CHIPPEWA YOUTH HOCKEY ASSOCIATION BOARD MEETING MINUTES January 29, 2014, 7:00 PM Called to order by: Bob Normand Time: 7:00pm Present: President (2013) Bob Normand _X_ Vice President (2012) Steve Gibbs _X_ Treasurer (2013) Erik LeMay Secretary (2012) Michael Pynch _X_ Board (2012) Randy Reeg _X_ Scott Peloquin Scott Francis Brian Anderson _X_ (2013) Rod Olson _X_ Trevor Bohland _X_ Pat Bowe _X_ Kirt Pickerign Brad Martin _X_ Other Attendees: Darrell Herr, Toni Ausman, Janet McDonough, Michelle Olson, Tammy Stone, and Dawn Barone 1. General Meeting Dawn Barone (Competition Chair for Figure Skating) attended the meeting and reported on the figure skating competition held on December 14. It was very successful and they went from 50 skaters, 4 other clubs represented, and $2400 in profit from 2012 to 80 skaters, 5 other clubs represented, and $4100 in profit. They wanted us to check on whether the weekend earlier was open though that conflicts with our Pee-Wee / Bantam tournament so they will likely keep it on the second Saturday (December 13, 2014). If they continue to expand the competition they may need to use both rinks on that date. Toni Ausman attended the meeting and requested ice time to put on a checking clinic in preparation for skaters who will become Bantams. This could also benefit Pee-Wees that will skate AAA. She would like to have two nights this spring and two nights prior to try-outs in the Fall. Toni has spoken with Luke Strand and he is willing to assist in delivering this training. Motion made by Steve to provide two nights in the spring and two nights in the fall (one hour each) for checking clinics to be offered free to CYHA members and for a fee (e.g. $10/night) to non-cyha members. Preference will be given to CYHA members and fees collected will go to CYHA. Seconded by Randy Michelle Olson was in charge of the clothing order. She used Letterman Sports and the online ordering worked very well. The quality of the apparel was also very good. Between the Thunder ($1072) and ThunderCats ($158) CYHA raised a total of $1230 which is significantly higher than what we have raised in past year. We prefer to use local vendors though Michelle has spoken to other area providers and they weren t able to meet this level of service and discounting. Janet McDonough spearheaded the Intelligym fundraising activities (Feed the Hockey Soul). A total of $3,314 was raised to date and the Pee-Wee B and Squirt C s are signed-up to use the tool. True results generally take 6 8 weeks to develop though as it is measured by Intelligym the Pee-Wee B s have raised their Hockey Sense approximately 10% already. She is still looking for additional ways to fund this cognitive brain training for other association members and high school students and if you have ideas or questions please contact Janet. Tammy was representing the Figure Skaters and she would like to offer a full-page ad in their figure skating show for the Chippewa Sand Transport team for all the effort and financial investment they have made at the rink. She would also like to offer 50 free tickets to the figure skating show for the Chippewa Sand Transport team and their families.

Monica Laux is also going to work with T-Bo to put together a collection of all our team s pictures so that Chippewa Sand Transport can display that at their business. 2. Secretary's Report The minutes for the month of December were approved via an e-mail vote and distributed to the Association. 3. Treasurer's Report Motion made by Trevor to approve the financial reports for December. Seconded by Steve Randy Reeg had noted earlier in 2013 that if CYHA paid their debt under $400,000 that he would do an Irish jig. We did get under that mark this hockey season and he impressed the entire board with his River Dance rendition. This was also caught on video and may be shared with those that did not attend the board meeting. 4. Correspondence/Officer Reports Steve attended a tournament in Shawano and Tier 1 Sports was there selling t-shirts. They are very interested in coming to our tournaments and Steve will be in contact with them. They will compensate CYHA 15% of gross revenue and will take up little space at our tournament. Bob Normand reported that his wife was doing well with her recovery from a heart attack and wanted to pass on his and his wife s gratitude for the flowers and the thoughts and prayers offered by all. 5. Old Business 6. New Business There continues to be issues with the behavior of a number of the kids at the rink. There are often parents that are either intentionally or unintentionally allowing this behavior to persist. It is possible that people do not realize the costs (broken windows) and unintended consequences (kids getting hurt) from allowing dangerous activities and bad behavior. Randy proposed that we convene a safety committee to conduct a simple assessment as to possible safety concerns that should be addressed within the rink. Bob is going to send out an e-mail reminding our Association members that we all own this rink and it is a $2M facility and should be treated like it was our own. It was suggested that maybe the kids should be more involved in cleaning the rink and that might help them to realize it is important to keep it clean and respect the rules. Motion made by Steve to dedicate the new locker room in the North Rink to Chippewa Sand Transport by getting a commemorative plaque and to also get 4 by 8 foot signs in each rink thanking them for their donation toward the Zamboni and the countless hours they have provided in improving our facility. Seconded by Brad

