North Midlands Water Polo & Swimming Association 2018 Swimming Championships Conditions Level 3 Licensed Gala 3NW181707 (October 6 th /7 th) and 3NW181708 (October 20 th /21 st ) 1. Introduction The North Midlands W.P. & S.A. Swimming Championships shall be competed for annually on dates decided by the Association Committee and held in accordance with the Rules of the Association, ASA/SWIM ENGLAND laws and ASA/SWIM ENGLAND technical rules. The organisation of the championships shall be managed by the association with powers delegated to the championship secretary. The entry fees will be set annually by the association committee. Bona fide coaches and team managers requiring access to the poolside must be in possession of a pass issued by the North Midlands Association. Coaches and Team Managers must also have a current DBS and Safeguarding Certification. Clubs are REQUIRED to submit a list of eligible Coaches and Team Managers indicating DBS number and Safeguarding expiry dates. This list should be e-mailed to north.mids.entries@gmail.com no later than 3 rd October 2018. Coaches passes cost 15 each. In line with Swim England recommendations clubs are advised that there should be one adult (coach or team manager) per 10 swimmers. It is crowded on poolside and clubs are asked to be sensible with the number of passes purchased. Payment for passes should be enclosed with the swimmer s entry fees. Clubs are requested to bring no more than 2 chairs per club. The 8 clubs with the highest number of competitors will each be required to supervise the warm up at one session. The rota will be arranged by the gala entry team after entries are closed. In addition, all clubs are required to supervise their own swimmers during warm up. Any question or dispute arising from these conditions or disputes related to a matter not covered in these conditions shall be determined by the championship secretary and may be referred to the association committee at a later date. 2. 2018 Association Championships The championships will be held. A link to a lite version of this (allowing entries to be made) is available on the Association website. ALL CLUBS SHOULD INCLUDE THEIR 10 AFFILIATION FEE WITH PAYMENT FOR ENTRIES. Failure to pay the affiliation fee may result in all entries from a club being rejected.

Entry fees shall be 5.00 per event. NO paper entries will be accepted. 3. Eligibility for entry The championships shall be open to eligible swimmers, as defined by the ASA/SWIM ENGLAND who are members of clubs affiliated to North Midlands WP & SA. A swimmer must have been a member of the club in whose name they are entered and registered as such with the ASA/SWIM ENGLAND on and from 1 st September 2018. 4. Para swimming competitors The general conditions for the association championships shall apply to para swimming competitors except where varied by any of the following conditions. Swimmers with a disability shall swim under IPC rules. All competitors must hold a valid British Swimming Functional Ability Card (FAC) or Certificate of Swimming Disability at the time of entry. The FAC or Certificate of Swimming Disability must be presented to the referee before the start of the race in which the competitor is entered. Failure to do so will result in the swimmer being liable to disqualification for non-compliance with the rules for a particular stroke. Qualifying times for disability swimmers are not required. However, entry times shall be submitted for the purpose of seeding heats. Personal care attendants / coaches. Personal care attendants will only be permitted for swimmers in the following classes. S1, S2, S3, S4, S5 & S11 A swimmer in any of these classes may have both a coach and a personal care attendant present. No charge will be applied for personal care attendants. All coaches, chaperones and personal care attendants must conform to the ASA/SWIM ENGLAND child protection procedures and hold a current DBS certificate. The competition format will be based on disability inclusion within the able bodied programme i.e. there will be no separate events for swimmers with disabilities. All swimmers will be seeded in the heats according to their entry times. Disability competitors will be included within the results for their age group. North Midlands will endeavour to provide an official who holds either an IPC qualification or an ASA/SWIM ENGLAND Disability Official to act as the Disability Competition Liaison in each of the sessions where disability athletes are entered.

5. The events Individual events shall be: (all 9+ unless otherwise stated) Freestyle 50m, 100m (10+), 200m, 400m (10+), 800m (11+), 1500m (11+) Backstroke 50m, 100m (10+), 200m Butterfly 50m, 100m (10+), 200m Breaststroke 50m, 100m (10+), 200m Individual Medley 100m (9-11yrs only), 200m, 400m (11+) All events are swum HDW (Heat declared winner) events. Individual Skins events will be held in conjunction with the championships. Entry to the skins events is by invitation only and selected from the highest placed competitors in the 200m I.M. events. These events are for boys 14yrs and under and 15yrs and over. Girls 14yrs and under and 15yrs and over. Separate conditions are applicable for the skins events which do not fall within the championships conditions. Copy available on request. 6. Awards 1 st, 2 nd, 3 rd, boys and girls, in age groups 9, 10, 11,12,13,14,15, 16 & over will be awarded medals. Trophies will be awarded as follows:- Ages 9-12, 1 st,2 nd,3 rd fastest times overall in each event. (boys & girls) Overall fastest in each event. (all ages, boys & girls) Overall top boy and girl. (Based on points 8,7,6,5,4,3,2,1) Most improved club. (Based on points 8,7,6,5,4,3,2,1, compared to 2017) Overall top club. (Based on points 8,7,6,5,4,3,2,1,) Where a trophy is awarded which is returnable, it will be the recipients responsibility to have it engraved and returned by the agreed date. 7. Submission of entries Clubs must submit entries via a SportSystems entry file. The entry fee is 5.00 per event. NO paper only entries will be accepted. Entry files should be sent to north.mids.entries@gmail.com. Clubs are requested to submit supporting documentation (individual entry forms, summary of entries and proof of non-licensed times) by sending to: North Midlands Association Treasurer 4 Yewlands Drive Knutsford Cheshire WA16 8AP Consideration times will be applied to all individual events. Individual entry times after conversion if necessary (see below) must be equal to or slower than the upper consideration time AND equal to or faster than the lower consideration time. The faster of a SCM time or converted LCM time will be taken as the entry time. Entry times should have been achieved between 8 th September 2017 and 7 th September 2018. 9 and 10- year-old entrants may use times from league competitions or club championships provided that the times are supported by official results sheets. These sheets must be authenticated by the club official authorising entries. Entries for 11+ swimmers should be from a licensed meet (with Promoter s discretion for inexperienced swimmers if supported by published results).

