Raintree Country Club Board of Director s Meeting Minutes Wednesday, May 23, 2012 7:00 pm I CALL TO ORDER: Larry Whitmore, President, called the meeting to order at 7:00 pm II ROLL CALL: A Members Present: Gary Ahlstrom, Kevin Beste, Mike Fresina, Bob Fritsch Jr, Si Iyoob, Sandy Koury, Bill Larson, Mary Ann McGill, Don South, Charles Weatherholt, Larry Whitmore, Jim VanWinkle, Larry Witham B Members Absent: Greg Garlick, Sylvester McGinn C Others Present: Jim Troutman, General Manager III REVIEW AGENDA AND APPROVE: Larry Whitmore reviewed the agenda for the meeting Don South MOTIONED to approve the agenda Jim VanWinkle seconded All approved VI APPROVAL OF MINUTES FROM April 25, 2012 MEETING: Jim VanWinkle, MOTIONED to approve the minutes Don South seconded All Approved V GENERAL MANAGER S REPORT: A Project Update 1 Technology Update: The merger of our website and tee time system is still being worked on In order for this merger to work, we will need to change our website IBS will foot the bill for this change Geneva has been doing a great job on the website and the calendar She will continue to work on this She will be the contact person for everyone to work with in posting information to our membership The newsletter has been brought completely in-house and looks great We will continue to print newsletters for distribution at the club, however our goal is to have all members accessing the newsletter and other club information on the website This will help save a great deal on postage and printing of the newsletter 2 Capital needs for 2012: The Finance Committee report will address some of our current needs 3 Banking Update: We are still searching for a banking partner With the merger of RBC with PNC, we are looking to change banking partners We have been talking with BB&T and Carolina Premier One of our issues is always the collateral issue due to the fact we do not own the property 4 The Board Cup is tentatively set for July 25 th at 5:30 with a shot gun start VI COMMITTEE REPORTS A Finance: Kevin Beste 1 The financials for April were presented The months numbers looked good, with Food and Beverage being profitable and beating our Net Income number by controlling the Expense side to be under budget by $45,000 The Non-Refundable ID s were even for the month It was a good start to our busy season The Cash Flow projections for the summer look good

2 Some of our capital needs are to replace a cooler and an ice machine Each of these have a cost of $4,00000 We will also be in need of new blowers and weed eaters or grounds upkeep/maintenance B Membership: Si Iyoob for Sylvester McGinn 1 The membership report for April was presented The numbers reflect a gain of 19 new members, but a loss of 9 Five of the new members are full golf member s non residents For the month of April, we have 802 total golf members We are at 7488% of our full golf membership which comes to 599 Full Golf Members May has been a good month so far with 10 new golf members 2 The Membership Committee approved opening up the Lifetime membership category again Si Iyoob MOTIONED for board approval of a Lifetime Membership This category would cap out at 10 members and would require $30,000 cash payment In the Membership report there are currently 14 lifetime members There are really only 10, however we had to accept 2 members who were part of a CCA membership from years ago and 2 members pre pay their dues in a one time payment at the beginning of the year and that is the only way to categorize that dues payment Ten years ago when we offered this membership it was at a price of $25,000 Kevin Beste seconded There was a great deal of discussion and Si Iyoob withdrew his motion More information is needed before the board can make a decision 3 Si Iyoob MOTIONED to have the club support for an E-Golf player with a membership and in return he would wear Raintree Logo s on his clothing and golf bag There was much discussion regarding the intangible benefits and the MOTION was withdrawn until more information could be gathered C Bylaws: Bill Larson D Rules and Grievance: Gary Ahlstrom E Golf and Greens: Larry Whitmore 1 Troutman announced that our two half-way houses will no longer be able to take cash for items purchased Players will be able to use a credit card or bill their club account This is also true for visiting players 2 Rainfall this past month has been normal but we are still 5 inches behind for the year 3 The practice range has been slow to recover from this past winter but will improve as our weather improves 4 The South course greens, collars, and tees were aerated last week and the North course was aerated this week 5 We have started our aquatic treatment or our problem lakes 6 Sand has been added to a number of our bunkers on the North course 7 Golf Shop Staff update: Brooke will not be returning this summer as she will continue to work within the school system Catherine is leaving as well to become the Marketing Director of the Carolina Golf Trail We did hire Ms Sarah Bisher for the summer Sarah by profession is a nurse but will be

