fee The EMC 2009 Entry Fee is DKK 1.400. This fee is payable for all delegations, including players, coaches, managers, head of delegations and other officials connected to each team. The Entry Fee includes the delegation fee per person to ETBF ( 50). 6.2 Supporters Fee The EMC 2009 Supporters Fee is DKK 675. This fee is for additional guests arriving with the teams. The fee covers full bus service and entrance to the centre, but not the Farewell Dinner. Such guests can not have any duties related to the team. 6.3 Farewell Dinner The EMC 2009 Farewell Dinner Fee is DKK 300. This fee is only for team supporters, not for the members of the delegations, whom of course are participating in the Farewell Banquet for free. 6.4 Congress Fees The fee for the voting delegate is 25 The fee for each additional delegate is 50 The fee does not apply for ETBF Presidium members unless they are signed up as delegates for their respective federations as well. 6.5 Payment information All fees must in principle be pre-paid. 7. Equipment 7.1 Bowling ball procedure Only bowling balls that are included in the USBC Approved Bowling Ball list may be used in competition. The official list of approved bowling balls is published on the Internet website www.bowl.com. Bowling balls manufactured prior to 1991 cannot be found on the USBC Approved Bowling Ball list. However, the Championship Committee may accept such bowling balls to be used during the championship if it is proven that they were produced prior to 1991. Altering the surface of bowling balls is permitted in a designated area during the Official Practice, during the practice immediately preceding a block of games, and between the blocks of games. It is not allowed during any block of games. Each step in the finals is considered as a block of games. Any cloth towel that is non-abrasive, and contains no chemical additives that would modify the surface finish of the ball, will be acceptable for use during competition to clean the surface of the bowling ball. Acceptable cleaners, which are products meant to clean the ball surface without changing the surface roughness, may be used. Polishes, which contain solids or abrasives and are designed to change the surface roughness of a bowling ball (the same as abrasives such as sandpaper and Scotch Brite pads), are not allowed to be used during competition, but only before or after any block of games; the list of acceptable and not acceptable ball cleaners and polishes is published on the Internet website www.bowl.com. Prior to the start of the Official Practice the bowling balls to be used during competition shall be registered. Immediately following the Official Practice the ball registration list for each player shall be modified only to include the bowling balls to be used during the championship events. Each player will be permitted to have maximum 6 bowling balls registered. No replacements or additions will be allowed once the first event has started, and no modifications of a bowling ball shall be permitted apart from the altering of the surface as described above. In very special circumstances the Championship Committee may allow a replacement of a registered bowling ball once the first event has started. Random checks of the identity of the bowling balls used in competition will be performed during the squads at the discretion of the ETBF Technical Delegate. Immediately prior to the start of the semi finals of the doubles, trios, and team events, as well as prior to the start of Step 4 in the Masters event the participants bowling balls shall be inspected. The inspection shall be limited to a) Eligibility of the ball b) Serial number c) Weight and balance EMC 2009 / The Bulletin / Page 21

d) Hardness e) Number of balls The penalty for violation of the rule is disqualification and all scores null and void. A maximum of five gripping holes are allowed in a bowling ball. The player must be able to reach each set of finger holes (not all four simultaneously) while using the thumbhole. Any hole, which cannot be reached, is considered a vent hole. The ball must be balanced twice when one set of finger holes is for fingertip and the other set for conventional grip. When delivering the ball the player must have his thumb in or over the thumbhole. It may not be 180 degrees away from the thumbhole. 7.2 The ball store A gym, connected to the 1 st floor of the bowling centre, will be used to store the equipment. There will be an easy and short distance from the gym to a special entrance for the players. Marks will divide various areas at the gym for the equipment of each country. In the gym a number of scales and ball spinners will be available. 7.3 Individual ball check by your own choice According to the ETBF constitution, there will be no ball check for all balls in use and if you want any ball check prior to the selection of balls, it will be possible for you to check the balls at the scales, which are available in the ball store room (the gym), your self. Please fill in Form I for each player in your teams before departure from your home countries. It will be a great help for us if the forms are filled in at a computer and not hand-written. 7.4 How to pack your bowling balls Please separate bowling bags and packages with balls and equipment from private cloth and goods. Each bowling bag and each package with balls must be provided with a sticker or a label with the full name of the players and his/her federation. Please do not pack bowling balls from more than one player in the same bag / package. By your arrival to the Airport in Aalborg, we will separate bowling bags / packages from the private luggage of the players. EMC 2009 / The Bulletin / Page 22

