1 Call to Order 7:00 meeting called to order Wade / Kelly Agenda Adopt the Agenda Minutes Adopt Minutes from previous meeting Chad / Wade EXECUTIVE REPORTS 2 President No report 1 st VP See New Business Treasurer I now have the computer and most paperwork to begin sifting my way through and bringing the accounts up to date. It appears there are still some balancing and cleaning up to do before I will be able to get everything to current. I will continue to work with Rob, Michelle and Carol-Rae to hopefully have the month end financials for April, May and June for you at the next meeting or if all goes well earlier. Finance Committee: discussed need to create new committee for finances. Rob Mortin volunteered to join, and will seek other members Registrar Business Arising Previous Meeting See New Business Gaming grant was submitted on May 25. Total requested amount is $99,000. BC Gaming has till Aug 31 to give us final notification. 4 Old Business None 5 New Business Registration Committee Report: Members included: Carol Rae Hill (Registrar); Janet Fontaine (Midget Div Manager, Referee Payroll and Referee Liaison); Tricia Johnston (Female Hockey); and Jessica Hauser (Volunteer Records) Notes: Each Division s Pre Registration Report from the HCR has been sent to the Div Managers so that they can come to the meeting and speak to their division s special considerations and interests. Atom is tricky because we can t count on the females who said femaleonly to actually mean it, because some of them don t know yet that they can dual card, so we decided to count them all in the house numbers for now until Tricia has a chance to talk to them. Bantam and Midget are divisions with a lot of late August movement so we just don t feel we can let in waitlists until we see how the females affect the numbers we have been burned letting in waitlists too soon in the past extra bantam and midget analysis is at the bottom. Pee Wee should be reviewed by the Div Manager Jana Sexton and Tricia Johnston to further sort out the female factor. It is possible that we
can let the entire waitlist in but it needs a review by the Div Manager first. We recommend that Pee Wee be revisited at the July meeting. Registration by division: IP: 27 registered, 4 waitlisted, 1 out of catchment waitlisted. Recommendation to let waitlist in but hold out of catchment waitlist as many kids join late in IP. Create 2 teams for roster purposes. Chad/Rob Novice: 61 registered, 19 waitlisted, 1 out of catchment waitlisted. Recommendation to let waitlist in to max of 90. Create 6 teams Atom: 60 skaters + 4 goalies, 9 skaters waitlisted, 1 out of catchment waitlisted. Create 4 teams. 3 females undecided dual or female-only Recommendation to hold until female-only are confirmed. Chad/Rob Pee Wee:71 skaters + 5 goalies, 7 skaters waitlisted, 3 VRC rep out of catchment waitlisted. Create 5 teams. Recommendation to let in 7 waitlisted, hold out of catchment Kelly/Chad Bantam: 74 skaters +9 goalies, 4 skaters waitlisted, 3 VRC rep out of catchment waitlisted. Create 4 or 5 teams depending on 5 females trying out for zone. Recommendation is to hold waitlist until females confirmed and see dropout rate over summer. Midget: 67 Skaters + 7 goalies, 1 waitlisted, 1 female only waitlisted. Create 4 teams. Recommendation to hold as 6 females are trying out for zone and see dropout rate over summer Motion: let in one waitlisted player Juvenille: 15 skaters + 1 goalie, 2 waitlisted. Create 1 team. Coach Committee Report: Members include: Mark Zerr (1 st VP Ice & Coach Committee), Loren Braun (Development), Jeff Bryan (longtime PMHA coach/whl scout), Brian Coward (longtime PMHA coach), Darren Parker (VP for Victoria Royals), Dave Cutler (CFL hall of famer, former hockey coach) Notes: First off, the process this year was designed to be as transparent and fair as possible to anyone who was applying to coach at PMHA. While we recognize that these are volunteer positions, these are the people who spend countless hours over a span of 7 months with the team and in addition to the time spent they are also running teams that will typically spend 20-30 grand for some levels of hockey. With that we have a big responsibility. The interviews were split up where each age group had some of the people listed above involved in that group. Typically we had 2 or 3 people involved in each interview with either Loren or myself there to make sure it was handled properly. The coaches were asked to submit the coaching application on our website. They were also asked to do a sample practice plan that would be a typical early season practice for the team they were applying to coach as well as submit their season plan for that team. The committee doing the interview were given all this information on each applicant as well as any other information we had, like coaching feedback from our survey as well as any information we had above and beyond all this. In general we were trying to be thorough, complete, transparent and fair to the applicants. The house coaches will be sorted out once we begin tryouts, but we do have a lot of people looking to coach various levels of house hockey. We also have a lot of potential coaches for Novice 3 and Novice 2, but at this time only Novice 4 has been completed. Those other levels will also need to be sorted out once we assess in the fall. Coach recommendations by division: Novice 4: Mark Hall good coach review last season should be a strong coach and reviewed as solid choice. Mark Hall left room due to conflict of interest Motion: declare Mark Hall Novice 4 coach Decision: Motion carried, all in favour Mark Z/Trisha Midget A: Paul Warmenhoven assistant coach for successful last season and has good game knowledge and relationship with players. Paul Warmenhoven left room due to conflict of interest Motion: declare Paul Midget A coach Decision: Motion carried, all in favour Mark Z/Carol Rae