9yr and 10yr olds may use times converted from 25yds or 20m. For swimmers 11 and over entry times must be 25m times, or 50m times converted to 25m times. Other entries, for example, swimmers returning to the UK after living abroad, will be allowed at the Promoter s discretion. All converted times must use the ASA/SWIM ENGLAND Equivalent Performance Tables (use of the ASA/SWIM ENGLAND tables section on www.pullboy.co.uk/times is permissible), Where times are converted the second decimal place can be disregarded and entry times should be shown to one decimal place. Only the faster of the 25m or 50m pool time will be accepted as the entry time. Entries will be audited against the rankings published by ASA/SWIM ENGLAND and any club may be challenged to demonstrate the authenticity of the information provided. There will be no refunds for incorrect entries. A random sample of entries from each club will be checked. If errors are found a fuller check of all that clubs entries will be undertaken. The championship secretary reserves the right to correct any time conversions that are found to be incorrect in order that competitors are seeded correctly. The competition secretary reserves the right to restrict entries in the interest of safety, time constraints and to ensure the smooth running of the competition. Where this rule is invoked the swimmers with the fastest submitted times in each age group shall take precedence. Events chosen for restriction will be at the discretion of the Championship Secretary. Submitted entry times shall be used for seeding and rejection purposes as required. Refunds will only be given: a) Where all entries for a club are rejected following non payment of the affiliation fee b) Where a competitor whose entries have been accepted, must withdraw on medical grounds subject to an appropriate medical certificate being received by the championship secretary. c) An entry is rejected in the interests of safety, time constraints and the smooth running of the competition. There will be no refunds in the event of incorrect entries where a swimmer would be too fast or too slow to compete if the correct time had been used or where a competitor withdraws after the closing date for any reason other than those covered above. Once an entry has been submitted improved times will not be accepted. 8. Confirmation of entries Accepted swimmers details will be posted on the North Midlands web site as soon as possible after the closing date for the competition. These should be used to cross check the accuracy of swimmer entries and to allow any necessary corrections to be made. 9. Meet procedures A withdrawal system will be in operation. Competitors or their representative must inform the organisers of their intention to withdraw no later than 15 minutes after the commencement of the warm up at the start of each session. Withdrawal can be made by e-mailing north.mids.withdrawals@gmail.com or by

completing the forms available on the day. Withdrawal e-mails must state NAME, CLUB, EVENT(s) and ENTRY TIME. Any swimmer who has previously withdrawn can be reinstated before the appropriate closing deadline without penalty. There will be no refund of entry fees for such withdrawals unless for medical reasons. (See above). Should a swimmer withdraw on medical grounds they will be removed from that day s remaining events including Skins. Swimmers who fail to withdraw in the prescribed manner shall be removed from that day s remaining events in which they have been entered. Heat start lists will be made available to clubs as soon as possible after the commencement of the warm up of each session. Start Lists will also be available online via the Association s web site. All heats shall be seeded on entry times and will be spearheaded. Competitors are responsible for presenting themselves to the competitor s stewards in plenty of time for the event(s) in which they are entered. It is the swimmer s responsibility to be at the start in time for the race. Result sheets will be posted on the spectator balcony and in the corridor leading to the competition pool. Results will also be available via the Associations web site. All other matters regarding the running and administration of the Championships shall be at the discretion of the promoter or their agent(s). 10. GDPR The North Midlands Association use the personal data from the entry form for the purposes of running the championships. Individual entry forms will be destroyed no later than 1 month after the conclusion of the gala. Results, including a swimmer s name and age on the 21 st October 2018 will be published on the association s website. Results are submitted to the ASA/Swim England rankings database. For 2018 the SportSystems entry and results files will be used by Sailfish Systems Ltd for testing a new meet management application (Swimming Events). After testing these entry and results files will be deleted. E. & O. E. Version 8 25/06/2018
