Please take time to read the event conditions which begin on page 12 of this Entry Pack. The conditions contain vital information relating to the event and amendments have been made. Judges will be contacted directly this year to check their availability. Once numbers have been confirmed, an invitation will be sent out. Clubs are asked to nominate a volunteer where possible to assist with event delivery. Please provide as much detail as to whether the volunteers have previous experience in certain areas/roles so we can ensure they are happy in their role. 3

If a swimmer is not appearing on the entry list, please check whether it may be because of one of the following reasons: Entry will not be possible without an updated photo in Biogs. Swimmers who have not updated their photo in the past 2 years (2014-2016) will be required to upload an up to date photograph in Biogs. To check whether a swimmer has a photo in their Biogs page please CLICK HERE. Biographies can also be updated using the same link. Anyone having difficulty updating their data can find full instructions CLICKING HERE. 4

When uploading a photo to Biogs please follow these guidelines: 1. PHOTO: Clear head and shoulders shot. Please crop it down if it is not. 2. SIZE: Width of 200 pixels 3. An easy way to resize is to open the photo in Microsoft Office Picture Manager. > Edit Pictures> Resize> Type 200 in Custom Width x Height and hit enter to adjust the height accordingly. Similar can be achieved in Paint. > Resize> Select Pixels > Type 200 in Width and the height will adjust accordingly> Select Ok. 4. If the photo is not suitable, does not look like the swimmer, entry into the event may be declined. Swimmers looking to compete in the Competitive Strand of the competition must be Category 2 members. Swimmers in the recreational competition can be a Category 1 member. Please refer to the Conditions for further information. Their membership category can be checked via the. If a swimmer needs registering as a Category 2 member, the club will need to work with the swimmer and Memberships department to fill out the necessary forms to become a Category 2 member. The required skill levels are detailed in the conditions. A swimmer s Skill Level can be viewed via the. To ensure swimmers appear under the team on the entries page before the closing date, please ensure you contact ASA Memberships or the Events office with any queries no later than 7 days before the closing date to ensure they are processed and appear online in time. After this time it cannot be guaranteed the swimmers membership will be processed in time and appear on the entry system. No skill level is required. However, there are limitations on the number of competitive swimmers a team may have. The skill level of the swimmers will be as of the first day of competition. Please see the conditions for further information. Swimmers in the England Talent Squad will be competing for their clubs. Please email the Event Officer, Kate Furness (kate.furness@swimming.org), for further details on how to enter. A photo will need to be submitted for accreditation as part of entry process. 5

ALL ENTRIES CLOSE: 12 Noon Wednesday 2 November All individuals and team entries and appropriate payments must be received by this deadline. Late entries, entries without payment or athlete photographs and entries incorrectly completed will not be accepted. No paper confirmations will be sent out to competitors. A list of all confirmed entries will be available to view online as follows: Competitors and individuals completing the entry must check the details carefully and should contact the Event Officer immediately with any errors. When entering teams, please check carefully that all team members have been included. Final competitor confirmation and order of draw will be available online, via the event website, approximately one week before the championship. Please ensure all entry information is correct and notify the Event Officer immediately if there are any errors. When an entry has been a submitted, an automatic e-mail will be sent to the associated e-mail address with the swimmer(s) accreditation. This may be an individual accreditation if a swimmer has entered themselves or it may be a number of accreditations if a club has entered swimmers. Accreditation passes are to be printed off in advance and brought to the event. Accreditation holders and lanyards will be available for collection at the venue. No one will be allowed on poolside without the relevant accreditation. Lost or Forgotten Accreditation Passes A 10 charge will be applied on all forgotten or lost passes if a swimmer arrives at the event without their accreditation. Every club needs to have a Level 2 Coach on poolside at all times. A Level 1 coach can apply for a coach pass but they will need to be accompanied by a Level 2 coach at all times. Only coaches with these qualifications will be issued with a pass: - If the highest qualification is a Synchronised Swimming Assistant Teacher or Synchronised Swimming Coach Level 1 - a Level 1 Coach pass will be issued - If the highest qualification is a Synchronised Swimming Teacher or Synchronised Swimming Coach Level 2 or higher - a Level 2 Coach Pass will be issued Failure to show a pass will result in individuals being refused access to poolside. ALL APPLICANTS MUST BE DBS CHECKED THROUGH THE ASA. The DBS must be valid until at least the final day of competition. Please ensure the Coach/Chaperone has relevant DBS disclosure issued by ASA/WASA/SASA. If there is any doubt as to whether the coach/chaperone has the relevant DBS disclosure please contact: The ASA DBS Office: 01509 618738 Events Department: 01509 640261/ janice.munning@swimming.org Please be aware, the application process for a DBS could take up to 4 weeks to complete and is valid for 3 years from the date of issue. All new applicants must enclose one passport-sized photograph. Coaches/chaperones can apply for passes online HERE. Coach/Chaperone pass cost 7.00. Closing date: 18 November 2016 A late additional fee of 20.00 will be payable on all coach/chaperone passes after this closing date. Passes will be available to collect from the event at the Clerk s Desk located in the entrance of the changing rooms, from the start of warm up on Friday 2 December. Lost/replacement passes will be charged at 5.00. 7

