Minutes of August 19, 2018 President Ron Selfors called the meeting to order at 12:02 p.m. at the Fairgrounds Building in Eldon Missouri. (7 Executive Board / 17 District Directors / 9 Staff & Past Presidents) Guests: Shirley Winans, SW District Secretary. President Ron Selfors thanked the hosts, Central District and Ozark Whirlers for a fun dance and a great lunch. Approval of Minutes: President Selfors asked for corrections or additions to the June minutes. Edythe Weber moved to accept the minutes as corrected. Motion was seconded and carried. Treasurer s Report: Rosa Davis reported a beginning checking balance as of May 31, 2018 of $7,228.47. Since the last meeting we ve had Revenue of $761.30 and Expenses of $838.35. The ending checking account balance as of July 31, 2018 is $7,150.92. Total CDs and interest amounted to $50,467.60 for Total Funds on hand of $57,618.52. The Treasurer s report will be submitted for audit. Membership and Club Longevity: Rosa Davis reported we have 49 clubs that have paid their 2018 dues. Rebates: Dan Reedy reported we mailed out 1 Leadership Rebate; 1 Callers Rebate and 6 Youth Rebates. Correspondence: Penny Byers reporting. Get well soon card was passed around for Eldon Graham. Sympathy cards were passed around for Ruth Ann (Pat Hunt passing), Ron & Marie Selfors (their son David s passing) and Caller Doyle Rutherford family. Boundaries and Relations: Ray and Vicki Wittman. No report. Constitution and Bylaws: Merle & Madeline Hall. No report. 1

Publications: Carol Morris reporting. We have new ideas. Jim Weber will present. We have an electronic copy of the Doin s available now. Motion to approve will be in New Business. DOIN S Editor: Edythe Weber reporting. Not much to report. The next deadline is September 25 for the November/December issue. Sending early is always greatly appreciated. DOIN S Circulation: Jim Weber reporting. Subscriptions for the DOIN S since last meeting were 286, 2 exchange copies and 13 for staff, historian and post office for a total mailing of 301. We received 45 renewals, 0 new subscriptions and 0 copies went to new students. We will be sending out 18 postcards to subscribers whose subscriptions will expire with the Sept/Oct issue. The electronic copy of the Doin s in now available. You must complete and sign form to receive via Email. Financial report: The balance brought forward was $100.00 with a total income of $675.00 (from subscriptions). Expense of postage and supplies amounted to $7.70. A check for $665.75 was given to the Federation. The ending balance is $100. DOIN S Advertising: Dave Shafer Reporting. The balance brought forward on April 22, 2018 was $100.00. Total income (from DOIN S Ads & Caller/Cuer Directory Listings) was $350.00 and total expenses (postage) was $6.70. No check was given to the Federation due to being out of town. The ending balance on June 3, 2018, is $443.30. The balance brought forward on June 3, 2018 was $443.30. Total income (from DOIN S Ads & Caller/Cuer Directory Listings) was $20.00 and total expenses (postage & refund to WC Dist) was $36.70. A check for $326.60 was given to the Federation. The ending balance on August 19, 2018, is $100. Promotions and Advertising: Jack & Becky Rockaway reporting. Grant request from NE District, Capital Squares Club for $250 for rent & lessons. State Festival Site Screening: No Report. Insurance Coordinator: Jim Weber reporting. As of August 18, 2018 we have 1,277 dancers insured through Missouri Federation; 335 dancers insured through other federations; for a total of 1,612 Missouri dancers. (49 Missouri Clubs) New Certificate Form is on the Missouri web site under insurance. Please use this new form when requesting a new certificate form. The insurance company won t accept the old form. Clubs holding lessons: you MUST submit the club sponsored class form, even if your class started in 2017. There is no cost to cover new dancers in lessons. Once your new dancers graduate they are no longer insured until they join a club and pay the insurance premium and the club submits an additional enrollment form. The 2018 premium is $4.75 per dancer. Remember to complete an accident form for ALL accidents that occur at your dance, even if they appear minor at the time. The 2019 insurance packets will be mailed in September as soon as I receive the 2019 premium cost from the USDA insurance coordinator. They will be mailed to the club s insurance contact of record. If your club has changed your insurance contact person, let me know ASAP. Financial Report: Beginning balance as of June 3, 2018, is $300.78; total income of $137.75 and expenses of $65.10 leaves us an ending balance on August 18, 2018, of $336.66. 2

