Open Meeting & Welcome by President, Scott Davies The President Scott Davies welcomed everybody in attendance and thanked them for making the effort to attend. Scott also thanked the Black Rock Yacht Club for hosting the meeting at their club and acknowledged Commodore Mark Jackson. 2. Apologies See below attendance and apology details 3. Minutes of previous meeting Motion that the Minutes of the Annual General Meeting held on Monday 17 September 2012 at Port Melbourne Yacht Club be approved Proposer: Mischa Leonard (YV Board) Seconder: Bob Cooper (RYC) 4. Business Arising from the Minutes Nil 5. President s Report The President presented his report, as had been circulated previously. The President also thanked all clubs for their efforts in working with YV to develop and grow sailing and the YV staff for their excellent efforts over the period since the last general meeting. Scott also advised delegates of the sad and untimely passing of current Board member Rohan Brownlee only a few weeks prior and acknowledged his great contribution to sailing and his outstanding character. Scott finished by thanking YV Honorary Solicitor Mike Trumble for his support in preparing for this meeting as well as overall contribution to YV which is very significant. Treasurer s report on YTD February 2012 The Treasurer, Ian Cunningham presented the financial report/update as at the end of February 2013, as circulated previously. Motion for Subscription Fees for the 2013-14 Season Motion that in accordance with Rule 12, the annual subscription for each Member Club Category for the Financial Year 2013/14 be increased by CPI for the year ending December 2012 of 2.2% rounded up to the nearest $10. Motion to amend the Rules of YVI to comply the Associations Incorporation Reform Act 2012 and for other purposes Motion that the existing Statement of Purpose and Rules of Yachting Victoria Incorporated by amended by: (a) Including the statement of Purpose as a new rule 3; and (b) Amending the existing Rules, In the form attached to this Notice of Meeting (and to these minutes), as it may be further amended to satisfy any requirements of the Registrar of Incorporated Associations, to comply with the Associations Incorporation Reform Act 2012, or to overcome any inconsequential errors or omissions. This included an update of YV s performance against the six main areas of the 12/13 section of the strategic plan and an overall indication that all measures are on track to be achieved. The key pillars of the draft YV Strategic Plan for 2013-2017 were also presented and discussed. There was general support from the delegates that the pillars were the correct areas to be focussed on. Commodores were invited to indicate if they would like to have a more detailed opportunity to contribute to this plan and if so to advise the CEO. The CEO report was accepted. 10. YV Awards It was advised that the annual YV Awards would be held on Friday 21 June 2013 at Sandringham Yacht Club in a very similar format to the successful format of 2012. Discover Sailing Update Discover Sailing Manager, Gavin Wall, provided a summary report of the progress made over the Sep-March period including the great efforts by many clubs. In total 48 clubs had engaged with Discover sailing related activities. Gavin advised that further meetings would be held with clubs, on a cluster basis to delve deeper into the challenges and successes, and to plan for 13/14 and beyond. Women and Girls in Sailing Update (WGIS) Club Services Manager, Sam Watson, provided a summary report of the recent progress in this VicHealth supported project. This included the successful establishment of the Port Phillip Women s Championship Series, a new logo and website, a strongly performing committee, some very valuable research into female participation factors and the formation of a role at clubs to be a club representative in this area. Participation Survey The CEO briefly outlined that this work had been completed and would be circulated to clubs. One of the key outcomes had been the discovery of the one million participations at our clubs over a 12-month period. This included all sailing and non-sailing activities and served as a guide as to the busyness and value of the clubs. Club Conference It was advised that the conference was envisaged to be held on the first Saturday of August (TBC shortly) with a similar format to that of the successful 2012 conference. Other Items Catamaran Sailing was discussed and it was indicated that in light of its Olympic reinclusion, the popularity of the Americas Cup and the general interest in catamaran sailing that more YV attention should be directed its way. This was acknowledged. Land Tenure/Leases were discussed and again it was stressed that clubs experience challenges in this area. It was advised that YV had established a Taskforce to help address this, was constantly liaising with government level officials on related topics, and did have some template and guide documents on the website. The Crown land Reserves Act was mentioned and access to this would be circulated.
