Board of Directors Meeting May 4, 2014 Present: Rob Newman, Todd Turcotte, Greg Brooks, Anissa Ladd, Karen Warren, Denise Serrano, Maria Reimer, Steve Ladd, Dave Pawlak, Wayne Roy, Nick Mandeville, Matt Quinn Absent: Seb Spada, Ivette Hughes, Steve Thompson Minutes: President s Report District meeting on Monday, May 12th. MLL is hosting tournaments. Need a softball and baseball tournament directors and need to attend meeting on the 12th with Anissa. Softball tournament dates: July 10 Jr Baseball and Softball July 10; June 5 9/10 and 11/12 Baseball June 27 9/10 Softball June 27 10/11 Baseball Change in age rules for District softball Treasurer Maria motions to accept report; Rob seconds, motion passes. Greg motions to accept minutes from April meeting; Steve seconds, motion passes. Board Members Motion made by Rob and seconded by Todd to accept Wayne Roy and Nick Mandeville as new members of the board. Wayne Roy is Director of Volunteers for Baseball Nick Mandeville is Safety and Code of Conduct Director Registration Total of approximately 550 registrants. 2 majors teams submitted for Girls Rule tournament in Wallingford on the weekend of May 15 18 both Dave and Sebby s teams

1 combined minors team with co managers Steve Thompson and Jeff Conklin. Equipment Anissa and Seb will pick All Star uniforms black and red will be our colors. Scheduling and Fields Staying off Crystal Lake baseball at city s request. Spencer backstop is still broken. As of last Monday, McDonough, Lawrence, Spencer and Crystal Skin had not been groomed or made playable. Current status: only Spencer is NOT done. City is requesting two weeks to complete. Hope to be done this week Monday (5/5). Has had to move games around because of these problems. Anissa will be sending an email as a follow up to all parents. City is short staffed and no overtime allowed. Umpires Pre scheduled all the games rather than week to week. Anissa has asked Greg to work in umpires in training to get them experience. Want to put them on the bases with an experienced umpire. This year, games have one umpire per game. At least 8 trainees showed up for both training and umpires meeting. They can be paid something for these games. Online payment game submission form has been instituted. Greg motions to pay trainees $75 Dick s gift card after completing 5 games. Wayne seconds. Motion passes. Operations Huge appreciation to Todd and his family for all the work on the concession stand. Needed a tremendous amount of work plumbing, water heater, dispensers in restrooms Programmed registers with each item to track cost vs. retail French fries are very profitable Provider is Napoli Food Services Opening Day $1447.75 in sales Concession Schedule Anissa opened and closed both days this weekend. Board members are being asked to sign up for days they can open and close because they will already be at the field. Open unlock doors; turn on equipment. It takes 15 20 mins to warm up. Don t open window until ready. Need to be there from 5:15 6:00 pm. Get team volunteers in and trained. Teams will be assigned to send two people. Stand opens every time there is a game on the fields.

Fields Close shut it all off and clean the grill. Clean the bathrooms. Todd proposes an employee who can come and open/close the stand especially the weeknights when we can t staff volunteers. Scoreboards and PA system are open for use. Any level can use this equipment for games. Not restricted to certain levels. Amplifier needs to be fixed on Baroni field. Signage still waiting for repairs on mis printed signs. There have been a lot of problems with mistakes on printing and size. Snow, Smith, and Moody have combo lock boxes. Smith and Moody need to be replaced. Mon Cheri coffee truck will be going to Snow School on Saturdays with full menu. Will give 5% back at end of season. She also made a donation to MLL. City wants to work on Hubbard Park fields during fall ball, spring ball or both. Perhaps a field during each season? This presents particular challenges for us with the Concession stand and lights. Discussion about what is really needed to make the fields playable. Are they able to put grub control down? Leave Crystal as is. Batting cages are the responsibility of MLL. We maintain them. City is not allowed to let travel teams use them. Junior Softball Malloves will sponsor Dave Pawlak will coach Need to get girls registered. Safety Volunteers Badges are in the drawer in the concession stand. List of people who have not completed the the online form correctly. ACTION ITEM: Karen to email the list of people who did not complete correctly. Bat Stickers required for AAA and Majors. Code of Conduct Committee Form We will obtain the Community Officer s name from MPD to see if he will be on the committee. We have requested Increased patrol around McDonough when MLL is there. AAA Baseball every kid has to play in the infield for one inning and in the outfield for one inning. not all managers were complying with this rule

if a parent does not want their child playing in the infield, we will comply with their wishes. Parent needs to email Ivette or Denise or the coach can talk to the parent and the coach needs to email the player agent and copy the parent on the email. If the parent has not waived the rule, but the coach feels it is a safety issue, the player agent can evaluate the child and then make a recommendation for the child to move to another league. Player Agent Issues There was an issue with a parent in softball. Parent accosted Seb during the game. Difficult situation. Ivette was there and intervened as player agent. One player has been suggested to move up to AA and is playing on the Hurricanes. Player agent made this decision. Memorial Day Parade Hope to have a banner per team for our sponsors e.g. Mondo Pizza Hurricanes thanks our veterans! Sponsors complaining about web site and how their team shows up. The parade is an opportunity to do something different for them. Sponsors and Fundraising Each sponsor received an invite for Opening Day with information about their team and manager. Still 4 teams that need to get their pictures done. Brian from Bishops Photo needs to go to a scheduled game to have both team and individual photos completed. ACTION ITEM: Maria will provide dates of games from the four teams who are missing. Will also have an individual make up photo day. Value cards can return unsold cards. Retain 50 to sell at tournaments. Maria Motions to keep 50 cards and return the remaining cards; Denise seconds. Motion passes. Family Nights Family Nights Mondo can do a night later in June. Find one toward the end of May as well. Maria has discretion to do what she can to get Family Nights rolling. Golf Tournament August 5 at Indian Hill in Newington; Matt is running it. 12:00 Lunch; 1:00 tee Hole sponsors $100/hole Tournament sponsor $750/foursome. Online registration

ACTION ITEM: Rob to work with Matt to get registration and sponsorship available online. Email to all past and present sponsors Cost is $80 a player for lunch, dinner, ball, cart, and prizes etc. Charge $100 to net $20/player. Raffle prizes for tournament will be needed. Should start soon. Anissa will choose All Star managers All Star draft has to be held during the day Anissa is available in June Rock Cats Will sell $5 tickets to lower leagues (Farm/A/AA) to allow families not to spend the full amount for teams not involved with the banquet.
