ERIC COUNTY INTERSCHOLASTIC CONFERENCE ATHLETIC DIRECTORS MEETING MINUTES October 3, 2011 Absent: Adam Stoltman (Alden) Division Meetings Topic of Discussion: Girls Representative to Section VI to replace Nancy Riccio and Top venders used by school districts Division I J. Higgins - Venders- Laux, AD Pro, Erie Sports, Riddell and Toths Division II K. Lester - Venders- Laux, AD Pro, Toths - An official working in the school district still being able to officiate contests? The officials are suppose to be blocking themselves out on their arbiters- they have to wait 5 years to work in the district if retired from the district or after their kids graduate - Modified Basketball schedules- some schools can go the same time and back to back and others cannot. If a school cannot host boys and girls basketball at the same time or back to back- the individual school districts will have to make the necessary changes to fit the needs of their district Division III S. Griffin - Venders- Laux, Riddell, Toths, First of Finish, Medco, Coke and Pepsi Division IV B. Halgash - Same venders as the other divisions - Nominate Marisa Fallacaro (Eden) - Section VI Girls Representative - Marissa (Eden) will be nominated and voted on officially at the November 14 th Athletic Council Meeting - Keith Lewis (Cleveland Hill) will continue being the back up to the Section VI Girls Representative Presidents Report J. Graczyk - Equipment Supply Bids- out to bid- board approved then done- this only happens one time not multiple - NYSAPHERD/COA- Conference will be held on November 16 th - Top venders what schools use- discussed at the Division Caucus Groups

Office Report L. Moore - Reminders - Winter Coaches Meeting 10/27 at Amherst - Please RSVP to Paula Jasinski by October 10 th if you would like a classroom for individual school meetings and the number of people that will be staying for dinner - Spring 2012 Coaches Meeting will be held at Cheektowaga - Fall Patches- please contact the office through email- the count needed and please be sport and gender specific - Winter assigning will begin in a few weeks. Please make sure all Tournament Information is sent to the office along with the non-league contests - No coaches should be assigning tournaments - No coaches should be assigning for non-league contests - Blocking of Winter Officials- Varsity ONLY home and away- Light green handout due to the office on October 11, 2011 - Cheerleading competition information is on the ECIC website - Boys and Girls volleyball payment- on a JV/V contest, when both officials are varsity the payment should be $110.00 a piece. Please contact the office if questions occur with vouchers - Please check the ECIC website for the most up to date closed dates for the Fall Season - Another Athletic Director liaison is needed for Girls Volleyball- to replace Nancy Riccio- Joe DeMartino (Springville) volunteered - Scrimmages for the Winter please give the scrimmages to the office and Beth and I will work with the organizations to get officials - Winter 2011-2012 Season - October 31 st - ICE HOCKEY - November 7 th - the rest of the JV and VARSITY - November 14 th - ALL MODIFIEDS Executive Secretary/Treasurer - ALL the DUES are in C. Amo Activity Boards Thornley/Higgins - Dates for the Spring 2012 Season- Fred Thornley (East Aurora) will be in contact with the ECIC Office this week - Modified Spring Alignments- The alignments were done based on enrollment and geography- Mr. Amo created the modified alignments and the Activity Board approved the alignments - 2012-2013 Division Alignments- after getting in contact with the other Sections- the majority create the alignments based on enrollment. The alignments will be done yearly based on enrollment and fix the

divisions when necessary- the heavy alignments wont necessarily be in division I or IV - - Fred Thornley (East Aurora) will contact the Sections again and ask how long they re-align yearly or keep for 2 years- etc. - Patches- the sportschairs were given the patch count and Fred (East Aurora) is still waiting for some responses- The activity board will look all the information over and get back to the group at the November meeting Old Business - Clarence is hosting the Fall ECIC Cheerleading Competition- they will be held on October 30, 2011 at 9am - Fall ECIC Championship- Girls Swimming- @ Sweet Home- please call Chris DeMarco to get the information- things are not settled yet - Winter ECIC Championship- Cheerleading- @ Lancaster- February 4 th at 9am - Sub-Committee- Finance and Budgetary Issues J. Higgins - Jim Higgins (West Seneca) met with Chuck Amo (ECIC), to discuss the budget issues that districts may be facing - They would like to have a meeting on 10/20 or 10/31 to discuss thoughts before budget talks in individual districts happen - It would be a 2-3 hour meeting just to come up with some ideas- put together an information sheet on budgetary impact - The districts are moving the budgets up to have them due by November - The earlier the meeting can happen the better - The meeting will be October 20 th at 11am and more information will come from the ECIC Office - Business personnel do not need to attend this meeting- but please get any advice you can get from your business offices that would be helpful - Cross Country Championship Format J. Graczyk - You take your regular season record and the how the individual did at the ECIC s add those together and that is how you are placed and a Champion is established - Finance Committee- Re: ECIC Championships - Jim Graczyk (Pioneer), Steve Griffin (Maryvale), Dr. Rusin (Williamsville Central) and Chuck Amo (ECIC) met to discuss finances as well as cooperate sponsorship- - Need to move slowly and get everyone on board - Goal is to get 1 sponsorship for the Spring 2012 Championship for Track - The sponsorship name will be associated with the championship - Cost is covering the event

