Approval of the Treasurer s Report - Items for Discussion: Comp Tryouts (ML) Clarification needed on coaches picking their team on Saturday or Sunday? ASHA Meeting (ML) Spectators are not allowed to use lighted signs or balloons at the rink or on the plexiglass. Coaches need to be screened by September 1 st, no grace periods. October 15 th deadline for Safesport for training and coaches, managers treasurers mandatory. If a coach gets a misconduct he has to attend a mandatory meeting with the association. Tournaments must have names and phone numbers of disciplinary committee. Comp scheduling for Bantams and Midgets is August 23 rd 6-9 PM, Squirts and Pee Wees August 24 th 8-11 AM. Coaches must check helmets for expiration dates Level 5 for coaching in Las Vegas State Tournaments are being finalized Alaska Selects for birth years 87, 98 and 99 is December 21 8:30 AM 6:30 PM and December 22 8:00 AM -3:15 PM. Deadline is December 10 at BB1. 2000 is April 11 and 12. Referee seminar on August 20 and 21 Junior Hockey Fairbanks and Kenai had great years. 14 kids with scholarships to schools. Average attendance of 2200. Volunteers can register with USAH House is going to three minute warm ups this year. Penalty changes o Boarding, Charging, Head contact going from a two minute to a ten minute penalty, same as checking from behind. o If three majors in a game, coach has to sit out a game (league) o If a player receives two misconducts in a game, the second is now treated as a game misconduct. Hosting Girls State Rec Tournament, Mac Attack, and/or U12 Tier IV States? (RS) March 28, 29, 30 and April 4,5,6 for Mac Attack. No to Girls State Rec Tournament, committed to U12 Tier IV State Tournament. Seeking final approval for up to $10,000.00 in exercise equipment to be purchased by MHA to be placed in the extra room on the turf side at the MAC. This equipment will be available to MHA players for use according to MHA's user contract with the MAC (to be negotiated in the near future). Randall will propose to the Board at the next meeting the specific equipment to be purchased with cost breakdown. (RS) Tabled until Mike gives Reid a call to try and figure out the first step to making a user contract for usage of the new room. Seeking guidance from the Board regarding dry land user contract at the MAC. There is an existing contract for usage of the MAC, Randall believes there's another contract in relation to the Shooting Cages, and there will need to be a contract negotiated with the MAC regarding the use of the dry land equipment/room. Who will be negotiating this contract? What are the Board members' thoughts? Suggestion: there should be a special session to discuss this topic. We may want to re-negotiate a single dry land usage contract to encompass: the track, stairs, shooting cages, dry land equipment/room, turf etc. If there are any other special sessions scheduled in Meeting Minutes July 2013 2

the near future maybe we could piggy back this on top of that existing meeting date. If not, we will need to pick a date/time to discuss this topic. (RS) Encompassed in the above item. MHA hosting the Girls Rec. State Tourney (Jamboree)? Benefits would be: potential source of revenue, able to choose a date that works best for our players (thus increasing participation). There is a Girls Women's Council meeting this month where associations will be discussing this issue. Where does the Board stand on this? MHA would likely host the tournament after all Comp. and House Tournaments are over probably the weekend before the MAC Attack? (RS) - Covered in an above item Following up on the Free Girls Clinic (open to girls from all associations) that was proposed at the General Membership meeting. Are we still interested in hosting such a clinic? It would ideally be between 1-4 times per month from Sept/Oct.-Feb/March. MHA would be responsible for securing the ice and coaches. This clinic would be contingent on ASHA, USAH, and/or Sponsorship purchasing the ice. Benefits would be to grow Girls hockey, give girls an opportunity to practice and play with/against other girls on a regular basis etc. Randall needs to know from the Board whether this is something MHA should pursue. Randall will organize the coaches and clinic...just need to know MHA will support this and provide the ice. (RS) Need to dedicate two sheets of ice between September and March at the Mac center. The sheets will be paid for by the sponsorship of the clinic. Supporters are still fighting to bring back Girls High School hockey. Also, there may be a movement to bring Women's hockey to UAA. (RS) Girls High School hockey is still in limbo. MAC Attack. Consider ways to turn this into a profit maker (ie. increasing fees, decreased rental cost of the community room etc.).