Introduction This pack is designed to provide teachers, parents/guardians and other family members with information about the North Yorkshire 2018 School Games event on Thursday 28th June at The University of York. The School Games in North Yorkshire provides our young people with the opportunity to take part in local competition, progressing on to County finals. In reaching these County finals, schools have won local competitions earning the right to represent their school and their district area. This year is the 19th year of running a countywide programme, with over 2500 people expected to compete in the county finals this year alone. This pack has been prepared to help you understand how and why your children are taking part, give you preparation advice for your event, and to provide your reassurance of the measures taken to ensure the events are safe, fun and friendly. Getting to the Venue The address of the venue is, University of York, Heslington West Campus, York, YO10 5NA. To find out more details about the venue visit www.york-sport.com/york-sport-centre/ On the next page you will find a map of the campus which highlights where the York Sport Centre is situated. Preparation Kit and Equipment Your team will be provided with a School Games t-shirt which should be worn for the competition. In addition to the t-shirt you should also prepare adequate clothing for times when your children are not competing. Advice has also been provided in the rules packs for each event which advise of any appropriate footwear or kit that may be required. You may also want to consider waterproofs and sun cream, depending on how the weather forecast is looking. Kit Colours Each district has been assigned a kit colour. Each school will also be competing for their district area, please cheer on all the other participants from that area. Getting to the games York University Campus Map Car Parking Car parking is on the York Sports Centre site and will be managed by a car parking company. The event must adhere to the University of York s car parking rules, otherwise vehicles may be clamped. Quadkids Welcome & Parking area Coaches Coaches will be permitted to drop off participants but will not be permitted to park on site. Minibuses Will be permitted to park for free on the car park Cars All Cars will be charged 2 per vehicle to park on site. This is the condition of the University and is significantly reduced from the standard 6 charge in operation. To ease the queues, please have 2 ready to pay upon arrival. You will be issued with a parking pass to display in your windscreen. The event organisers can not be held responsible if you do not comply with the University parking rules. Boccia/Table Cricket Change4Life Festival Cricket Changing Rooms & toilets Registration Once you are parked up there will be staff positioned to direct you straight to the location of your sport. Registration of your team will take place at the location of your event, as well as distribution of your team kit. Catering At the event there will be a stand selling refreshments. You are however welcome to bring your own but please ensure to keep the site tidy and use the bins provided. 3

These include our 2 mascots, the North Yorkshire School Games mascot, Teddy the Terrier, and the Education Network mascot Buddy the Panda. They will both be visiting the sports during the day and watching some of the great sport on display. Please encourage your children to attend this, regardless of where they have finished in their event to show their support and congratulations to all the teams. Youth sized tops 22.99 Adult sized tops 28.99 The event is staffed by North Yorkshire Sport, North Yorkshire School Games Organisers, National Governing Bodies of Sport and volunteers from local schools and colleges performing important roles as part of the event. These volunteers will be wearing white School Games t-shirts. They are there to help you at the event, and if they can t answer your question immediately they will refer you on to a member of staff who should be able to help. Please ensure you treat all staff and volunteers with respect as many of them are giving up their own time to enable this event to take place. 5

Photography at the North Yorkshire Sport School Games North Yorkshire Sport are committed to ensuring the North Yorkshire School Games are a safe event for participants, officials and spectators. One aspect of this safety is taking photos and the use of images. Historically, photography has been permitted through a system of registering your details with North Yorkshire Sport in order to take photos. This system has its limitations and is resource intensive to implement. For this event we will not require spectators to register cameras, however below is guidance on what spectators should and should not do regarding the taking of images and the sharing of these during or after the school games event. Parents and carers of participants under the age of 18 who wish to take photos are requested to focus on their own children as much as reasonably possible and to avoid including other children in images, particularly if those images are being shared with family and friends or through social media platforms. Whilst it is acknowledged that parents/carers wish to celebrate the achievements of their own children when taking part in a school games event, it should be recognised and respected that other parents/carers may not wish for their child s image to be taken and shared in this way. Spectators should: Take close up photos of their own children / participants wherever possible unless the photos are wide-angle, more general images of the events including opening ceremony. Only use images of children in suitable clothing to reduce the risk of inappropriate use (Some activities, for example swimming and gymnastics, present a much greater risk of potential misuse) Obtain the child s permission to use their image wherever possible. Think carefully before using any images showing children and young people on websites, social media or other publications. Take images that present the activity in a positive light, and promote the best aspects of the sport Make themselves familiar with the photography and filming arrangements for the North Yorkshire School Games and be vigilant during the event. 6

Photography at the North Yorkshire Sport School Games Report any concerns about photography or filming at the event to the immediate attention of the School Games Lead Safeguarding Officer (Damien Smith) at the earliest opportunity. Spectators should not: Take photos in any of the following banned areas on site: In and around toilets Changing and shower areas First aid tent / first aid incidents take and share images of other children and young people without the young persons and their parent s permission This includes tagging them on Facebook and other social media sites. Use children s names in photograph captions. If a child is named, avoid using the photograph. Take images of young people that show the activity in a negative light e.g. following a defeat or an injury North Yorkshire Sport will: challenge spectators taking photographs in areas that are not allowed (as above) challenge spectators taking photographs where a young person, another spectator or an event official has raised concerns about the nature of the photography If there are any indications or concerns that an individual may be taking images of children or young people that are inappropriate or illegal, this should immediately be reported to North Yorkshire Sports Safeguarding lead Damien Smith on 07879708963, who has responsibility for contacting the police. If for any reason you do not wish to have your child in a photograph you must inform your team manager. The team manager upon registering their team at the event, must inform the registration desk staff who will issue a coloured wrist band to that participant. The official photographer and camera crew will then be able to identify any children wearing a wristband in any of the images or footage and blur the image or ensure these images are not used. North Yorkshire Sport has a photography policy and procedures in place with clear guidelines issued to our official photographers for both the taking and use of photos and images. We strongly advise them not to publish any images of children wearing a wristband, however we cannot be held responsible for this. 7

Complaints Procedure First Aid Procedure Raise your concern with the person in charge of that area. (Once competitions have started this will be the Sports Co-ordinator Or Zone Co-ordinator ) Raise the first aid issue with a member of staff from the event team ( in grey tops ) or in charge of the sport Sports Co-ordinator resolves the issue and complaint satisfied If your complaint cannot be dealt with by the Sports Organiser, please contact one of the NYS event staff ( identifiable by grey polo shirts) Assessment made to determine if issue can be dealt with by school staff, event staff or Sports Centre Staff. If Sports Centre Staff are required then event staff to alert them. If ambulance required then to ensure emergency services are contacted. First aid administered or ambulance arrive Incident logged no further action is required Where the complaint cannot be settled at the event, please complete a complaint form, which will be available at each event or the information point The event staff may refer the complaint to either the Welfare Officer of Event Manager as appropriate Member of staff to ensure record made of the incident and any treatment / advice given North Yorkshire Sport will respond to your complaint within 5 working days and where appropriate conduct an enquiry and take relevant action. 8

Codes of Conduct At the event there will be a code of conduct in place for participants, spectators and parents and team managers. Please ensure you encourage your children to respect this, and that you set an example. There will be banners which outline these codes of conduct and we expect everyone to abide by them.
