OFFICIAL MINUTES MINUTES OF THE DIRECTORS BOARD OF THE TEXAS MASTER GARDENERS ASSOCIATION FEBRUARY 3/2018 Texas A&M University College Station, Texas Officers Present: President Nicky Maddams; 1 st Vice President Duddly Hargrove; 2 nd Vice President Louie McDaniel; Treasurer Elisabeth Castro; Secretary Jamie Bruns; Past President Peggy Rogers Officers and Directors were present from the following counties: Angelina, Bell, Bexar, Brazoria, Caldwell, Comal, Dallas, Ector, Fort Bend, Galveston, Gregg, Guadalupe, Harrison, Hays, Henderson, Hill, Hood, Jefferson, Johnson, Kaufman, Leon, McLennan, Milam, Montgomery, Parker, San Jacinto, Smith, Somervell, Tarrant, Taylor, Travis, Van Zandt, Victoria, Walker, Waller, Wichita, Williamson, Wood There were 17 Visitors, 3 Past Presidents, 7 Committee Members present Call to Order: President Nicky Maddams of Waller County called the meeting to order at 12:35 Invocation and Pledge of Allegiance were led by Wayne Rhoden from Williamson County Welcome President Nicky Maddams, Waller County with a special thanks to McLennan County for providing the refreshments for the meeting and hosting the refreshment table. A special welcome was extended to Cass and Erath Counties who are new to the association in 2018 Minutes - President Nicky Maddams December 2, 2017 Minutes were approved as posted. Treasurer Elisabeth Castro, Montgomery County reported that the 2018 Budget was approved by the Executive Committee at their meeting on February 2, 2018. A Motion was made to approve the 2018 Budget by Donna Hagar, Somervell County. Peggy Rogers, Wood County seconded the motion. < 752 people have registered for the 2018 Conference and all but 15 associations are represented so far < the Conference Host Hotel Hilton and Embassy Suites Hotels are now sold out but there are many other hotels available with special rates until March 1, 2018. < Registration for the Conference will be held at the Hilton Hotel as well as the Leadership training. < Leadership training is 12:30-5:00 at the Hilton. Costs $25.00. If you have already registered for the Conference but wish to add Leadership training contact Donna Hagar, Somervell County <RV Parking available on TAMU campus for $40.00. Contact TAMU Transportation Services, if interested. <Early-bird Registration prizes were awarded to: 3 rd Prize/Secret Stash of MG items to Linda Doghtie of El Paso County; 2 nd prize/embossed MG Denim Satchel to Ginny Nelson of Collin County; 1 st prize/one night free @ one of the Conference Hotels to Glenda Marsh, Johnson County < Brynn Lee and Linda Hartman of Victoria County announced Victoria County will be hosting the 2019 Conference on April 25,26&27, 2019 at the Community Center. < Karen Dube of Brazos County announced that the Silent Auction Committee has over $7,000.00 worth of items already donated. If you or your county wishes to donate contact her at kdube@dlfarm.com < Louie McDaniel of McLennan County played a video showing what Waco/McLennan County has to offer for the 2020 Conference. Dates for the 2020 Conference in Waco will be May 12,13&14, 2020 with Leadership training on May 11, 2020. President Nicky Maddams inquired if any other counties would like to make a bid for the 2020 Conference. None were announced. Barbara Porsch of Permain Basin made a motion to accept the bid from McLennan County for the 2020 Conference. Velda Cuclis of Galveston County seconded the motion. Motion was unanimously accepted. Board of Directors Activity Part I: Directors were asked to write something that is a challenge for your county association on an index card and return it to the President. Challenges put forth will help with the planning of future speakers or presentations at Director Meetings. RAFFLE BREAK 1:40-1:57 COMMITTEE REPORTS cont. Conference Planning/Barbara Porsch, Permian Basin < None Newsletter/Karen Hix, McLennan County < If you do not receive the newsletter please email Nicky Maddams at nmaddams@tamu.edu < Rosters will be compared to the membership to insure everyone receives the Newsletter < 7,000 people are on the email list Nominating/Peggy Rogers, Wood County < None Outreach < Charters and Rosters were due January 31, 2018 < Dues are due March 1, 2018 < Submit names of any long term members in your county. There is an online form at TMGA website and form will be posted in the next newsletter. Those having 15, 20, 25, 30, 35 & 40 years of service to TMGA will be honored at the 2018 Conference Special Tax Advisory/Wayne Rhoden, Williamson County < 50 associations representing 58 counties are under the group exemption < REMINDER: 990N due by May 15, 2018 < Each association must file their own 990N < Sales Tax: you must have a floral license if you are selling plants. There are 2 different licenses available. One for selling plants at your location and one for selling plants at a different location. You must have a floral license for the resale of plants also. You have two (2) 24-hour periods for tax free sales per year. Website/Nicky Maddams, Waller County < Each association may have their website linked to the TMGA website. Send Nicky your link and she will link you to the TMGA website Tags for Texas SuperStar plants/lou Kellogg, Bexar County < You can order 100 or more Texas SuperStar plant tags. The new 2018 plants are on the form. Rodeo tomatoes were just released by Bexar County. A percentage of the sale of each plant comes back to the Bexar County JMG program. BOARD OF DIRECTORS ACTIVITY- II SHOW AND TELL/NICKY MADDAMS, WALLER COUNTY If you have a special project you can send them to Nicky ahead of the Directors Meeting for viewing at a future meeting.
MASTER GARDENER COORDINATOR/JAYLA FRY < Extended personal invitation to you and your county members to participate in the 2018 Conference. < Thanked Donna Hagar, Somervell County for stepping in and handling the Awards Committee < New Training Books will not be available at the Conference. You can get a discount card to purchase the books when they become available if you are at the Conference. NEW BUSINESS: Directors Oath was given by President Nicky Maddams, Waller County. OLD BUSINESS: None ADJOURNED by President, Nicky Maddams, Waller County at 2:57pm There were numerous drawings for Tulip Bulbs donated by Donna Hagar Somervell County, Rodeo Tomato Plants donated by Lou Kellogg, Bexar County.
