Port Jefferson CCMAC Meeting November 17, 2016 Minutes Present: Ron Carlson, Bob Conlon, Joe D Agrosa, Dana Eng, Dave Hershberg, Stan Loucks, Brian MacMillan, Barbara McGilvray, Dave McGilvray, Lisa Perry, Sue Siegel, Ray Sommerstad, Jim White, Donna Woodruff, Mark Woodruff, Gary Zamek Motion made to approve October 20, 2016 minutes- Approved Introduction J. D Agrosa called the meeting to order at 7:04 PM Trustee Report Stan Loucks Grill Room o Stan stated that he has a commitment from Port Jefferson Village to put money towards grill room improvements including getting new flooring, instillation of a window between the bar and service desk & having it painted. o Current Grill Room contract is to be terminated October 15, 2016. PJV owns some of the kitchen equipment and will purchase additional and possibly tables and chairs. Current Grill Room owner must be out by November 19, 2016 o There are currently two very interested venders; the owner of the Bench, and the owner of a deli in Riverhead who formerly operated the Calverton Links grill o Final Proposals- 11/28. Deal to be finalized 11/29 o Stan projects members will be very happy with the new grill room, as vendors are being heavily vetted. CCMAC suggests that grill room lease should be shorter, and as PJV now owns all of the equipment the rent can be increased Stan reported that renovations to the locker room are currently on hold due to the bid being too high. A bond will provide substantial financial support but the priority lies with the grill room Discussed possibly surveying both ends of the country club for a pool 1

Parking stickers for non-resident members allowing access to East Beach has still not yet been finalized Joe offered Stan a huge thanks his investment of his time in the grill room project Golf Report Bill Mackedon Golf Pro Shop hours for December 2016 will be 7:30 AM- 4 PM Outside operations and bag storage will stop the first week of December to cut expenses. Bill will have an outside worker come in when he is away on vacation to help Maggie with the golf carts if the course remains open Bill will be on vacation December 19, 2016 through January 9, 2017 to spend time with family out of state. Bruce and Cory will coordinate staffing during his absence Golf Course will open at 8:00 AM in December Discussed changing the format for the Men s and Women s Championship for 2017 by possibly reducing flights and adding more competition o Possible changes for 2017 include downsizing the Men s group from six divisions to four divisions, and three Women s divisions to two divisions. There has been a drop off in participation as members have been playing in regular groups with friends o Club Championship would still run over the course of two weekends. Changes to the Club Championship rules to be voted on at the next CCMAC meeting Calendar of events o Weekend tournaments o Tuesday tournaments- will be completed for next meeting o Monday Outings- need to improve participation. Bill is working with Amanda at Lombardi s o Socials-trying to introduce more socials during the 2017 season o Bring A Friend Days- Small business day Monday April 24, 2017. Saturday resident and member bring a friend will occur on Saturday April 29, 2017. Bill stated that this will be approximately 3 ½ weeks after aeration, offering better course conditions to further encourage new members to join o Survey for weekend tournaments group for the ladies 2

Golf Carts- our current golf cart lease is expiring and we will be leasing a fleet for 2017-2022, a five-year lease. Carts will be gas powered due to a lack of charging capabilities o Option 1- EZ GO, gas, same carts, smaller seat, least expensive option o Option 2- Yamaha, gas, same carts, bigger seat, same price we are currently paying, better dashboard o Option 3- Yamaha, 64 quiet cars. 10 summer rentals. o Option 4- Club Car, gas, same price as this year Bill recommended Option 3 as it provides the best member experience at the same price we are currently paying, it is more fuel efficient, and there will be no lease payment for January, February, and March 2017 Membershipo Member applications should go out around Thanksgiving and Bill recommended that all current members should be called to make sure they have received an application and if they have any questions or concerns. o Dave McGilvray will form a committee to assist Corey during the membership drive o Bill stated that he had previously spoke with Corey, who had suggested that membership applications should be emailed first in November, with a followed up emailed application in December, and a hard copy mailed in the last week of January. If an application has not been received, please contact Corey o Bill also stated that emails will be sent to every former member and every guest who have played at the club to promote new and returning memberships o Discussed early incentive rate for members who join prior to March 1, 2017 L. Perry made a motion to approve Seconded by D. Eng Motion rescinded Budget- Bill and Brian have met with Arta and will have a more indepth look at the incomes and expenses for the next meeting 3

Superintendent Report Brian MacMillan Greens Committee Report- Mark Woodruff chair of greens committee o Off-Season work- removal of dead trees, cleaning up, altering mowing pattern by moving 12 th hole fairway towards 10 th hole to hit straight line o Discussed possibly creating a bridge across bunker behind 17 th green. However the bunker is very steep and exiting in this area may present a danger. Also discussed were incidences of players hitting into groups exiting the 17 th green. o Suggested what can members do to help Brian and Greens Crew- maintain additional rakes? Brian reported finishing the clean up of leaves and clearing brush area which is to be seeded in the Spring Due to budget concerns, the aeration process discussed at last month s CCMAC meeting is too time consuming and costly, and will tried to be done in-house Removing ropes and stakes Belgian Block instillation has to wait until funds from Belle Terre Fund come in Greens crew employee is not able to currently run the Bobcat due to an injury Corrections have been made to the Ladies and Senior tees Tennis Report Dana Eng Dana reported that she would like to have ladders in place by the opening of the 2017 tennis season Discussed possibly having a mid-season party- non-tennis/tennis social with possibly giving out awards for fun and merriment to be had by all in attendance Dana stated that she is looking for suggestions on how to improve the social area Dana reported that there are two safe hazards of concern, the cliff edge near Court 4, and patio bricks sinking into the ground around a drainage grate Chelsea Online System for court reservations o D. Eng made a motion to approve spending $700 on Chelsea Online System o Seconded- J. D Agrosa 4

o Motion approved Golf Committee Report- Dave McGilvray Annual Board of Governors meeting took place on November 15, 2016 Dave reported that the weekend tournament schedule for next year has been finalized Membership- extensive conversation took place regarding membership. Dave raised the question of who monitors the PJCC Facebook page. In last month s minutes it was discussed that Corey would be more involved in a social media campaign to boost interest in membership and what steps were being taken to encourage him to take on this project. He was to confer with Donna s colleague at SB regarding social media marketing ideas. Additionally the question of who is Corey s direct Supervisor and who is authorized to delegate specific tasks to him. Old Business Hybrid Tees- hybrid tees will not be put into place for the upcoming year. Plans will be formalized for the 2018 season New Business Barbara MacGilvray suggested 9 holers allow people without a handicap to join the group to establish a handicap Questions from the floor-none J.
