I have contacted the test chair at OSC regarding FSC possibly hosting the December test day in our pod (Okotoks, High River and FSC) as they typically host it. OSC is hosting a competition in early December so we thought they might be consumed with organizing that and we could help ease their load by doing the test day instead. I also mentioned that they would then take the March test day to be hosted by OSC, I will update when I hear a response back from them. STARskate Fundraising: We have two Millarville Market Gate shifts coming up, August 11 and September 15, as of right now, both are full and I have had no further inquiries for these dates. I sent out an email to everyone that volunteered for August 11 on Sunday, July 29. If anyone did not receive this and you think you should have, please contact me as soon as possible. Also, if anyone needs to make any changes let me know. We also have a shift for the Christmas Market (November 9) that has spots available still, please note that this is not a PD day for Foothills School Division, so any kids that have/wish to sign up may need to be removed because they will be at school. Karla to send the consent agenda out for motion and approval as we did not make Quorum. Email motion and vote re: donation to ORA for heating over new wheelchair seating Motion made by Lori Thomlinson to donate $1349.43 based on the quote provided by Maverick Electrical to the ORA to pay for the 1
4. Coaches Report electrical heating and installment over the new wheelchair seating. Seconded by Tasha Greening, Yes votes by Chenoa H, Kim M, Tenealle S, April W. Motion passed. FSC Ice Scheduler Report: We have received a final spreadsheet from the arena with all of our times booked, once the schedule for the upcoming season is approved, I will cancel any extra time that we have. New this season is a 30 day cancellation policy (previous years it has been 2 weeks), this will be ok for us on most of our scheduled days. The only issue with this new policy will be our Sunday Partner Practices and any Test Days that we host, I have contacted the Arena and Les and have gotten written approval that for these cases we will be granted 2 week cancellation. The reason that this is important to us is that we confirm attendance/preparation for our partner practice two weeks prior to ensure the skaters are ready to partner. Also it is typical procedure of Test Days to have the pull date for any submitted tests two weeks prior in order to give the coaches a chance to determine if the skater is ready to test or not. If we had to ask for this pull date to be 30 days in advance of the test day, it would be difficult for the coaches to determine a skaters readiness as a lot can change in a month. Coaching Division Monday Ice Scheduler to cancel the Friday ice prior to competitions and we will schedule the prelims for 5:00 5:45 on ice on Tuesdays and they will receive 15min of off ice provided at the arena. 5. Old Business 6. New Business All coaches are expected to complete the RIS program this year, and it is open to all Skate Canada members, I can send you the link if you want it. We will be pulling material from this program to include in our Rules and Expectations guidelines. Storage Space (Karla) Karla cleared out the storage space and has everything in her garage. We paid for storage up until July 31/18. Moving all our storage back to ORA will save us 600.00. We will proceed with cleaning out the storage space at ORA once our season starts. We will need volunteers to help with this. We will need trips to the dump/salvage centre to dispose of unnecessary items. We will need to purchase more storage bins. Online Registration and PayPal Tenealle and Tasha looked into a number of options to initiate online registration and payment for FSC. A committee of Tenealle, Tasha, Karla, Kim met and discussed the options based on a number of criteria. The decision was made to set up our own online registration through our website and to use PayPal as our online payment platform. Moderate increases to our Registration Fee (which includes the Skate Canada Fee) and the 10% increase to our program fees will offset the cost of this initiative. Tasha, Karla, Tenealle and Emile will be meeting to move forward with the new format. Proposed Program Fees for 2018-2019 motion required The committee set an increase to all Program fees of approximately 10%. This is necessary to sustain the Club as well as to help cover the cost of going to online registration as well as the increase in ice fees this season. The committee also set drop in fee to 20.00 per hour from 15.00 per hour Motion required accepting the proposed program fees for 2018-2019 seasons as set by the Registration and Fees Committee. Co-Fundraiser chair resignation Off-Ice schedule Volunteer Cheques Dressing room Concerns at ORA Kim brought up the concern with ORA about the hockey girls and people going in the change room prior to the skaters being done. So she is going to request that we have room 4 for the skaters again as that little room is too small and we can leave for the hockey girls. Was also brought up that in the contract that we have the room for 30 min after the time slot on the ice.