Travel Missouri: Jim Marron reporting. As of August 19, 2018 the total members are 240 and 0 non-paying member. The total number of dangles given out for Missouri was 455. Central 398 Northeast 383 Northwest 362 St Louis 362 Southeast 351 Southwest 402 West Central 373 The grand total for all districts is 3086. Financial Report: Total balance carried over from 2017 is $52.93. There has been no income so far in 2018 and expenses (for 75 dangles + postage) is $58.25. Total balance on hand as of August 19, 2018 is ($5.32). Blue Bird Coordinator: Madeline Hall reporting. I have talked to the Graphic Arts instructor at Macon R-I school. We have to tweak the colors of the design down to 4 colors but she will give me a sample before we make/order the full amount of birds. I will take her the fabric this week. I told her we want 100 birds and she is double checking the cost. She said there should be no problem having them ready by early October, in time to prepare packets to take to the Missouri Federation state dance. Webmaster: Dan Wheeler reporting. First, a touchy subject. Please do not send me E-Mail telling me your political views. Even if a politician has requested that you forward his information to XX number of people. I really don t care how you plan to vote on any particular subject. This is not a good forum for this discussion. We have plenty of decisions to make about square dancing. I expect that most of you here feel much the same about receiving these E-Mail. Good news. I have already started receiving 2018 2019 dance schedules. If your club hasn t sent in yours please send it. The website is averaging just under 1,000 hits per month. Historian: Dan Wheeler reporting. No Report. License Plate: Sharon White. Beginning Balance as of February 18, 2018, was $65.00. Total income (9 1 yr renewals; 5 2 yr renewals; 1 1 yr new; 1 2 yr new) $550.00. Total expenses (10 1 yr rebates; 6 2 yr rebates) $220. A check was given to Missouri Federation in the amount of $330.00, leaving us a balance as of August 18, 2018, of $65.00. USDA: (United Square Dancers of America) Edythe Weber reporting. The meeting was held Wednesday, June 27 prior to the Nationals. We were not in attendance at the meeting. Jim was in and out setting sound a couple times. Dan Reedy lost the election for Plains Region Vice President, but we want to thank our Missouri delegates for their support. We will let Dan and the delegates make a report about the meeting. 3

ARTS: (Alliance of Rounds, Traditional & Square Dance) Edythe Weber reporting. A meeting was held in Kansas City, July 1, 2018, following the Nationals. These are open meetings, everyone is invited to attend. The Live Lively Reimaging project was discussed. A new item available is the license plate covers, we have some available for $5 each. We made approximately $900 on sales of Live Lively apparel in the CALLERLAB booth at the Nationals. They are doing this as a favor without any compensation. We are very appreciative of that. Our information brochure/membership application is being revised, as well as the Fact Sheet. If you have not used the fact sheet, it has a bit of the history of square dancing, some of the current facts and info to help in recruiting, as a space to put your contact info on it. These are useful in recruiting new dancers by putting the fact sheet out in strategic locations such as libraries, doctor s offices, and elsewhere that you think might be useful for recruiting. We are serving as Treasurer one more year. District Presidents Report: Liz Rooks reporting. Square Dancer of the Year was selected and the person/couple selected will be announced at the State Festival in October. District reports: Northeast A group of people in Mexico, Missouri are interested in starting a square dance club. Little Dixie Squares will be starting lessons in September. Southeast Hosting this year s state festival so they are focusing on getting final details taken care of. Northwest Cross Trailers and Swingin Singles will be starting lessons in September. St. Louis District The St. Louis Metro is sponsoring dances once