7.5 Other kind of articles Often teams are carrying various tools and other goods belonging to their group while they are in the centre. We kindly ask you not to store such items in the press area, since we will prepare the room to be used by the press representatives solely. We will provide you with enough space in the ball store room to store other items, than just bags and balls, related to your teams. The room will furthermore always be guarded. 8. Result presentations 8.1 Services The latest technology will be in use both for the present press officials and in relation to accumulation and presentation of scores and standings. All games will be recorded in a database system, stored by a connection directly to the score system, in other words no re-typing of results will take place. This technique allows us to offer a row of results service facilities - in all situations with a presentation shortly after the conclusion of each game - such as Squad standings at the mid screens (three per pair of lanes) after the conclusion of each game Event standings at the mid screens at the conclusion of each squad Automatically uploads of all games and standings to the Internet shortly after the conclusion of each game Presentation at various screens and monitors centrally situated in the centre. The official EMC 2009 Website - www.emc2009.dk - will be in use for the result presentations as well as all other information related to the championships. 8.2 Completed list of results A completed list of results, presented in one document, will be available at www.emc2009.dk just after the conclusion of the Masters event on Saturday 13 June in the afternoon. 9. Press facilities 9.1 Services One meeting room at the first floor will be used for the press activities. We expect to be able to provide space and capacity for about 30 press representatives in the room. The laptops of all press representatives will be connected through the internal server, either wireless or through cables. In addition a few stationary pc will be available. The use of the line for Internet communication is free of charge and the same goes for eventually outgoing faxes, the use of printers and a phone for internal use in the centre. Concerning external phone communication we do expect the press representatives to use their own mobiles. Extra cables for PDS plugs and extra electricity extensions will be available in the centre. 9.2 Press conferences A press conference will be held in the press area after the conclusion of each event. Other minor interviews with individual players will be allowed in the press area, but we intend to keep the amount down to as little as possible for the sake of all working in the room. 9.3. Restrictions With the exception of the press conferences and some interviews, the access to the room will be strictly restricted by entry cards controlled by an observer - to ensure calm surroundings and professional working conditions for the press. 9.4. Refreshments for the press A refreshment service in form of coffee, tea and drinks will be available for all accredited press officials in a near by situated VIP Lounge - free of charge. 10. Other facilities 10.1 VIP lounge During the duration of the EMC 2009, a VIP Lounge will be available for important guests, sponsors, Presidium members, federation presidents, accredited press officials and other invited guests. The access to the VIP lounge will be restricted by entry cards controlled by an observer. In the VIP lounge refreshments such as coffee, tea and cold drinks will be served to our guests free of charge. 10.2 Public pc To support the need of modern communication facilities, we are providing access to some public pc situated outside the press area, free of charge for all our guests. 10.3 Dressing rooms Lovvang Bowling Centre is keeping 3 dressing rooms, but during the EMC 2009 two of the rooms will be used for other purposes. Normally there is a very little, sometimes no need for dressing rooms during championships, since the teams are changing to their playing uniforms at the hotel. 11. When and where to play 11.1 Assignment method From previous championships we know that the number of players (sometimes even the number of teams) do not end exactly at the expected number according to previous send entry information. As a consequence eventually preliminary made draws for lane assignments must be redone and all distributed material to the teams thrown away and new copies made. The method used during the EMC 2009 will therefore be, that no draw are made until the end of the registration, which will provide us with the exact number of players before the draw is made and no repetition of the procedure will be needed. The draw will be carried through by the Championship Committee. 11.2 Squad assignments In each of the events, Doubles, Trios and Team, there will not be more than one team per country in each squad. The teams will be assigned to squads by the Championship Committee. The exact number of squads will depend on the number of players and the presented schedule in chapter 1 of this bulletin can therefore be changed slightly. 11.3 Lane assignments The draw for the lane assignment in each squad will be done (randomly) by the Championship Committee. The lane draw for the Doubles will be published at the latest during the official practise and in any case in due time before the doubles entry for must be delivered by the coaches. 12. Various information 12.1 Bus service All delegations for the meetings and/or the championships will be met in Aalborg Airport and in conjunction with departures a similar delivery service will be provided. A fixed half hour shuttle service hotel-centre-hotel will be provided for all players, coaches, officials, Presidium members and supporters with an official entry throughout the whole duration of the championships. In addition there will be mini busses available for various special situations. 12.2 Entry Cards Each player, official, press representative, Presidium member, Congress delegate, member of the local organisation and guest will receive an entry card. There will be three levels of entry cards: A) Access to the centre, the VIP lounge and the press room B) Access to the centre and the VIP lounge C) Access to the centre There will be no entrance fee to the bowling centre for spectators during the EMC 2009. 12.3 Photos A major printed programme will be prepared but there will be no photos of the teams, since our experience is that too many photos will be missing at the moment of printing. Therefore; please do not send any photos of your team members. 