Tabled until after the ice scheduling meeting.

Discussion around hosting an exhibition game with this team as a noncontact game to show the public what it looks like. Table f) Valleyview Bantams i) They are still running team did not fold. g) Coach Criminal Record Check Use Declaration Form Instead Shawna F. Table h) Novice Saturday Home GBC Ice i) Verna informed that each team has 5 home games at the SP, except Team #2 they only have four. Seeking permission to allow Team 2 to host a home game on Nov 7 from 10-11:30 am in the GBC, pending ice availability. Discussion around how many exhibition games are allowed to teams involved in League; this has not been set but is at the Board discretion. Discussion about capping exhibition games for the League teams. Since Michelle Dallaire is required to apply for a sanction for all home game exhibition games, she will keep an eye on over-usage. Michelle Dallaire moved to approve the Novice Team 2 to host a home game in the GBC on Nov 7, 2015 from 10-11:30 am pending ice availability. Second by Nicole Laurin. All in favor (Valene Fisher abstained) motion carried. i) Overage Player at Bantam (Jordan Auger) i) Tom advised that no suspension was given to either himself or Arnold Gauchier; however, HPMHA has been fined $50 due to allowing an unauthorized overage player to play in a Bantam B exhibition game. Tom insists on paying the fine and not allowing HPMHA to pay on his behalf. The application for Jordan Auger to play as an overage player at the Bantam level has been denied by the All Peace League, stating he only meets two (2) of the six (6) criteria; therefore, Jordan has chosen not to play at all.

5) New Business a) Approval of Email Votes i) Date of October 2, 2015 Subject Line Pond Registration (Late Fee) Michelle Dallaire moved to approve the email motion dated October 2, 2015 with the subject line Pond Registration (Late Fee). Seconded by Michelle Hill. All in favor (Valene Fisher abstained) motion carried. b) Pond Hockey Late Registration Fee Shawna Flett Table c) Evaluations - Cody - Table d) Refunds - Valene i) Jordan Auger (Midget) Requested a refund earlier; however, he has since skated twice with the Bantams, plus a game with them. Discussion about what amount of refund he should receive. Joyce Stokes moved to approve the full refund request for Jordan Auger less the $30 admin fee. Seconded by Angelique Tisserand. All in favor motion carried. ii) Brody Cunningham (Squirt) did not step foot on the ice; attended practice but didn t participate. Michelle Dallaire moved to approve the full refund request for Brody Cunningham less the $30 admin fee. Second by Nicole Laurin. All in favor motion carried. iii) Nolan Cunningham (Squirt) not sure he went out for practice at all. Michelle Dallaire moved to approve the full refund request for Nolan Cunningham less the $30 admin fee. Second by Shawna Rich. All in favor motion carried. iv) Jayce Gauchier requested a refund two years ago with no actual date of refund request on record. The refund was never done provided and last year it was brought to Tom and Shawna s attention. They were able to find the information (February 11, 2014 minutes) that showed the request was brought forward by the Registrar in January and last year Shawna provided refunds of the following amounts, as per policy: 25% of $500 ($125) to Peavine and 25% of $250 ($62.50) to Layne Gauchier (which was never picked up). Layne is still unhappy with the refund amount stating that the letter should have been brought forward earlier than January and has approached Tom and Shawna again about the issue

this year. Review of minutes and email correspondence with the Registrar from that time discussion had. Joyce Stokes moved to have HPMHA stand by the policies and the initial motion made at that time to refund at 25% and offer the family a new cheque to replace the stale-dated cheque. Seconded by Valene Fisher. All in favor motion carried. e) Refund Policy Valene i) Recommended that for Initiation and Novice we need to have a grace period similar to the older levels. Proposed the amend the current Policy #3 as follows: 3. REGISTRATION REFUNDS (Sept 2015) a) Request for refund of registration fees must be submitted in writing to the Registrar. Reimbursement is not mandatory but may be considered based on the following basis: Prior to the first evaluation skate OR the first regular scheduled practice of the current year Registration fee less $30.00 administration fee First ice session up to October 31 st of the current year 75% of registration fee refunded November 1 st to November 30 th of the current year 50% of registration fee refunded December 1 st to December 31 st of the current year 25% of registration fee refunded After December 31 st of the current year no refund Regarding Initiation and Novice, given that they do not participate in the two day conditioning skate, they will be granted a two-practice trial in lieu of the current year - Refund of the full Registration fee less $30.00 administration fee will be considered Joyce Stokes moved to amend Policy #3 as amended above. Seconded by Bruce Cunningham. All in favor motion carried. f) League Scheduling Mtg Schedule i) Scheduled for October 24, 2015 at 9 am in Rycroft. Order of scheduling is Bantam 9 am, Midget 10:30 am, Female 12 pm, Peewee 1:30 pm, Atom 3 pm all required to arrive 15 minutes early. ii) Coach/Manager meeting set for Wednesday, Oct 21, 2015 at 8 pm and Thursday, Oct 22, 2015 at 6:30 pm both to be held upstairs GBC. Verna will send out coach/manager email and contact arena staff to book the GBC space. g) Parent Information Letter to Lonnie Willier Verna i) Verna was approached by Lonnie s father seeking information about the happenings with his grandson at the Peewee level and requested that a letter be sent to Lonnie. Discussion Lonnie is not listed anywhere on the current registration information; therefore, if Lonnie is seeking a letter of information, he would need to contact the Board in writing.