working for us throughout the summer until her internship begins The shop will continue to search for additional shop help as well 8 We have hired a new Outside Supervisor, Bill Day And we will have several cart attendants leaving soon, but we have many applicants to choose from 9 Applications for Symetra volunteers and the Pro-Am are available in the Golf Shop The marketing arm (Ei-Dent) of this event seems to be moving very slowly The shop will be meeting with Tracy Kerdyk from the LPGA later this week to see if things could be moved along 10 The weekly email blasts have been well received and will continue to be sent out 11 The 9-Holers held their Interclub event on May 8 th and it went very well with 60 players participating 12 On July 18 th the 9-Holers are playing at Carmel CC on the newly designed South course 13 On May 17 th the RWGA had their Derby Tournament which is a two day event 14 April 28th and 29th were the dates for RMGA Derby, their most popular tournament Winners were: Gross Shootout Net Shootout 1 st Larry Whitmore 1 st Steve Espin 2 nd David Boyce 2 nd Blair Bolen 3 rd Bob Fritsch, Jr 3 rd Brian Traxler 15 The RMGA Member/Member Match Play tournament is June 2 nd & 3 rd, with a Pairing Party on Friday, June 1 in the main Clubhouse 16 The RMGA committee voted to allow senior RMGA members, whose age and handicap add to 90, to play from the Gold Tees 17 The RSMGA OMEGA team stands at 2 & 1 with a loss to River Hills, 155 to 85 Their pace of play is still doing very well even in the rain During a rain most of the teams finished under 4 hours and 15 minutes with some finishing later as they had waited out the storm 18 On May 30 th they have their Annual Guest Day and expect a good turnout 19 The Member-Guest committee will be having a meeting this month to finalize the event We currently have 49 teams, but anticipate several more teams to sign-up in the next couple of weeks 20 The club no longer provides a phone-in tee time system It has been off for several months now and has only been missed by a few of our club members

VII VIII F Property & Insurance Bob Fritsch Jr G House and Social Bob Fritsch Jr, for Greg Garlick 1 Past Events a Rib Night was a success with 77 prime rib dinners ordered b Mother s Day was attended by 351 people vs last years number of 225 attendees c Wine Social was well attended with 77 members and guests There were many compliments on the appetizers and wines The next Wine Dinner will hopefully by in September d Cinco de Mayo was steady all day long with 130 plates of tacos being served 2 Upcoming Events: a June 1 st Bingo b June 13 th Meet Chef David in the middle section of the Grille He will be serving two samples of his food There will be a plate with a cold sample and a plate with a hot sample Hopefully members will stay and have dinner after they taste the food c Friday Night Special Fish and Chips a with a Key Lime Tart for desert d June 8 th A social night in the 37 th Hole There will be a raffle every ½ hour starting at 8:00 e June 17 th Father s Day Buffet BBQ by the Pool for 2:00 to 5:00 Pulled pork sandwiches, Bahama Mama sausage, veggies and keg beer f June 22 nd Music by the Pool This is also the Member Guest Weekend, and hoping that a few of the players stick around for this event 3 It was stated that the Friday Night Lounge was meant for members to stop in prior to dinner or heading out for the evening for a cocktail and some appetizers Tennis players have been coming in and taking a plate of appetizers back to the tennis courts and leaving the plates in the cabana area The Committee agreed that enforcement of the Friday Night Lounge rule be adhered to and enforced 4 Committee Members The following members were motioned to be approved for the committee Bob Fritsch, Mary Ann McGill, Chris Bateson, Kathleen Lebedz,, Randy Blackford, Jona Maiorano, Dick Beatty, Cathy Mathew-Mayo, Bryan Brazell, Ann Yountz Mike Fresina seconded All approved H Tennis, Athletic, & Pool Sandy Koury I Long Range Planning Bill Larson J Executive Larry Whitmore UNFINISHED BUSINESS NEW BUSINESS: A Committee Member Changes Larry Whitmore MOTIONED to approve Jim Remboski to the Golf and Greens Committee All approved Bob Fritsch Jr MOTIONED to approve Bob Cook to the Property and Insurance Committee Si Iyoob seconded All approved B NO MEETING IN JULY IX NEXT MEETING: Wednesday, June 27, 2012 X ADJOURN: Si Iyoob MOTIONED to adjourn the meeting Jim VanWinkle seconded All approved