(rs) Look further at the cost of the tournament fees to try and help the overall association costs break even. Should we be approving the budget before deciding if we are going to use the extra room for dryland versus a local athletic club? (RS) Covered by previous item. We may want to negotiate a new dry land usage contract with the MAC, to encompass: community room, track, stairs, extra room etc. Might want to do this before the budget is approved? (RS) Covered by previous item. If the Developments are a money maker for MHA, which they appear to be, then we may want to consider adding a PeeWee Development or PeeWee/Bantam Development, or PeeWee- Midget Development prior to approving the budget? (RS) Development will be incorporated into Mac Center Development, not hosted by MHA this year due to ice availability. Consider decreasing administrative costs. Our payroll is almost $19,000.00 Molly has proven to be extremely valuable and instrumental to the smooth running of our association for years. But I'm not sure an association as small as ours should be accruing such a large annual payroll expense especially as ice prices are going up etc. (RS) Molly agreed to send the payroll invoice to the board for the next three months. We will be keeping the budget for this year the same. We will look at the duties to see if any of these can be incorporated into another persons duties. Meeting Minutes July 2013 3

$3,400.00 in PayPal fees is there a way to collect registration fees without it costing us? (RS) It is an expense line item, it is incorporated into administrative expenses already. It is not costing us above and beyond the fees already charged. Regarding the PayPal expense of $3400: Anytime someone uses their credit card to pay for their registration fees or payment plan fees online, PayPal keeps $0.30 per transaction and 2.2% of the total amount as their processing rate (the 501c3 rate). This is the cost for people to use credit cards. The changeover to PayPal was approved in 2009 since their fee is much lower than using the manual Wells Fargo Credit Card machine. Regarding the Wells Fargo/Merchant CC Fee of $2000: We do still have the manual credit card machine, which is used only occasional when someone is having a problem with PayPal or when we need to swipe cards fast at an event (like the UAA game last year). They charge us $15 a month just to have the machine regardless of whether or not we use it. I process probably 6 cards on it a season at this point. MHA also opens/maintains accounts for all Comp teams at Wells Fargo and I reorder checks and deposit stamps (if needed) for each of those teams at MHA s cost. Jennie also posts other maintenance fees from Wells Fargo into this category, too. We have paid for maintenance of Ravenwood for 2 years now at a cost of approx. $4000.00. I don't think enough teams are utilizing the ice to justify MHA continuing to pay for this service. I think we need to go back to the community to maintain the rink. (RS) Motion to remove the outdoor ice maintenance at Ravenwood Randall/Molly, motion passed. Bank/credit card fees. Can we bank somewhere else that has less fees? (RS) Board meeting room rental. We could meet somewhere that's free (Library, Pizza Man etc?). Or negotiate a reduced or waived cost at the MAC considering we are the largest user group? (RS) Mike will follow up with Pizza Man, Randall will follow up with other local places, to try to alleviate the price of the room rentals. Comp Update (RB) Mike covered, Becky was out of town. Safesport Coordinator (MG) Jesse James is the new coordinator. Board Member/Staff Background Checks (MG) Molly will send out a link in an email for the background checks. Finalize Season Fees (MG) Reworking numbers with changes from tonight and then will email the new budget out for an electronic vote. Staffing for Registration/Evaluation (MG) Molly will send out an email for staffing, Mike requested that the reply all function be used. Ice Allocation (Melanie Linn) Melanie will get the date of the ice and pizza party out to us on email. Red team tryouts will be a $30 fee for the evaluation and be at UAA, Melanie will be checking on the times available. Would like to make the Taste of Eagle River an annual event. October 5, 2013 is the tentative date at the Lions Club. Suggesting to spread the proceeds evenly. Last event raised $13,000. Dropped Competition Tryout Ice Expenses to $2660. Dropped House Evaluation Ice Expenses to $2000 (based on dropping the second skate on Sat for the Mites). Motion was passed.