Barton Pool will be available for warm-up only before each event. Twyver Pool will be available on Friday 2 Sunday 4 December for training without music. A full warm up/training schedule will be available once entries have been confirmed. All times are subject to change. Swimmers are warned that random doping control may take place during these Championships. Please ensure that accreditation is clearly displayed at all times, as this will be used as identification. Throughout the National Age Group Championships in-ear commentary will be provided and event will also be recorded. Earpieces with live commentary and event footage will both be available for purchase. In order for the commentators to provide some detailed commentary, clubs are asked to provide biographical information on the athletes and information about the routines, such as themes, music and inspirations will be welcome. ASA NATIONAL AGE GROUP SYNCHRONISED SWIMMING CHAMPIONSHIPS AND RECREATIONAL CONDITIONS 1. General Conditions 1.1 The ASA reserves full powers over the ASA National Age Group Synchronised Swimming Championships. 1.2 The Championships shall be competed for annually, under FINA/ ASA Synchronised Swimming Laws (701 et seq) Technical Rules and as provided by the following conditions. Where FINA Rules do not provide (for example: Health and Safety Regulations and guidelines and Child Protection, the requirements of the ASA shall apply. 1.3 Entries will only be accepted from: 1.3.1 Competitors registered as members of the Amateur Swimming Association (ASA) 1.3.2 Competitors from Scottish ASA (SASA) or Welsh ASA (WASA) and countries affiliated to FINA 1.4 The promotion of the Championships shall be the responsibility of the ASA Synchronised Swimming Management Group, which shall for all purposes be regarded as the Promoter. It shall decide any matter arising that is not covered by these conditions, subject to conformity with ASA Laws. 1.5 The date and venue of the Championships shall be decided by the ASA Sport Governing Board upon the recommendation of the ASA Synchronised Swimming Leadership Group 1.6 A competitor must have been a registered member, or equivalent, of the club in whose name she/he is entered, at least 60 days prior to the first day of the competition. 1.7 All Clubs must have a qualified Level 2 Synchronised Swimming Coach on the poolside, the Coach must be in possession of an official Coach Pass. 1.8 Competitors must be ASA Category 2 registered swimmers of the ASA for the Championships events (with the exception of Mixed Duets) and may be Category 1 for Recreational and Mixed Duets events providing they have ASA Skill Level 2 or less. 2. Officials 2.1 All officials shall be qualified and be on the ASA Synchronised Swimming Licensed Officials List (where applicable). 2.2 Additional Officials will be appointed from the ASA Synchronised Swimming Licensed Officials List (where applicable). 2.3 The Referee and Chief Recorder shall be approved by the ASA Leadership Group for Synchronised Swimming. 3. Method of Entry 3.1 On-Line entry system contact - National Events Department, Pavilion 3, SPORTPARK, OAKWOOD DRIVE, LOUGHBOROUGH, LEICESTERSHIRE, LE11 3QF.

3.2 Entries shall be submitted to the ASA Events Department together with the appropriate entry fees, no later than [time and date to be confirmed.] An updated photograph of each competitor must be also submitted online. 3.3 All music information must be registered with The Limited Manufacturing License, Mechanical-Copyright Protection Society (MCPS). 3.4 All music shall be recorded on a CD one routine per CD with a lead in of 4 seconds. 3.5 Competitors shall report to the Clerk of the Course not less than 30 minutes prior to the start of the event. 4. Championship and Recreational Events 4.1 The competition events shall be divided into two strands: Championships and Recreational. 4.1.1 Championships shall consist of figures, solo, duet and free team. 4.1.2 Recreational shall consist of free combination 4.2 Championships Figure Competition 4.2.1 12 & Under 4.2.2 13-15 Years 4.2.3 15-18 Years 4.2.4 18-19 years 4.3 Championship Routine Competition 4.3.1 12 & Under Years: Solo, Duet, Mixed Duet & Free Team 4.3.2 13-15 Years: Solo, Duet, Mixed Duet & Free Team 4.3.3 15-18 Years: Solo, Duet, Mixed Duet & Free Team 4.3.4 18/19 Years: Solo, Duet, Mixed Duet 4.4 Recreational Free Combination Routine Competition 4.4.1 12 & Under Years: Combination 4.4.2 13-14 Years: Combination 4.4.3 15-18 Years: Combination 4.4.4 19 & Under Mixed Age Combination 5. Entry Qualifications for the Championships and Recreational Events 5.1 All Competitors, wishing to compete in Solos, Duets and Free Teams must compete in the Figure competition. Competitors wishing to compete in Mixed Duets are not required to compete in the Figure Competition. 5.2 Age as at midnight on the 31 December in the year of competition. 5.3 Competitors may only enter one team event. This can be either the Championship Free Team or Recreational Free Combination event. 5.4 A competitor may only enter one duet. This can be either Duet or Mixed Duet. 5.5 Male and/or female competitors with the appropriate skill level (See Appendix 1) are eligible to compete in the Solo, Duet and Free Team and Free Combination events, with the exception of the 19&U mixed age group Free Combination, which must be either all male or all female. 5.6 Swimmers who are 15 years of age may either but not both swim in the 13-15 age group or in the 15-18 age group. For all competitive events they must enter the same age group, but may swim in a different age-group in the recreational strand.

