Box 284, Stockdale, TX 78160 Dear Vendor, The Stockdale Chamber of Commerce invites you to participate in our 75 th Annual Stockdale Watermelon Jubilee to be held Friday, June 21, 2019 through Saturday, June 22, 2019 at the Stockdale City Park. The Jubilee is a historical event for the whole family! The Chamber is under new leadership, and we are hoping that you will continue to support this effort. There are lots of new changes taking place. We look forward to sharing this year s Jubilee success with you. On Friday night Pro Rodeo Pre-Show begins at 7pm and the Rodeo begins at 7:30pm with Entertainment until Midnight to be finalized soon; Saturday will feature an entire day of family fun starting with our downtown parade, horseshoe/washer tournaments, live music, family entertainment, and shopping with our vendors. Park entrance is free until 6pm. Saturday the Rodeo Pre-Show begins at 7pm and the Rodeo begins at 7:30pm with Entertainment until 1am. Booth space is limited, so submit your pre-event application packet with a commitment fee (non-refundable) as soon as possible! Do not contact the City Hall. 75 th Annual Stockdale Watermelon Jubilee Date: Friday, June 21 & Saturday, June 22, 2019 FOOD/VENDOR BOOTH GUIDELINES (These rules apply to ALL Food vendors- NO EXCEPTIONS) 1.) The sale of food and drinks will be on the cash payment system. Organizations are responsible for getting their own change and handling their own sales within their booth. 2.) Organizations wishing to have/sponsor a food concession booth for this year s festival will be responsible for paying the Stockdale Chamber of Commerce a NON- REFUNDABLE booth fee of $300.00 with includes a commitment fee of $150.00. Payment of booth fee (which includes your commitment) is to be made payable to Stockdale Chamber of Commerce and can be made via money order or cashier s check. NO personal checks will be accepted. 3.) At check-in, EACH food both will be provided 2 free admissions pass for each night. Friday and Saturday after 5:00 PM there will be a charge per person that would like to remain in the park area. You may purchase as many armbands as you like at full ticket price at check-in on June 20 th. 4.) Vendor booths will be limited to a 10x20 space. Each booth will be required to furnish it s own lighting (wiring and light bulbs) & extension cords (minimum 12/3). Each space will be provided (1) 110 volt (15 amp) electrical outlet. If you require more electricity, you must furnish it on your own (i.e. bring a generator). If we have additional outlets available, you may utilize them, but you will be required to pay $25.00 per additional outlet. 5.) Due Dates: a. Basic Application with Commitment Fee of $150.00 by Wednesday, May 1st. You are more than welcome to pay in full, but we must have your deposit of $150 to hold your spot. b. Complete Application with remaining fees/deposits is due no later than Friday, June 7, 2019. 6.) Each vendor booth is required to furnish its own display equipment, and ALL tables MUST be covered and if possible, decorated using a WATERMELON theme! J 7.) Food Vendors License Fee: You must also purchase a food vendor license from the City of Stockdale. The cost is $25.00 and may only be purchased form the Stockdale City Hall, located at 700 W. Main Street in Stockdale. The phone number to City Hall is (830) 996-3128. (The Food Vendor s License Fee is to be included with your application fee(s)- Please submit a separate check in the amount of $25.00 payable to the City of Stockdale and the License will be obtained for you.) 8.) Application with fees/deposits is due no later than Friday, June 7, 2019. 9.) FOOD HANDLERS PERMIT: A food handler s permit is also required in addition to the fees noted above and below. You need to contact he Wilson County Health Department to get your study guide and schedule YOUR TEST. You can reach them at (830) 393-8503. Their office is located at 800 10 th Street in Floresville, TX. You may also take an ONLINE Food Handlers Class. This MUST be taken care of prior to setting up and selling food from your booth. The Health inspector will be at the festival to ensure that you have your permit. YOU MUST HAVE THE FOOD HANDLERS PERMIT TO BE ABLE TO SERVE/SELL FOOD!!! NO EXCEPTIONS!!

