Presidents Update president@monbulkponyclub.com.au Welcome to March Rally Presidents Report March 2018 This will be my last year as President of Monbulk and I would like to thank all members, committee and parents both past and present for their help and support over the years, it has been a good opportunity for me to give back to the club and given me the opportunity to meet some wonderful people who I would never have met outside of Monbulk Pony Club. It has also taught me patience and not everything can be done in a day!!! Parents please remember an email was sent around after last rally to inform all members we will be holding our AGM at March Rally - 9am sharp. Our trusty coaches will be available to help the kids so you will be free to come along. Please ensure all children are on their horse and ready to be gear checked by their coach at 8.45am It is a prerequisite of your membership that you attend the AGM. We have arranged to hold the AGM at rally so no one has the inconvenience of having to attend the club in the evening or on another day. As most members are aware we have been running the club on a skeleton committee for the past year, this can no longer continue so I urge all members to put their hand up and contribute to the club that your children are involved in. All positions become vacant at the AGM and all committee members are happy to hand the reins over to any one else who feels they can do a job. We also have our zone duty at Tooradin coming up, an email was sent regarding duties, please contact me so that I don t need to chase you!! Have a wonderful day Julie

DC s Update dc@monbulkponyclub.com.au Hello Monbulk Pony Club, Welcome to the February 2018 Rally! It s AGM time again! I would like to say a massive Thank You to Julie Grant for her years of service to Monbulk Pony Club. She has reached the end of 3 years in succession as the President, and now preparing to hand over to the next Parent. Julie has gone above and beyond during her 10 years at Monbulk PC, holding many different roles on the Committee. Julie has given many hours of her own time working towards a better Club for each and everyone of us. Thank You Julie Grant - Madam President it has been a pleasure to work with you! The Grant/Oberin family are not going anywhere we can all look forward to seeing Julie, Rohan and Charlotte's faces around the place!! '2018 The Year For Positive Change' I hope All Adult Supporter Members have had a chance to consider what Committee Position they would like to put their hand up for! change. Daylight Savings months, Rally Day will Start 1 Hour Earlier. Please make sure you continue to Read the Newsletter to keep up to speed with these and Any Other Changes. April Rally: as this falls on Easter Sunday Rally Day Has Been Moved to Sunday April 15th. Make sure you remember to let us all know if you can attend via Opt In/Out on the Website. I can only stay for the morning sessions on rally day due to family commitments, Yolanda has agreed to make herself available should you have any queries. Monbulk Pony Club Rally Duty 2017/2018 Please OPT IN to the rally to let us know if you can make your duty, the OPT inform has this new section: Club Room Duty Job Description - You will need to be available for the day to carry out the following duties. Please negotiate with the other rostered member on duty as to who will carry out each duty. If you cannot attend the rally for whatever reason please find a fill in otherwise we will not run a canteen for that rally. Canteen The Canteen needs to be open from 9am until 3pm. The Canteen needs two people during the lunch busy period. BBQ One of the team rostered on to clubroom duty will need to Set up, cook, clean and pack up the barbeque. Barbecue should be set up ready for cooking by 9am Toilets and Bins Check the toilets are clean at the commencement of rally and they are stocked with toilet paper and hand towel. Clean toilets at end of rally. Place bins on roadside at end of rally ready for rubbish collection. Floors/Tidy Up - Sweep club room floors and entry at end of rally. Mop the Toilets and Kitchen. ** Please contact the Volunteer Coordinator for more details or questions 6

Pony Club Rules Please arrive promptly to each lesson, if you are late, please ask your instructor before joining the group if already started If you arrive early for your session or the instructor is not present, you may enter the arena and wait, but you must only walk or halt. You must not use any equipment without the instructor present. Have your horse and yourself looking neat and presentable for each lesson Come to each lesson with a positive attitude and open mind! We Never Stop Learning and each session is a new opportunity. Parents, Please refrain from talking to your child and or instructing them from the side lines. Leave the instructing to the Coach! MOST IMPORTANTLY HAVE FUN!!!! ITS NICE TO BE IMPORTANT, BUT ITS MORE IMPORTANT TO BE NICE!! If you are leaving early or not attending a lesson your group has been allocated, please let your instructor know and advise DC. Gear Check Rules Gear check starts at 9:30am, you may enter the gear check arena prior to this time, but please be aware there may be no supervision until 9:30am. Parents must accompany their children if they are unable to remain calmly by their gear check station. WALKING or HALT only - You must remain at a walk or halt within the gear check area. Please walk directly to your gear check station and wait for your gear checker. Trotting, Cantering, lunging or any other warm up activity is STRICTLY PROHIBITED in the gear check arena. (If you need to warm up please do so before the rally day starts, prior to 8:30am, in an empty arena, you cannot use an arena where equipment setup is commencing) Remember that the 'Gear Checkers' are volunteering to check that gear is safe and compliant, without the gear checkers you would not be allowed to ride. Patience and Respect is Required by All - Checkers and Members alike. Remember to Use Your Manners! ** If your horse is not under control or is unable to walk calmly or is acting up please wait outside the gear check arena until the gear checks for those riders already present are completed and the horses have cleared the arena ** If you are late and miss gear check you MUST contact the DC and arrange a gear check before you commence riding 7

Monbulk Pony Club Annual General Meeting Sunday 9am March 4 th 2018 @ MPC Club Rooms

2018 AGM Our Annual General Meeting will be held on Sunday 4 th March at 9am in the MPC club rooms At our AGM, ALL committee positions will be declared open We welcome nominations from any member for any of the positions, please ensure a nomination form is submitted at/or prior to the meeting Please find attached a description of the committee roles, do not commit to undertaking a role unless you are willing to carry out the duties documented There are two special motions that will be voted on at the AGM, details appear in the following pages A nomination form, and proxy voting form may be found at the end of this document Please note that your club requires a committee to be able to function. For the last few years we have been running without a full committee, this puts immense strain on the members willing to take on a role, as they are forced to cover multiple positions. A full committee means your children are able to enjoy a better pony club experience. If we are unable to fill the committee roles at this meeting, we will be forced to pass a motion to wind the club up. We came close to this last year when we had only a couple of members turn up to the AGM. Your club will no longer exist unless you willingly nominate and more importantly follow through on the committee roles. Page 17

2018 AGM Special Resolution 1: Change and update our Rules of Incorporation Our Current Rules of incorporation state: This will be amended to update clause 56(2) to state 56 (2) A committee member may be re-elected. The president role may be held by a member for a maximum of three consecutive terms. An additional clause will be added 56 (6) The role of DC may be allocated to a member for a maximum of three consecutive terms If passed, the incoming committee will be required to work through the process to update and resubmit our rules of incorporation with these changes Page 18

2018 AGM Special Resolution 2 Place the Monbulk Pony Club in Recession as a precursor to winding up By Law the Monbulk Pony club requires a committee to be able to function. For the last few years we have been running without a full committee, this puts immense strain on the members willing to take on a role, as they are forced to cover multiple positions. A full committee means your children are able to enjoy a better pony club experience. If we are unable to fill the committee roles at this meeting, then we will table a motion to place the Monbulk Pony Club into recession according to rule 12.1 of the PCAV bylaws. Page 19