a month for new dancers using the Club 50 program. Main stream and plus tips at every dance along with rounds. Plus lessons will be offered as well as another round of Club 50 lessons. Southwest Shared some of their ideas for promoting square dancing: One club has window decals for $2.00, use of business cards, and yard signs. Kounty Kuzins has a promotion that allows new dancers to get in free; will have 2 graduates in November. One club in the district is able to get new dancers but the club does not travel and visit other clubs. West Central District Dance is December 8 at Chillicothe. Jim Weber shared that 2019 insurance packets will be mailed to all clubs in September. Necessary information needs to be submitted by Nov. 1 to the Rosa Davis, state treasurer and Jim Weber, Insurance coordinator. At our October meeting, one item on the agenda will be the discussion of districts hosting the state meetings in 2019. Youth and Children s Dance: Sharon & Larry Crisel reporting. 7 youth from Missouri was in the hall at the Nationals, 6 qualified for the rebate. 77 registered all together. Gave out 65 badges. We have great volunteers in the youth hall. Missouri Federation Scholarship: Robert Turner reporting. No Report. 4

2018 State Festival: Larry & Sharon Crisel reporting. We have 197 registered (this includes complimentary passes, such as callers, cuers and past presidents). Deadline for pre-registration is September 1, after that the price goes up. Lots of lodging options. No more shirts will be ordered. Encourage clubs to bring silent auction items and their club banner. Program book is 99% done, thank you for Ads and information for page. Fashion show still needs participants. For vendors we have: Paulas, Carters Western Store, Raggedy Ann Jewelry & Baskets. Friday is Bluebird night. Concession Stand Missouri Route 66 Firefighters Association. Please encourage clubs to support venders & concessions. Dan is doing a great job running everything on the website. Saturday night s opening ceremony City of Lebanon Honor Guard. Need district presidents, executive committee, past presidents, square dancer of the year and caller/cuer of the year, etc. up front. Unfinished Business: National Convention: Carl and Cindy Boone. IT S DONE!! 3,170 in attendance, 585 were Missouri square dancers. Fun shirts were biggest fundraiser. We think we nearly broke even on the hotels. Opening ceremonies were great. A BIG THANKS TO ALL THAT HELPED. 2019 State Festival: Catherine McLemore reporting. The Southwest District continues to move forward on the 2019 State Festival. T-shirts and polos have arrived and are ready to start selling after 2018 Festival. Ribbons have also arrived. We continue to make contact with potential sponsors, and are ready to hit the ground running at the end of this year's festival. New Business Hall of Fame Selection Committee: Dan Reedy: 2018 Caller/Cuer Hall of Fame has been selected. Will be revealed at the Missouri Federation State Dance. USDA: Dan Reedy: Finalization of 501c3; 5 states are in line, 4 others in line. We need to adjust our bylaws, if Missouri Federation dissolves, left over funds has to be donated to 501c3 group. $75 initial fee / $50 annual fee. Lots of monies available in grants, but need to be 501c3 to get grants. There will be bid procedure changes do away with the year before trial run and change size of buildings. Add a National Youth Advisor for USDA. Constitution/Bylaws Committee needs to look at and submit changes at our October meeting, then vote in December. Merle Hall, Constitution/Bylaws Chairman asked for volunteers to be on his committee. Those that volunteered were: Liz Rooks, Dan Reedy and Matt Auriene. Liz Rooks: Day at the State Fair had a good turnout. 200 people signed in. We had good publicity from the state fair. The booklet, with our ad in it, went to 100,000 people in the state and there were 13,000 Daily Fliers printed. Jim Weber: Moved to allow the Doin s to be sent to subscribers electronically. Motion was seconded and carried. Bob Turner: Reminded everyone insurance is due by Nov 1. He then moved to change rebates from $35 to $50 for clubs that meet the criteria. Motion was seconded. After discussion, the motion passed. Jack Rockaway: announced he would like to order 50 more Square Dance signs. After discussion, Jim Weber moved to order 100 more signs. Motion was seconded and carried. 5
