EASTHAMPSTEAD LADIES GOLF CLUB Minutes of committee meeting Wednesday 30 January 2013 VENUE: DOWNSHIRE GOLF CLUB MEETING ROOM PRESENT: Captain Val Button County Representative Vice Captain Anne Butcher Competition Secretary Maureen Barnaville Secretary Cook Comp Sec. County Sandy Kinch Treasurer Ishbel Thomson Committee member Pat Bayle Handicap Secretary Hazel Rogers Committee Member Leonie Hallson Membership Secretary Committee member Vicky Doran APOLOGIES: Lynda Moore Gail Harvey LAST MONTH S MINUTES Agreed and signed. ACTION Agreed MATTERS ARISING: Anne has in hand an updated version of the Club Comp Guidelines these have been updated and republished, she will print off and put in changing room and give some to Lynda for new members Auditor for Accounts volunteer needed just to check Ish s calculations Leonie volunteered Anita Tribute no feedback as yet, suggestion of a plaque on smoking hut and plant, would need to obtain permission suggestion will be put to Thursday ladies Boards being moved into function room once Downshire men get their new boards. Val had hoped these would be updated by end of January but having difficulty contacting the chap to arrange. Downshire men did not agree to pay for the updating. Open Emma has confirmed we will be charged summer senior rate need to decide whether we leave entry fee at 18 or increase it, agreed increase to 20 with coffee/tea on arrival, amend flyer and get ours out ASAP Website this is progressing and a draft has been submitted to Committee Members for comment prior to going live. Concensus is that we should concentrate on advertising for new Members and not so much on the Members Log In area. Meeting with Barry was cancelled due to weather, still to have meeting to discuss possibilities for our part of the site. Anne Val Val REPORTS Captain s Report I hope you all had a good Christmas and New Year.. I haven t very much to report for this committee meeting as there hasn t been a lot of golf played in the whole of December we did have the two Christmas competitions unfortunately the weekday Pitch & Putt had to cancelled due to the awful weather, but the lunch was extremely good and the afternoon was very enjoyable Pat Littlefair was given a nice surprise when presented with a Present, Cake,Plant and a card for her 70 th Birthday thank you to all who gave toward making this special for her. We also had another one of our Ladies who celebrated her 70 th birthday this month (January) Louise Birley. The weekend 9 hole competition went very well and dare I say it the weather was DRY, we played a 3 team comp..with nearest the pin on the 7 th As you can guess the lunch was full of lots of laughter..neli was the photographer on the day..and great photo s she posted on the group which I m sure you have all seen. 1

I hope to have some answers to report at committee after my meeting with Paul Stanwick on the 24 th. The hosting club for the Bronze League have come forward with a date for the lunch and AGM as the 25 th April I have to report we did not do very well in the bronze league this season with only managing to score all of 3 points over 4 matches this could be the worse score we have had Noted that poor turnout was due to courses being played. Hennerton is hosting this year so perhaps review once we see what clubs we get drawn against. Vice Captain s Report Nothing to Report. Secretary s Report Nothing to report Treasurer s Report 1. All but one of the membership subs are now in. The total subs income will be 1925 compared to 2360 (plus 105 in joining fees) last year. It is too early to say what the effect of this reduced income will be on the overall finances. 2. At the last meeting I raised (in absentia) the need for an auditor. The Committee should now appoint one at this meeting. Leonie volunteered. 3. I am awaiting the notification of how much we owe England Golf and the County for affiliation. There is a new system and the County collect both the county and the national affiliation fees. I have now sent 2 emails, so will await their response. Now received and will deal with. Need to change signatories at the Bank for Pat to change to, someone needs to pick up forms for changing signatories. Ish Handicap Secretary s Report Winter League Winter League is limping on through the bad weather. We have played 3 rounds of 6 at the weekend and 2 rounds of 6 on Thursday. Lynda Jodie Morris, Nikki Kelly, Karen Thompson, Imelda Dalton, Karen Wild and Helen Martin are not re-joining. We are hoping Denise Shearman, a lady we met out on the course in the autumn, may join the club in March. Now, more than ever, we all need to be on the look-out for new members. I understand from Val that the Downshire are going to be running taster days for beginners throughout the year and hopefully this may generate new members for the club. County Representative s Report Nothing to report this month Competitions Report Mary Foster Well we have suffered from weather with courses all over the place being cancelled. We again have dates over the next few weeks to hopefully get some matches played. Our members have been extremely helpful with all the changes we have had. For our home matches I have offered soup and rolls. It is worth noting that for the match that was cancelled last Saturday, Paul agreed our ladies would not have to pay the extra, as the tee time was before 11.00 Hawtree According to NAPGC web site we are going back to the old format, so that should be good news for most clubs. 3

County Competition Report We have the first round of the Mail on Sunday at home this weekend to Ashford Manor. Got a bye in first round of Duncan Trophy, drawn against Blue Mountain at home in next round. Ascot have sent an e-mail out stating that they will probably resign from the Scratch League. Scratch League Report Our season starts again, with first match on 6 th Feb at Winter Hill. We then have a further two matches before the end of February. Hopefully not tempting fate but we have enough players for all three matches. Our final match is on 13 th March, when our Silver Salver team are also playing, so Pat and I will be doing our best to get 12 players out on that Wednesday. Silver Salver Report Next silver salver is at home so no players required, but volunteers for half way hut and next matches not until March. Bronze League Report Bronze League finished A.O.B. 1. Any changes or arrangements made, and announced through the smartgroup should also be put on notice board. Reason being that some ladies are not on the group, and some that are do not always get notices. Board should be main place for information. 2. Recruitment of Members. We are at our lowest numbers for some years, and we are desperately in need of more. The Website should aid recruitment but we need to actively search for more members. Some thoughts for discussion: Agreed o o Appointment of a recruitment committee member from within the current committee no-one volunteered PR - articles in the local press. We did this some years ago. Might have to pay for this community leaflet discussed also contact at local papers, can send in results and article will appear in Newspaper Wokingham Times, Bracknell News Sandy will give contacts to whomever wants to take this on Sandy Taster sessions are taking place at the Complex being run by the Professionals. Val spoke to Wayne to see if any ladies take up the offer so that she can attend and do a meet and greet. Val will advise of dates and each member of committee will try to attend to see if we can recruit any new members. This months dates are 15 th February during the day, Sunday 17 th and 20 th in the evening. 3. Past Captains Event talked about having this at a weekend, financially don t think this will be possible as Centre won t give similar reduction as during the week. Didn t feel we would get attendance due to cost at around 40 each. Therefore decided to leave during the week. Better attendance in March than October. Preference was a Monday in the past. Perhaps next year have in September rather than October. Pat will find out when seasons finished etc. Everyone Pat 4. Everyone received scanned copy of years programme for green maintenance and Minutes of meeting with Paul Stanwick on 24 th January. Paul says having a meeting with BFC and wanted feedback to see if current Season Ticket holders would be interested in the proposals he wanted to put forward. Point made that 4

if little things on course were sorted, people probably wouldn t mind paying extra on season tickets, condition of course was brought up 5. Ish has been contacted by Alison Root, Editor of Women & Golf magazine, writing an article about golf and working ladies. Article out March/April edition. 6. Anyone interested in away day at Badgemore on 6 th October will send a reminder, needs numbers by end February to get special price. 7. Volvo Challenge in aid of Help for Heroes not doing. Meeting closed at 8pm NEXT MEETING WILL TO BE HELD ON Wednesday 27 th February 2013 @ 6.30, IN THE MEETING ROOM AT DOWNSHIRE GOLF CLUB Signed: Date: 5