5.7 Qualifying Skills must have been attained by the closing date for the competition and must be valid on day of competition. 5.8 Competitors must have achieved the minimum ASA Skill level in line with Appendix 1. 5.9 Recreational Free Combinations may consist of: 5.9.1 No more than 50% of the total number shall have competed in the Competitive Section 5.9.2 No more than three (3) swimmers who hold ASA Skill Level Four (4) or Five (5) will be eligible to compete in a Recreational Free Combination routine 5.10 Clubs may enter one or more Team and/or Combination in each age group providing the first entry has the maximum competitors for the event, i.e. eight (8) in the Free Team and ten (10) in Free Combinations. 5.11 Clubs may enter a Championships event in one age group and a Recreational event in another age group, or a Championships event and a Recreational event in the same age group. 5.12 Competitors in duet, teams and free combinations must be members of the same club. 6. Figures 6.1 Each age group shall perform the compulsory group plus one group drawn from the Figure List in Appendix 2. 6.2 The order of appearance for figures shall be decided by should be random draw. The draw shall take place at least 24 hours before the first part of the competition. 7. Routines 7.1 In each Age Group, up to twelve (12) of the highest placed competitors, with the appropriate skill level in figures, shall perform in the Solo events. This includes competitors from 1.3.2 7.2 In each Age Group, up to twelve (12) of the highest placed pairs with the appropriate skill level in figures shall compete in the Duet events. This includes competitors from 1.3.2. 7.3 All Mixed Duets shall swim. 7.4 All Teams shall swim. 7.5 The order of appearance for routines in the Championships Solo, Duet and Team event will be by container draw. 7.6 The order of appearance for Mixed Duets and Recreational Free Combination will be by random draw. 7.7 A team shall consist of not less than four (4) or more than eight (8) for Free Team routines. 7.8 A Free Combination shall consist of not less than four (4) nor more than ten (10) competitors. 7.9 In Free Combination, at least two (2) parts must have fewer than three (3) competitors and at least two (2) parts must have all competitors. Start of the first part of the routine may be on the deck or in the water. All of the following parts must start in the water. A new part begins in very close proximity to the previous part.

7.10 The names of the swimmers competing in the Duets and Free Teams must be submitted to the Referee, in writing, within two hours of the figure results being available. Changes after this time may only be made in the case of sudden illness or accident of the competitor, and if the reserve is ready to compete without delaying the event. If the lack of a reserve reduces the team size to less than four (4) the team shall be disqualified. 7.11 Failure to notify the Referee of substitution and/ or withdrawals shall result in disqualification. 7.12 Time limits for the routines will be according to Appendix 3. 8. Trophies and Medals 8.1 Medals will be awarded to competitors who are placed first, second and third in each age group Figures, Solos, Duets, Mixed Duets, Team and Free Combinations. 8.2 Guest Medals will be awarded to competitors from 1.3.2 who are placed first, second and third in each age group in Figures, Solos, Duets, Mixed Duets, Team and Free Combinations. 8.3 For Solos, Duets and Free Team, the figure results will be added to the routine score up to a maximum of 200 points. For Mixed Duets and Combination the final result will be the total routine score up to a maximum of 100 points. 8.4 The Mrs Y M Price Trophy will be awarded to the club with the highest combined figure and routine score in the 13-15 Age Group Free Team event. 8.5 The Molly Gledhill Memorial Trophy will be awarded to the club with the highest combined figure and routine score from the 15-18 Age Group Free Team Event. 8.6 The Shacklock Trophy will be awarded annually to the swimmer, who is registered with an ASA England Club, with the highest total of routine scores without figures added, in the Solo, Duet and Free Team Championship events. The winner can be from any age group at these Championships. 8.7 The Mary Black Trophy will be awarded at the discretion of the ASA Synchronised Swimming Management Group.