An association member raised an issue that when school is canceled that maybe we should have a policy cancelling all of our practices that evening. The board discussed this and determined that it is up to the coach to make the call as to whether practice is cancelled or not. If parents do not feel comfortable attending a practice due to weather conditions this will not affect their child s playing time. The board does not want to institute any blanket policies of this type and feel that it is best to leave things up to the judgment of the coach and the individual parents. We received our annual fire inspection and we had a number of items that we need to address. One of the issues we need to be mindful of is that exit doors are sometimes blocked by snow from drifting. After a snowstorm there is almost always some additional shoveling needed so if you are at the rink and have time please help out. From a cost perspective, the biggest issue (noted on a previous inspection as well) we also need to purchase a cabinet for containing and storing flammable materials. We take this process very seriously and Bob Normand has asked that when we do this each year that he is personally involved so that we can continue to improve the safety at our rink. 7. Committee Reports Finance/Administration (Randy) Capital Requests for 2014-15 If members have any capital requests please send them to a Board Member. We will determine our capital budget and operating budget over the next couple months and typically seek approval of that budget at the March board meeting. Special Events (Rod) Update on BeerFest The committee is working hard to make Beerfest another big success. The band is booked and plans are in place with Gordy s. One issue that was raised is that there may be assistance required to help get the ice off the rink quickly enough to allow the Beerfest Committee to set up early. If you are interested in volunteering for this event please contact Craig Frenettte. Ice Bowl Given the priorities of the association and the availability of our members we won t likely be in a position to hold Ice Bowl this year. Brian did speak with Kris Johnson and he would be willing to help this though would like someone active in the Association to work closely with him. If anyone is interested in getting involved or leading Ice Bowl please contact Rod Olson. Country/RockFest The Fest Committee met a week ago and this is by far our best year for early worker registration. For CountryFest, we have only one shift left to fill on Wednesday, 83% filled on Thursday, 83% filled on Friday, 74% filled on Saturday, and 63% filled on Sunday. For RockFest, we have 60% on Wednesday, 62% on Thursday, 66% on Friday, 68% on Saturday, and 54% on Sunday. Great job on getting this going early in the year! On-Ice (Scott) Figure Skating Update The update was provided above by Dawn Barone.

Tournament Update The Bantam B/C tournament has 8 B teams and 9 C teams signed up. There will be work assessment hours provided. The Mites tournament only has 4 teams so far. We are trying to get an 8-team tournament and do it on one rink. Doug is contacting other Mites teams to see if we can get them to attend. The Pee-Wee B/C tournament is a full 20 team tournament and there will be work assessment opportunities. The State Tournament (This year Pee-Wee B) should be treated as an Association Tournament and fundraising opportunity and we will ask teams to donate a basket for a raffle. Our fundraising at tournament this year has been spotty at best. Randy suggested that next year the Team Parent should present a tournament fundraising plan before each tournament. Steve noted that there was a member that is willing to provide a tournament template to make it easier for people to conduct tournaments. This toolkit would be on our website. Next year, we are going to move our U12/U14 tournament to the second weekend in February due to the number of new tournaments that have popped up that weekend (probably due to our own success). Team Update: How are our teams doing? Mites: They have having fun and will be using the Mites Boards going forward. Squirt A: They are doing well and winning the majority of their games. Squirt B: They are doing well and have only lost to A teams this year. Squirt C: They are competitive and when playing C teams they are doing very well. PeeWee A: They are around.500. PeeWee B: They are around.500. They did win the River Falls tournament. U12: They are doing well and will be playing Superior in Play Downs this weekend. Bantam: They are just under.500 and are trending better. U14: They are doing well and will be playing Hayward in Play Downs this weekend. As for next year, there may very well be a U12 team. There is a coach that has expressed interest in doing so next year. Bob will most likely coach the U14 team. There was some talk about next year reaching out to Altoona and Eau Claire if they don t have teams to see if they have girls that would prefer to play girls hockey. Bob was contacted by Stauber to run its clinic the weekend after Memorial Day. We already have some ice time booked so we should be able to justify keeping the ice on for another week. Facilities (Pat) Security System Trevor is going to be picking up the equipment in the next week or so. We are hoping to get a blueprint as to how the wiring should be done and if we get that the Chippewa Sand Transport team have expressed interest in helping with this. Update on Dehumidification

We are waiting on the scope of the work. Market & Johnson does not do dehumidification so we are waiting for design details from the supplier so that we can get that scoped. We need to know what we have for floor heating under the South Rink and Bob is going to call Wade Hutton and Paul Foster and see if we can get that figured out. Snow Plowing Pat suggested that when we have heavy snowfalls we should add to the plowing contract that they clear the outside rink for an additional fee.
