2014 Event Season - Gymnastics SA PART 1 - Roles and Responsibilities A Sanctioned Event is an Invitational event which has been sanctioned for Levels upgrading. The host club of a sanctioned event will be responsible for the receipt of all monies and all administrative matters to do with the running of the event. Any club can tender to host such an event. ROLES AND RESPONSIBILITIES Gymnastics SA - Advertise GSA sanctioned Events on 2014 Events Calendar - Perform a registration check on all gymnasts, coaches and judges on the Gymnastics Australia Database (IMIS) - Contact all clubs with unregistered gymnasts, coaches or judges - Recheck unregistered members, and notify the host club of any gymnast, coaches or judges unable to participate - GSA SMC to approve competition workplan & work order prior to distribution. - GSA to post workplan on GSA website www.gymsa.com.au - State Judging Coordinator to approve judges panels prior to distribution. (This is a requirement in order for competitions to be used for Levels upgrading purposes) - Upon receipt of Judges and Coaches Attendance Report update details in IMIS. ROLES AND RESPONSIBILITIES Host Club - Submit a complete list of entries including gymnasts, coaches and judges to GSA (Full Name, Technical Membership Number & DOB) for registration check 3 weeks prior to the event - Submit judging panel to State Judging Coordinator for approval 2 weeks prior to the event - Distribute workplan & work order for the event in the 10 days following the close of entries. - Distribute judging panels to all parties, after approval by State Judging Coordinator - Ensure only registered gymnasts coaches and judges participate in the competition - Supply all suitable competition equipment for the event - Supply a venue that is suitable and safe to host such an event - Utilise an effective result system and ensure 2 computers are entering scores so that all entries are crossed checked - Supply catering for judges - Supply all awards for the event - Meet the minimum GSA Insurance requirements - Supply a level one accredited sports trainer for the event and cover all financial costs involved for this service. Copy of accreditation must be forwarded to GSA 1 week prior to the event - Submit to GSA an electronic set of results 1 week following the completion of the event should you wish the results to appear on the GSA website. These results must be in Excel or PDF Format Please ensure that you have read the event application guidelines relevant to your Gymsport. All event applications must be submitted prior to close of business on the set application closing date. Every club conducting an event is encouraged to abide by the GSA and GA event entry policies. Typed applications are preferred. Please use BLOCK LETTERS for handwritten applications. 2

2014 Event Season - Gymnastics SA Part 2 - Event Sanction Procedure 1. Sanction Event Application Form for Invitational events which have been sanctioned for Levels upgrading must be completed and received three (3) months prior to the respective event. All applications must be sent to the Gymnastics SA Sports Services Officer. Event Sanction will be granted by the respective Sport Management Committee (SMC). 2. Any member of the SMC may at the discretion of the SMC Chair (Technical Coordinator) be requested to check venues, equipment & other safety issues prior to events being sanctioned by Gymnastics SA 3. SMC representatives at any event will have the authority to veto any sanctions if all reasonable competition requirements are not met at the event. 4. For an Invitational event, which includes a level-upgrading component, to be granted approval it must have at least three (3) clubs participating and at least three (3) appropriately qualified judges representing different clubs for single apparatus disciplines and 2 per panel for Artistic Disciplines. 5. For a sanctioned Event the complete list of athlete entries must be forwarded 3 weeks prior to the event. 6. The Technical Officials (Coaches and Judges) and the proposed judging panels must be submitted to GSA 2 weeks prior to the event. 7. Complete results must be forwarded to GSA within 1 week of the end of competition. 8. Failure to provide the list of participants, judging panels, results and post competition event report will result in the level-upgrading component being unsanctioned. 3

2014 Event Season - Gymnastics SA Part 5 Agreement Conditions of Agreement To be awarded an Invitational event which has been sanctioned for Levels upgrading clubs must meet the following requirements Affiliated GSA Club Suitable Venue and Staffing for the Competition this suitability will be determined by the SMC Chair, SMC Sport Coordinator and the Event Director. Suitable Equipment for the Competition - this suitability will be determined by the SMC Chair, SMC Sport Coordinator and the Event Director. Utilise an effective result system and ensure 2 computers are entering scores so that all entries are crossed check. All results will be forwarded in Excel or pdf Format. AGREEMENT I agree that this event will be conducted according to the Gymnastics SA competition event policies and procedures. I thoroughly understand these Gymnastics SA policies and assume responsibility for the event.