h) Pictures i) Picture dates are as follows: Oct 28 (Squirts, Novice 1 & 2, Peewee A, Bantam A, Legionnaires) and Oct 29 (Atom B, Novice 3, PW/Bantam Female, Atom A, Midget Female, Peewee B, Bantam B) Shawna F will post on Facebook; Verna will post on website. The Promo Store will also be present to showcase jackets. ii) Novice Team #3 will lose both practices due to the picture schedule while all other teams will only lose one practice. Discussion there is open ice on Fridays from 5:30-6:30 pm at the GBC. Verna will advise the team that they can have the Friday ice slot on Oct 30, 2015 in lieu of losing their two practices. 6) Reports a) President s Report i) Ice Rental Agreement from Rec Board discussion about the terms. Discussion about ice cancellations suggested that any cancellations should be given to the Rec Board or the arena staff, Bruce as the ice scheduler, and Valene as the Treasurer. Tom will clarify how the Rec Board would like this handled and will advise. ii) Tiering Games everything went good with all games; everyone had their minimum three, except the PW/Bantam Females only got two because a team dropped out of the tiering tournament; therefore, they were not fined. iii) Tiering Meeting Tom advised about the meeting. iv) Female PW/Bantam Team they will only have four home League games in total scheduled because there are only three teams in their tier. Discussion about the PW/Bantam Female being granted to book and play extra games (both home and away) in the way of playing exhibition games against the mainstream teams in Bantam Tier IV (No-Contact Tier). Tom will talk to the team manager about this. v) Arctic Winter Games Tom received the tryout schedule and they will be utilizing only one ice surface; volunteers will be required for score box and perhaps player boxes (not coaches, but to open doors), and maybe an evaluator or two. Discussion around how this affects Bantam Provincial play downs b) Treasurer s Report i) As presented by Valene discussion. Outstanding fees Novice: Lucas Anderson (owes $50 from his move from Initiation to Novice); Midget Female: Kiera Okemow (owes $100 Team Fee). No budget created for this season. Michelle Dallaire moved to accept the Treasurer s Report as presented. Seconded by Joyce Stokes. All in favor motion carried.

c) Registrar s Report i) Rosters are submitted and pending ii) An additional female (Kyra Giroux) is registering as a late registrant into mainstream Peewee and will automatically be placed on the B team which pushes the B team to 18 players and the A team currently has 15 players. iii) An additional Midget male is also registering this week he has just moved back to the community which puts them at 17 skaters and a goalie iv) Have also had an inquiry for an additional Bantam male and a Midget Female registering as late registrants. v) An additional PW/Bantam Female may be looking to register from Falher. d) Other i) Initiation/Novice Director (1) Initiation Numbers down to 22 Verna advised that two players have withdrawn and requested refunds, bringing the total number of registered players to 22. Discussion on this decision to merge the players into one team. Verna will inform the coaches and team managers and will arrange to host a team meeting to be held at the next practice with Verna, Tom and Angelique present. (2) Novice jerseys - deciding who gets the jerseys Board conducted a coin toss for all three teams to determine the Promo Store sponsored jerseys Team #3 is awarded the Promo Store jerseys (3) Discussion about the Fred Spendiff crests. Suggested to begin to phase them out as we get new jerseys. Table ii) Pond Hockey Update - From Cody via Verna (1) 113 registered, one left to pay Cody also needs to follow up with the Children of the Future who pay for Sucker Creek players (2) Group 1 (ages 5-7) has 29 players Group 2 (ages 8-10) has 33 players Group 3 (ages 11-12) has 27 players Group 4 (ages 13-17) has 24 players With these numbers, Cody would like to close registration, especially for Group 2. Joyce Stokes moved approve and support Cody s request to close Pond Hockey Registration at his discretion. Seconded by Bruce Cunningham. All in favor motion carried. 7) Next Regular Board Meeting November 17, 2015 @ 6 pm at the Outreach School 8) Adjournment Meeting adjourned at 9:54 pm
