Fairwinds Sailing Association Annual General Meeting - March 28, 2012 Grady Residence 2779 Murray Victoria, British Columbia 1. 7:10 Meeting called to order. Current members in attendance: Colin Grady, Doug Gilbert, Vance Johnson, Chris Edley, Wes Cieslak, Garth Eichel, Ed Watson, Jim McBride. A quorum was present. Additional attendees: Helen Edley, Wayne Van Tassel, Bryan Dixon Our Commodore (Tony) was unable to attend, and so Vice-Commodore (Chris) chaired the meeting. 2. Executive reports were provided by the Treasurer, Vice-Commodore and Boat Captains. 3. Treasurer s Report: Colin opened the meeting with a summary of the club s financial position (budgeted vs actuals) for the past fiscal year. He also discussed some of the assumptions being made for the 2012 budget. See Appendix A for the Financial Report. Motion: To accept the Treasurer s Financial report for the last year as presented Moved by: Colin Seconded: Wes Motion carried. 4. Vice-Commodore s Report: No checkouts this past year. Chris provided an overview of the checkout process and requirements. In short, everyone needs to be able to demonstrate good coastal sailing and seamanship skills in order to pass the checkout. Chris will be away between May 18-29 and so no checkouts will be possible during that time. It is responsibility of those wishing to be checked out to arrange to get out on the water and make the associated bookings (all active members including crew can make bookings but crew need to designate the skipper they will be sailing with at time of booking). 5. Massilia Boat Captain s Report: Wes provided Massilia s report. See Appendix B for the report. 6. Jolie Boat Captain s Report: Doug provided Jolie s report. See Appendix C for the report. 7. Membership: Joe, Scott and Geoff have now retired. Jim, and Garth are becoming maintenance members for the new year. Bryan Dixon is returning as an active full time member. Adam departed part way through the year for life in Europe. Tony off season? Confirmed Jolie skippers (Doug, Colin, Wes, Chris, Gary). Confirmed Massilia skippers (Vance, Ed, Bryan Dixon). Confirmed Crew upgrades pending (Brian Davis, Bryan Hobkirk) Membership applications have been received for 2 new members (Wayne Van Tassel and Derek Wolf). Boat orientation sessions for both are pending. Capital fees forthcoming for 2012 (Wes).
8. Insurance: a question was raised re: the amount of our liability coverage. We have $2 million liability coverage on each boat with $1000 deductible. An overview of our coverage is on the website as a pdf (in the private members area that requires a separate login). All members should be familiar with this document. 9. Waiver: All members (crew and skippers) who haven t already signed the new waiver are required to do so before going out on any of the boats. Ed pointed out that the new waiver is now 2 pages long and that both pages should be signed/initialled. This is to avoid any legal hassles as the signature page (page 2) doesn t contain the body of the waiver. (Editors note: the waiver has since been reformatted to fit on one page the content remains the same). All members who haven t already done so need to either: 1) get in touch with Vance and sign the first page of their waiver Or 2) download the revised one-page waiver off the website, sign and have their signature witnessed, and then forward the waiver to Vance at: 4409 Strom Ness Place, Victoria, V8Z 6S7. Please understand that this provides important protection for yourself and each and every other member of the co-operative. It was agreed that booking system accounts will be locked until duly signed waivers are on file with our Secretary. 10. Haul-outs: Plans for haul-outs and boat maintenance were discussed. The Jolie haulout weekend is planned for May 12 at Canoe Cove. Massilia haulout will be scheduled for the fall. A separate dockside workparty is tentatively planned for May 19 th for Massilia to deal with any maintenance items before the main sailing season. 11. Budget 2012: Colin presented a budget for the new fiscal year and a discussion of various revenue and expense items ensued. The budget was based primarily upon last years budget, anticipated expenses (primarily boat moorage, loan payments and maintenance) and revenue (membership and skipper designations). Potential big ticket maintenance items upcoming include: Jolie engine overhaul, Massilia hull blistering, Jolie dodger. Refer to Appendix A for the 2012 budget. Moved: Vance Seconded: Chris Motion: Carried. 13: Summer Bookings: a discussion of plans for summer sailing was held. A few members are interested in coordinating sailing to/from/around Desolation Sound. Members are reminded to coordinate their summer plans through our respective boat captains BEFORE entering bookings into the booking system.
14: Booking System: Wes mentioned he was having problems with bookings not showing up in color on the calendar display after being made. Vance to investigate there have been no changes made to the system so this behavior is rather peculiar. Appendix B Boat Captain s Report (Massilia) In addition to the routine engine, rigging, deck and other boat hardware maintenance carried out in the spring, the following add-ons/upgrades were installed for Massilia this past year: lazy jacks, BBQ & tiller covers (May) scrubbed the bottom, replaced shaft zincs (May) battery isolator (September) @ October Haul-out: repaired a cluster of blisters on bow's port side inspected, faired and repainted the bottom installed new shaft zincs (as ones installed in May were nearly spent) added an oversized zinc for extra protection while at dock disposed of expired flares, purchased a new flares set and a propane sniffer (March) Upcoming install the propane sniffer troubleshoot not working knotmeter - The dockside maintenance work party is scheduled tentatively for May 19/20 th.;the next haul out - later in the Fall (October). - A new spinnaker was purchased by the "racing team" for their own use. All other sails & rigging are in good working condition. - Re Jolie's heater: I was able to trace the heater s intermittent start-up problems to a fuel supply issue. After an addition of a fuel line back-flow valve and with help of a cold-start primer button, the heater runs reliably now. The new "Elskins" controller functions OK.
Appendix C: Boat Captain s Report (Jolie) We didn't haul Jolie last year, but Garth dove and cleaned the bottom in the Spring. The heater was an ongoing source of problems. We eventually sent it to Mr. Elksnis in the States, and he built a new controler for it. After many phone calls and failed attempts, Wes finally got the kinks worked out and made it operational. The barbecue had a much needed overhaul with a new burner. We purchased a new furling genoa for Jolie with a higher cut clew for visibility. There is a noticable improvement in the boats windward performance. We also installed 'barber hauls' on the jib sheets to control the sheeting angle when reefed. Hopefully skippers will learn how to use this so that the new jib doesn't get stretched out of shape. The temporary dinghy rack was rebuilt as a permanent structure. An electric anchor windlass was purchased by Doug, Wes, Tony and Colin. It was installed by Doug and Wes. The mascerator pump was replaced and the old one rebuilt. A diesel mechanic has been hired to assist us with diagnosing the reason the engine is hard to start. He has been asked to do a compression test and leak down test if the compression is low. He will remove the injectors and fuel pump for us to take to Wilson an Proctor for repair or replacement. He will then reinstall the parts and get the engine running. The following maintenance items need attending to in the new year. The dodger needs replacing Haulout required. Keel to be refaired by Doug and Colin. Boarding ladder nees new rungs. not plastic. Throttle controle needs tightning. Cockpit table and companion way door need refinishing. Life lines are showing signs of corrosion and may need replacing. Brass fittings on raw water side of engine should be replaced Watertanks should be sanitized.
