ENTRY PROCEDURE & DATES All entries must be managed on the IWAS Management System (IMS) by the IWAS Member Nation. In exceptional circumstances, Secondary Users can be authorised to use the IMS providing full, written authorisation is received from the IWAS Member in the country. Please note, no entries received via email will be accepted. ACCOMMODATION The Yellow Praia Monte Gordo will accommodate all teams attending the Games. The 4-star hotel is located 3km away from the sports facilities and 50m from the coastline of Monte Gordo. The hotel has indoor and outdoor swimming pools, free guest Wi-Fi, bar, gym and health club. Private parking is also available at a surcharge. Limited wheelchair accessible rooms are available in the hotel therefore no rooms will be allocated to any individuals and the accessible bathrooms will be available for communal use only. For those who are unable to manage in their allocated rooms, shower room facilities in the hotel s health club are also available. Accommodation and full board (breakfast, packed lunch and dinner) costs are included in the Inclusive Day Rate. Single occupancy rooms will be charged at a supplement. If single rooms are unavoidable due to numbers/gender of teams, please contact games@iwasf.com to arrange separately.
TRANSPORT Transfers to and from Faro airport will be provided on the arrival and departure days detailed on the schedule. Shuttle transport will be provided for teams to travel between the hotel and sport venue throughout the Games (pre-competition, lunch-time & post-competition). The distance between the hotel and sports venue is 3km/1.8 miles on flat terrain. Bicycles can also be hired from the hotel at a cost of 1 per day. The cost of all travel detailed above is included in the Inclusive Games Rate. Under no circumstances will monies owed by IWAS Members be exchanged at the Games. All monies owed must be paid by bank transfer at the details above. No accommodation will be booked for teams until payment is received in full. CONDITIONS OF PAYMENT Registration fees received in First Entries are non-refundable. Exceptional circumstances will be dealt with on an individual basis. All fees incurred on the bank transfer, including fees in domestic and foreign intermediary banks, must be covered by the payer. ATHLETE REPLACEMENT/SUBSTITUTION Nations can replace/substitute competitors of the same gender, class and event for those that have had to withdraw for whatever reason up to two weeks (16/11/2016) before the start of the Games. IWAS reserves the right to refuse any substitution or replacement after this time. INSURANCE Competitors must provide insurance for their own accident and liability. IWAS accepts no liability and assumes no responsibility for loss or theft of materials or personal belongings during the games. All participants have the duty to observe safety regulations and other rules of the facilities provided.
VISA Please check with your local Embassy or High Commission to see what the Visa requirements are for entering Portugal from your country. It is the responsibility of the nations to manage their own VISA requirements. Requests for visa invitation letters should be managed when submitting your final entries on the IWAS Management System. Visa invitation letters will not be issued until Registration Fees are received in full. TECHNICAL MEETINGS Sport Technical meetings will be held the day before competition begins or as appropriate. The time and location of this meeting will be available upon arrival. Only sport specific matters can be raised and resolved in this meeting. The Team Manager Meetings can deal with the issues unrelated to sport. TEAM MANAGER MEETINGS Team Manager Meetings will address any issues excluding sport, for example, accommodation, transport and issues relating to finance. The first Team Manager s Meeting on arrival day will allow teams to confirm their flag and anthem for medal presentations. ACCREDITATIONS A recent passport sized photo, with a clear, light coloured background must be uploaded to the entry system for every member of the delegation. Accreditations will be available upon arrival to the Games. ATHLETE LICENSING IPC Licensed athletes must have a valid, current, IPC Review or Confirmed International Classification to be eligible to have their results recognised by IPC, for purposes of rankings, records and qualification for future events, prior to the start of competition. Please note, this is not a requirement for entry into the Games only for athletes requiring recognition of results from IPC. All athletes competing in Para Taekwondo must be licensed with the WTF ahead of entering the Games. ANTI-DOPING The IWAS Anti-Doping Code, a signatory of the World Anti-Doping Agency (WADA) Code, will apply to all sports. Athletes can be tested at any time, during or out of competition. CLASSIFICATION Evaluation of all International Officials and Classifiers will be conducted in November 2017. IPC will endeavour to appoint International Classifiers and Officials to the IWAS World Games following this evaluation.
