Pope Valley Ropers and Riders General Meeting Minutes June 11, 2011 Call to Order: 7:15 by Marsha Bettinelli, Secretary A Special Welcome to Lynn Jenkins to this meeting was extended along with condolence for the loss of Jim. Present: Jennifer Baerwald, Bill Berglund, Larry and Marsha Bettinelli, Phil and Betty Bickford, Roy and Susan Hagar, Chris and Marge Hill, Lynn Jenkins, Bob Kaufman, Barry Kessey, Alejandro Maldonado, Bob and Lisa Pualson, Jan and Jill Hiney, Dale and Sherrilyn Roth, Blaine and Joe Sullivan. Chris Thompson arrived after meeting, counted as present. Guests: Sandra Bickford, Laurie (Lynn Jenkins sister) Pledge of Allegiance (led by Barry) Approval of Minutes. Correction-name of guest last month, Julie Case. Approval: 1 st Betty, 2 nd Barry. Members Chris Thompson and Chis Hill man the measuring tape as the arena is reset for a new event. Treasurer s Report: Checking:$ 6,231.84 Savings: $ 1,938.91 Expenses: 855.81 Deposits: 195.00 Committee Reports: Cattle Work Days- June 25 th Trail Ride- July 17 th, Oswill Ranch Arena: Chris Hill reporting. Thanks to all the arena crew who worked tirelessly in the rain. Arena is weed free. Gratitude to Chris Hill for a continuing superb job as chair and head worker. Clinics-Barry reporting. Two were cancelled. Next clinic June 22rd is a roping clinic led by Antonio. (See Newsletter for details) Gymkhana- Mary reporting. Next Gymkhana is this Sunday, June 12 th. All members are on task. Dale will do water truck. An additional Gymkhana has been scheduled to replace the May cancellation date. That date, August 7 th. Larry will bring down a generator for June 12 th to keep coffee warm (oops, didn t happen). Jan and Jill will cook. Sandra will help as well in the Canteen.! PAGE 8

JIM JENKINS: A MOMENT OF SILENCE AND SOME MEMORIES WERE SHARED BY THE MEMBERS. JIM LEAVES A LARGE VOID IN THIS GROUP. Bragging Rights: Jill Hiney got a new (old ) car! 2001 Cherokee. Congrats!! Phil pays for this brag according to his daughter, Sandra. Members Chuck Ross (above) and Phil Bickford (right) carry poles into the Arena for the upcoming event. Old Business: Liability forms are being passed around for everyone to sign. This applies to all members. 4th of July Parade: Jill Hiney has been nominated to be in charge with Jan Hiney. Jan will call members. Joe will provide trailer/float. Phil will provide lumber for float. Note: Antonio is going to Middletown Parade, anyone is welcome to join him. For the club, it is too close to the July parade to participate. Fiftieth Anniversary of PVRR. We should make this a celebration and will further discuss in the coming months. Ideas for mementos include, belt buckles, necklaces, t-shirts, hats. New Business: Container Door- This door is Arena crew thanks Chris Hill and Phil Bickford Open House at Wantrup this Sat, hiking, picnicing, wandering. The star gazing night will be July 23 rd. Pope Valley Ropers and Riders Board Meeting Minutes July 2011 (June 27, 2011, Kimsey Residence) Meeting called to Order by Chris Thompson @ 7:10 Board Members Present: Chris Thompson, Marsha Bettinelli, Dale Roth, Nancy McNamara, Marge Hill. Others Present: Mary Burton Board Members Absent: Sheila Rios, Betty Bickford Minutes were approved with one correction, of the date June 10, not June 11. Treasurer s Report: Checking: $6120.40 Savings: 1938.91 Expenses $1062.40 Deposits: 951.00 Notes from Treasurers Report: We will have approximately expenses next month of $1300. $1000 reflects Gymkhana Expenses, and the remainder insurance and misc. Committee Reports: Cattle Days: Income, cost, and finances of these events were discussed. We need to generate more participants. Four folks attended the last date. The cattle fees for the day event is $200. Next Cattle Day is July 23 rd. Gymkhana: Next Date July 10 th. Mary brought the state of the arena with some concerns about the divots by barrels. She would like to research purchasing a 2"harrow and bring that back to the board and membership. Mary would like to be kept informed of all work at the arena.she is concerned that a 4" harrow will damage the base. Currently we use Hendriks harrow- a 2" harrow. Clinics: Roping Clinic was well attended and lots of fun. Next clinic is August 10 th, Boot Clinic/Trailer Backing. The question was posed: Should we do signups for clinics ahead of time to get an idea of attendance.? Trail rides: July 17 th, 9 am arrival, at Swill Ranch, not Badaga Bay. Start at Daniel s. There is a new property owner between Berglund and Swill. Trail Trials: We should redo cancelled April event. This event takes at least 8 volunteers and 13 stations for the horse and rider.! PAGE 12

Old Business: Insurance: Marge will check to see that all members have liability forms completed, and bring necessary forms to the next General Meeting. Lease: Our lease with Burtons needs a little fine tuning regarding the liability coverage dollar amounts. Chris will work on this, and Marge will contact insurance company. New Business: Jim Jenkins Memorial:The board received a report form members present about Jim s Memorial. Ropers and Riders lovingly helped in every area. The attendance was around 120 people. There was a beautiful Color Guard in Jim s honor, organized by Mary Burton. There were 16 horses and riders, and the effort was very much appreciated. Thank you to all who participated. Parking on Bill Berglunds property was available to the Color Guard and members. Thank you, Bill! 4 th of July Parade is going forward under the direction of Jan Hiney. Fiftieth Anniversary: There is continuing discussion on how to celebrate this milestone and what kind of memorabilia/items to research. Some of the ideas include, clothing(jackets, t shirts, vests) with Original Logo, jewelry such as pendants, and belt buckles. Lettie is looking into some of these items, and Megan is looking into others. It was suggested that we use the Christmas Party to begin this celebration. Also it was suggested that an appreciations we acknowledged to those members who has made so many contribution to the club. Ideas welcome.! PAGE 13

PVRR Dress Shirts: It seems that we should consider reordering dress shirts with logos and possibility names. We have some shirts for lending, but it is difficult to keep track of them, and Megan and Mary will work on this. CJS may be able to order them for us, and there is a company Liberty that is a possibility as well. In the past the cost has been 45-60 dollars. Next General Meeting is July 8 th at the Arena at 6:30pm. Next Board Meeting is August 1 at Rios home. The 3 rd Gymkhana will be August 7 th. Road Apple: The board better organized.
