Cedar Creek Community School PTO Minutes September 14th, 2015 Attendees: Sara Stream, Emily Sufka, Katie Donner, LuAnn Herzog, Alex Kovarik, Belinda Peterson, Janell Tibodeau, Mrs. Kellerman, Nicole Wiener, Rachel Erickson, Sarah Lindquist, Mrs. Baar, Mrs. Edblad Meeting called to order at 6:00pm Approval of Minutes Minutes voted and approved by group for the May PTO meeting and August PTO Executive board meeting. Officers' Reports: President s Report Money handling policy - As a result of the revisions being made to the policy a reminder that anyone handling money or accessible to PTO funds will need a background check. Looking into getting more information on the level of background check ran to make sure it does cover cash related offenses. At the open house BBQ we received a fraudulent $20. Nicole was able to get us counterfeit pens that will be used in any event. $20 bills or higher will need to be checked. PTO supplies have now been moved to the small office behind the main school office, next to Rhonda's office. No longer in the conference room, Community Ed. has taken over the space. Cabinets are labeled and organized, please help us keep it this way! Water cooler - Discussion to remove the adult only water cooler from the staff lounge. Will look into replacing it with a school water fountain that is filtered and available for all. Will continue to pay the monthly fee until a decision is made regarding a replacement but won't pay to have it moved to the new lounge. Alex has some specs from one she ordered at work. She can provide to Mr. Hahn.

Treasurer s Report Review money handling policy and revisions will be made. Receipts will be needed in order to be reimbursed. The receipt should only contain PTO supplies, don't combine it with personal items. Budget update Open house BBQ brought in $1051.00 before expenses. July the PTO purchased the die cut machine for the school. The fees were applied to last year's budget. Committee Reports Open House BBQ - Rachel Committee was able to use some supplies we had on hand from spring. Remember when purchasing perishable items, the product can't be returned, if it is returned the store has to discard. Try to keep and use. Watch expiration dates when purchasing non-perishable items. St. Patrick's Catholic Church in Oak Grove has an ice machine and donated the ice for the event. Great organization to work with. Reading World Record Event - Sara (on behalf of Diana) Goal was 50,000 minutes be we only logged 23,000. Will not be able to have a movie in the park reward. There was trouble logging minutes as a total at the end of the year with school starting later. Suggestion - breaking goal down to a number per child so families see it's obtainable. Provide suggested reading material such as games, comics, or even parents reading. Spirit Wear - LuAnn Sara met with the vendor (today) to look at samples for the fall order. Great new items! Trying to remove or reduce red, sticking with blue and white. Samples will be available at conferences. Order forms will be printed and distributed in color Signup sheet available looking for volunteers to help with the open house table. Fall order is was due today, Monday. Will place order on Wednesday for delivery the week of October 5th.

Strategic Plan Update - Belinda There are 3 goals being worked on for next year including Brand. Nothing will change for this year but look for changes the following. All teachers will be asked to know and understand the new district mission. Looking for all the schools to be unified. The committees are still looking for more volunteers, if you are interested reach out to Belinda. Walk-a-thon (October 9th) - Emily Flyers will go in mailboxes today, Monday Website 'givemn.org' cannot be done directly. Exploring other alternatives to make the link available for those who want to donate online. Reward will be movie in the gym if the goal is reached. Will have 2 different movies to accommodate the different age group. Template will be sent to teachers to forward out to parents regarding the web site. Families can use this to send to extended family explaining the event and ways to donate. Looking for a bike to be donated for a prize. BMX Rum River will be giving gift certificates for training opportunities. Will also use as prizes. Committee was able to find the person who did the warm up last year. He is willing to do it again this year. Spirit Week (Sept. 21st - 25th) - LuAnn Copies of daily events will be sent home Wednesday; copies being made Tuesday. Events will include: Monday - dress for success to coincide with picture day. Tuesday - miss match day Wednesday - Wacky hair Wednesday Thursday - PJ day Friday - school spirit day Fall conference Dinner - Janell Most likely dinner will be served Thursday, October 8th. Other options are the 12th and 13th. Principles Report Unveiling strategic plan - Mission Statement and Core Values Parking lot painted blue around the volunteer and visitor parking to make it identifiable. Reminder your ID is needed to sign out/in and/or to enter the building.

There are now 6 sections of Kindergarten, one was added this year. Mrs. Detman is the new Dean of Students. Mr. Hahn is looking into an alternative for school reach which is no longer available. This was the weekly call to families about the upcoming week and reminders. Poster Maker - Looking into a plan for using the die cut machine and supplies needed. School Board Report No report given Susan Erckle will be the new representative for CCCS. UNFINISHED (OLD) BUSINESS No unfinished business to follow back with. NEW BUSINESS Field Trip Requests 2nd grade - Mrs. Baar was present to ask for funds for a field trip to the Fur Post in Pine City. Event will be taking place in October. 5th grade - Mrs. Edblad was present to ask for funds for a field trip to the Cedar Creek Ecosystem Reserve on September 24th. Sub-Committee sign up Sub-committee signup sheet was passed around to looking for new volunteers and to confirm those who have signed up for current committees. We ask members to consider volunteering whenever possible Child Care Expectations Distributed a list of expectations for parents using the child care. Will look to break up the children amongst the volunteers into smaller ratios to make it easier to keep after the children when they go outside specifically. Will be adding a snack - will be looking for volunteers to donate a snack item. Created an activity back as well as a tentative agenda each week for volunteers to utilize with the children. Children will wear name tags including the parent name in case follow up is necessary.

New Member Meeting A flyer will be sent home after the meeting tonight. Will provide Cake (Mrs. Kellerman will look into getting), Pizza from Little Cesar s, water, and 2-liters of pop. Goal will be to get to know each other and interact as a team. Will have the new member meeting from 6-7pm with the PTO meeting from 7-8pm. Meeting adjourned at 8:00pm.