New Business - A fact sheet is going to put together so the companies know something about the ECIC as a whole - Need feedback from schools- so districts are not upset - Where does the money go to from the concession stands? - Statement from the ECIC to give to the Superintendent s to discuss with the board regarding sponsorships - Why not charge for Admission? - Have any ideas please get back to the committee - Girls MB Lacrosse Sports Chairperson- please ask your modified girls lacrosse coaches if interested and get back to the group for November s agenda - Brian Wild (Lancaster) is ECIC Chemical Awareness Representative - Concussion Management Meeting- on 9/13/2011 Recap D. Ziegler - Bud Carpenter from the Bills did a great job- the meeting was very informative for Athletic Director s as well as parents - Evaluation regarding the modified boys and girls soccer and volleyball trips - Clarence saved a lot of money on transportation, and more parents were watching their kids play - Volleyball some schools could host 2 games at 430pm and two different sites and others had to go back to back- 4:30pm then 6pm - This scheduling process works for some schools but not all - An evaluation will be passed out for the November meeting so things can be discussed for the next fall season - The idea came up what if we send girls field hockey and girls soccer on the same bus and boys volleyball and boys soccer at the same timeetc not all the schools are aligned the same that idea may cause more conflicts - This will be discussed more at the November meeting - ECIC Wrestling Championship will be at Clarence- the entry fee will be $175.00 - Girls Representative to Section VI- the nomination is Marisa Fallacaro- to be voted at the Athletic Council Meeting on November 14 - Modified Wrestling Schedule- please look over your schedules and if you are matched up for a dual match call other schools to add if necessary- the last block should be dual matches- some schools are affected with Lackawanna dropping- so please make changes accordingly - Modified B- Baseball and Softball Schedules for the 2012 Season- How should the ECIC Office create the schedules for the upcoming season- this will be the topic of discussion for the division meetings at the November Meeting

- A common roster form for Winter Rosters- Brian Wild (Lancaster) would like to see the ECIC schools use one common form when it comes to creating rosters- Keith McShea handed out a form at the Fall Coaches Meeting is there anyway that ECIC can use that form for all the seasons- it would be easier for programs and announcing at contests - Trainers telling Athletes they have concussions- Steve Griffin (Maryvale)- if the AD s can talk to the trainers- have the trainers tell the athlete that they have a head injury- then have them go to the Doctor s to get evaluated - The trainers should not be telling the athletes that they have a concussion Section VI News - Section VI Meeting September 21, 2011- Update - New Qualifying format for sectionals in Bowling- Approved - The use of Ralph Wilson Stadium for the Class DD Championship game on a one year basis if there is no cost to the Section- Approved - Cheerleading Section VI Sportchair- Michele Ziegler - There was no motion on the recommendation to plan a Section VI Championship for the 2012 winter season. It was agreed that additional time is needed to review the issues of the new sport and a potential championship format - Sports Seasons Calendar for 2012-2013 season- Approved - Outdoor Track- New State Qualifying procedures - Motion to support the change to the Transfer Rule- regarding selectively classified athletes Defeated- 15 No and 9 Yes votes - A 3-year sponsorship agreement with Spalding Basketball for a total of $7,000 to be paid to Section VI. Spaulding will provide basketballs for use at all Section VI boys and girls championships at neutral sites. - A 3-year sponsorship agreement with Select Soccer for a total of $3,500 to be paid to Section VI. Select Soccer will provide the soccer balls for use at all Section VI boys and girls championships at neutral sites. - A sponsorship agreement with Time Warner Cable for one year only, for a total of $7,500 to be paid to Section VI and live streaming will be allowed for the Game of the Week and championship games. - It will be recommended that revenues from sponsors be placed into the Dedicated Fund for State Competition.
