Call) Vice President & Membership Secretary (Conf. Call) Treasurer Greens Golf Restaurant/Infrastructure PGA Pro Course Superintendent Meeting called to order at 5:00pm 1. President s Comments Meeting minutes for January 16, 2018 circulated for review and comment Motion was made to approve the minutes as presented Motion by: Mike Farina Second by: Tony Lupino Be it resolved that the Ballston Spa Board of Directors approved the BOD meeting minutes for January 16, 2018 Vote: Unanimous MOTION PASSED Unanimously To Dos Secretary is to update To Dos based on read-aheads and comments from this meeting. 1

Two more Members who are ill or injured have been granted requests to pro- rate their dues based on the date they can return to play in 2018. Information of these members is recorded in the office. 2. Vice President No report 3. Secretary Correspondence No correspondence this past month 4. Executive Committee 5. Membership Website update continues. Membership continues to work on the website update with our pro and members. Added since last report is a single PDF with membership and application insert. Todd s friend will update the video of the course and Dean Herrick will provide photographs. Membership continues to work with the committee and staff to identify membership data elements that can be included on the website. The Committee is cognizant that member privacy must be addressed and observed. One Example, each member would need to approve having his/her email posted. Other data elements such as cell number, M/F and DOB. A separate email for couples is needed for Golf Genius. Membership Maximum/Cap a. It appears that in the past a Board policy was implemented to limit memberships to 375. At that time, memberships were over 400 and it was difficult to make tee times. A waiting list and initiation fee were 2

used. At that time, a social member was at the top of the waiting list if he or she were to join as a full member. b. No final decision was made going forward and the issue remains open. Youth Golfers The Committee supports and recommends youth golfing activities. Volunteers are needed to assist and because of limited space, number of participants is limited. Other suggestions include Family Day with children under 18 playing free. A parent (s) coordinator (volunteer) is needed to work with the golf shop. Focus is to introduce children to golf. 6. Treasurer Revenue $548,900 has been invoiced for member dues. With all the work that has been accomplished on the Club files, the treasurer is confident that the POS will enable us to have accurate financial statements and reports. Guest Passes - The Guest Pass Program has evolved over the years and continues to evolve. Rick provided the history of the program and some recommendations for implementation next year. Further discussion to take place and the issue remains open. Corporate Memberships entering the 2018 season, there is a good indication that corporate memberships should be the same as 2017. The Board reached consensus that the Club should not grant exceptions for delayed payment of annual dues. In the past we have allowed delayed payments for a few members and it has been abused. The Office Manager has been researching use of social media for marketing membership. Although the BOD supports using social media, the president suggested we develop a plan before moving forward. 7. Greens Blue Tees on holes 1 and 3 will be re-sodded this spring using sod from the course sod farm. Steve Solsky will begin prep work for the blue tee on #7 by cutting trees and brush along the ride side of the tee area. As soon as we have funds in the budget Steve will complete 3

construction of the tee. Rough Mower Steve Solsky has not yet found a used rough mower. Rick has done paperwork with BSPA National Bank and the Club is in the process of procuring the loan. Tree removal - Money from the sale of logs will be used toward the rough mower In response to discussion from previous BOD meeting, a salter for the truck will cost $2500. Driving Range Trees along the right side of the range have been cut back closer to our property line. The stumps have not yet been removed. The poles down the left side of the range must be moved to the left closer to the tree line. The new net will then be hung. As requested by the membership, the fairway in front of the tees on #3 and 18 will be cut back closer to the tee and will be ready for this season. 8. Restaurant and Infrastructure Restaurant Chair and committee members are working with Dave Foster on the menu for 2018. Next Committee meeting scheduled in March. Arrangements have been made to install the new cooler (beginning of March). House 9. Golf Chair Roger Laime is coordinating the following activities: Railing for handicap ramp to the deck has two sections that need to be replaced. Flashing for roof overhang will be replaced at time of cooler installation. Need to purchase a tray for air conditioner in woman s locker room to catch condensation and pipe it to the ground. Pizza ovens are in the kitchen. Roger will arrange for gas hookup. Henry s will take care of the heat exhaust pipe on top of the pizza ovens. Floor at left end of bar will be examined and repaired as necessary. Flooring behind the bar also needs attention.. Door install on the Proshop needs to be scheduled. Wall at bottom of stairs in basement needs to be installed and is tentatively scheduled for early March. 4

Congratulations to Todd Manderson and John Sousa The North Eastern PGA has nominated our PGA Professionals: Todd Manderson for merchandizing - this is Todd s second year in a row to be so honored, John Souza is recognized for training and teaching. Calendar of Events: Member Tournaments only tournaments that are open to the entire active membership are listed on the Club Calendar. The Eastern NY Senior Golf Championship will be played at our course once again this year. Forty-Eight players will participate. Scooters The club is leasing 4 scooters this season from Phat Scooters. Seasonal Lease price is $495 per scooter. Revenue sharing from the rental of the Scooters is 60% to The Club and 40% to Phat Scooters. Purchase price for a scooter is $2500 The Club s Insurance policy covers the scooters and the carts. Rental by players Players may rent for $25 for 18 holes and $13 for 9 holes. Use of scooters is on a first come-first serve basis. No advanced reservations will be accepted. Season cart fee members or persons using guest passes must pay the $25. Public players will charged an additional $5 for use of a scooter. Motion to enter into a 3 year lease agreement with Phat Scooter, LLC. for the lease of 4 Phat Scooters. We will share the revenue with Phat Scooter, with BSCC receiving 60% and Phat Scooter getting 40%. Motion: Rick Funaro Second: Cindy Walkanowski Motion passed Unanimously Advertising Todd Manderson has arranged for five regional Go-Fences. As a person drives through the regional area, a message from Ballston Spa Country Club will pop up on their cell phones informing them to download our app or other message re the Club. 10. Old Business 5

Member Participation and Involvement Member Mike Zegarelli drafted a memo to the BOD suggesting that the Club should focus on fostering an environment that entices members to become more involved at the club, inviting folks to enjoy the Club activities and to volunteer to help with coordination of activities and devote time to work on course projects. The Membership Committee discussed suggestions for youth and family activities (see Membership above). The New Member Welcoming evening has been scheduled and the President asked the Membership chair to schedule a Volunteer recognition evening later in the season and the Restaurant Chair to discuss theme night dinners similar to what the Club had 10 years ago. The BOD will continue to focus on Member Participation, Recognition and Involvement. NEXT MEETING The next BOD meeting is scheduled for March 19, 2018 at 5:00 PM ADJOURN President asked for a motion to adjourn Motion by: Paul Steves Second by: Mike Farina Unanimously Approved Meeting Adjourned at 7:20 PM. 6