a. The TX Department of State Health Services has implemented Food Handler Safety Training, which requires people in the food service industry to be trained in safe food handling. Now an online course is available that is self-paced and available in both English and Spanish and accessible 24/7. Students may register and take a test, and once it is passed, can immediately print out a Food Handler permit that is good anywhere in the State of Texas. The web sit also allows users to print an official San Antonio Metropolitan Health District Food Handler License, good anywhere the Health Department has authority. Each booth will be responsible for its own garbage cans and plastic bags. Receptacles must be emptied and your vendor area cleaned through the duration of the festival. KEEP your area CLEAN! There will be dumpsters nearby at all times. 11.) There will be ABSOLUTELY NO PARKING in the concession area. Driving in and around the vendor area will only be allowed during the setup times, and under no circumstance will there be any vehicular traffic within the City Park between the hours of 5pm and midnight on Friday (6/21) and Saturday (6/22) between the hours of 9am until 1am. Vehicles should be used ONLY for loading and unloading. Violation of this provision will result in dismissal of your booth, as well as, forfeiture of the booth fee(s) and deposit. 12.) There will only be security provided in the City Park until Midnight on Friday and Saturday and until 1am on Sunday. The City Park is a public place, but will be locked on Friday and Saturday nights. 13.) Each organization will abide by the Texas Alcoholic Beverage Commission rules at all times. All alcoholic beverages consumed at the festival MUST be purchased at the festival from the Stockdale Chamber of Commerce. No outside alcoholic beverages are to be brought onto the grounds. NO EXCEPTIONS. 14.) All items to be sold must be pre-approved by the Stockdale Chamber of Commerce. To omit any forfeiture, please be sure to list ALL items on your application. 15.) Music will be allowed in or around vendor booths, but we ask that volume be kept to a minimum since we will have live entertainment continuously during festival hours. If too loud, you will be required to turn off your music all together. 16.) You may not dump any hot coals, food by-product, grease, fluids, or other unsanitary or unsafe items in any trash barrels or containers on the festival grounds. Rather all food by-product, grease, fluids, or other unsanitary, unhealthy, or unsafe items must be disposed of by YOU and removed from the festival grounds. 17.) No open fire or hot oil shall be located outside of any food booth areas. Any hot oil or open fires must be kept in such a manner so as to meet the requirement of the Stockdale Volunteer Fire Department, the Stockdale Fire Marshall, the Wilson County Health Inspector, and any other entity having jurisdiction. Specifically, all cooking equipment, including all ovens, open fires, and hot oil, must be protected against contact by any persons or persons whatsoever (specifically including bar-b-que pits) by boards, ropes, caution tape, physical barriers, or otherwise. 18.) The festival will be held rain or shine, so please bring necessary materials to keep your products protected. 19.) All fees are NON-REFUNDABLE, with the exception of the $100 REFUNDABLE trash/cleaning deposit. 20.) Provide a copy of your Sales Tax Number with your application if applicable. If you are not required to pay sales tax, provide documentation to that affect.

21.) The Stockdale Chamber of Commerce assumes NO RESPONSIBILTY for accidents or loss of any kind. 22.) The Stockdale Chamber of Commerce is not responsible for the safety, health, or welfare of your owners, employees, family members, or other participants, nor are we responsible for the safety of your vehicles, booths, equipment, supplies, or property. Further, YOU agree to release the Stockdale Chamber of Commerce from any and all claims, damages, or assertion of liability caused by any person(s) affiliated with your business s attendance at this year s festival. 23.) In the event that you have breached any of the terms to this agreement during the festival, the Stockdale Chamber of Commerce shall have the right (but not the obligation) to cancel this agreement, and to have you remove the booth and all of your equipment and supplies immediately. Your vendor fee(s) and deposit will be forfeited. 24.) A copy of your Sales Tax Number/License/Permit must be provided with your application and displayed in your booth. NOTICE: APPLICATION DEADLINE IS FRIDAY JUNE 7, 2019 SETUP: Friday, June 21 st 6am to 3pm, Saturday, June 22 9 to 10am HOURS OF OPERATION: Friday, June 21-6pm to 12am (midnight) Saturday, June 22- (free) 9am to 5pm & Reopens at 6pm to 1am (Sunday) TEAR DOWN: Vendors WILL NOT be allowed to tear down and leave the promises until after midnight on Friday, Saturday you WILL NOT tear down until after the dance, which is scheduled to run until 1:00am on Sunday.