12.4 Flags Lovvang Bowling Centre is keeping a major stock of national flags and the flags we are missing will be borrowed by various sources in Denmark. 12.5 National anthems From the ETBF Website we will pick the national anthems we need during the championships. Therefore; do not bring your national anthems 12.6 Doping tests No international doping tests will be performed, but the National Olympic Committee might decide to perform tests at any moment they want during the championships. 13. Travel and visa information 13.1 Location Aalborg is situated at the top of a region in Denmark, which is named Jutland. Jutland is a half island on the top of Germany and close to as far from Copenhagen as it is possible to be in Denmark. Therefore; please pay attention to the fact, that our pick up and delivery service does not include Copenhagen Airport. From there you have to fly domestic to Aalborg or drive by train or car. 13.2 Driving From the North Ferries are available from a number of cities in Sweden and Norway and from your arrival to Denmark there is easy access by car to Aalborg. From the South From the Danish-German border there is highway the whole way to Aalborg (about 300 km). From a number of countries near to Denmark it is possible to reach Aalborg in one day by car or bus. From the East From the Southern part of Sweden a bridge is connecting Denmark and Sweden. Passing the bridge there is highway the whole way to Aalborg and a driving time of about 5 hours. How to find Lovvang Bowling Centre Coming from the East you will at a moment find the South-North highway. From those two directions just continue to Aalborg and drive trough the tunnel. Use the second exit after the tunnel with the number 21. The same exit number must be used when coming from the North. After the exit continue straight and pass a few traffic lights. When you see a Shell gasoline station, turn right and continue down hill to the bottom of the hill, where you will find the centre. 13.3 By plane Many of the participating federations will most probably fly into Copenhagen, from where you can continue with one of the many daily domestic flights to Aalborg (a half an hour flight). Remember, when booking your flights to Aalborg in July/August, to ask your travel agency for the domestic ticket as well. The domestic tickets are very often much cheaper if they are included as a part of the whole travel package / arrangement. EMC 2009 / The Bulletin / Page 30

From the Airport in Aalborg (where you will be met upon your arrival) there is less than 10 minutes drive to the centre and about 20 minutes drive to Hotel Hvide Hus. 13.4 By train From many places in Denmark, Aalborg is easy to reach by train. It is also possible to drive by train to Aalborg directly from the Copenhagen International Airport (the train station is situated just under the arrival terminal of the airport). The driving time by train between the airport in Copenhagen and Aalborg is about 4.5 hours. Normally this train drive can be done without any train shifts. We can recommend this train drive through a lot of the Danish summer landscape as a very beautiful drive. 13.5 Countries, where visas are necessary We have checked a newly updated list from the Danish Department of Foreign Affaires and found that visa is demanded for entrances for the following ETBF member federations: Albania Azerbaijan Belarus Moldova Russia Serbia South Africa Turkey Ukraine In case of any doubt, we will recommend you to contact the Danish embassy or consular in your country and ask for the demands and the application procedure. 13.6 Special invitations In some occasions visas can be achieved without any special invitations from our side. In other cases, special invitations and letters might be necessary to process the visa applications at the Danish embassy or consular in your country. In these cases please contact us in due time and also present any special content needed of the documents we must provide. We will try to assist you with such invitation letters from case to case. 14. Upon your arrival 14.1 Arrival package Coming by plane or train you will be met by the championship staff taking care of your further transportation to the hotel and/or the centre depending on the time and the place of arrival. A minor arrival package of information will be handed over to you with the first events to take place, basically your practise time and the bus schedule the first days. If you are arriving to Aalborg by car or bus, please contact the championship staff in the centre as soon as possible after your arrival. 14.2 Information package Major information packages will be handed over to you at the registration counter. There will be separate packages for the team officials and other packages for the players. 14.3 Registration It is very important that each team manager turns up for a team registration in the centre soonest possible after the arrival. During the registration we will validate the number of players, the data of the players and all payments. 16. Forms and deadlines Attached to this bulletin are 9 forms related both to the EMC 2009 and the ETBF Congress. We are hoping for your understanding in the necessity of enforcing the presented deadlines. It is in all aspects for the benefit of the teams, all present officials and the whole organization that we are as well prepared as possible. 16.1 Form A: Entry Form The deadline for the Entry Form to be submitted is 1 April 2009. Federations, sending the Entry Form later than 1 April 2009, will not have their team included in the European Men Championships 2009. There will be no exceptions. The strictly enforcement of the deadline is to ensure all participants and officials a well planned championships with stable schedules. 16.2 Form B: Hotel Form for Hotel Hvide Hus The deadline for the Hotel Form to be submitted is 1 April 2009. Congress delegates and federations, sending the Hotel Form later than 1 April 2009, can not expect to be accommodated at the official hotel, can not expect to benefit from the special hotel rates and will not be able to benefit of the provided bus shuttle service during the championships.
